I am even more excited now that Adaptive starting integrating with Ressio. I believe there is no better software out there for accounting for Homebuilders Pros It saves me hours of manual data entry each month and makes sure I don't miss accounting for costs. Also, I love Adaptive's customer support and how fast they are innovating and adding new features. It is great when it started, and it has just gotten better. Cons The reporting function feels clunky and I haven't gotten the hang of it yet. Also, they have had some real issues in dealing with Vendor Credits. The alternative can push bills to QBO, Adaptive does it much faster and with much fewer inputs. President Construction Used the software for: 2+ years ### "Excellent Construction Financial Management Tool" March 26, 2026 5.0 Overall, Adaptive has been a strong addition to our project management toolkit at Drake Construction. It has improved our ability to track project costs in real time, manage subcontractor invoices, and produce accurate financial reports for ownership review. The platform has helped reduce the time spent on manual budget reconciliation and has given our team better financial control across our residential and multi-family projects. Pros Adaptive has been a game changer for managing our construction project budgets and owner draw requests. The real-time cost tracking and ability to manage multiple projects simultaneously saves our team a significant amount of time. The invoicing workflow is intuitive and the reporting features give us the visibility we need to keep projects on track financially. Customer support has been responsive whenever we've had questions during implementation. Cons Some syncing issues with quickbooks, but they are always very responsive to help resolve the issues with thier chat featuure. Mobile app could use more features. The Adaptive software continues to amaze me at the capability and scope and their customer service is sensational. You can get help on chat almost immediately and their team is consistently open and responsive to feedback from customers. Reasonably priced as well. Recommend 100% Pros It cuts my data entry and tracking time for accounts payable almost completely and accounts payable cycle steps all in one place. Invoices funnel automatically from email into Adaptive or easily uploaded, initial AI invoice data entry, and pay vendors right within Adaptive through ACH with a button click, separate credit card receipt tracking. Invoice and receipt images are paired with expense entries and linked to Quickbooks so I don't need invoice/receipt documentation files. Info syncs bill/receipt/payments to Quickbooks software. I only have a few idiosyncrasies that I do manually and/or edit. Managing vendor paperwork as well... so much ease and capability for my job in one place! Cons It's a learning curve on set ups and I do encounter bugs with the software (specifically syncing with Quickbooks desktop) but customer service is very responsive to help and I have seen that the Adaptive team almost always fixes bugs permanently as they come up. Subcontractor and vendor payments can be a lot to manage, but Adaptive's smooth and easy system makes it completely manageable for me. Pros I've been working on the construction industry as an admin for over 4 years now and Adaptive is my favorite system we use. Adaptive keeps everything extremely organized and connects with our QBO, making job costing and budgeting extremely easy. The customer support is always so quick and helpful about any questions or issues we're having. Cons There isn't much to dislike about Adaptive! The payment processing time was a bit long for a little while, but they've improved it to 2-3 business days! Pros We love the seamless integration with QuickBooks online as well as the two way sync that really helps with everything we need for our clients. The team is amazing to work with and so easy to get a hold of. It's our favorite product to work with for all of our clients and they love it to. As the financial controller with a lot of transactions to manage, this completely automates the system. Adaptive handles transaction synching and updating much better than anything I have ever seen - and we have worked with all construction CRMs. Its peerless when it comes to that. Pros The synch with QBO is fast and seamless. We also really enjoy the how well it flawlessly handless AP both credit cards and ACH bank transfer. 