Cons: Complex with a large learning curve

Overall: WorkFront seems to have a lot of reporting capabilities and has great functionality that helps managers see the workload of their team IF the manager is willing to input and keep up a lot of detailed information. However, this is not as user-friendly or as intuitive as other software programs I've used. The staff seem to be good about building out personizec features and reports for the company but I haven't dealt with them so I don't know how easy they are to work with or how quick of a turnaround time they've had. This is not made to be a multi-use program meaning it's made to manage tasks and employees' time and workload but not document storage, communication portal, or for front facing the customer. It is a complex software, which means it can do a lot but it takes a lot of time to get to know it and use it well.

Recommendations to other buyers: Do the training courses and start slow. Getting details right the first time will help a lot.

Pros: configurability - very easy to create reports and dashboards

Cons: would like more flexibility with layouts of dashboards. right now you have a few to select from but I would like the ability to choose how many reports to show horizontally anywhere in the dashboard vs. the pre-defined templates.

Overall: Overall, we have gotten a lot of value out of Workfront but we have had to do a lot of customization to get the executive level, rolled up reporting we need. Glad to hear that color selection is coming and the ability to report across objects! Would love to see a time entry license type for users that log in about 50 times a year. Currently pricey.

Pros: The opportunity to streamline work and productivity.

Cons: Change is always hard and trying to get my team onboard has been difficult. The onboarding needs to be more streamlined for the different project teams.

Overall: Really excited about getting my team on-boarded with Workfront! The opportunity to streamline our projects and standardized the process is so exciting. Workfront is going to get my team on track and on time.

Pros: Ease of Use, flexibility to customize and customer support

Cons: There isn't much I don't like, maybe more capability within expense tracking.

Overall: We have had workfront before it was worfront, the journey has been a long but amazing one. We have grown and optimized the system in so many ways. We are currently supporting 15 different business units and are excited to bring it to the next level along with the merger we just went through.

Overall: Workfront has an easy to use interface that allows for a lot of customization for all levels of users from worker to executive. I love that I can track details but also roll them up to easy-to-digest reports

Pros: Highly flexible. Easy to navigate. Love the ability to easily provide a customized front end for groups of users via the layout templates. On top of all that, the training and support is excellent!

Cons: Limited capability to track planned and actual benefits.

Overall: Workfront has come a LONG way in the last 3 years. If you saw it before and havent looked recently, take another look. The tool is a great place to call your single source of truth. By configuring to your needs, you can make it easy for your people to keep their data up-to-date.

While the basics are great, and some extensions are really nice, it provides only rudimentary capability to track business value of the projects. For that, you'll probably need to go offline or create additional custom data elements.

Pros: lots of options for task management

Cons: You can inadvertently create unnecessary complexity.

Overall: We are new to the product but our first few months have been very productive. The reporting available has been helpful for executive level views.

Pros: Ease of use and highly customizable to meet any needs in IT, Marketing, Manufacturing and many other implementations.

Cons: The least thing I like about WF is that everyone once they see it wants it...so makes my job harder...Really there is really not a thing I have not liked about it based on our implementation.

Overall: My team has been using WorkFront for about 4 years now and is very pleased with the functionality and feature set it provides to meet out needs to manage projects in Marketing Communication organization for our clients. We have used to manage project timelines, issue and risk management, timeline management as well as generate great metrics and awesome reporting from the data we collect from WorkFront

Pros: - visibility to projects

Cons: - Would like to see improvements in reporting visualizations
- Hard to get team members to update data consistently, which impacts project status/reporting

Overall: We have been live on Workfront for 3 months. As expected, the process definition and change management aspects of the project have been the most time consuming and challenging. The tool is easy to setup/configure, but it does have a higher learning curve for our users than we expected. The biggest benefit we are seeing so far is significantly increased visibility to our projects. The biggest pain points are getting users to update the data accurately and consistently to better enable accurate reporting.

