Pros: I went through their entire onboarding process and with each session discovered more and more things that did not work. At best they have nice color schemes to pick from... No one's selecting their software for the color schemes, so that is essentially the biggest pro there is to Zenplanner.

Cons: Extremely limited in use. You can't have more than one 'drop-in' on an account, you can't take a deposit for an appointment without becoming a member, you can't attach a waiver to an appointment despite the variety of appointments that may exist from a gym to a yoga studio to all the other 'fitness' businesses they boast being able to manage. You can't have a group membership, therefore every single person--children included have to go through a ridiculous process of that is in no way streamlined. It can't differentiate in membership options. The list goes on and on. Basically, they hired a good marketing company and told their sales team to 'make the sale' no matter what... The needs we stated for our business was simple and we were assured that Zenplanner could perform them. Going through the onboarding process was like repeatedly being told "no it can't do that" and "oh sorry, no it can't do that either". We ended up canceling before we even started and then they refused to refund the inital payment AND to the real treat: CHARGED ME FOR AN ADDITIONAL MONTH despite the fact that I had clearly been unhappy with the product. The point being they could care less about your satisfaction and so once you sign up--they've got you...

Zen Planner has been simply excellent.

Pros: It has made managing our affiliate mush smoother. From both a gym management side and a customer engagement angle it has been simply excellent.

Cons: The staff app still needs a little work, but it's pretty solid as well. I'd like to be able to see the whole week of workouts and edit them from the app if need be.

Overall: we are now able to do all of our member, cash flow, and fitness management all from a centralized place.

As a customer it is great!

Pros: I go to a yoga studio that uses zen planner. It makes it so much easier to make payments, check schedules, and view information about the classes. I would rather use this program than having to fuse over making payments at the studio.

Cons: I once had a problem where I paid for a special class, but it did not show up at the studios end. But they quickly resolved the problem.

Overall: using this program is so easy for yoga students!

Pros: It's ease of use. It is laid out in a simplistic format that is easy to navigate.
The customer service team is outstanding. They always go above and beyond to ensure my satisfaction with the platform.

Cons: The lack of text feature but that has now been rectified for Cdn customers.
The only other less than desirable thing about the platform is the tiered billing. Personally, I truly don't see a need to have different billing if I have 50 students or 75. It should be one flat rate straight across.

Overall: It helps me automate and streamline my systems and processes. I only wish it had the capacity for me to plop in all my expenses. Then, It would be golden! I would be able to replace my accounting software and have everything all in one place.

Love the software. Love their customer support ~ Excellent.

Pros: The applications give you the all of the details that you need. Navigation is easy once you have worked it.

Cons: Must study the training to grasp it all. Customer service is great to help with this. The cons for this is so small compared to the pros!

Pros: Ease of use and helpful/personable customer support! The tracking of students and financials has exponentially boosted our gyms ROI

Cons: I would like the reporting aspect to be more dynamic as I'm used to Crystal queries/writing. I continually find the Customer Support from ZP makes up for this. The always have an answer for any reporting hurdles I run into.

Pros: Awesome customer service to help with any and all problems, and troubleshooting. Easy to view past due or failed membership payments.

Cons: Can be difficult to navigate. I wish it were more intuitive and user friendly. I find I use the customer service hotline and google many of my questions on how to navigate Zenplanner.

Pros: Best Support Team!!! they seriously rock and has helped me trouble shoot all issues I've had over the phone or over quick emails. Anything i didn't know how to do they were super helpful and worked so hard to help me implement their software and making things very easy. Allows me to filter my classes, students and programs very easily. Beautiful Website integration (similar to mindbody but easier to use for customer) Keeps track of how much a client owes me and allows me to create a parole for my employees. I own a Holistic wellness center that does everything from Yoga and martial arts to acupuncture and energy work and zen planner allows us to manage everything smoothly while keeping track of all of our clients with ease. If your looking for a scheduling software i highly recommend this software. Has really taken a weight off my shoulders as a business owner and let me focus on more important thing.

Cons: The initial set up of the program is a little difficult, it was hard to navigate through at first but again, awesome support team that explained it very well.
Only other con is that the website integration is a little difficult and not as pretty on mobile.

It has been one of the best things for our studio in a long time!

Pros: The system does everything. I have a lot of free time now, and a peace of mind that all the bills and products are being tracked properly. What I like a lot is the Kiosk for iPad.

Cons: Is a lot functionality, I can't say is a cons. I need to lear more about the new features that the system can offer.

Overall: Tracking the memberships, communicate with students and check in .

