Great product would recommend for small to medium businesses. My overall experience with Wiplist was positive. It was a relatively easy migration from our previous Software.

Pros

Great customer support, easy to use and great value. The ability to bi-directional sync with accounting platforms is a great feature.

Cons

No mobile application at present. This is a limitations much using Wiplist in the field a little more difficult.

Ease of use, the ability to have so much flexibility and source the information you need so quickly.

Cons

The reporting functionality takes a bit to get use to. As well as the ability to export time reports via months.

So far, so good. Wiplist has a unique design and workflow that takes some time to get used to, but once you do, it becomes a very effective tool. The real-time updates make collaboration seamless, and it keeps everyone on the same page without constant back-and-forth messaging. It’s a bit of a learning curve at first, but the productivity boost makes it worth it.

Pros

I really like how Wiplist makes project management easier with its real-time updates. It’s smooth and responsive, so I can track progress instantly without refreshing or switching tabs. It also feels modern and different from other project management tools, which makes it stand out.

Cons

Because it’s so unique, the user experience can feel a bit unusual at first. There are no clear guides or tutorials, so you have to figure out how to use its features on your own, which can slow down the learning process.

I made the switch from Trello and Monday.com to Wiplist because I wanted something that felt more dynamic and adaptable to my workflow. Trello is great for simplicity, and Monday.com offers a lot of structure, but Wiplist combines the best of both while adding unique features like real-time updates, customizable templates, and a smoother way to manage multiple projects in one place. It also feels more lightweight and faster in terms of responsiveness, which is important when juggling tasks. Even though it has a learning curve, once I got used to its unique interface, it proved to be more efficient for my needs.

I think it suits where we are at as an Agency, Im sure there are ways to improve the platform, but this comes over time and the feedback from clients.

Pros

Wiplist was always aimed at improving our internal admin by staff across all areas of our Agency. As MD I get to assess the data/reports to ensure i understand the ebbs and flows of the business and how we can improve outcomes.

Cons

I think initially, we struggled with moving from Brief Case \[old platform\] in to Wiplist, but after some quality training sessions this became a non-issue.

My experience with the project was very positive. I found the process clear and well-structured, and the quality of the output exceeded my expectations. The communication was consistent and efficient, which made everything run smoothly. Overall, I walked away feeling very positive about both the outcome and the collaboration.

Pros

It’s both intuitive and aesthetically pleasing, combining seamless functionality with thoughtful design. The interface is easy to navigate, ensuring users can quickly understand how to interact with it without the need for extensive guidance. Every element feels purposeful, from the layout to the typography, colour palette, and spacing, all contributing to a cohesive visual experience. It balances beauty with usability, enhancing engagement while supporting efficiency. The design not only looks good—it works well, reinforcing the idea that form and function are not mutually exclusive. It invites interaction while making each step of the journey feel natural and enjoyable.

Cons

It needed to deliver significantly more in terms of its capability—particularly around resourcing, schedule management, and timeline creation. The existing functionality was too limited to support the complexity and scale of modern project demands. There was a clear gap in how effectively it could allocate resources, manage dependencies, and adjust timelines dynamically. Teams require tools that not only visualise a plan but also adapt to real-time changes, accommodate shifts in availability, and streamline collaboration. To be truly effective, it had to go beyond basic planning and offer a robust, flexible system that could support end-to-end project delivery with confidence and clarity.

The reason I used Wiplist was simply because it was the platform the company had chosen to adopt. Left to my own devices, I wouldn’t have made the switch from Streamtime, as I found it far more intuitive, reliable, and better suited to my workflow. Streamtime offered a more seamless experience, particularly when it came to scheduling, resourcing, and time tracking—it just worked. Transitioning to Wiplist felt like a step backward in terms of functionality and user experience. However, I adapted because it was important to align with the broader team and maintain consistency across the company’s project management systems.

Wiplist is very easy to use because of it's fantastic user interface. Onboarding is quick and painless. Reporting is great and time tracking is excellent.

As easy to use as Wiplist is, some designers in my team struggle to see how much time is allocated to a task that they have been assigned.

Really great, Wiplist have provided excellent support and been extremely collaborative with our team and its needs.

Pros

The ability to set up custom reporting for individual team members. This has meant we've been able to move away from spreadsheets and project tracking that was time consuming and inaccurate.