Recommendations to other buyers: - Implementation was rough. Make sure you plan ample time for design and process workflow definition before configuration.

Pros: The amount of features and training available.

Cons: Trying to keep up with all of the enhancements made and training folks on those enhancements.

Pros: Love the collaboration and central location of truth.

Cons: Users can get a little lost in the tool, a bit better navigation would help. Also with the reporting set up would be great to have better "titles" that are intuitive for actual PMs.

Overall: Excited for the Workfront agile solution. Our team has implemented and we are working out the "kinks" looking forward to helping out with the product roadmap for this solution with Workfront.

Comments: Had a tough time with adoption to infrequent users. We've found it difficult to lock down the path and keep those users on the trail. Seems like once they get off the trail they are lost and don't come back.

Pros: Major functionality - it pretty much does everything you need to run a productive marketing org.

Cons: Can be overwhelming , so start simple.

Overall: We replaced an existing tool for Marketing PM that we had outgrown. We had defined our workflows and our teams were in the habit of using a PM tool. The extensive features were intimidating to some of our team at first but with the help of our on-boarding team we simplified the way Workfront was presented and quickly had 100% buy-in. Without workfront our small PM team would drown in more than 3000 projects per year. Workfront gives us sanity, transparency, and control. Very reliable and improving constantly.

Recommendations to other buyers: Try to understand your processes rather than rely on the implementation process. In our experience it is the quickest way to being up and live.

Pros: Ease of use, user experience/interface, ease of configuration

Cons: Wish there was more prescription use cases to help with implementation and ideas of ways to expand use of the tool

Overall: The tool is very user friendly, flexible, and has many functionalities that make workflow and resource management a breeze. One of the best things about the tool is the ability to make hands on configuration and system changes without having a technical background. I also love the user interface that is friendly and welcoming, which goes a long way to help user adoption.

Pros: Staff have the ability to update their tasks on their own. The reporting capabilities are great.

Cons: The tool can be as simple as you need or as complex so it's important to remove the noise if it's not necessary.

Overall: We use Workfront to manage corporate projects. We love that the end users are able to mark their tasks complete/update their process on their own. The reporting capabilities are fantastic. The staff at Workfront is super friendly and they put on an amazing conference.

Comments: Feature rich product that is continuously improving on what they have. Since it is cloud-based you have access to the information at any time. No more syncing or emailing spreadsheets around to make sure that the work is getting done. Pros: Comprehensive product with large set of capabilities. Love the integration of Proof HQ. Looking forward to better utilizing the API for integration into other systems.

Cons: It can be a little overwhelming to the average user. Interface could be more simplistic and intuitive for creative teams.

Comments: We've been using Workfront since the start of 2017 and it's provided us with tremendous visibility in the status of our projects as well as helping us realize how inefficient our existing processes can be. We're beginning to use the reports and analytics to understand where we can improve and measure those improvements. It's very simple as it's most basic task tracking level but Workfront can do so much more. We're looking forward to taking full advantage of these new tools.

Comments: Among all the products we've reviewed, Workfront appears to have a lot more functionality than other competitors. All applications have difficulty with user adoption and can't deny that we had issues with this as well but now most of our users are used to being in Workfront and the preference for the tool is going up as well.

Pros: Proofing.

Cons: There are a lot of steps and training is involved ... which inhibits buy-in.

Overall: The overall produce is GREAT. However, it's not very intuitive. Yes, the trainings are good and help you a lot. However, it's A LOT ... especially when you get new team members. My thoughts are that there should be a light version. Something a little more simple and intuitive where you can get rolling faster!

Cons: Can take a little bit to learn how to do things the right way.

Overall: Workfront is a great software to help organize and streamline your projects and process. Utilizing for project management and proofing, Workfront helped us eliminate back and forth emails and time consuming task of making sure you gather all the information needed to start a project and making sure you got all the feedback that was buried in multiple emails. Pros: Easy to teach users and set up customizable forms

Cons: Sometimes having 3 ways to do everything is a bit confusing to new users. Premium proof HQ also has some quirks but WF is aware and is very good at making strides to always improve their projects.

