Pros

From the first hour I signed up, Adaptive provided amazing benefit to our AP/AR process as well as financial reporting. What took days was reduced to minutes. We’re a lean team, but with Adaptive we don’t need to add headcount. Bills, Invoices, and Labor rolls right into job costs and draws with no double entry, and I can bill accurately without the spreadsheet chaos. It's helped us grow, keep our cash flow tighter, and deliver cleaner documentation to our banks and clients.

Cons

No complaints. After wasting money on other products offering the same level of capability, finding Adaptive was a game changer for us.

Overall Adaptive has become an integral part of our companies financial tracking. I can see how as our company grows, Adaptive will grow with it.

Pros

Adaptive has helped our small business build workflow processes, track vendor information, bill payments, and it also easily tracks and organizes our expenses and invoices. It integrates very well with Quickbooks making it very easy to keep everything organized. The customer support we've received from their live agents has always been a great experience and they always manage to resolve any ongoing issues quickly. Adaptive has been such an easy system to learn and use even for those not as tech savvy. It's been well worth the investment and I'd highly suggest it to any small business looking to upgrade or supplement their financial system.

Cons

With Adaptive always working on updating their systems and building new ways to build workflows, it often can come with the headache of systems not working properly. But usually once this addressed with their customer service, issues are usually resolved pretty quickly.

With Adaptive, we added new capabilities- project level financial tracking to help us stay on budget, reporting and transparency to clients and their lenders. Things that used to take us hours or days to compile and track now take only minutes. The team at Adaptive are responsive and supportive when we have questions. An added bonus has been the connections to industry partners and benchmarking and learning through webinars. Adaptive has built a community -- and it's thriving.

Cons

The software is ever evolving with new capabilities - while this is a good problem to have, it requires staying on the pulse of what's new and how it works.

Overall this is the best software I have found for a construction company building on top of QBO to improve bill approval, receipt capture, project cost coding and preparing invoices for an owner.

Pros

This provides a fantastic project management tool that QBO just cannot deliver. They have excellent customer support. It covers a lot of reporting we need as well. They have a ton of training and it is farily easy to use.

Cons

The only con is really that it is a newer system built on top of QBO so there are some issues with syncing and errors. But the customer support is always great about fixing or helping resolve these.

Additionally, Adaptive is eager to help your company grow and takes our company feedback as an essential key to help their growth just the same. We've been able to work together to help modify and expand the program features. Weekly and monthly live webinars are available to stay on top of new features rolling out. Joining Adaptive hasn't only been efficient, but also fun!

Pros

User friendly, easy integration, helpful customer support, weekly live webinars with other builders and Adaptive staff.

Cons

If utilizing QB-Desktop, be prepared for potential hiccups. If switching to QB-Online, be sure to coordinate that transition with the Adaptive team to ensure a smooth and seamless process takes place.

We’ve been using Adaptive for about three years. We originally signed up to reduce the amount of manual bookkeeping work, and it’s definitely delivered on that. Over time, we’ve gotten our whole team using it, which has improved our processes and visibility across jobs. We even connected with our accountants through Adaptive, which made things even more streamlined. Overall, it’s become an important part of how we run our financial operations.

Pros

Adaptive has significantly improved our company’s bookkeeping and brought a new level of accountability to our project managers. It makes follow-up incredibly fast and seamless, both internally with our team and externally with vendors. The platform is intuitive and far less cumbersome to implement than other solutions we’ve tried. On top of that, their customer support is consistently responsive and helpful whenever we run into questions or challenges.

Cons

I honestly don’t have any negatives to highlight. Like any new system, it took some time to get everyone on the team using it, but adoption has been worth it.

I like how it replaces the need to enter items into Quickbooks. It is very good at grabbing nearly all the important info from the bills and receipts that I send, and it's always improving.

Cons

Really no cons for me--it would be cool if it replaced Quickbooks entirely, but I doubt that's on the horizon!

Pros

Adaptive is so easy to use, saves HOURS of labor from each week, and is constantly making improvements to create a better and more efficient experience.

