From our initial call through to now — two years in — we have been able to streamline so many of our processes and become significantly more efficient. With both membership and catering playing equally important roles in our business, Clubspot has been nothing but responsive, accommodating, and supportive throughout the entire process. Whenever we needed something, we were able to discuss it with their team, and their production staff would immediately look into whether a solution could be created. It is a really great concept: instead of forcing clients to adapt to an outdated, antiquated system, Clubspot actively listens to what their clients need and works to meet those needs. That level of flexibility and collaboration is something that truly sets them apart from many other country club software programs.

Pros

What I appreciate most about the program is that it has allowed us to consolidate everything into one seamless system; not only for membership management, but for banqueting as well. It has greatly improved efficiency and organization across the club. In addition, the team has been wonderful to work with: responsive, professional, and always helpful.

Cons

Nothing comes to mind that I am unhappy about. Whenever we encountered an issue, we were able to email or call our point of contact, and if they could not resolve it immediately, they communicated this clearly and worked to resolve it as quickly as possible. If an immediate solution was not possible, they were always honest and transparent, and never provided misleading information.

Our membership started growing rapidly in 2021 with Covid. Our 100% volunteer operation was not keeping up. After a strong search we landed on a relatively young product Clubspot. With a strong onboarding and integration we got our 250 membership operation fully going in months ready for our annual January billing cycle. Prior to Clubspot we had individuals doing each of the operations separately. With the launch of Clubspot we consolidated the entire operation to one person. Since launch our member count jumped to over 600 with a multi-year waiting list.

Pros

Customer account self serve, automated billing, integrated accounting, regatta hosting, facility assignment/boat management, and web hosting. Primarily the software allows us to integrate all the pieces of the operation into one place with one set of accounting and limited volunteer time requirements.

Cons

Point of Sale was and continues to be a challenge. Our club has an interesting food and bar operation. Food service is provided by a third party that has their own POS. The bar operation is ours with our employees. The bar is cash/credit with no open tabs allowed at closing time. The POS implementation in 2022 was plagued with a very poor customer experience on credit card payments with the bartender having to do too many keystrokes and an embarrassing tip process. Opening weekend was chaotic leading to a very quick decision to switch the bar POS to Square. It has not been easy to get any acceptance of returning to Clubspot.

Reasons for choosing Clubspot

Clubspot had more integrated processes that we used, plus options to expand our management options. Others were good at regatta management, or marina type management, or memberships, but rarely everything we needed. Plus Clubspot replied, care, and answered questions while others struggled with basic sales calls.