Overall: I can't say enough about this software - particularly for Marketing, Creative and PR needs. Very intuitive and the ability for great customization.

Comments: Implemented about 1.5 yrs ago and have loved Workfront. It's a very robust tool with lots of bells and whistles. It's a great tool for automated notifications to help keep projects moving without constant oversight required by project managers. Although, the implementation can take a while, and never really completes, as you can constantly improve the environment to improve processes. Easy for creatives to learn/use. More difficult for project managers to learn/use b/c they are doing so much more in the system. Highly recommend!

Pros: Keeping out projects organized and moving. Ease of use for filtering requests and approvals. Managing timlines

Overall: Been using for just over one year now. Implementation and set up was phenomenal. Any issues Ive had have been quickly rectified with the customer support line.

Overall: I am a new user/sys admin to WF and it has been an overall successful implementation; however, some items that should be fairly common or easier to use seem to be the hardest to get support on. The reporting feature in WF has some great qualities but from a Service Desk point of view it is difficult to track time/efforts by employees.

Pros: Ease of use. Flexibility of the templates, workflows and ability to build custom forms.

Cons: Roll out of new features is a little slow.

Overall: Our company uses Workfront to manage multiple teams, projects and deliverables for all high level marketing initiatives.

With very little ramp up and the help of SSO integration, new users are able to use the tool immediately after being added.

A central collaboration tool that's flexible and able to be built upon is the key to project success and Workfront helps us reach that goal every time.

Recommendations to other buyers: Definitely join the Workfront Community. Best way to really learn how to master the tool is to network with other users outside of your organization.

Pros: Ease of use. Transparency, top down and bottom up. Proof HQ integration is a huge help/time saver.

Cons: Doesn't always play nicely with Macs (Outlook plugin).

Overall: We had adopted other PM systems in the past, but Workfront seems to be the best of the bunch. Easy to use, fairly intuitive, great support for implementation issues. They listen to customers to get feedback on what enhancements should rise to the top of the list - smart and helpful for the end user. Most useful is that it takes a ton of project back-and-forth out of email and allows you to keep the conversations/discussions in tact within the WF project. We're still discovering the best way to utilize the system, but transparency and efficiency within our marketing team has gone up exponentially. It's working well, and am sure it will continue.

Pros: Highly customizable. Can customize to fit your processes, not change processes to fit the tool. Ability to have project templates. Has request queues so project and work requests are not lost or forgotten. Awesome Design Consultants.

Cons: Tech support could use more training, most issues are moved to tier 2.

Overall: By using this tool we have reduced the number of tools and spreadsheets used to track projects and project work. Highly customizable. Can be overwhelming for technology challenged people. We overcame this by stripping out some of the options to make it more user friendly for implementation.

Pros: Within one tool I can do traditional project management, agile management, PPM and ticketing.

Cons: Have had some quality and performance issues. This seems to be improving as the product grows and matures.

Overall: With Workfront we've been able to move from multiple disconnected tools to one for our Project Management, Agile Management, Ticketing, Project Portfolio and business process automation needs. It has helped us get on the same page which has increased transparency, efficiencies and increase accountability. I can honestly say it has been good for us.
Pros: One tool. It gets everyone sitting at the same table
Cons: The product has been growing a lot and we've felt some of the growing pains in quality and stability. Things are getting incrementally better.

Overall: I am a system admin of Workfront at my company of 70 people. How we are using it is we have a system admin for each department. In my opinion, the system is very useful when you know how use many of the advanced features. It takes awhile to learn how to fully utilize these features. This is something my coworkers do not have time to do. This has also hurt adoption of the Workfront at my organization. If it were possible, could you offer shorter webinars?

Pros: Workfront can be integrated with other systems you already use for maximum cross-functioning. Also the reporting and metrics are out of this world, I've reported on things I didn't even know we captured.

