What took days was reduced to minutes. We’re a lean team, but with Adaptive we don’t need to add headcount. Bills, Invoices, and Labor rolls right into job costs and draws with no double entry, and I can bill accurately without the spreadsheet chaos. It's helped us grow, keep our cash flow tighter, and deliver cleaner documentation to our banks and clients. Cons No complaints. After wasting money on other products offering the same level of capability, finding Adaptive was a game changer for us. Cons One of the biggest limitations I’ve experienced with Adaptive is the lack of a clear and efficient way to create and process back charges. In construction, back charges are a normal and necessary part of managing projects, especially when coordinating multiple trades and holding partners accountable. Without a built-in system for this, it creates extra administrative work and increases the risk of miscommunication or missed cost recovery. The Adaptive software continues to amaze me at the capability and scope and their customer service is sensational. You can get help on chat almost immediately and their team is consistently open and responsive to feedback from customers. Reasonably priced as well. Recommend 100% Pros It cuts my data entry and tracking time for accounts payable almost completely and accounts payable cycle steps all in one place. Invoices funnel automatically from email into Adaptive or easily uploaded, initial AI invoice data entry, and pay vendors right within Adaptive through ACH with a button click, separate credit card receipt tracking. Invoice and receipt images are paired with expense entries and linked to Quickbooks so I don't need invoice/receipt documentation files. Info syncs bill/receipt/payments to Quickbooks software. I only have a few idiosyncrasies that I do manually and/or edit. Managing vendor paperwork as well... so much ease and capability for my job in one place! Cons It's a learning curve on set ups and I do encounter bugs with the software (specifically syncing with Quickbooks desktop) but customer service is very responsive to help and I have seen that the Adaptive team almost always fixes bugs permanently as they come up. I can see how as our company grows, Adaptive will grow with it. It integrates very well with Quickbooks making it very easy to keep everything organized. The customer support we've received from their live agents has always been a great experience and they always manage to resolve any ongoing issues quickly. Adaptive has been such an easy system to learn and use even for those not as tech savvy. It's been well worth the investment and I'd highly suggest it to any small business looking to upgrade or supplement their financial system. Cons With Adaptive always working on updating their systems and building new ways to build workflows, it often can come with the headache of systems not working properly. Pros This provides a fantastic project management tool that QBO just cannot deliver. They have excellent customer support. It covers a lot of reporting we need as well. They have a ton of training and it is farily easy to use. Cons The only con is really that it is a newer system built on top of QBO so there are some issues with syncing and errors. I have found a substantial time savings for both myself and our office staff which has allowed us to focus on more important tasks. The support is top notch, any issues have been resolved quickly and the team is very open to suggestions and feedback to improve their product. This is a breath of fresh air after dealing with most of our other software products. Pros Before Adaptive, we were struggling to stay on top of bookkeeping. We went through a few bookkeeping firms and had a hard time making it work. We now use Adaptive to run all of our AP, expenses, and subcontractor payments, and we are starting to use the invoicing functionality as well. The product is very easy to use and automates a lot of processes for us. It pushes data to our quickbooks account quickly, which then is pulled into our Buildertrend project management software. This helps our team in the field stay on top of our budgets for each project in real time. Cons I was one of the earliest customers of Adaptive. I signed up after looking over the product at the IBS show this past February . As with any new software, there have been some kinks. Adaptive has completely streamlined our subcontractor payroll process and has made collecting receipts from employees a breeze. It has cut our bookkeeping workload to a third of what it was before using Adaptive. The sync with Quickbooks Desktop also works great. If I make changes in QBD, they are reflected in Adaptive. We started with their bookkeeping features, and now we are starting to use their budgeting features as well. All of the costs we are tracking automatically update the budget, making it easy for our team to stay on top of their projects. It is very user friendly and intuitive, we wouldn't consider ourselves "tech savvy" but have found this to be easy to learn and implement. Cons As a young software company, there were some bugs we had to work through during the initial onboarding process, but the team was highly responsive and they are constantly rolling out new features. Their support, online and phone, was and is fantastic. Very personable team that does not change...I like that. Pros I have used so many applications built for QB Desktop, but Adaptive integrates very seamlessly. I have no concern about my data, about integrity back and forth between QB Desktop and Adaptive. Tremendous personal support. Cons This is phrased wrong. I see Adaptive as rolling out new functionality, and what I like least is the things I am looking forward to are not here yet! But I love that the programming team takes input from their customers and actually implements those things that make sense for all of us. I expected boring bookkeeping and got a tiny savage foreman in my laptop who roasts our change orders, fixes our dumpster-fire costs, and balances the books before the inspector even wakes up. It even turned time-consuming cost-plus billing into clean, bulletproof invoices in seconds. My old spreadsheets are crying in the trailer wearing a hard hat. Adaptive didn’t just adapt, it hijacked the crew and is already bidding my next job. Absolute game-changer. Pros The way it adapts to my financial disasters like a pro therapist who also moonlights as a chaos wrangler. I dump in receipts that look like they were written by a raccoon on Red Bull, and Adaptive just goes “I got you, queen” and turns it into beautiful, balanced numbers. It’s the only thing in my life that actually improves when I panic-add more mess. 11/10, my new favorite non-human relationship. Also, I love Adaptive's customer support and how fast they are innovating and adding new features. It is great when it started, and it has just gotten better. The alternative can push bills to QBO, Adaptive does it much faster and with much fewer inputs. I’m so glad we made the switch. Adaptive is the best budgeting and reporting tool I've ever used, and I believe the price is competitive! In fact, I've paid more, for less, in the past. This subscription is worth every penny and my whole team agrees without a doubt. I can tell that the members at Adaptive really have experience in the complications that come with managing construction budgets, draws, vendor bills, customer invoices, change orders, purchase orders and even lien waivers. I would highly recommend that you check them out if you want to improve and automate your daily tasks. Adaptive’s AI saves me so much time. When I receive an invoice in my email, all I have to do is forward it to our Adaptive account and AI will input most of the information for me within moments. From there, I can see whether or not the invoice fits within our budget, send the invoice to our Superintendent for approval, and after that, it’s automatically synced to Quickbooks and ready for Payment. I also appreciate the Customer Support and constant training webinars available regarding updates and features. The Team at Adaptive responds promptly and they love to hear feedback while finding ways to improve based on user experience. I've never been left hanging with a question or problem on our account. I think my favorite tool right now is the Draws. I can't believe how easy it is to complete a Draw process and export it to an easy to digest pdf for our Customers to pay off of. Our Customers no longer have follow up questions or hesitations, because all of the information and answers are included in one pdf. And it syncs to QuickBooks so that I can easily match up the deposit in our bank! Pros Their budgeting tool has simplified the way I manage Job costs, and it's by far the most user friendly budgeting software I've tried. Cons I only wish more people knew about Adaptive! That way our subs and vendors wouldn't be as hesitant to open links to things like Lien Waivers and Purchase Orders.
