Overall, my experience with Notion has been extremely positive. It’s become my primary workspace because it helps me keep everything organized in one place—notes, documentation, trackers, and plans—while still being flexible enough to adapt to different types of work. I especially like how easy it is to structure information with pages, databases, and links between content, which makes it simple to build a system that fits the way I work. Even though it can occasionally feel slow with heavier pages and requires discipline to stay tidy, it’s still the most reliable tool I’ve used for staying organized and productive over the long term.

Pros

I love having everything in one place: all my notes, ideas, and work docs organized into separate workspaces with pages, folders, and databases. It’s flexible enough to build anything from quick meeting notes to detailed documentation, checklists, and trackers, and it’s easy to keep things clean and searchable. The ability to link pages together and structure information in a way that matches how I think has been a huge productivity boost. It’s been my go-to tool for the last 4 years because it keeps me organized without feeling restrictive.

Cons

The biggest downside for me is that Notion can start to feel slow and cluttered as pages get heavier (lots of embeds, large tables, or long docs), which makes everyday navigation less smooth. The permissions and sharing model can also be a bit confusing—especially when workspaces have many people—so it takes extra effort to ensure the right people have the right access. Finally, maintaining a clean system requires discipline: without consistent templates and naming, it’s easy for information to become scattered across pages and databases, making things harder to find over time.

ublime was great for writing and editing code quickly, but it wasn’t ideal for managing notes, documentation, plans, and long-term knowledge. Notion gave me a single place to keep everything structured (pages, databases, templates, links, search), so I could capture meeting notes, specs, checklists, and personal tracking in one system instead of scattered files. Over time, having everything organized and searchable became more valuable for my workflow than keeping notes in a plain-text tool.

Overall, Notion is a fantastic software, especially for what we do as a business. The AI features are second to none, and the way you are able to integrate team members, collaborate on projects, and just organize everything from everyday business expenses, to events, as the task management features, it is such a crazy cool software.

Pros

Notion provided an fantatic value for the money in that it does everything we need it to do, regarding our workflow with our business. It's always easy to use, and allows us to collaborate with our team, syncs data instantly, and is always coming out with new updates.

Cons

Sometimes Notion can become a little confusing in the interface, but once I integrated Notion AI, things were able to be less confusing.

In my opinion, Notion is a great option if you need to completely customize your project management tool. There is a steep learning curve, but once it’s set up, the tool is intuitive to navigate. Notion is a powerful productivity app if you need a highly configurable platform and have the time to customize it, but for larger teams or those who want to get up and running immediately, other platforms might be more suitable.

Pros

You can take notes, manage projects, and maintain your databases in one place. The intuitive design makes it easy for users to navigate and organize their projects. You can tailor your workspace to fit your needs with flexible layouts and templates.

Cons

The mobile app is less intuitive than the desktop version. You might experience slow performance if you have large databases or complex setups. It can be challenging for new users to master without spending time on tutorials.

I still use the app, but less than I did a few years ago. I’m careful about the type of information I keep there because of ai, but I can’t deny my projects always look so pretty that I want to come back to them and it’s interconnectedness really makes life easier.

Pros

I like how adaptable Notion is. I can create exactly the type of document I want and make it look pretty too!

Cons

The amount of ai involved. It makes me less likely to trust it as I’m not sure my data isn’t being used to train it. So I’m more wary of using the app now.

I can use it on several devices, but it slows down even when performing simple tasks; the more templates you use, the more complicated and slower it becomes.

I like the templates that are suitable for everyone, and the use of AI makes them much easier to use – and even saves time
