Pros: Easy to share information with team - and a nice and quick way to recap meetings or share information about a project.

Cons: Could use more macros to facilitate team use. Does not render MS Office documents the best, but it gets the job done.

Pros: Confluence is actually so much more than a wiki. Ease to add attachments, collapsable views - like click on a link and word doc or spreadsheet expands right on the page, conversations, tasks, etc. are all incorporated. Tons of nice plugins are available. Sooooo much better than sharepoint or a traditional wiki

Cons: Sometimes editting a page can be a little funky (like I indent and all the lines are indented). I assume it's a bug that will be resolved and in the meantime I am able to work around it.

Pros: This product is great for documentation and sharing information. I do a lot of training documentation and Confluence is a great place to store the information. Anyone in our company can easily access the information through a link.

Because it is online the information in the training materials is always up to date; we don't have to worry about someone having an outdated version of the document.

In addition, Confluence allows for screenshots to be easily added, which is awesome, and it automatically resizes them, which is amazing. You can also add grids (which isn't Confluence's strong suit but still a nice feature) and Table of Contents and many more features.

In addition, you do get to keep Revision History in Confluence so if you change something and need to reference an old version of the document you still can.

And, you can change the access different people have so some people can edit the document and others can only view, or some can't view at all.

Cons: The software was a little confusing to learn to use. Now that I know how to use it, it is easy, but we did have to have some training. While others are learning it they aren't using it much because it is kind of foreign to them but if we could get past adoption issues the software would be a great help to us.

Not good for product documentation. Horrible search functionality. No versioning.

Pros: It is easy to use. It is pretty easy to organize content. It is easy to customize content to fit your branding.

Cons: The user security needs improvement (have to restrict on a page by page basis). There is no find and replace. There is no grammar and spelling check. You have to pay for a lot of plugins that would improve the software. Not good analytics without setting it up yourself or paying. No good mechanisms for feedback from clients

Overall: My company has a site for a help center for our product help.

Pros: It's super convenient -- all of your project information can be stored together, sorted by project, and accessed by everyone. It's easy to add

Pros: Ease of adding content and to change content.
It is easy to create a new page or a link. Confluence is an integrator for information directed for employees.

Cons: Can do more in the facility to format and style content. Like to be able to add graphics etc.
While trying to add content, i have found it to be difficult to format the infomation the way i would like to.

Pros: A fast and capable wiki that works on mobile

Cons: Self hosting requires in house technical knowledge and staff training will need consideration

Overall: We had the need for a central documentation source and found SharePoint to be lacking. Confluence was a good fit and works well on mobile for reading (which is how most use it where I work.) Authoring required staff who were unfamiliar with blogging or WordPress to be trained, especially those coming from a MS Office background. But those used to web publishing took to it fast. Plan out your spaces and pages according to how your org is structured and based on existing directory structures you have in Active/Open/Azure Directory.

Pros: Great functionality, web-based KB & SOP's for our department.

Cons: Not any issues that I can think of.

Overall: We've been using Confluence for a few years. We recently (within the past year) "upped the ante" with Confluence and are using it on a daily basis. We use it for the knowledge base and standard operating procedures. We also use it for schedule tracking and team documentation. Pros: The ease of use is top notch and it has very robust searching capabilities. I also love the history function so you can go back to earlier revisions of confluence pages.

Cons: The deletion of pages. I would like to be able to delete a page and all child pages in one shot. Small issue but it is the part I like least.

Overall: I have used confluence for nearly 6 years. It has been critical in allowing me to document the systems and procedures I use and to share that information with others.

Comments: Creating a Confluence account is fairly simple and quick, and you can connect it to Google Apps, which is a huge plus for many organizations. Anyone can try the service for two weeks free of charge without having to lay down a credit card, though two weeks isn't very long to test the waters. Some other collaboration tools let you try a product for free for an unlimited amount of time, but with other limitations, like the number of users or amount of data you can upload.

I like that everyone who joins the Confluence team is prompted right away to upload a profile photo. It's a small detail, but it helps to avoid people not uploading their profile picture simply because they never got around to it.

When you set up an account to try Confluence, you also see an option to add HipChat, Atlassian's team chat program. I like HipChat a great deal, but I was a little confused that there wasn't an option to integrate an existing HipChat account. During a trial setup, I only saw an option to create a new HipChat account, which would make it hard to evaluate Confluence as an existing HipChat user. You might want to contact Atlassian if you are already using some of its products and want to try out Confluence.

With an account and a few team members on board, you can begin by making different Spaces in Confluence, which could be for specific departments or types of work that get done, such as an Editorial Space and a Designers' Space.

Comments: There are a lot of collaboration software and many claim that they are the best at helping a team to work together. We had the problem of choosing a service which would benefit our workers. We settled on Confluence because of a few key reasons. Confluence allows team members to discuss group work, record team decisions, comment on shared documents, etc. The ease of the interface was paramount for our staff because of their lack of computer know-how. Confluence makes it appear like a social networking feed and this was sorely needed to motivate our workers. When a new worker is assigned to the team they can easily catch up and be brought into the circle simply by logging in to Confluence and checking out the news feed. It has served as the virtual hub center for our team's ideas and made workflow a breeze.

Great for freeing up time for more important matters.

Comments: I used Confluence for about a month while my company tried it out to see if it was something they wanted to invest in long-term. I was surprised that there was a software like Confluence exists. When I got over the initial surprise I got to know some of the features while working with it on and off throughout the three week period. Simply put, there is no replacement for Confluence. It is the easiest to use of the collaborative softwares and didn't struggle with it at all. It isn't exactly intuitive but I was able to use it to perform the tasks I was assigned at work which freed up a lot of time to focus on other tasks. It was a positive experience.