Cons

We currently use a project scheduling app to manage our workflow and schedule projects, and while Wiplist has some similar features, it doesn't provide quite the same functionality (but this is in development).

I've been using Wiplist for a few years, I love that there are so many different things I can do, like templates for quotes, pricelists to make quoting quicker, and notes on my supplier contacts.

Pros

Wiplist is perfect for me as a sole trader because I can keep track of my projects, quotes and invoices all in one place.

Cons

I like to give my regular clients special prices on certain products. There's a discount function on Wiplist, however calculations need to be made manually and then they don't display properly on the client invoice. My other issue is that I sometimes invoice through Paypal for credit card payments. With Wiplist, GST is calculated at a different point than what Paypal does which means that the final price on the Wiplist estimate differs to the Paypal total.

Their customer service is exceptional, they are always wanting feedback to their products and incorporate good user suggestions in future releases. I'd be more than happy to discuss Wiplist with anyone looking to use the product.

Pros

We've been using Wiplist for a number of years in our design studio of 10 people. I highly recommend Wiplist for time tracking, estimating and invoicing.

Cons

I don't have anything negative to say, the product is both simple enough to use efficiently and detailed enough to use thoroughly.

Wiplist is the simplest and most effective to-do app I’ve used. It’s super fast, super minimal, it allows me to type what I need to get done and keep track of my workload. It helps me stay focused, especially when I’m juggling a multiple projects. The UI design is clean, allowing me to keep track of what I’m working on.

Pros

Easy to track time spent on jobs, allows me to see how much cost has gone into labour and stay on top of client billing

Cons

can't easily find names of jobs sometimes if they have similar names, I'd like to find it through the job number specific code.

Pros

This product is easy to use, and its features are very intuitive. It's helpful in keeping track of project budget and allocations.

Cons

The occasional bug when creating estimates where the window refreshes on its own and all unsaved changes get lost and aren't retrievable.

Great. I have used a few workflow management systems and this one is easy to use once you get the hang of it!

Pros

easy to navigate, great for keeping track of where jobs are at and keeping all project members updated.

Cons

the activity section can become a bit like your email - a bucket of to-do's that go on forever and get lost....

Wiplist serves as a solid tool for overall project management. While a few features require some getting used to, most are quite intuitive and easy to navigate. Some functions can be a bit tricky at first, but they’re manageable once you spend a little time exploring them.

Pros

One feature I really appreciate is the ability to communicate and tag colleagues directly within a specific project. This makes collaboration much more efficient, as everything stays organised and context-specific.

Cons

I find the timesheet system quite challenging to use compared to WorkflowMax. With WorkflowMax, tracking time was more straightforward and intuitive, allowing me to log hours efficiently and review them quickly.

A fundamental business tool that we can't do without. Since the early days there's been numerous and gradual updates and improvements. It's a joy knowing that this software improves with every iteration. This is a pivotal piece for our small businesses operations.

Pros

Once you get the hang of it. It makes everything easier. I love how easy it is to put together complicated estimates and proposals.

Cons

Font styling is an issue. The body of the parts need the ability to create better information hierarchies. Also duplicating Parts would make it so much more convenient and save time. This was a request I placed and I believe it will be implemented at the end of the year. The adding of tasks and timesheets is still very tedious, not sure how to make this less so though.

overall I think wiplist is good, really its just annoying that there is no mobile app and I would say that is my biggest issue with it

Pros

easy to use and find job info, its very fast and if my colleagues put something up and I can find it very quickly, it helps keep things organized

you cant really use it on your phone, adding the function to be able to update your timesheets on your phone would be great or creating a mobile app

Overall, it's been a positive experience. The platform makes it easy to manage projects efficiently, stay organised, and keep track of progress. The user interface is intuitive, and it really helps streamline collaboration and task management.

Pros

A really helpful tool for staying organised and on top of tasks. This app has made time management so much easier, whether it's planning my day, setting priorities, or tracking deadlines, it keeps everything in one place. Highly recommend for anyone looking to be more productive.

Cons

The app logs out too frequently, which disrupts workflow and is frustrating during longer sessions. Also, there’s an issue where assets can’t be dragged and dropped into the post comment sections. This really limits functionality and slows down the process. Hoping these bugs get fixed soon.

I've been using Wiplist and its previous incarnation for probably over 10 years. The evolution of the product has always kept pace with my needs and the support and team behind it have always listened and worked with us to resolve any queries or issues we've had.

