As Technology Director, I sit at the intersection of constant security pressure and the realities of a lean IT team. Workspace Audit is one of the few tools that genuinely earns its place in our stack. We run Google Workspace across a large student and staff population, and the Admin Console alone makes it very easy to miss critical settings or drift away from best practice over time. This tool gives me confidence that we are catching those drifts early, and it does so without demanding hours of my team's week. What I appreciate most is that it translates security posture into something I can actually report on. I can walk into a leadership meeting with a clear compliance score, a prioritized list of risks, and evidence of progress over time. That changes the conversation around cybersecurity at the institutional level.

Pros

The dashboard is clean and immediately useful. Issues are categorized by severity and by Google service, which makes triage straightforward even for team members who are not full time Google admins. The direct links into the Admin Console are a small detail that saves real time, since you go from finding to fixing in one click. Scheduled scans are a feature I rely on heavily. Configurations change as people adjust settings throughout the year, and weekly automated scans flag drift before it becomes an incident. This is invaluable in a school environment where multiple admins occasionally touch the same settings. For non Google Admin experts on my team, the plain language recommendations and references to CIS, NIST, and CISA frameworks give them the context they need to act with confidence. It also gives me strong material when I need to justify changes to non technical stakeholders or our board. The vendor team has been responsive and engaged. They clearly listen to schools, and that matters when you are trusting a tool with this level of visibility into your environment.

Cons

Honestly, very little to flag. The one area I would love to see expand is integration with SIEM platforms and ticketing systems, so that flagged issues could flow directly into our existing incident and remediation workflows. That would close the loop nicely for organizations that already have established security operations processes.

This is the perfect tool for all Google Admins. There are so many policies/settings that need reviewing and changing, Workspace Audit does this automatically thus saving time and energy. It helps Google Admins prioritise their work and ultimately ensures your Google Workspace domain is always safe and secure.

Pros

For those of us who are not Google Admin experts, Workspace Audit is a great tool for monitoring your Google Workspace domain settings and policies. The UI is easy to navigate and understand and it clearly identifies risk through a RAG system so you know what to prioritise and what you need to do to address them.

Cons

The dashboard can be a bit overwhelming at times, especially if you have a lot of security issues. It would also be great if there were longer trial periods or a greater selection of pricing tiers so that schools - on small budgets - could make use of this great tool.

I inherited a Google environment that was missing some very key changes to the default configuration, that would have made a few incidents we had a lot easier to either block, or manage. This tool not only gave me a direction for a more refined permissions approach, but also allowed me to rewrite some user policy with respect to User permissions. We already made an investment into another Workspace tool, that is far less approachable, and requires a higher version level to leverage some of the promises. If I was in a comparison situation for my own management needs, I would have steered directly to the Workspace Audit tool instead, as it works on core configuration settings that prevent other issues I would need to fix later

Pros

The UI/UX layout made all of your most important issues always visible. I never lost site of the alerts that needed my focused attention. Each issue was backed by at least one to multiple best practice and framework references to put the confidence into why you would be making a change, and why it was for the better, this would make life easier for explaining to a Change board.

Cons

I only undertook the trial and an extended one after that, but that allowed me to actually run a demonstration to our education Foundation. One of the aspects that I missed, were the Risk Centers, which after a few online workshop/meetings, I can see the live risks as they would occur in my environment. I was unfortunately not able to assess this section against my own infra to understand the results more closely

I used Workspace Audit Tool when they were offering free trials for the pro version. We have a small school where our IT staff wear many hats that include working as full-time teachers. We are far from security experts and often talked about needing to find the time to audit our Google Workspace settings, since it had been a few years since we had done so. This tool made it so easy to review everything at once and to implement the necessary changes. It certainly put our minds at ease knowing that things were as they should be 'under the hood'.

Pros

The tool is very user friendly, and the instructions are well written and straightforward. I had a couple of questions and was able to get timely answers from the developers.

Cons

The large amount of data you receive after running the audit can be daunting, and it takes some time to review everything to make sure the fixes apply to your context. Although I would rather have the extra information and be able to sort through it myself, than to be wondering if there was anything I might be missing.

Excellent, a must if your school uses Google Workspace. This has been really helpful in preparing for our Internal Scrutiny and reporting to our Trust board.

Pros

Workspace Audit is simple to use and has been really helpful to understand and identify our risks ranked by critical, high, medium and low - the guidance and links directly to the admin console make it very simple to prioritise and rectify potential security risks for your IT team. The overcompliance score is an excellent way to demonstrate external QA and is very useful for senior leadership and trust / governing board reporting.

Cons

A 7 day trial is not long enough. Understandably you need to be a super admin user to access the software, given how busy school leaders unless you set time aside to review the software 7 days is a bit tight, however I do believe the trial can be extended.

With Workspace Audit, I feel that I have a second pair of eyes reviewing my Google Domain settings. The team that develops the program works with many different schools in various countries, which helps me understand what other schools are doing as best practices.

Pros

Workspace Audit has a great dashboard that provides an overview of all unique risks by severity, allowing me to prioritize my time by addressing the most critical issues first. The number of risks is clearly presented, enabling me to easily track my progress as I resolve several issues each time I log on.

Cons

It's hard to think of things I don't like when there is no product that performs similar functions for comparison. If I have to nitpick, I would say it would be not knowing the risk immediately if I accept an issue without resolving it.

As an Educational Technology Consultant at a university, I used Workspace Audit to scan our Google Workspace for Education domain. The results were eye-opening; the tool surfaced several action items across more than a dozen security categories, giving me a clear picture of where we stood. More importantly, it gave me the evidence I needed to sit down with our system administrator and IT team and have a focused, data-driven conversation about what to fix first.

