Svetlana: I'm Svetlana and I'm the executive director of an organization that has a staff of three. I would recommend NetSuite and give it a five star rating. For NetSuite we used a manual process, mostly spreadsheets, and Excel. That was very cumbersome and time-consuming. So NetSuite consolidated all of our data, keeping record tracking processes into one place and made it a lot cleaner and a lot smoother for us. NetSuite was a great option for us because they have a pro bono program and is a not-for-profit organization that appealed to us right off the bat. Being a user now for 11 years, we have found so many other reasons to continue to use NetSuite, they've been wonderful to us. Getting started with NetSuite took a little bit of a learning curve. It was definitely for someone with a background in IT or databases, but once we got going and figured out how to implement the system, continuing to use it and learn with the system, they give you all the right tools to grow and learn. So although it was a difficult learning curve, it's paid off in the end. If you're considering getting NetSuite, make sure that you have someone designated for the implementation process and map out how you plan on using the software. Have at least an idea of what types of things you're going to be using it for because it will make things smoother and easier down the road. But also don't feel like you have to know everything. The team is wonderful and they do help you along the way. So if it looks like a good fit for you, I say, go for it.

Before I used AutoEntry, I used to use QuickBooks online bill entry feature. So essentially whenever an invoice came onto me, I used to go onto QuickBooks Online, log on a new bill, and then upload that file onto it. The problem with that was I, at one point, had about 50 contractors working through my company, and doing that for each contractor ended up taking a lot of my own time. The main reason for me going for AutoEntry was because I wanted to automate the bill capture process. Essentially I wanted to give each of my contractors an email address that they could post their invoices to, and the software would actually pick up those invoices, parse them into a logical QuickBooks bill entry field, and then post them onto QuickBooks as in how I needed. Basically, it automates the whole of the process and I don't have to track my emails or my attachments anymore. Initially when I started to use AutoEntry, what happened was, every time an invoice came in, it used to prompt me and ask me what the field entry should be, as in, what was the supplier name, what was the VAT status on those bills. But what happened eventually was it started remembering my previous entry, so I didn't have to do it going further. AutoEntry's biggest thing that someone should take care of is, it's sold on a credit-per-month basis, so essentially you buy a package of credits that applies to bills every month. And what happened with my kind of business model, because we have sometimes loads of contractors, sometimes far fewer, was we ended up with a situation where we had loads of credits remaining and not enough bills to consume it. So AutoEntry allows for a feature where you can essentially pause your subscription, but you still pay them a very nominal fee to keep using your existing credits. And we have been able to do that to make sure that all the credits that I accumulated didn't go to waste.
