We use KeyCafe in a unique way to manage the keys to our fleet of vehicles as well as the keys to our lockboxes for the checking in and out of our bank of Taser X26p devices. We now have a secure way to track this with a solid audit trail. I also appreciate the ability to utilize the remote application for those users with the correct permissions. Pros I think most of our staff members (currently around 100 employees and soon to be expanding to more) find that the system is easy to use. The backend management of keys, groups and employees is very easy to setup and maintain. The simplicity of the system and easy training helped to ensure agency-wide buy in to a workforce that doesn't deal well with technology changes. Cons There were a couple of things that I didn't particularly enjoy. The first is that sometimes the doors get stuck and won't open. This is frustrating and problematic as most of our employees are in a hurry to get their keys and start their day. The KeyCafe support recommended lubricating the doors (which I think helped somewhat). The product was mounted in accordance with the instructions, but the doors need to work every time. This is a known problem as there is a section on the troubleshooting to diagnose this issue. The second issue that I have is that the security permissions are inflexible and limited. I wish there were more granular options for users. There are only a few categories that I feel could be expanded to better fit the needs of our agency. I also wish that the KeyCafe boxes were bigger. The system hardware is robust and functional. The support team is always available and resolves any issues in an expeditious manner. Keycafe has been a game changer for our company with key accountability and security. Not having to track down employees to see if they last had the vehicle keys has been a huge return on investment where as we are not wasting manhours on finding lost keys. The ease of purchase, continuous support from the support staff, and user friendly process has made a world of difference at our company. Employees that are assigned vehicles quickly praised the system which keeps just anyone from grabbing their keys without permission. Pros KeyCafe's installation process supported by a superior technical support team allowed us to get the system up and running in less than one hour. Assignment of key fobs and user groups was seamless to our organization. Installing in three locations all with remote interoperability allowed integrated access control, accountability and fleet security all in one step. Cons The only concern we have with Keycafe is the inability to recognize a missed key pickup transaction when the check out process is aborted when the user realizes they picked the wrong key. This creates a key roster that indicates the key is checked out when it is really in the box. If Keycafe moves their fobs towards real-time tracking fobs like Air tag or Tile, that would be a great enhancement to inventory tracking of keys. Especially where keys maybe lost. Prior to implementation, we were constantly hunting for fleet keys, and there was little to no accountability for missing or lost keys. Now, we know in real-time who has each key. The process to implement the system was about as easy as it could be. Not only is the system simple to use, the customer service and training provided by the company was great. Cons We've only experienced two challenges worth mentioning, and neither are all that significant. The first is the system's accessibility in the event of a network and/ or power outage. Yes, there are ways to access the keys in these situations, but they are not easy by any means. In fact, they did not work for us and we ended up having to wait for functionality to be restored. The other issue pertains to what I'd consider the intelligence of the system. If a user opens a bin, leaves that bin open, then puts the key back in that bin and closes the door, the system thinks the key is still checked out and it causes confusion. The system has no way of knowing if a bin is occupied outside of the check out/ check in process. We've just had to train and re-train on this exception. Review Source Nadia-Karina M. Once you get a key set up you can set up permanent users and also temporary bookings for the keys. It also tracks who has the key and what time they pick it up and drop it off. This system has made it very easy for last minute driver changes, since keys can be quickly reassign the key from either the website or the app. Cons Not many cons.
