Excellent. We migrated from a US-based events booking system which was far more rigid, but have found Events500 to be far more flexible and adaptable, which suits our needs perfectly, as a multi-purpose venue.

Pros

Customer support is excellent and very responsive. Easy to use. Very adaptable to suit our organisation. Offers excellent value for money.

Cons

We haven't found anything yet! Anything which doesn't work as we would have hoped has been discussed with the support team and quickly/efficiently rectified.

Working with Events 500 has been a refreshing and positive experience. From the moment we reached out for a demo to signing the contract, going live and the months that have followed their attitude towards us has not wavered. There has always been clear communication, engagement and a sound understanding of our requirements which has ensured effective collaboration.

Pros

\- We have really appreciated how open they are to working with us and our industry-bespoke practices. - They are quick to respond to all emails; whether support issues, system queries or development requests. - The look and feel of the system. - Table Planner has wowed the whole team. We're excited to monitor the potential this feature can offer as it already adds value to us and our clients by enabling them an element of control over their dining events. - Our finance set up in non-negotiable, the team took time to understand this and develop a solution that works for us. - Having a live "working quote", rather than having to save multiple versions - this has saved a lot of time-consuming processes for the team and helps us to ensure accuracy in that we're always working with and reporting on actual revenue. - Dashboard feature has been very well received by the team. A great tool for us to monitor performance against targets through visual means. Having a full reporting suite that sits behind this enables us to delve further into specific fields if required.

Cons

Our set up can perhaps be considered more complex than most but adding catering items to bookings has proven a time-consuming task for the team. For similar reasons unique to our business, if a booking changes from Internal to External there's no easy way to switch the items over.

Being able to keep track of following up enquiries and the use of the task diary.

Cons

It would be great to be able to edit a function sheet quicker, rather than going into items booked and clicking individual items. Not really an issue just a nice to have!

While there are still many features yet to explore, implementing Events500 has proven to be one of the best decisions we’ve made—both for our team and the wedding couples we support.

Pros

As our business continued to grow, we recognised the need for a system that could be tailored to our venue and bring greater clarity and efficiency to our team. Our goal was to manage everything within a single, integrated platform—from initial enquiry through to billing and document management. After exploring a wide range of platforms across various price points, we chose Events500 following an online demonstration and video consultation. It offered all the core functionality we required, along with invaluable additional features such as table planning and menu selection, which have significantly reduced administrative workload across the team. It’s also worth noting that we introduced the added complexity of operating within Google Workspace as our primary communication and storage solution—unlike the majority of users who rely on Windows and Outlook. The Events500 team worked closely with us to navigate this and delivered tailored solutions that ensured a smooth and successful integration.

Cons

Naturally, no solution is entirely off-the-shelf. A considerable amount of time was invested in configuration and customisation, but more than a year on, we consider the system indispensable.

### "Catering for unique business requirements."

The best aspect is not only the software, but the staff who support this. This was invaluable particularly in the beginning and has led to a close relationship where we feel our needs and questions are important and there has been no such thing as a silly question. The screenshots and visual aids, along with the help videos are a great tool for the software. Despite still learning our way around, we are extremely pleased that we made the change.

Pros

Flexibility so we can cater many aspects to our specific business needs, which has been particularly important as we are quite a unique business model. Gives our clients more insight into their bookings which makes them feel valued. Features can be quite advanced, however you can utilise as much or as little as you need due to it's user friendly toolbars.

Cons

We found the configuration quite difficult due to our unique business model, however we feel that it didn't help that we had a lack of experience with the product. We felt a more thorough demo could have helped with initial teething questions. Going forward, it would be useful to have some help files as PDF's rather than videos as sometimes it may not always be the appropriate medium to use if you want to find a quick answer. EG FAQs section of documents rather than purely videos.

Very happy to be working with Events500i at the venue, its is a huge improvement on our previous system. \[sensitive content hidden\] have been great, during the sign up an setting up process, and with ongoing support.

Pros

Ease of use -\* event management though the system is simple and most functions are simple to access and quick to use making coordinators more efficient. Diary management is great with very easy to use features to manage enquiries to ensure space is maximized.Reporting - the features are extensive, so you can drill in to the detail of things very easily. It also allows great visibility on users to make sure the team are on track with tasks/ work. Access - with the web based option we can check availability in real time on appointments. Support - \[sensitive content hidden\] and the team are always on hand and very quick with solutions and work arounds.

Cons

There was plenty of support during the set up process but it can take a little time to get your head around the different "items" and "notes" and what appears where on the contracts/ function sheets. However, once you have your hear around this its easy to use and adapt as you need.

We were 90% decided on a different system having done multiple demonstrations and discussions. A chance call from \[sensitive content hidden\] led to a demo on Events500 and from that initial look i could see the system looked more user friendly. A follow up to go through the features in more detail and the decision was made. The team helped to find the best contract fit for our needs too which was massive help.

The team are great and are always willing to amend and edit the system to our requirements. It is overall very useful for us to keep up with enquiries and leads, however recent developments such as the client portal and seating plan tool are adding to the great benefits of having Events500i.

Pros

Events500i is fantastic for inputting our enquiries, creating quotations and giving us prompts to follow up with leads. The support team are great and are very quick at responding to any questions or queries we have. They have helped to tailor the quotations and system to benefit our business and the way that we do things/the way we want everything to look for our clients.

