Circulio

## What is Circulio?

Circulio combines rental management and built-in eCommerce for AV, broadcast, pro audio, lighting, production, computers and events. Most event and production rental platforms handle the back office well. None provide a native customer-facing eCommerce channel in the same system. Circulio does. Live availability, online booking, deposit payment and kit selection, all connected directly to operational asset records. No separate website. No two catalogues to maintain. Virtual kits let rental firms offer more combinations online without holding dedicated assets per variant. A business with five products can offer 25 bookable kits. Physical pre-assembled kits tracked by serial number and QR code are also supported. Multiple branded channels - consumer, trade, manufacturer loan, and white-label - operate from one console. The group behind Hireacamera runs 12 channels on one Circulio account. Stripe, Xero, ShipStation and Klaviyo integrated. Good Business Charter accredited.

Our overall experience with Circulio has been very positive and genuinely collaborative. From the outset we were moving from a spreadsheet‑driven way of working to a single SaaS platform covering everything from inventory and availability through to invoicing, and that is a big cultural and operational shift for any business. Circulio has given us that end‑to‑end capability in one place, so we can manage stock, bookings and billing on a unified system rather than across multiple files and tools. What has stood out most is the partnership with their team and developers: they have worked directly alongside us, rolled up their sleeves, and really engaged with how our business operates, rather than just configuring a standard setup and leaving us to it. Where we’ve needed the platform to stretch beyond its out‑of‑the‑box configuration, they’ve listened, iterated and actively looked for ways to shape the product around our processes. Of course there have been moments of frustration, but they’ve mostly come from our desire to have a complex, business‑wide solution “fully there” on day one, rather than from any lack of willingness or support from Circulio. In practice it’s felt like an ongoing journey of continuous improvement, with a clear direction toward having one robust, scalable platform underpinning our whole operation.

Pros

I liked Circulio most for how they handled the very real challenge of moving us from spreadsheets to a SaaS platform that runs right across the business, from inventory through to invoicing. Their team and developers didn’t just configure a system and walk away; they rolled up their sleeves, worked directly alongside us, and really got into the detail of how we operate. That hands‑on approach made a huge difference in managing the complexity and change management that comes with leaving spreadsheets behind and consolidating everything into one platform.

Cons

What we’ve liked least about Circulio is actually hard to pin down, because our experience has felt more like a work‑in‑progress partnership than a finished, “take it or leave it” product. It isn’t that there are specific aspects we don’t like; it’s more a natural frustration that the platform can’t immediately do absolutely everything we want straight out of the box, which is a big ask for any system. That said, the team has been excellent at listening, collaborating and developing solutions with us so the platform can evolve to fit our business, which has turned those frustrations into a shared roadmap rather than a deal‑breaker.

The team at Circulio have been incredibly patient and supportive, and have worked closely with my company to ensure a smooth process onboarding onto their system. They also take a real interest in our performance, regularly checking in each month to ensure we are moving in the right direction and helping to support any issues that we may be facing.

Pros

Circulio has been a game-changer for our rental business. The platform is incredibly intuitive, making it easy to manage bookings, inventory, and payments all in one place. One of the standout features is how seamlessly the front-end website integrates with the backend system — customers can browse, book, and pay online without needing us to intervene. It's professional, well-designed, and mobile-friendly out of the box. The support team has also been highly responsive and genuinely interested in helping us tailor the platform to our needs.

Cons

The entire experience has been very good, with a very supportive team. If there was one thing I would say was not the easiest integration, it is that the system is geared towards working in the United Kingdom and other European countries, making it a little more difficult for companies not in those regions. In North America, there are unique shipping issues with locations that are exceptionally rural or far away, taking more than one day for delivery. This means that there are some situations we have to override things when the software expects an item to return next day. However, the team at Circulio have been fantastic at addressing our needs - even if we are the only customer facing it - and have adapted the program to allow us to work with their system. They are consistently releasing updates to ease any pains with shipping and are very responsive to help.

The support has been first class and any small question I have had has been answered straight away and clarity provided. It was always going to be a steep learning curve moving over to a piece of software which automates so much of our operations, but the guys at Circulio have been there every step of the way to guide us through the process.

Pros

Great support, people who really care about our business and coming up with solutions that will help us to grow and scale. Integration with multiple platforms so that everything is in one place - invoicing, shipping, stock availability etc. It really is a one-stop shop for running a hire business

Cons

No a con specifically to this software but as a small and busy company having the bandwidth and diary time to get everything set up correctly and working for us has been a challenge but once done it works great. More of a challenge for us as a company operationally than a con of the software itself!

We are working together for almost 3 years now, and this is clearly one the best decisions I took with my company. I see them more as a partner than a provider. We work together aiming the same goal: Growth.

Pros

I loved how they manage everything from the back end to the front end. This is a fully integrated solution with an amazing team.

Cons

Circulio could appear as expensive at first glance, but it is totally worth the price.

The integration of Loki is pretty poor. Once again this is good for the price, but we need a top of the game software, and Loki is not. Circulio is.