Easy to set up and fairly flexible compared to other popular software I was using !

Pros: the customer service. You ask anything and they will ALWAYS get back to you. They ALWAYS sort out your concern.
There is so much you can do with the software, from accounting, to wod planning, to staffing, appointments everything.
The back end functionality is brilliant.
The automations available that free up so much time for other things are outstanding. Its just so versatile and can be customised to exactly what you need it to be.

Overall: Too many to mention. We couldn't run out business without it. No other software can compare with Zen planners functionality.

The customer service is very responsive! Pleased with the software and features.

Pros: Zen is intuitive to use and the support staff is phenomenal! The number of reports you can run is limitless and information is easy to customize.

Cons: Setting up memberships with bi-monthly payments is a bit cumbersome and sometimes, the prorating feature of the billing doesn't work as desired.

Pros: Customer service is always top notch. If representative can't answer your question, they'll research and provide a solution usually by the end of the day.

Cons: When communicating with prospects, it's very helpful to create email automations. The thing I like least about the app as is its current inability to allow files to be attached to emails.

Pros: Ease of use - icons and menu tabs make this software easy to use - just like my normal web based programs...

Cons: Time is takes for development of new features - not included in the original package. Submission of feedback is tough as well....multi-screen and emails...

Pros: Good appointment calendar. There isn't more that I can say at this time. I wish it could send automated 24 hour appointment reminders.

Cons: Limited and expensive credit payment/online payment options. Lack of online video training for new staff. Not really cost effective for small gyms.

Pros: Easy to use, easy to manage. It has a great modern look and they don't try to bundle everything in one app. They have different apps for sing in, staff use, and member. I love the reports, and the face check in. Easy to find athletes by their face. Great for when you have new staff. It truly is a great bundle for workout tracking, integration with current website, and integration with marketing emails. All things other companies charge extra for. I would and have recommended this software to other gym and martial art owners.

Cons: The apps are great for managing but missing some fuctionality such as being able to schedule privates on the app. They where missing staff clicks in, retail sales but they have recently added those. Hard to find much I dislike and what I do they don't seem to be standing still, adding new function all the time.

Overall: One stop shop for managing my business. Automation. And the ability to do a lot with little or no staff.

Pros: It does everything! And the staff are so helpful in showing you how to use it all. I was stoked that it integrated with my current autopay software.

Cons: There is a lot to figure out! But its worth putting the time in as it saves you time later. It is different to my current autopay software so took me a little while to figure out how to set things up right, but the staff checked it over and helped me.

Pros: the ability to track measurements and workouts. Open source filtering of reports. ability to email groups from the app.

Cons: Impossible to get Zen Planner to change to things that should be easy, and that Mindbody Online does way better, like segmenting locations into different accounts, ability to edit payroll after the period is closed, ability to hide team payroll from all employees (seriously?!), ability to create a widget for a different locations, ability to allow clients to enroll in events without having to scroll down to the bottom of a membership purchase screen. When Zen Planner makes platform changes, they can cause a lot of work on the user end while they work out the bugs.

Overall: it's incredible. I just wish a few things would get developed faster.

Pros: For business and client management, nothing is better! Zen Planner's customer service is second to none. Hands down the best in the business!

Cons: I would love to see improvements in the workout tracking. I need to be able to differentiate different levels of performance, i,e; RX, Scaled 1, Scaled 2, Scaled 3, etc..

Pros: It has everything I would need to run the back end of my business smoothly. From email/contract templates, automation of email alerts, payments etc.

Cons: There is so much to do with this software that I have not been able to completely get comfortable with the navigation. Training was great, but it was easy to forget how to navigate through some of the tasks. I feel like there are a few too many steps and getting back to a previous function is not so straight forward.

I have made a few mistakes....thank goodness for the customer support!

Overall: My whole backend business is now organized and is saves me so much time.

Pros: It is fairly easy to use once you learn the basics. It is great for the front desk management. The interface with MailChimp is great. The customizable reports do anything you need, but hands down the best feature is the awesome customer support!

Cons: The phone app is not great. Since this is the primary way members interface with the program, I think it could be more functional. The iPad kiosk could use a few changes to make it more useful.

Pros: I like that I have a lot of control. Everything is pretty simple to use. If you've ever used a website, you can use this system. They are also very helpful and friendly when asking for support.

Cons: I strongly dislike the user end website. It is usable, but most people just download the app to use instead of the website. Sadly, that's not an option until a staff member signs the user up or the user signs up on the website.

Overall: All the things I need to run my business in one system.