Cons: WorkFront does has it's limits and some of them are only found after you start diving deeper into the system. Also it can be hard to find where some things are, seem to be a little hidden. Also some features don't exist that should.

Overall: My team uses WorkFront exclusively to manage roughly 4000+ projects a year. I absolutely love that the system is so robust that we can built and customize it to anything we desire. However the ideas we have sometimes are so grand that we find ourselves running into new problems (high class problems). Fortunately the WorkFront Support team is amazing and they assist whenever we run into a pickle. They even provide better ways for efficiency and easier solutions

Recommendations to other buyers: There should be a way to have document comments appear on the project or issue level. Issues that have been converted to a project should no longer be able to be commented on or edited, this way project managers don't have to monitor them after moving on.

Cons: On the other side sometimes the endless capabilities can be too much.

Overall: We have had Workfront for a few months and it has greatly improved our processes. We are still trying to manage how robust the system is. This is a good and a bad thing, as our last system was so simple (Basecamp). We have had some issues with adoption since there are so many levels on the projects. As an admin and project manager it has made my life much easier, but lots of training is required for end users to want to adopt.

I can now run reports to manage my designers work, I can see all of the current projects and exactly where they are in the process, and I can get more information from my clients up-front. Overall great tool but there is so much more to learn!

Overall: I absolutely love working in workfront. This tool has made my job much easier. Pros: The ability to have separate projects and see all of my tasks in the My Work section in order by due date.

Cons: I would like to have more flexibility in the reporting and when I export my report to pdf if I have groups the system adds an extra line between the group name and the total.

Overall: Overall, I enjoy working on Workfront for managing my projects and I instruct others on how to use it. The one area that has been difficult is the reporting but I'm finding that there are vendors that can help with that. I would like to create a report that is more free-form rather than table format.

Pros: The reporting capabilities, the ability to see people's task workload, the ability to assign multiple users to tasks, the general visibility.

Cons: Inflexibility when it comes to firdrill projects, schedule compression and constantly changing projects. All the noise of the extended functionality that we don't use. It's just too complicated for people - the learning curve is too steep, getting people used to using the tool satisfactorily.

Overall: generally, I feel like the system it too vast and complicated. I would rather have a "lower tier" version with less functionaity (users are often confused by the extraneous info, even after we've hidden a bunch of stuff) and then scale up. Also, I find it to be relatively inflexible when it comes to project schedules (task lists) as things in our department change so much that the system takes too much work to keep up with those changes. As a project manager, I spend way too much time in the weeds because of this inflexibility, trying to keep up with task management when I have higher-level fish to fry.

Recommendations to other buyers: Please develop product tiers for smaller organizations that don't need at least half of the functionality. Also, we had TOO MANY BUGS in our instance that caused project delays and lots of confusion. The help/tech support folks could rarely reproduce our problems and rarely had solutions.

Pros: Very robust and customizable. I can report on ANYTHING.... and the people are soooo kind and easy to work with. Very responsive.

Cons: There is no way to bulk edit existing projects and link milestones to tasks. I have just learned about milestones, and I have updated my project templates to include them, and linked the milestones to individual tasks, but for existing projects, there is no easy way to add that feature for easier reportability

Overall: I have never worked with a more responsive, tech savvy, personable company than Workfront. I love you all!

Overall: Workfront can really do it all. With the evolution of the proofing tool, our creative services team can consolidate and keep everything in one place. The ability to lock proofing stages helps cut down on additional comments after-the-fact, and the ability to set pre-made templates in addition to adding ad-hoc tasks makes for a flexible tool. Though the sheer number of things the tool can do is sometimes overwhelming, a little patience and focus can develop the tool into a great thing for any organization.

Comments: Workfront is great software, and is perfect for teams looking to do internal work. There are some features that are left out that we expected to be working for our use case. Sales tends to over exaggerated during the sales demonstration. Specifically inbound emails need some help, our clients are used to working directly through email. With work front working directly through email doesn't give us the desired result as inbound emails do not bring in Attachments, and you cannot brand emails. There's some other small negatives but overall the software allows you to customize just about everything to what you would like it to be.