Best wiki tool ever.

Pros: Pretty much everything. It just works really well and is super easy and flexible.

Cons: I suppose a better mobile experience at times would be a bit better, but that's kind of just a nitpicky thing. Overall it's really great.

Overall: Confluence is super easy to use, has tons of features, and can be used for all kinds of enterprise applications including calendaring, meeting notes, task management, and much more.

I recommend it for every development team, if you are using Jira as well and you are working in a way that requires a lot of documents like us, then I think it is a no-brainer.

Pros: Integration with the Jira workflow system.

Cons: Difficult to style beyond the default UI.

Overall: I use Confluence on a regular basis to share my company's design style guide wiki. I love that it can connect so seamlessly with Jira workflows and also how easy it is to add on plugins. I highly recommend this product to teams that need to share information across and the entire company.

Recommendations to other buyers: This software may take certain teams longer to learn. It's best to set up a meeting to make sure everyone understands how to use it.

Pros: Document collaboration with team members, wiki-like syntax for markup, notification of updates

Cons: Formatting sometimes gets a little wonky and needs to be reapplied, configuration of permissions can be a little complex, PDF generation could be a little more user-friendly in terms of making a great looking styled document that someone can print if desired

Overall: I have been using Confluence for about 5 years now. I am a software architect, and Confluence has become our go-to standard for all technical documentation, requirements collaboration, user instructions, training tutorials, etc. The ability to keep documentation in a central location and allow team members to collaborate has been a tremendous productivity increase for our team. We do all of our requirements logging in Confluence now and as we also use JIRA we are able to tie technical documentation back to actual JIRA tickets when starting development work.

Recommendations to other buyers: If you have many people accessing and collaborating on technical documentation, you need to check out Confluence - it will make your life so much easier than sending around multiple revisions of Word documents with comments and change tracking.

Has great integration for deployment with Bambo, Bitbucket and JIRA so you track issues or manage tickets/User Stories related to a Deployment. Comments: I used this software to develop a Wiki page for a school project. It took me a few minutes to configure some of the macros, but, other than that, it has a short learning curve. A lot of the formatting is done for you, allowing you to focus on the content of the page instead of the technical web design details.

Cons: Customer Support takes awhile and inability to use custom domains for cloud.

Overall: I've worked with Confluence server and Confluence cloud. I think overall Confluence is a great intranet solution with tons of cool features and add-ons. I think the base package and mobile app for cloud are lacking but once you truly configure confluence to meet your businesses needs with add-ons it is a great product!

Comments: This wiki is very useful to our company and users. I feel like this product can get unwieldy pretty quickly, though I'm not sure how that could be improved by Atlassian while still allowing the variety and quantity of entries needed. Another thing I notice is the emails sent to users about updates to our confluence pages come to mac users formated poorly - I'm not sure if that's Confluence/Atlassian or our email system, but thought I'd let you know while I'm at this :)

Comments: Good documentation that is easy to maintain is vital for any serious (software or no software) project. Confluence has everything in it to suppor that properly. Any customer or project I would strongly recommend to use. I've user multiple wiki-like systems, but Confluence is the best I've seen so far. I also love the Gliffy plugin.
The only point that I think should get a bit more attention is exporting document. Ideally you would want to maintain technical end user documentation in a wiki too and export it for end users. Unfortunately the look and feel of the exports doesn't come close enough to the original document IMHO.

Use of Confluence for Knowledgebase and QMS

Feb 10, 2015
5/5
Overall
4 / 5
Ease of Use

Comments: Despite off-the-shelf options, we built our Quality Mgmt System using Confluence. Best feature is the ability to collaboratively share documents. Advantages of this over our previous method (shared directory on server): 1. No out of sync document instances. There is one instance with the ability to post live excerpts or link to the document elsewhere. When the document is revised, shared content is also. 2. Ability to search all document content. 3. Group memberships can be granted to users in a simple way, allowing for reviewing assignments, permissions, targeted content, and task lists. 4. A variety of macros allowed many additional features within our local instance (self-hosted). These include: a read confirmation macro (to record employees keeping up to date on required procedures), a document approval macro with configurable workflows (the basis for our document change/review procedure), page attachments (that allows related documents to be stored on summary pages), a reporting macro that automatically creates summary table on parent pages in a tabular form of their child pages, and a very simple flow charting macro (Gliffy) that is fairly powerful.

The downside is that the editor is a bit buggy (with numbered/bulleted lists) and plays differently in different browsers. It appears to be the most stable in Chrome, but a feature allowing editing in place of MS Office documents is only functional in IE. The WYSIWIG editor is fairly light without a lot of format options (for some this turns out to be fairly economical and is a much simpler user interface than Office products). Frustratingly, I have been dumped out of pages or have had them lock up. I¿m also very frustrated with the documentation available (core product and macros). Although the feature descriptions vary from OK to mediocre, my issue is the lack of application examples. Without examples, one is left to a trial-and-error approach. I have truly hated this! Once the concepts are learned, it does seem fairly straightforward. For this reason, I rated ease of use as 4/5 even though I very much like the product and gave it 5/5. I haven¿t used customer service, so no rating.

As a part-time QMS manager wanting to get others involved in the shared management of our system and its documents, I've been very happy with our choice. Where other QMS software may have worked out of the box without development, I don't believe that they would have been as collaborative as our Confluence based system.
