We hope that they will expand their product offerings to include some larger bins, as we do sometimes have key sets that are too large for the current bin size. Pros We love the simplicity of the Keycafe system for our Student Housing operation. The web interface is clean and easy to use. Users accessing the key box can do so independently and without training. Making sure that all of the keys are returned on-time is far simpler now! Cons When keys are not removed from the system and the bin is closed, it can be challenging to find the keys and put them back into circulation. We have also had some challenges with bins not opening properly and would like to see an option for users to get help directly on the panel (like a 'something is wrong' button when picking up so that they can try to release the bin latch again). We are a landscaping company with 20+ assets. Before Keycafe - keys were routinely lost or misplaced. Now we know where the keys are, who has the keys and when they were last checked out. Keycafe is well worth the money spent!! Pros The peace of mind of knowing keys are stored securely and easy usage. The mobile app is stellar - I am able manage access or create new users within seconds using my phone as well as see the history of the keys. Cons No real con comes to mind. The only con would be if there is a huge key fob with a bunch of keys attached to it - that it may be a little too big to fit into the box. We use KeyCafe in a unique way to manage the keys to our fleet of vehicles as well as the keys to our lockboxes for the checking in and out of our bank of Taser X26p devices. We now have a secure way to track this with a solid audit trail. I also appreciate the ability to utilize the remote application for those users with the correct permissions. Pros I think most of our staff members (currently around 100 employees and soon to be expanding to more) find that the system is easy to use. The backend management of keys, groups and employees is very easy to setup and maintain. The simplicity of the system and easy training helped to ensure agency-wide buy in to a workforce that doesn't deal well with technology changes. Cons There were a couple of things that I didn't particularly enjoy. The first is that sometimes the doors get stuck and won't open. This is frustrating and problematic as most of our employees are in a hurry to get their keys and start their day. The KeyCafe support recommended lubricating the doors (which I think helped somewhat). The product was mounted in accordance with the instructions, but the doors need to work every time. This is a known problem as there is a section on the troubleshooting to diagnose this issue. The second issue that I have is that the security permissions are inflexible and limited. I wish there were more granular options for users. There are only a few categories that I feel could be expanded to better fit the needs of our agency. I also wish that the KeyCafe boxes were bigger. I really like it, the guests can use the lockers if they want to share the key with somebody else. Pros As a short-term operations manager, the Key Cafe system has helped me manage all reservations; I can authorize or deny each entry and keep track of the keys. Cons Every bin must say "Close me" because most of people leave the locker open and then, they only put the key there without scan it. Pros We use 2 keycafé lockers to exchange keys in our park. Every user ha access only to the keys he need and everything it's tracked, so we know who has each keys and for how long. They were easy to install and set up. Customer Support is great at assisting and informing you of system errors. The only true downfall we've run into is that our student staff have managed to get keys/keycards stuck in the box slots on several occasions. To remedy the situation, we have to dismount the box and open the back. Other than that, it's working great. Pros We have really enjoyed the value for money, customer support, and the easy setup. Prior to implementation, we were constantly hunting for fleet keys, and there was little to no accountability for missing or lost keys. Now, we know in real-time who has each key. The process to implement the system was about as easy as it could be. Not only is the system simple to use, the customer service and training provided by the company was great. Cons We've only experienced two challenges worth mentioning, and neither are all that significant. The first is the system's accessibility in the event of a network and/ or power outage. Yes, there are ways to access the keys in these situations, but they are not easy by any means. In fact, they did not work for us and we ended up having to wait for functionality to be restored. The other issue pertains to what I'd consider the intelligence of the system. If a user opens a bin, leaves that bin open, then puts the key back in that bin and closes the door, the system thinks the key is still checked out and it causes confusion. The system has no way of knowing if a bin is occupied outside of the check out/ check in process. We've just had to train and re-train on this exception. Review Source Nadia-Karina M. Pros Keycafe is easy to use and the lockboxes have a modern, sleek design. Through cloud-based access control, I can manage access remotely through the Keycafe website. Cons The annual subscription fee can become expensive for large-scale operations with several Keycafe lockbox modules as the subscription is per module. When comparing this company to others, Keycafe was determined to be the best as it has a significant amount of security features (i.e. video recording all key transactions, having the option to use key fobs or QR codes to open the lockboxes rather than a pin code, etc). Cons The monthly cost is on the higher side, especially when you got more Keycafe locations. It is not weather proof, you need a separate cover when it is outside in the open.