Pros: Zen Planner seamlessly integrates everything we need as a gym. Although there are still key features we would like, what is there works well and allows us to keep all customer data and interactions in one place, which makes our life easier. Perhaps most importantly, best customer service on the planet. No matter how small an issue, they respond immediately. And when we recently had an ENORMOUS problem, that was totally our fault, our rep worked on it over the weekend for us. He saved our sanity, and thousands of dollars. I can't imagine that kind of service anywhere else.

Cons: My only real gripes are things that don't exist and need to. I would like my members to be able to purchase retail items and check-in using their app. Both of these features exist in the staff app, but not the member app. Also, I would like an option to NOT have a gender field at registration. I find the gender binary pointless and it's offensive to our trans and nonconforming clients.

Overall: Sanity.

Probably the best customer service I've experienced anywhere.

Pros: The many ways to move from one area to another. There are SO many ways to customize reports to your liking and integrate with other software. And I love the icons chosen for each area of the program. It's helpful when first learning. We still have much to learn, but that's to be expected as it's an all-in-one. It'll take awhile.

Cons: Membership sign up can have a few more steps than we prefer and can be tricky learning to input so reports are accurate later on down the line. This is where their customer service makes up for that. They are always SUPER friendly and very helpful! I never dread calling and always get off the phone a happy client.

Overall: Better knowledge of client retention and value versus using the age-old Excel Spreadsheets

Pros: Easy to use but has a ton of functionality.

Cons: When there is something in trying to figure out how to do sometimes I find that the online support is outdated. When that happens I just write them a note and I get a response within a hour though.

Overall: We've used them for years and has seen the functionality of the software expand based on the market demand. Easy to use. Cost effective and top notch customer service.

Overall: I have been using Zen Planner for a couple of years. It has many awesome features. As my business is growing I am finding more features in Zen Planner that help with that process. I feel they always listen to your suggestions and really try to work on giving the customer the features they are asking for. The service is 2nd to none. They always help until your questions or issues are resolved. They are awesome.

Recommendations to other buyers: When assigning online calendar settings such as how many days previous can you sign up etc. I wish you could change the these based on each class. Now it applies to all classes held.

Pros: The software is pretty user friendly

Cons: When credit card is being used on a Kiosk for purchases it saves it to the students profile and uses it for Monthly Dues when Students don't want auto pay for monthly dues. So after a credit card is used for a purchase of an item. the customer service rep has to go back to the profile of that student and select no for auto pay..

Overall: As a new customer, Zen planner staff is always willing to help me trouble shoot issues, they understand the program very well and can explain, and walk through steps if need too. I appreciate all the support they offer us, and they are also willing to e-mail step by step instruction to me personally for future issues.

Recommendations to other buyers: To fix the Con's. if a customer is not set up on auto pay and/or doesn't have a CC saved to his/her profile, then when they come in to purchase an item using a CC, it can be saved, but not converted to auto pay for Monthly dues. thank you for listening.

Comments: After having issues (mainly customer service) with our previous scheduling system, we decided to give Zen Planner a try and I am so happy we did. The customer service is outstanding. This is is first company where I have actually looked forward to speaking to customer support. Each member I have spoken to has always been so polite, friendly and helpful and my problems always get resolved. I can't knock Zen Planner down for the lack of some features as they are a newer company, but I know that as they continue to add new features, they will sky rocket to the top of scheduling companies.

Pros: All in one solution

Overall: Zenplanner made my life in the office easier. Before Zenplanner I used to spend hours chasing who has paid and who do I need to chase up. Now that runs all automatically with the integrated Direct Debit function. It is a complex software and I'm sure I don't know even half of what it can do. But in my case it does just about what I need from a membership software. It can be slow at times but so is the internet.

Pros: Great customer support. They are do everything from explaining what to do to sending a video on how to do it.

Cons: Hard to navigate. An annoying warning message telling you that you are going to be logged out even when you are using the app keeps popping up.

Overall: I switched over from a competing company of theirs with the hopes of a better user experience. I was not disappointed. Zen Planner's staff have been very helpful and are quick to get back to you with either tips, trouble shooting guides, or direct answers to the questions. It is a little hard to navigate even after using it for a period. I gave it three stars for overall quality because I feel that it has a lot of potential to go up against other products like RainMaker. Overall it is good software for the price.

Recommendations to other buyers: I think there is a lot of potential. Perhaps a better look on how you organize items for easier navigation and selecting of certain items (example if I want to select different work outs all at once instead of going to each individual and checking them off).