Cons

If we had to choose something to improve it would be the ease of having our planning documents on the system and being able to add notes and details where they are needed with ease. Sometimes it is difficult to remember where we need to click to change details/timings etc.

We have automated our enquiries straight into here

Pros

We have had hotel systems over the last 5 years so when choosing a new one we were very specific on what we wanted and what it had to deliver. The training and set up team were amazing, nothing was too much trouble , we had 2 day onsite training to set up and use the system before going live.This helped our team get a feel for it and understand the benefits of using it. importing the data from excel into the system was pretty straight forward and going live didnt take too long.Any little tweaks we have asked for have been implemented very quickly by the E500 team. the support from them is second to none and we are excited to see what they come up with next to help us in the wedding world!

Cons

We are struggling to use the function sheet option but i think this is due to the way we add so much detail into the event order.

We have been using E500 since September 2023, the whole experience has been extremely positive, from the training, system set up, to using the software on a day-to-day basis. The support given by the E500 team is responsive and all questions and queries are answered very quickly and efficiently. Requests from us to change the system in various ways, has been met positively, with the E500 team carrying out various enhancements for us. The whole experience of using the events 500 software and working with their team has been extremely good and is highly recommended.

Pros

The software is fast and reliable and very flexible, we can set up venues, rooms, items relating to bookings, the software moulds to our business and way of working. A highlight of the system for us is the way it deals with customer contracts which can be signed electronically. We have added our own sales and cost prices to bookings which gives us the ability to produce very detailed profit and loss statements for every booked event. Multiple room bookings can be made very easily with little duplication of work, which has saved an enormous amount of time. The task system on the software has become an invaluable way of allocating time and resources for our team to complete key objectives throughout the booking process.

Cons

E500 has a large number of preset reports, the E500 team have been happy to add any new reports that we have requested, it would be nice if the report writer could be amended by the user so we could create our own reports.

I have used many different Event systems within my career, however this is by far the simplest. It is visual and self explanatory. Easy to update or edit to your preference if you want something specific.

Pros

So very easy to use and self explanatory. Easy to update and edit anything back of house. Easily accessible as it is Web based instead of Desktop

Cons

Only con i can think of is when printing function sheets, if you batch print them and one falls over several days, it prints day 1 - day 5 individually rather than as one whole function sheet. Which for us as a business isn't useful

### "Revolutionized the way we work "

Before events500i, we were very much a paper office; proposals went over via email, contracts were done as a Word doc then the event function sheet was done in another Word doc before we then did the invoice in Excel. Transferring so much data from one document to another in such a busy office meant we all made silly mistakes.

Pros

Having the ability to do everything from proposals to contracting to final details and invoicing on the go made so much sense. There are fewer errors as the proposal creates the contract which then creates the function sheet and invoicing and it's made us a lot more efficient in the process.

Cons

Nothing really. If I have to say something, it would be that with the older version, you could click and drag a booking if you needed to change a room or move a date.

Reason for choosing events500i

The produce did what we wanted and needed it to do. The price was good and the customer service was superb.

### "Couldn't be without events500i"

We have a very large site and it is hugely beneficial to be able to see quickly and easily which areas are available on which date, and which aren't.Reporting is also something that wasn't hugely done before. We can now report on our profit forecast as we have factored supplier costs in and added an uplift, so we can see more than just the hire fee, but also everything that has been upsold as well which is proving invaluable.

Pros

We can make it work for us in our way, which is brilliant. The team understand that it is never a 'one size fits all' situation for event management and that is so evident. We can have multiple venue areas, whatever note types we want, items and packages galore and reporting on whatever we might need which is brilliant. It has made such an impact in my role here, as it means that everything we need to know is all in one place.

Cons

I struggle with the email feature, as it doesn't always feel like the right way to contact people, so I will copy and paste things instead. It is SO picky as well but sometimes the font doesn't match up, and some lines will look different to others on a contract and I struggle to change it! Nowhere near the end of the world though.

I've worked with events500 for over 3 years and events500i for the last 18 months. Having worked with other event management/booking systems in the past, I really wouldn't use anything else. I would recommend events500i to any venue or business considering such as system. It's extremely flexible and can be adapted to the individual business requirements. Excellent customer service and support from the events500 team.

We transferred from events500 to events500i and had full training on this, we have utilised alot more features and look forward to seeing the new developments as they are released!

Pros

We rely of events500i to make our paperwork for event days, all payments are tracked through the system as well as staff members tasks to ensure all our events are well managed and planned. The team at the end of the phone and emails are always so responsive and any feedback we have given them on the system has been modified and changed.

Cons

The formatting of text, some text needs to be highlighted/coloured to ensure it stands out to the team, this then causes the text to become disjointed and drop onto new lines.

The whole transition process has been really smooth. We have hugely reduced our admin time and increased efficiency across the office. We have also improved the customer experience.

Pros

Events 500 has been a really smooth transition from our old system. It has made many of our processes much simpler and reduced our admin time across the office. The team behind Events 500 are incredibly helpful and respond immediately to questions and queries.

Some of the sequencing and formatting could be improved

The support team are always on hand with queries and come back with resolutions really quickly. Rarely any outages or issues with access to the system

Pros

The reporting features on the new system make it easy to pull various reports although some could be improved

Cons

It would be great to have the option if you wanted reports pulled on net or gross. It would also be really useful to have event summary and forecast report merged
