Overall, BlueDocs has changed how we handle internal knowledge. People no longer send Slack messages asking “where’s that doc?” because they know the answer is always in BlueDocs. Onboarding is faster, policies are actually read and acknowledged, and compliance reporting is no longer a headache. Collaboration has improved too — comments, mentions, and approval workflows keep everyone aligned without endless email chains. It genuinely feels like we’ve replaced four different tools with one platform, and the cost savings plus time saved have been worth it. It’s not perfect, but it’s the closest thing we’ve found to a true “single source of truth” for our team.

Pros

The biggest win for us is finally having everything in one place. Before BlueDocs, we were juggling Google Drive, Dropbox, an internal wiki, and a separate training tool — and still people couldn’t find what they needed. With BlueDocs, our SOPs, policies, onboarding checklists, and training modules are all centralised. The version history and acknowledgment tracking are huge for compliance, and the built-in training paths with quizzes made onboarding new hires far smoother. I also like that the search actually works — typing in a keyword usually gets me to the right doc within seconds.

Cons

At first, the sheer number of features felt overwhelming. It’s not a tool you just click into and instantly master — we had to spend some time deciding how to structure our folders and categories. Some of the advanced customisation (like building internal landing pages) wasn’t immediately obvious, so there’s a bit of a learning curve. That said, once we invested a little time upfront, it’s been smooth sailing.

BlueDocs stood out because it isn’t just a wiki. It combines documentation with training modules, policy management, and compliance tracking in one place. That meant we could retire three different tools (Confluence, a separate LMS, and our policy tracker) and manage everything in a single platform. The search is also noticeably better — finding SOPs or policies in BlueDocs takes seconds, whereas in Confluence people often gave up and just asked in Slack. Onboarding new hires has been much smoother, and managers finally have visibility into who has completed training or acknowledged policies.

Overall, BlueDocs has become the backbone of knowledge and compliance management at Linxio. It has allowed us to scale faster without adding headcount in HR or operations, because so much of the onboarding and compliance work is now automated. Employees find it easy to use, managers get visibility they never had before, and executives like myself finally have confidence that policies are being followed and knowledge is properly managed. The combination of ease of use, strong customer support, value for money, and powerful document management features makes BlueDocs a standout platform.

Pros

What stands out most is how much ground BlueDocs covers as an all-in-one system. For us, it handles document management, knowledge base, onboarding, policy management, and even governance/compliance tracking — without needing five different tools stitched together. From a usability standpoint, the ease of use is excellent. The editor is clean, so our teams can create and update SOPs, training content, or policies without friction. The document editing features (version control, formatting, embedding images/code) make it feel professional yet approachable. I also appreciate the value for money. For what it replaces (LMS, document repository, internal wiki, policy tracker), the subscription price is very reasonable, especially as we scale. Finally, I’ll call out the customer support — it’s proactive, quick, and human. Every time we’ve had a question, the support team went above and beyond to ensure we weren’t stuck.

Cons

No platform is perfect. The email and notification system is helpful but can sometimes feel a little noisy if too many updates hit at once — I’d love even more granularity in controls. Also, while file sharing works well, tighter integrations with some niche SaaS tools we use would make it even more seamless. That said, these are minor compared to the overall benefits.

We had been using a mix of Notion, Trainual, and Confluence, but each one came with gaps that became more painful as our business scaled. Notion was flexible but quickly became cluttered — everyone could create pages, but without structure, knowledge was scattered and hard to maintain. Trainual worked well for onboarding, but it was very narrow in scope and couldn’t handle the broader needs of ongoing documentation, policy management, or compliance. Confluence had the opposite problem: powerful in some areas, but it felt heavy and difficult for non-technical teams to adopt. BlueDocs solved these problems by giving us a single platform that combines the best of all three: the simplicity and flexibility of Notion, the structured onboarding flows of Trainual, and the policy/document rigor of Confluence — but in a way that’s actually approachable and easy to manage across departments. It replaced three tools with one, which lowered costs, improved adoption, and gave leadership confidence that we finally had a system of record for everything from SOPs to training to policies. In short, we switched because BlueDocs gave us clarity where the other platforms gave us silos. It’s easier to use, better adopted by staff, and designed for teams that need onboarding, knowledge management, and compliance in the same place.

Reasons for choosing BlueDocs

When we were evaluating documentation platforms, Document360 was definitely on our radar. It has some good authoring and knowledge base capabilities, but ultimately it felt too narrow for what we needed. Our requirements went beyond just creating articles — we needed a true all-in-one system that could handle document management, training and onboarding, policy rollouts, compliance tracking, and internal as well as external knowledge sharing. BlueDocs stood out because it covers all of those areas in a single, easy-to-use platform. Instead of bolting together multiple tools, we could centralize everything in one system. Features like policy acknowledgment with audit trails, automated onboarding paths for new hires, and role-based access control are things Document360 didn’t provide in the same depth. BlueDocs also made it simple to create custom pages, share files securely, and set up workflows that matched our processes rather than forcing us to adapt to the tool. Another major factor was adoption. Non-technical staff found BlueDocs much easier to navigate compared to Document360, which required more training to get comfortable. Our IT and HR teams both agreed it struck the right balance between powerful functionality and day-to-day usability. On top of that, the customer support from BlueDocs has been excellent. They’ve been responsive, proactive, and genuinely interested in helping us succeed. Combined with a pricing model that offered better value for money, it made the decision straightforward. In the end, we chose BlueDocs because it went beyond being a documentation tool — it became the backbone for onboarding, compliance, and knowledge management across the business, something Document360 just couldn’t match.

overall the experience with blue docs has been very good, I signed up to a free trial and was offered free on boarding and training from \[sensitive content hidden\] who was great and even helped us migrate some documentation to help us get started

Pros

I like that I have all company documentation in one place and not scattered around. It’s easy for all team members to have visibility on internal documentation including policies that we can manage to make sure everyone has read and accepted company policies which helps us with our compliance requirements.

Cons

For us, it has all of the features that we need so I can’t really think of any cons at the moment apart from maybe they don’t have a mobile app

BlueDocs help us in internal training feels way more organized and well set up there support are always amazing

Pros

bluedocs breaks training into chunks, tracks progress, super clean, and exelent integration i love them

Cons

Bluedocs lacks gamification or quizzes, but not a deal breaker they need to improve on that i wish i hve heard them before this time