Pros: For existing members, once you have gone through the lengthy set up process, it processes payments automatically for you, but making changes is very difficult. It is easier to just use the payment gateway provider directly and use a manual system to track it.

They did have financial reporting - but I found them to be more trouble than they were worth, but I am a Chartered Accountant and might just have standards that are above minimalistic offering available on Zen Planner.

Cons: It is extreemley difficult for parents to book classes for their kids, especially for more than one child, for more than one day - as the calendar defaults to the parent -with no classes as they don't have a membership. They need to change to the first child then click on one class then reserve a place, then go back to the start for the next class & child.

Also for automations to work the child needs an email entered, and you can't use the same email as the parent, or link them to the parent. Apparently this change is too difficult as many members asked, but they won't fix it. When the automations don't work, parents think there is an error and start another registration, which creates many duplicate records in the database. Manually combining them, updating profiles, and manually sending the "automated" emails takes more time than just doing it manually.

The skill tracking system is also very badly designed, it is almost unusable, and takes a huge amount of time to enter if you want to record results against all the skills a martial arts student needs to know in a single session, such as a grading or pre-grading. Members can't even see what skills they need to pass if no results are previously entered, or a summary of their skills.

Overall: We are a martial arts school who used the software for 3 years, on the basis that while the software didn't do everything we were looking for they were putting in product feature requests to make improvements, and to fix the many bugs in the software. After 3 years they finally came back with: "I do not have a timeline for release on features that you have suggested. Any changes or additions we make to Zen Planner need to be commonly requested, and fit into the Product Team's vision for our software. As a result, some features you have requested may never be implemented."

However I have seen many other martial arts schools request similar changes. So after initially promising everything to get you signed up, they then back track if you keep following up with them trying to get a straight answer. Continuing to try and hold them to account results in: "Zen Planner is not for everyone, and it's important that you find a system that works for you. This message is providing you with notice that your Zen Planner account will be closed" and I have also heard from several other users that this has happened to them as well.

So they misrepresent their software, then promise to get it working, take your money - and you invest a significant amount of time setting it up, and then more time every week doing manual workarounds waiting for a fix they never intended to make. Then they just cancel your membership without giving you enough time to transition everything, particularly changing over your billing for members.

Some of the issues are: parents signing up their kids for martial arts classes is very difficult and confusing for members. They can't use the same email for their children - who can be too young to even have their own email - and then automated emails don't send as there is no email for the member. When they try it often results in an error and they try signing up multiple times, bloating the database with duplicate registrations and memberships, which are tedious and difficult to combine, that cause errors while completing. I ended up doing more admin to fix this than signing them up manually. Then booking classes for kids is so difficult I ended up doing it manually for parents.

Also a main feature they promote is be belt progress skill tracking - this is designed for entering a single workout for a cross fit box, and so trying to enter results and comments for a grading against all the skills is totally unusable.

Recommendations to other buyers: Since moving our attendance tracking and booking back to a manual excel system I have saved a huge amount of administration time, and I also don't need to pay a monthly subscription! I would recommend not using this software, as they misrepresent their features, then promise to fix them, but then after taking your money for several years, they then come back and say they aren't going to fix all the bugs, and just cancel your subscription.

Pros: The concept is good

Cons: It difficutl to use cause the training on using it is very laxed

Overall: As someone who isnt great in the deep magical world of computers...Zen planner was supposed to make things easier.
My first appointment... the person was late for the on boarding (teaching me how to use software). They were also late for the second on but notified me this time.
There were small billing issues and the support I recieved to correct situations was beyond useless.
The relationship ended by them canceling my account out with only an email and refusal to get on the phone with me to explain themselves.
This sounds disgruntled ... I know. There are a few people I know who have had the same experience.
The company has a great base but didnt personally deal with me very well. My gym will close now because I have no way to bill my customers that dont come in daily

Comments: signed up to try the product - used it 4 days and decided was not a good fit for my needs - They charged me for a full month regardless and even said they were doing me a favor by not charging me for 2 months for canceling. They offer a 15 day trial but they refused to extend that courtesy to me. Also, I checked their reviews on Facebook and one of their customer support in particular is consistently cited as being not friendly to the consumer. Would never recommend this business based on my experience.

Pros: Lots of options to make online accounting, marketing and attendance easier.

Cons: Maybe too much to choose from.
Interface is very confusing at times.
Customer service is the worst for the amount you pay per month.

