The wallet feature has been so useful for us to increase our spending limits for our staff. Physical cards take a while to arrive, so we've learned to plan farther ahead and are beginning to utilize the preloaded card feature for volunteers in place of reimbursements. The app has been really great for all our staff and is easy enough for those who are not tech savvy to use with success. We love the ability to increase limits instantly & have utilized that more times than expected! We also appreciate that our questions, concerns and ideas are heard and considered!! Thank you! Pros We love the app, digital receipt capture, custom organization of accounts and the ability to import transactions into our accounting software. Our team has really benefited from getting our spending on the books faster so we can better track our budgets! Cons My team would really love the tap to pay feature. I would love the ability to waive a receipt requirement on a transaction and temporary card limit increases (for mission trips or VBS, etc.). Sometimes it takes a bit long to load & my team will have issues adding receipts & updating transactions on occasion, which can be frustrating. We have found it user-friendly and love that we can upload photos of our receipts right away. As the church treasurer, it has made my job easier for accounting purposes, and it has virtually eliminated the need to track staff members down for receipts or descriptions of expenses. I love that it integrates with Amazon Business and Quickbooks Online as well. We are so thankful that we made the switch to KleerCard! Cons There have been a few glitches here and there with the app as the receipts wouldn't upload for a time, but that was resolved within a few days. Pros I had been spending hours posting our credit card purchases into the accounting system. We had US Bank CC and the process of uploading the information was time consuming and challenging. Easy for all users and integrates with financial software. Credit card process is much easier than a traditional credit card. Cons When monthly fees were introduced. Recently having trouble getting new accounts connected for setting up team member accounts - haven't gotten much of a response about how to make that happen. It is user friendly and very powerful. Pros We are using about 20 different credit cards for our employees. They are easy to manage, track spending and budget codes. It is easy to upload into our accounting system. Customer Service has been great and if there is a fraud charge they take care of everything. This is the best tool we have and has made life easy and better for employees. Cons So far nothing there is nothing that I can complain out. The tool and people are great. It does everything we need. The fact that it's made for churches is wonderful. Customer service responds quickly. It's been a huge blessing to our staff to cut down on time spent on expense reports. Sometimes the app is glitchy, sometimes the web portal is glitchy, but with a little patience, it all seems to come together to get the job done. Pros From an administrator's point of view: The ease of downloading transactions into my financial software, the ability to view/edit transaction information, and the ability to manage cards and electronic cards. The staff like the app rather than the paper form they used to have to turn in. Cons Two minor things: 1- I wish the integration went down to the sub-account level. 2- Sometimes the updating/adding of vendors takes about 5 minutes to take effect. My last desire would be for one to view the receipt via the app when working on transaction reports. They are a good company that provides an alternative to more expensive similar card management for organizations. Customer support is getting better than when we started with more options to chat, talk by phone or create a ticket or email. Pros Ease of use when our team is making charges. Ability to upload receipts and code them on an app that can be downloaded by each team member. Easily for the administrator to see and reconcile statements. Cons They are still relatively new, so some kinks and learning curve adjustments are being worked on. They were free when we started and now there is a monthly charge. Cash back is not as good as a bank card and that has been a hard since our organization charges a lot. You can upload a receipt and code the expense on the fly. The approval process for the supervisors is also easy. Cons It can be a bit time consuming for those who upload the charges into the accounting software. (We use Shelby). Some of that is on the staff for not completing the information. They helped me set it up over Zoom. I was nervous that I wouldn't have time to learn a new system, but this was so easy. And with the Zoom meetings it gave me some accountability to get it set up. The chart of accounts support was great too. Pros I am a volunteer treasurer for two nonprofits and this saves me so much time tracking down receipts. We used to use bank cards and would share them around so it was really hard to know who was using what card. Now I can set budgets and know exactly who I can ask for more information on purchases Cons I still have to remind my teams to submit receipts and code transactions sometimes because they ignore the automated reminders. I know KleerCard has a feature to automatically lock cards but I have not tried it for my teams yet because that might be a step too far. Simple input, user friendly app. Loved the daily reminders for the user to finish their receipt information Cons As an admin, the user interface wasn't intuitive. Finding how to increase limits took time to find. As I started to remember where things, were it got better. The new charges. We lost our bank rewards and now are being charged. Outstanding! Can't give it enough praise. We've been using KleerCard for about 18 months. We've saved enough to cover the cost of well over 500 meals! That's a big deal for our little food bank. Pros Saves us a fortune. Customer service has been very quick to reply and actually answered questions asked. The platform is very easy to use. The ability to adjust, add & delete cards on fly is priceless. The bank integration has worked flawlessly. Uploading to Quickbooks is also smooth. I also love the reminders to post receipts as now I no longer have to pester volunteers and Exec Dir for receipts!! Not to mention the reason we first started using them, the organization, not an individual, is the guarantor of the account Cons Attached receipts don't move to Quickbooks when updating. There is a work around, so it's not a huge deal. We use a dozen or so classes, but one just will not load into KleerCard - not sure what that is about. From the beginning, where the live demo showed all of the product features to the implementation where a specialist shared a screen with our bookkeeper to help with the configuration with accounting software and other components, we have always felt like we were a valued customer. Pros Full control over issuing and cancelling physical cards, instant virtual card creation, managing spending limits and setting other guardrails allowed us the confidence to issue dozens of cards to staff and volunteers. The integrated bill pay and reimbursement feature give us better transparency and approval flows as well. The public form feature allows us to receive expense reimbursement requests from people who did not or could not use their KleerCard for a specific purchase. The mobile app allows for instant receipt capture, eliminating the need to save the paper copies. The integration with QBO saves a lot of time each week since all transactions are entered automatically with the account code. The support team is very responsive and knowledgable. Cons There is an adjustment period for learning what individual card limits should be and also that those limits are reset every month, not every week when the balances are paid. You have to make sure you set them high enough to avoid a declined charge. One improvement I'd like to see is an instant notification of a declined charge so our finance team could respond rapidly to raise a card's limit as needed since cardholders don't always check their available funds before using their card. The QB integration allowed us to utilize Bill Pay as well, which has also become indispensable to me. The experience has been overwhelming positive for me and our staff. Pros We love the ability to create cards for our staff and volunteers quickly. The flexibility to easily set limits, vendor restrictions and approval processes are key features for us. The reimbursement and Bill Pay features have also been helpful. The integration with QuickBooks has been essential in making my life (as the acccounting person) easier. Cons I wish the established syncs like Vendors would update automatically rather than manually since I find myself often creating a vendor in QB then syncing, then paying that vendor in Bill Pay. As a financial secretary of a church, the main thing I like is how it reminds you to put in your receipts. No more searching people to put in receipts. We get free purchase cards from the bank we just went back to using. Pros Not having to keep receipts and being able to take a picture. Amazon auto uploaded which was nice. Each person having to code it. Except it allowed them to upload and save with out coding so I was always having to remind them. Cons The integration with Shelby Systems. I have to look up every transaction to find the vendor and details and enter it in. It just came over a "Kleercard/imported from statement". This process was worse than just entering from receipt because I had to go back and forth. Cons Doesn't always work well with my ACS Financials, but support is great and has been very helpful with this.