10/10 here. Cons I am not sure if I have any major gripes. It's not a gripe but we are less familiar with cost-plus contract invoicing in the software and they have worked really hard to try and get me to train up on that. It seems pretty straightforward we just already have momentum with our current invoicing CRM. I would recommend this to others regardless of our inexperience here. May 1, 2026 5.0 My overall experience has been great, they are consistently upgrading and finding ways to improve their software. They also take their clients feedback and ideas seriously sometimes implementing them into the software. Pros The onboarding and customer support is awesome! I love how simple it is while also offering so many crucial features. I love their budget tool, being able to see actuals vs. drawn amounts was a game changer. Paying my subs through the ACH payments has been seamless and makes my job quick and easy! Cons There is a few second delay when syncing with QBO. I move fast when clicking through things and sometimes it takes a few refreshes for it to catch up. When creating an invoice I usually would jump bath and forth between screens, and if I didn't wait for the page to save my changes wouldn't be there when I returned. I like being able to easy see all job costs and go through historical data quickly when pricing new projects and know that it is accurate because every transaction that has been process is accounted for. And I have no doubt it will make the lives of my coworkers easier as well. Pros Always fixing any issues I have with the software. Very focused on helping the financial side of contracting which is exactly what I need. Extremely easy to pickup and use. Cons Because of the growth there are some things that are always changing however this is fairly easy to understand. There budget system can be a little to rigid. Pros We love this software and have commented that it makes the bookkeeping process so much more fun and enjoyable. Our accounting system was outdated and this is exactly what we needed to revamp it. It's looks professional both to the client (via draws) and subcontractors (via ACH payments, lien waiver, document/insurance tracking). The ease of the software and the team has been great at being receptive to things we are working on or certain reports we need. Pros I used to spend hours upon hours tracking down receipts from employees and bills from subcontractors. Now, with Adaptive, me and my team just forward everything to the system and then all we have to do is review and approve. It keeps our books up to date on a daily basis, and we can run quicker reports to see everything at once. Cons There is a lot of things coming up with future releases and it's hard to keep up with all the changes. They are good changes coming, but I haven't been able to keep up with them all. Owner Construction Used the software for: 6-12 months ### "Easy to use bookkeeping and subcontractor payments" October 15, 2023 5.0 We have been able to streamline a lot of our backend systems and processes thanks to Adaptive. I have found a substantial time savings for both myself and our office staff which has allowed us to focus on more important tasks. The support is top notch, any issues have been resolved quickly and the team is very open to suggestions and feedback to improve their product. This is a breath of fresh air after dealing with most of our other software products. Pros Before Adaptive, we were struggling to stay on top of bookkeeping. We went through a few bookkeeping firms and had a hard time making it work. We now use Adaptive to run all of our AP, expenses, and subcontractor payments, and we are starting to use the invoicing functionality as well. The product is very easy to use and automates a lot of processes for us. It pushes data to our quickbooks account quickly, which then is pulled into our Buildertrend project management software. This helps our team in the field stay on top of our budgets for each project in real time. Cons I was one of the earliest customers of Adaptive. I signed up after looking over the product at the IBS show this past February . As with any new software, there have been some kinks. Our clients only have so much time to commit to the critical financial functions of business.... Adaptive has empowered them to completely manage their finances, with less time required of them. Pros his is the automated bookkeeping platform purpose built for construction. There are tons of features that make life easier for construction companies--things that other companies will never think of nor do. For example, a common issue we see happening is that expenses are coded to the wrong cost code or the wrong job and then it's a pain to recognize this and re-code them after the fact. Adaptive organizes all costs by job, and then while you're reviewing your budget, it's easy to reallocate costs to the right line item (and this updates in QB as well). Another example would be that when paying bills, they allow you to sort the entire list by project. Finally, they have the ability to build custom reports that can be sent to your team on a recurring schedule, so if you want to automate your weekly reviews, you can build your reports and get those sent out Cons Adaptive has an ambitious goal to build a full financial management program for construction. They have moved extremely fast to build out multiple features, but I am still waiting on certain things. For example, lien waivers and a client portal. It cut approval and bookkeeping time for check runs by 50-75% or more. Pros The software integrates very well with Quickbooks. We would not have switched to new bookkeeping software. It also saves a massive amount of time and paper pushing to get invoices approved and paid. Cons The company is relatively new, but they keep adding features that it seems like builders have requested, which is great. Glad to know they are paying attention to their customers.
