Vakoso

## What is Vakoso?

Vakoso is a damage reporting platform that enables incident submissions through QR code scanning. Tenants scan a QR code displayed on property notices to submit time-stamped reports with descriptions, contact details, and photos directly through a smartphone browser. The platform consolidates submissions into a unified dashboard where property managers can track tickets, manage workflows, and maintain audit-ready records. Each property receives a customizable PDF flyer with a unique QR code for deployment. The system supports multi-property management with centralized oversight, providing separate reporting links and histories for each location. AI-powered triage categorizes incoming reports, and audit exports generate compliance-ready documentation. Operating under GDPR standards in Germany, the platform processes reports in three steps: scan, report, and submit.

Pros

We put a QR code in each unit and tenants report a problem by scanning it ; photo, description, location, in under a minute, no app and no account. That last part is the difference: tenants who used to call or never report now actually submit. Every report lands as one ticket with a clear status, so nothing falls through, and we can export a ZIP audit trail per ticket when we need documentation.

Cons

It's reactive to tenant reports rather than a preventive-maintenance scheduler, and contractors are added as team members rather than through a dedicated assign-to-contractor flow