Cons

Sometimes (very rarely) we experience glitches with syncing to QB, or when entering bills. For example, when entering the due date on a bill the other day, it would not allow me to change the date. This might have been a wifi/connection error.

Really innovative financial tools that are super easy to use. Great customer service (although I don't need it much because the software is quite intuitive). New and thoughtful features that obviously consider the pain builders feel with the challenges of construction accounting.

Pros

Adaptive is hyper focused on solving a critical and neglected issue with construction finance: smart and efficient day-to-day bookkeeping. Collecting cost transaction info- check. Paying bills easily via ACH - check. Tracking budget vs. actual and syncing beautifully with Quickbooks - check. The BIG SHOWSTOPPER with Adaptive though is the quick invoice/draw creation process. I can create a draw including all cost backup (i.e. images of bills and receipts) literally in under a minute. This used to take maybe an hour for really big invoices/draws, and for sure 10-20 minutes on smaller invoices/draws. Huge time savings. Big gains in reporting.

Cons

I hope to see some more development around A/R payment collection (actually collecting customer payments via the app) and around predictive budgeting (helping predict project financial outcomes mid-project).

I needed construction specific budgeting and A/P solutions. There are good A/P solutions out there but they don't cater to Builders' needs. There are good construction management softwares out there but they aren't dialed in enough on the financial side of things. It's great to have really good financial tools that I can bolt on to project management software.I am an expert in construction finance, having previously served as CFO of a large production builder and now running an accounting firm focused on the industry. We recommend Adaptive as an augment to tools like Buildertrend, CoConstruct, Buildtools, etc. or as a stand alone tool for those who aren't considering using the project management features of the bigger software packages.

When I use the drop-down menus, it keeps tabs of the last things searched so when i go to type in another category, the saved searches drop down blocks the other list of items. i have to manually clear them out to see the list.

I run a consulting firm that helps builders set up best-in-class processes across their businesses. As part of this, I focus on opportunities to automate the process as much as possible. Adaptive is the best financial automation platform for construction that allows for easy job cost and budget tracking. The software itself is incredibly simple and easy to use. We use Quickbooks, which is incredibly painful for construction job cost tracking and job P&L tracking. Adaptive allows us to quickly see where funds have been incorrectly coded, saving tons of time we used to spend tracking down errors in Quickbooks. It also makes it very easy to see what costs have not yet been drawn for. When you forward documents to Adaptive, they read all of the information including the job code. You can then set up workflow rules so that bills for certain projects (or vendors, or cost codes, etc.) go to certain people in your company for approval. These approvals can be done from the computer or from mobile. Finally, approved costs are automatically added to budgets and you also attach them to draws. When you're paying bills, you can see which bills have been added to a draw and whether that draw has been paid yet. Our clients have been thrilled to see the detailed reporting that comes out of Adaptive which we can now easily send weekly along with their invoice. It shows them a detailed breakdown of costs, what we've drawn for, and what expenses remain. In addition, the team at Adaptive is top-notch. They respond to any and all issues within minutes and are quick to help. You can sense that they really care about understanding their customer's pain points and developing solutions.

Cons

Adaptive is a startup and they are working to roll out new features as much as possible. When they are moving this fast, there will naturally be kinks in their releases, but the support is great and they resolve any issues very quickly.

The team can tell you I was a big skeptic when invited to participate...the next "big" thing...but I was so overwhelmed with the Adaptive team, their knowledge and understanding the application and how it integrated with my construction books. Their support, online and phone, was and is fantastic. Very personable team that does not change...I like that.

Pros

I have used so many applications built for QB Desktop, but Adaptive integrates very seamlessly. I have no concern about my data, about integrity back and forth between QB Desktop and Adaptive. Tremendous personal support.

Cons

This is phrased wrong. I see Adaptive as rolling out new functionality, and what I like least is the things I am looking forward to are not here yet! But I love that the programming team takes input from their customers and actually implements those things that make sense for all of us. I love being part of an emerging application with new features coming all the time.

I'm a cost plus builder and this is the best software I've seen to manage your project finances. All of my bills and receipts flow automatically into my project reports, and I can generate a cost plus draw in seconds.