We didn't realize at the time just how inefficient it was until we were able to switch over to something automated. Pros: The ability to configure the product to what fields I need for my specific organization.

Cons: I feel the reporting functionality is limited at times. Only being able to go 3 layers deep with reporting can be frustrating when I have upper management having certain expectations from what they were advised during the sale of the product.

Overall: As a system admin it's been a very easy transition from our old database to Workfront. I figured with any transition there would be lots of issue, but surprisingly there wasn't. I created the training material myself and trained our group.

Recommendations to other buyers: Being able to group reports by Home Group Name always changes to ID. Something this simple of a report shouldn't be difficult but after looking for an answer on the Community I see it's a very common issue.

Comments: Overall it is a nice tool. The features it offers are nice. However, I find it a bit clunky to navigate and sometimes it can become a mess with all your tasks and sub tasks. I found that setting up views helped, but I wish the default was a little better. I also wish it was a little easier to make updates in a fast pace environment. Even with WorkFront available, I find myself putting my notes in Microsoft OneNote more often as I can get that done much quicker. I then transfer my notes over to Workfront or I include a link to the OneNote in my Workfront project notes.

I will be using the mobile version soon, maybe that will take care of some of my concerns. I also gave 5 stars for customer support and value for money as that is handled at a higher level than I am currently at and can't accurately speak to those two.

Comments: We started our PMO in 2009, needing a way to get a handle on our project intake and help define our project management methodology. We purchased Workfront (formerly AtTask) back then and have been happily using it ever since. The initial implementation was quick. Getting the system configured and putting users in there was the easy part. Being a new PMO and going through the motions of defining our process was the hard part. Workfront made it a little easier because allowed us to have a starting point and the basis of best practices. The tool is easy to use, so flexible, and has really improved the way we work. Its been so effective for us at the University that usage has expanded from just our Technology department to 5 other groups and that number keeps on growing. The technical support has been great when we needed it, the company has listened to customer's suggestions as well as trends in the industry, and the adoption for the tool has been steady, really becoming an essential tool for every day work. There are many PPM tools out there, all doing much of the same core functions, but Workfront has the edge when it comes to usability. Things in the software just make sense, and work. Its that simple.
Pros - The system is highly configurable, can match your process and methodology - usability is top notch. The user interface makes sense and is easy to get used to - if you've thought about it, its probably in the software. If its not, you can request it and be sure that the company is listening and it might make it into the next release. - manages much more than just projects, it manages all of your stuff.
Cons - The company has gone through immense growth in the last 6 years so there has been instability in our customer support success manager, (not the technical support). We've had several different of these account managers over the years. - the license price changed as the software grew and caught us off guard (although the company was great and negotiated with us and was very accommodating - there is an API that allows you to connect and integrate other software into the tool, which is great, but there isn't great documentation or training on how to do it for beginners.

Comments: Working in an in-house marketing department, we have been using Workfront for three years to manage our projects and operations. We need overall visibility on all the activities of our department, plus a powerful collaboration platform.

Our main aim using Workfront is to manage the capacity vs workload of our department and to be able to forecast the demand.

Workfront is fulfilling our basic needs, but we feel that there is a lack of ability to create clear dashboards or to have a better visibility of critical task between multiple projects at the same time (which happens when several campaigns overlap).

There are other points to improve (see Cons below), but it seems that folks at Workfront are committed to improve those areas and correct the product weaknesses.

PROS:

Logging hours is not painful, there are several choices to input them.

The collaboration features are very good: comments, sharing if documents, approvals...

Work requests via assignments are clear and provide accountability.

Integrated document proofing and versioning is a must for any creative department and this one works really well.

Workfront support is quick and responses are elaborated, always providing a workaround if there isn't a functionality to match your need.