Overall: When we started to expand our Taekwon-Do school I had to divide and conquer with my current 2 black belts. They would teach nights I had to be at another location. After reviewing many different membership tracking softwares and website I was torn between MindBody and Zen Planner. I found MindBody lacking in some areas and liked the look of Zen Planner (plus it was compatible with iOS and Android, since we 3 black belts had both.
Once I made my 1st initial payment and took the 1st 2-3 set-up classes it took over a month for customer service to help me upload my students into the database.
At first I tried myself but was just taking way too long. When I asked customer service they told me to send it in a specific format (which I did convert from Excel). When I did send the file, I didn't hear anything for days. Emailed back after 2-3 days and customer service told me it was the wrong format. So I reformatted and sent again.
After that fiasco I didn't feel like paying $70 a month for subpar customer service and cancelled my subscription.

Payroll is terrible - that's a HUGE part of my job that I am now doing manually!!!

Comments: Switched from MindBody in October and I wish I hadn't. Mind body was unwieldy and cumbersome, but I could do everything I needed. Mind body is easier to use by my clients and it's great for collecting money, but it's TERRIBLE for doing payroll. I have a martial arts school and fitness center. We also do private training. I am now having to figure out private training by hand and I am still struggling to accurately pay my fitness people from NOVEMBER because I can't run the reports I would like. I don't pay out on pre-purchased packages until the classes are used, and we pay our staff on a per person rate, and there is literally NO WAY I can get an accurate report for this. So it's great for managing clients, and the client portal is good, and I can easily collect money, but after that, it's absolutely useless. I've called them about it and I've basically been told that yes, payroll is awful, no, there are no immediate changes to this, but hopefully if enough people complain they'll make it a programming priority.

Comments: I have been using MINDBODY for nearly 2 years and as my dojo started to grow and I wanted to better manage my students, however, I discovered many setbacks with MINDBODY.

A friend told me about Zen Planner and how it was just for martial arts schools and I looked into it and it was a win-win for me.

The interface is great, easier to use on all devices.

Comments: The software seems very complex and difficult at first glance but once you tool around it is easy to use. Every time, multiple times I have sent a help request in I get assistance back within 24 hours sometimes less and even on weekends. I could not be happier with the product and customer service! It saves me time and money everyday! The best part is tracking prospect members and being able to keep data on them and convert them to members. Zen Planner is built for the business owner. Most competing softwares I have seen are more focused on the athlete and tracking workout data where as Zen Planner has focused on the business side with a secondary on athlete tracking. At the end of the day memberships is what matters. Its the only matrix of success and ZP allows me to capture and track prospect members perfectly and track everything on the business side and the athlete side.

May be 5 stars if you can get customer service.

Comments: Takes a minimumum of 24 hrs to get customer service. They will send an auto email..

They claim to give a free trial .. The free trial is literature.
Also , took 3 months to set up the software with no money coming in.. I had to basically set it all up myself with very little help from them. I became inpatient after 3 months of paying.. Tried to put things in place on my own.
They base there customer service on there convenience, not yours. Still waiting 3 days later resolve an issue , still no real help but auto emails .

Comments: Overall Zen Planner provides outstanding customer service, member tracking (payment/check-in/personal info etc.) I really like the resources/blog page, the ZP ebooks are excellent reads and provides solid tips for running your fitness business.

Would love to see a CrossFit calculator (pound/kilo), w/bumper pix for members to barbell math. Maybe an app?

Comments: I can do a lot with this software. Apparently does everything that Front Desk offers in their middle tier of pricing - for half the cost. I manage staff payroll and reserving classes, too. I can do analytics and reports. They have always been very nice on the phone (if unable to help.)

On the down side, it's buggy and painfully slow. Plus it doesn't work very well on mobile, either for clients, coaches, or the business owner. My athletes often say they can't reserve class on their phones. Everyone wants to do everything on their phones but ZP does not accommodate this! The workout tracking was painful to use - they keep adding features like this but I wish they would just make the ones they have work better. Their much vaunted software improvements were a disappointing thin skin over the same stuff.

Despite my annoyance I have learned to work around the bugs and stuck with them for many years. I will probably continue to wait for software improvements. Not a ringing endorsement by any means, but the software is functional and the price is right.

Comments: Zen Planner is just what we could have dreamed of if we designed software just for us. With everything from automatic billing, credit card numbers on file, and reducing our A/R, it's just about perfect. Zen Planner has given us the ability to increase profitability and saves our office staff at least 8-12 hours of work each week. It's well worth the minimal price that we pay for all of the features in the package. I can't say enough great things. Cherry Creek Dance will continue to use Zen Planner forever.