Cons

We use a title company to process our draws. Adaptive is actively working on functionality to support this and I'm very excited for it. In the meantime, they help me convert my draws into title company format. Great service

This software saves me time, energy , and stress. I’m so glad we made the switch. Adaptive is the best budgeting and reporting tool I've ever used, and I believe the price is competitive! In fact, I've paid more, for less, in the past. This subscription is worth every penny and my whole team agrees without a doubt. I can tell that the members at Adaptive really have experience in the complications that come with managing construction budgets, draws, vendor bills, customer invoices, change orders, purchase orders and even lien waivers. I would highly recommend that you check them out if you want to improve and automate your daily tasks. Adaptive’s AI saves me so much time. When I receive an invoice in my email, all I have to do is forward it to our Adaptive account and AI will input most of the information for me within moments. From there, I can see whether or not the invoice fits within our budget, send the invoice to our Superintendent for approval, and after that, it’s automatically synced to Quickbooks and ready for Payment. I also appreciate the Customer Support and constant training webinars available regarding updates and features. The Team at Adaptive responds promptly and they love to hear feedback while finding ways to improve based on user experience. I've never been left hanging with a question or problem on our account. I think my favorite tool right now is the Draws. I can't believe how easy it is to complete a Draw process and export it to an easy to digest pdf for our Customers to pay off of. Our Customers no longer have follow up questions or hesitations, because all of the information and answers are included in one pdf. And it syncs to QuickBooks so that I can easily match up the deposit in our bank!

Pros

Their budgeting tool has simplified the way I manage Job costs, and it's by far the most user friendly budgeting software I've tried.

Cons

I only wish more people knew about Adaptive! That way our subs and vendors wouldn't be as hesitant to open links to things like Lien Waivers and Purchase Orders.

I expected boring bookkeeping and got a tiny savage foreman in my laptop who roasts our change orders, fixes our dumpster-fire costs, and balances the books before the inspector even wakes up. It even turned time-consuming cost-plus billing into clean, bulletproof invoices in seconds. My old spreadsheets are crying in the trailer wearing a hard hat. Adaptive didn’t just adapt, it hijacked the crew and is already bidding my next job. Absolute game-changer.

Pros

The way it adapts to my financial disasters like a pro therapist who also moonlights as a chaos wrangler. I dump in receipts that look like they were written by a raccoon on Red Bull, and Adaptive just goes “I got you, queen” and turns it into beautiful, balanced numbers. It’s the only thing in my life that actually improves when I panic-add more mess. 11/10, my new favorite non-human relationship.

It adapts so aggressively it started roasting our past job costing like a grumpy foreman on a Monday morning. I'll open last month's reports and it hits me with “Really? Another $4,800 on ‘miscellaneous materials’? Bold move for a guy who still can’t keep his change order log straight.” The accuracy hurts worse than stepping on a nail in flip-flops. It also makes my old spreadsheets look like they were built by a raccoon with a nail gun and a severe case of the Mondays. Zero chill, zero safety harness.

Overall, my experience with Adaptive has been excellent. It has proven to be a highly useful and practical tool in our day-to-day operations, helping streamline processes and improve organization across our projects. The platform is intuitive enough to integrate into our workflow without a steep learning curve, which has been a big advantage. Beyond the software itself, the team behind Adaptive has been outstanding—responsive, knowledgeable, and genuinely committed to helping us succeed. Anytime we’ve had questions or needed support, they’ve been quick to step in with helpful solutions. That level of service makes a meaningful difference and reinforces our confidence in continuing to use and rely on Adaptive.

Pros

Their support team—including the AI bot—is excellent to work with. The platform offers strong value for the money, and creating invoices and draws is straightforward and efficient.

Cons

One of the biggest limitations I’ve experienced with Adaptive is the lack of a clear and efficient way to create and process back charges. In construction, back charges are a normal and necessary part of managing projects, especially when coordinating multiple trades and holding partners accountable. Without a built-in system for this, it creates extra administrative work and increases the risk of miscommunication or missed cost recovery. We’re forced to track these items manually or outside the platform, which defeats the purpose of having an integrated system. A streamlined back charge feature would significantly improve workflow, accuracy, and overall project financial management.