CONS:

Reporting is a bit limited; while basic reporting is completely fulfilled and you can present the information in clear graphs, when you try to create complex relations (historic vs forecast, capacity vs demand) things get more complicated, there are limitations and you need workarounds to obtain the desired (or closest to the desired) information.

Sharing of information is cumbersome; although you can send automatic reports by email, it's difficult to distribute more elaborated pieces of information.

Resource management is limited; there are tools in the system, but they are not intuitive and are a legacy of previous versions of the system.

Learning curve is steep, it doesn't take much time to get familiarised with the common request-collaborate actions (which most of the users will do), but it needs much time and training to carry out actual project management processes within the system.

Cons: regular updates occasionally break a feature (they try and fix major breakages immediately if it affects many people in a critical manner; some minor features have been broken for months now), reports often only capable of showing raw data (pie charts and bar charts not as customizable as we would like)

Details: we find that we have an easier time in Workfront when we're sure of the process we're trying to translate into the system. When people are not quite sure "who has the ball, " or what they really want, it really shows. Your system is only as good as your understanding of your process.

Comments: Workfront offers one solution that caters for nearly any issue you want to tackle in your organisation. Ranging from the basics of project management, issue tracking, change requests, process alignment, program management, ... . Looking for something that's not available in Workfront would be a hard nut to crack.
We've been using the Workfront for a couple of years now and the product keeps adapting features requested by the user community as well as upgrading their existing features continuously.

As a possible minus, I would have said the way permissions are handled. However a couple of months back with the new release this small point was resolved as well with a new and far easier way to set things up and have the project owners / users handle access on their projects in an easy, non admin intensive way. So I guess I just turned the thing I liked least into a plus as well.

Workfront offers a quick and to the point customer support. Additionaly the Workfront consultants are always available to be scheduled and during the scheduled session they interactively help you on the right path with any issue you might encounter. Definitely one of the better customer support teams/ setup around these days.

I'd recommend anyone looking into Workfront to start with the basics when evaluating the product and add/integrate features in your processes as you need them. Contact Workfront as soon as you're even thinking on exploring the options. You'll be able to play around in a sandbox environment in no time and the system is pretty much self-explanatory.

Comments: I've used Workfront for about 2 years now and I can't say enough about the platform. It's very flexible, detailed and powerful. Also, they are also always developing the platform further, recently releasing a new DAM. That being said, it's not easy to just pick up, but once you get good at it, it can really give you a better hold of your projects and work flows.

Comments: If you struggle to maintain organized projects, you're not alone.
Many people don't know how to successfully manage projects. Even after you learn how
to do it, sometimes you fight the tools to get the job done. Workfront makes it easy.
I just add tasks to a project (or use a template) and mark off the tasks as I go. I actually work with team members worldwide and they mark off their tasks as they go. What could be easier? I can see the progress, see if task due dates slip and spend my time keeping things on track instead of fighting a complicated system or searching through my emails for an update from someone that's half a world away.

Our company starting using it 4 years ago. We went from not knowing what projects were actually being worked on, to knowing the daily status of all of them, worldwide, at any given moment! The improved communication helps us focus on the things that are most important. Thanks Workfront!

Workfront Implementation into a Marketing Department

Comments: I have been part of the core team implementing the system into our European marketing department for over a year and a half. We have over 120 users in Europe and after having successfully implementing and using the system for a number of months we are now moving to one global instance of the system. I have been involved throughout in implementation and training of the team.

Pros:
Central visibility of all marketing activity progress and status updates
¿ Collaboration between teams regardless of location
¿ Complete workflow/campaign management from initiation to completion
¿ Accurately manage, allocate and track resource
¿ Enables multiple stakeholders to review and approve campaigns
¿ Online proofing tool - all requested changes are in one place
¿Great training provided
¿Intuitive

Cons:
¿Regular system updates have sometimes caused us issues and have meant we have needed to change ways of working as the way the system works has changed. These are usually small changes that would probably be improvements to other users, but sometimes for us they have made life more difficult.
