The customer support has been excellent, with the team consistently providing prompt, informative, and helpful support whenever we’ve had questions or needed assistance. It has been a dependable partner for our operation, and I would confidently recommend Keycafe to other boutique hotels looking for a practical key management solution. Pros We use Keycafe at our boutique hotel as a backup solution should our primary technology fail, and it has been a great addition to our operation. I’ve now onboarded Keycafe at two properties and have consistently found the platform very intuitive and easy to use. The flexibility is especially valuable for properties like ours that are not fully staffed 24/7. It gives us another reliable way to provide guests with access while maintaining a smooth experience, even outside of staffed hours. Cons One feature I would really like to see is the ability to customize the automated text messages sent to guests when a reservation is created. Currently, we can customize the email communication, but not the SMS messaging. It has made key management much more convenient, organized, and secure, especially when coordinating access for multiple people. While there can occasionally be technical or access-related issues, the overall convenience and efficiency make KeyCafe a useful tool for managing keys. Pros What I liked most about KeyCafe is how convenient and easy it makes key management. Cons The biggest downside is that the system can sometimes be inconvenient if there are technical issues, connectivity problems, or if a user has trouble accessing the key. Also the agents can deposit or withdraw them when it's needed without the need of any assistance in the office during hours outside working hours. It helped us a lot in terms of efficiency. It is secure to keep the keys, and we can track which user took the keys for any visit. Cons The only feature I am missing at this point is that the PIN code is only numerical and would love to set it alphanumerical so we could set similar PIN code as we have in our print system. Cons For outdoor installations, the Keycafe unit needs an additional weatherproof cabinet or enclosure. The system is easy to use, the admin side was the only part that could get confusing. Pros Being able to track where all of our keys are at. We ran into issues in the past with missing keys or an officer holding onto old unit keys then when they left us would find 3 or 4 sets in their unit. At the time we were not able to hold anyone accountable, but now we can see exactly who and where the keys are at. Cons Could use a little more training on the admin side of running the system.
