How does Capterra's service work?
Capterra generates leads for business software vendors in three ways:
- Pay Per Click listings which drive Capterra users to your website, where they can collect further information about your solution.
- A Pay Per Lead program through which Capterra users can contact you to learn more about your solution.
- General Requests for Information (RFIs) submitted by Capterra users.
There are no signup fees and there is no time commitment. All programs are pay as you go.
Pay Per Click Program
How do Pay Per Click listings work?
Pay Per Click (PPC) listings display an overview of your solution in the software directories of your choice. Your listing includes links to your website where buyers can collect further information about your solution and where you control their experience. Campaigns are measured by tracking clicks that convert to leads. In the PPC program, you only pay for prospects who click through to your website.
Can my competitors or other fraudulent users click on my listing to drive up my costs?
Capterra has algorithms in place to prevent both duplicate and invalid clicks. Examples include thresholds based on both IP address and time intervals.
How do I know who clicks on my listing?
Since Capterra does not require visitors to register their information before researching solutions, you will need to track your clicks and referrals. This is easily accomplished by following the recommendations in our Guide To Tracking Web Leads.
Pay Per Lead Program
How does the Pay Per Lead program work?
Pay Per Lead listings display an overview of your solution in the software directories of your choice. Your listing includes a contact request form on your Software Spotlight page within Capterra’s website.
How does Capterra define a lead?
A lead is a Capterra user who requests to be contacted by you and who matches your specified Target Market requirements, which include company location, company revenue, number of employees and number of software users.
How are leads delivered?
When you receive a lead, a notification is automatically emailed to you and the prospect's information is displayed in a queue in your Capterra portal.
What about invalid and duplicate leads?
Capterra is diligent about monitoring incoming leads for validity. We automatically validate Direct Requests as they are entered and proactively remove those that contain invalid information. You may dispute a Direct Request up to 30 days from the date it was entered. A lead is considered to be a duplicate if there is more than one request for the same solution from the same prospect, as determined by their email address.
When to dispute a lead:
- Prospect gives false contact name.
- Prospect gives incorrect phone number and email address.
- Prospect is a student, analyst or competitor.
- Prospect is a reseller attempting to partner, with no specific client in mind.
- Prospect falsely states Target Market information.
Invalid reasons for disputing a lead:
- Prospect gives incorrect phone number or email address. Why? Some legitimate leads will only accept one specific mode of contact.
- Lead does not convert to sale. Why? Some legitimate leads decide to purchase from another vendor or delay the purchase.
- Lead does not have an established budget. Why? Some legitimate leads do not establish a budget until later in the buy cycle.
- Lead does not have the authority to purchase. Why? Some legitimate leads do not receive purchase authority until later in the buy cycle.
- Lead does not have well-defined needs. Why? Some legitimate leads do not properly define their needs until later in the buy cycle.
- Lead is not ready to purchase anytime soon. Why? Some legitimate leads take months, if not years, to make a purchase decision.
Considered on a case-by-case basis:
Prospect does not respond to repeated contact attempts. Why? Some leads will only respond to vendors who make contact within a certain timeframe and in a specific manner. In order for Capterra to consider crediting a lead based on this reason, please forward a record of all contact attempts, with date and time, to bizdev@capterra.com. We will review the material and follow up with the prospect to determine whether the dispute is legitimate.
What is an RFI?
Requests for Information (RFIs) are general inquiries made through a directory by a software buyer who wants to hear from multiple vendors. RFIs are not targeted to a specific solution. Vendors with Pay Per Click listings receive RFIs as a free bonus with their listing. RFIs are also available to purchase on an individual basis.
How do software buyers find Capterra?
Capterra reaches software buyers wherever they are doing research, on the Internet using search engines and other websites, as well as at industry events and through relevant media outlets.
How do I control my listing?
Each vendor has access to their own portal that is populated based on the programs in which you participate. Within the portal, you may access and customize the description and URLs for your listing, as well as view click information, billing statements, lead information and RFIs.
How does payment work?
Capterra bills your credit card at the beginning of each month for both Pay Per Click and Pay Per Lead activity in the previous month.
Can I set a monthly budget?
Yes. You may set separate budgets for Pay Per Click and Pay Per Lead. If you reach your Pay Per Click limit, your listing will revert to the free Basic level for the remainder of the month. If you reach your Pay Per Lead limit, you will not receive any new leads until the beginning of the next month. You may raise or remove your monthly limit at any time. Listings that have hit their limit are automatically re-enabled at the beginning of the next month.
How do I get started?

How does Capterra use my contact information?
We have a strict privacy policy at Capterra to prevent the misuse of vendor contact information.