Pros

The dashboard breaks everything down by category — Identity & Authentication, API Controls, Drive and Docs, Gmail, Chat, Calendar, and more — each with a compliance percentage and issue count. That made it very easy to see at a glance which areas were well-configured and which needed urgent attention. The tool flagged critical issues I wouldn't have caught through the Google Admin Console alone, and the prioritization (Critical vs High) helped us focus our limited IT resources where they mattered most. I was also glad to see a "Resolved Issues" section that tracks what's been fixed, so we could show progress over time. For someone in my role(not a full-time admin, but someone advising the IT team) the plain-language recommendations made it possible to translate security findings into action without needing deep technical expertise.

Cons

When the scan surfaces a large number of action items at once, it can feel daunting for a small IT team. A guided remediation roadmap or suggested sequencing beyond the top recommendations would help teams prioritize without feeling overwhelmed. I'd also welcome more benchmarking context specific to education institutions, so universities can compare themselves against peers rather than all organizations broadly.

I recently had a free trial of Workspace Audit to scan our Google Workspace tenancy and identify potential security improvements. It was very simple to set up and run a scan of the environment, with pretty much instant results. The tool makes it easier to see what settings need changing to become a more secure environment. With so many settings available within Google Admin, it's very easy to overlook and/or miss important configurations. The dashboard is what makes this tool even more user-friendly. It presents findings in a clear way and categorises issues by area and severity. This made it easy to prioritise what needed attention. I also found the direct links into Google Admin particularly helpful, saving time when locating and updating specific settings. Workspace Audit appears to be a very powerful health check tool that provides immediate clarity on where your domain stands against best practices. It highlights misconfigurations and gives actionable steps to resolve them, ultimately helping to strengthen overall security. Not all areas of Workspace Audit are available for trial users, so I can't comment on those. But from demos I have seen of these areas, these features look like they would add even more value. Overall, the trial experience was very positive and demonstrated real value, particularly for admins looking to improve security quickly and efficiently. However, while the tool is clearly powerful, I feel the pricing model may put it out of reach for some. In our case, current and upcoming budgets are tight. That being said, we will definitely consider this tool in future budget planning, as it adds clear value and gives greater visibility into your tenancy than Google Admin alone.

Pros

My experience has been excellent. The platform is modern, sleek, and broken down into intuitive sections. What really sets them apart is the team; they actually listen to feedback and proactively reach out to let us know when they’ve implemented our suggestions. We don't just use this for "information only"—we actively work through the reports to implement changes and consistently harden our security posture. It is a technical, in-depth, and essential tool for our team.

Pros

The level of detail is impressive. The depth of the reporting—specifically the views for extensions and Workspace apps—is incredibly useful. It provides a granular look into our environment that other tools simply miss, making it much easier to manage our digital footprint.

Cons

Honestly, it’s hard to find a major fault because the tool is so modern and well-organized. If anything, the sheer amount of technical data can be a lot to digest, but the clean UI and categorized sections make it as manageable as possible.

Great Audit tool that is really easy to user and finds settings that I didnt even know about that were enabled on my organisation.

Cons

Some settings were quite confusing in the admin centre where I was trying to work out what they were doing

Overall, this is the tool I wish Google had built into the Workspace dashboard from the start. It cuts through the noise of the Admin Console and highlights exactly what needs attention. The UI is simple and intuitive, making it easy for our team to stay on top of our security posture without needing to be experts in every single sub-menu. We’ve found the compliance tool particularly helpful for our Cyber Essentials journey. Even with some slight loading delays and the occasional need to re-verify accepted risks, the peace of mind and time saved make it an essential part of our toolkit.

Pros

The Workspace Audit Tool is a massive time-saver for any Google Admin. It exposes critical security settings that you might never know existed in the standard admin panel, and the ability to remediate issues right then and there is incredibly efficient. We specifically love the compliance tool—it’s been invaluable for ensuring we meet Cyber Essentials requirements. Unlike many heavy-duty auditing tools, the UI is surprisingly simple and doesn't require a steep learning curve to start seeing results.

Cons

The interface can be a little slow to load when pulling large datasets from the Admin Console, which is a minor trade-off for the level of detail provided. I've also found that 'Accepted Risks' don't always stay cleared between scans, which can be slightly annoying to manage. However, it’s a small price to pay for a tool that makes compliance tracking for Cyber Essentials so much more visible.

As an International school tech director I am often strapped for time and under the pressure of financial constraints. AppsEdu workspace audit hits the sweet spot on both of these pressure points. It is super easy to use and allows me to check how secure our environment is. Weekly scans let my team know when someone has made a change that could effect our security. While this tool doesn’t replace an in person audit it lets me sleep better know that we can constantly check our security settings and tweak things as we go

Pros

Workspace audit is very easy to use, The technical team hopped on a call and we got set up within 10 minutes. They then walked me through all the features. They have also been responsive to improvement requests and are constantly adding new features. They added the ability to accept risks after user feedback. The ability to audit your google workspace quickly and cost effectively is important for any security conscious organisation. The ability to run scheduled scans or scan immediately is super useful as is the direct link to the google documentation or the place in the admin console where you need to make the changes

Cons

At first glance you get a scare when you see your initial health score or the language used i.e. 62 non compliant issues. Once you figure out how the app works and what these terms mean it makes it less confrontational. I wouldn’t directly show the app score to my director or manager without explaining how it works. Perhaps some less confrontation language or an explanation that it is not the end of the world if you have non compliant issues. Sometimes you implement a recommendation that effects the users ability to use an app or do their work for example we blocked app from using google classroom to sign in and that meant no one in our organisation could use Sketchup.