Pros

Seamless processes make it's dead easy to manage our projects, costings, expenses and billings. I love the integration with my account software too, the ease of use and the management of clients, team members and the templates. I also love the fact that we can have multi-currencies, multi-currency templates for invoices and so much more. I can't really recommend this software and \[sensitive content hidden\] and his team enough. They've always been great at providing me with support and advice and also listened when I've faced a problem or need something changed or added. They're always looking at ways to improve and listen to their customers before adding a load of features that just are not needed. The extra little bit of a personal touch from them has made me be loyal customer for so long, plus of course the software is awesome and exceptionally well priced.

Cons

Never really had any problems with Wiplist. It's always done exactly what I needed. Having moved to an online hosted software has also improved access so no complaints from me.

It's much better than the old software we used. I like the layout and most of the features. We don't use everything available but it does everything we need.

Pros

The Estimate to Invoice features work really well We use scheduling every week to plan our designers time and that's super useful All the tracking and report views prove helpful

Cons

The Project Overview table within a project is annoying. I have a preferred layout for these tables, but it doesn't carry across all projects, so when there are over 300 projects that I look at, it's annoying to have to set a default for each. Being able to have some line items as billed and some as retainer would be useful. Sometimes when moving time around in the schedule it does a weird 5 minute interval which offsets the rest of the day. Some of our designers have responsibilities each week that remain the same time and day. It would be good if this could be pre-populated. Logs me out regularly

To address some of the feedback: - The latest update to the project overview table, admins can set a default so might be good to speak with your internal administrator to get this resolved - We were advised of a similar bug in the Schedule feature which should have been resolved. - Logging out, we completely understand this can be frustrating but it's a result of security protocols which might include inactivity, a feature release and sometime a drop in internet connection. I'll pass on your feedback about reoccurring tasks and see if that is something we can include in our roadmap. We have really enjoyed the transition to Wiplist from our old project management systems. We would recommend it strongly for anyone considering how to tighten up project administration and management.

Pros

Wiplist has been a game-changer for us. It has helped us streamline project management and reporting. We have a much cleared view of project metrics from initiation and project setup, right through to invoicing and receipt of payments. Integration with out accounting package is seamless and trouble free.

Cons

We are excited for more feature to be released - particularly around project resourcing and allocation of time and project forecasting.

Its user friendly, easy to transition from the old system to this one. It's the only program i use for all of my job trafficing purposes. Really happy with it.

Pros

It's online and I can access it from any computer. I like the simple layout. It was an easy transition from Briefcase to WipList.

Cons

The mobile version isn't really that friendly. works best on a larger screen. If the price could be reduced that would be great. cost of living and everything going to subscription hurts the back pocket.

I have used wiplist for several years now after transitioning from a different software. Using it to create estimates and invoices, and fill in timesheets.

Pros

Easy to use and manage data. Easy to track and manage performance of other personnel. All information is centralised in one location.

Cons

having to specify which subgroup a search term fits within. e.g. name:, project number: etc. instead of being able to directly type in a search term.

The search box acts as a general search field to locate items in a natural, unformatted way, simply enter your information and hit return and a broad response will return. For more advanced search you can use the magnifying glass to search via criteria, or string together by using a semi-colon between each category to fine tune the results. Since its inception, the platform has made leaps and bounds in terms of capabilities to tailor it to our growing needs. We are really please with the platform overall, as well as its UX and aesthetic.

Pros

Wiplist as a multi-functional production tool allows the team to work across multiple projects - scheduling, cost tracking, estimating and timeline tracking with ease, along with reporting as a business tool.

Cons

There can be a few bugs - which is understandable is start up phase. Ideally we could also add Callsheets to the capability which links to the deal memos / PO's sent so we can track the crew on set too. And send live callsheets to each member (like studio binder).

Pros

Every feature of Wiplist works perfectly. The system and its tools are very well thought out and exceptionally executed.

Cons

Some advanced configurations are unavailable to power users, but can be addressed through conversations with support.

Its one of the best digital timesheet experiences I've had. It's simple to use and makes doing timesheets slightly less painful.

Pros

I like how simple it is for me to input my time, and that it can be prefilled by the people who have control over the various projects I work across.

Cons

As I only interact with the timesheet function of Wiplist, the UX is quite busy for my needs. I'd love a simplified version of the app only for timesheets.
