Glasscubes are constantly updating the service and improving on the features. Pros Glasscubes is an effective and easy to use tool for both accountants and clients. It eliminated the need for excel request lists and back and forth emailing between me and my clients. The interface is clean and can be formatted for complex request lists meaning information can be displayed in a meaningful way. Cons I wish that Glasscubes used a portal service for the clients instead of an email link, this would be even easier for the client to use and save hassle. Pros File management system and opportunity to work with documents online. Also, I like how the system is built in a user-friendly way. Cons I do not like when documents are locked because someone else has them open or is working on them. I guess a module for multi-user and simultaneous work should be in place. March 10, 2025 5.0 We made the decision to try this software after having a demo. We are only a relatively small accountancy company so it was a sizeable investment for us. However, it not only does what we originally intended it for (an easy to use portal for clients to answer queries - they actually answer all our queries now!) but its been really helpful in managing projects with clients. We are very impressed with the whole system, took a bit of getting used to the workspace concept but we are now adding lots of useful features to our processes. Support is excellent. By far the best purchase in our tech stack for a long while. Pros Clients actually respond to you answer your queries instead of ignoring your emails! Pros Compared to other tax software that tries to do it all, but ends up doing everything poorly (I'm looking at you, CCH), Glasscubes does one thing and it does it very well. Glasscubes automates some of the more tedious parts of client management for personal tax (chasing for information year round just for the client to send their information in January), and in my experience has led to some of our more last-minute clients sending information earlier than in prior years. Glasscubes also provides a space for clients to securely upload documents, and this space was clearly designed with the client in mind. When a client's documents are requested, they receive a request via email that gives them a text box and a space to securely upload relevant files and information - no login required! Cons The only growing pains our team has experienced thus far is that the automated reminders, which generally save us time, can be a bit annoying if we forget to mark the info request complete in glasscubes. A welcome addition would be if you could query clients by client manager and if automated reminders could be suppressed through a simple tick box rather than needing to mark returns as submitted. I joined the platform through my employer and I have since been amazed and impressed by its usefulness in terms of how it created and facilitated networking and communications between the various sections of the organisations and most importantly how it made file and data sharing easy.What also impresses me is how one can have control over his/her account; as to who can or cannot have access to the account, files and data and what access rights they can have. I find it immensely helpful for research projects' planning and implementation. Pros The Pros are many. What is stands out among them is how easy it is to use the platform even without any formal introduction or training. The ability and various facilities/features available for one to have full control over their account/platform. Cons Video conferencing is one of the features I am looking out for to use on Glasscubes. Glasscubes is a simple and cost-effective way for me to manage documents/files with external vendors. I also find it more reliable as a sharing tool with external project team members than Sharepoint or other file-sharing options. With other options I usually receive a number of emails from colleagues asking for access to be "fixed" or re-sent. With Glasscubes there have been no access problems or questions about how to use the features. The tools for admin oversight are easy to use but powerful. There was no pressure with the sales experience and the technical support has been excellent. Pros Easy and fast to set up without any technical expertise needed; although support is available if it is wanted. Intuitive to use. Responsive technical support with a named person for consistency; but also lots of FAQ/training documents are easily available. Cons The option to use the "Tasks" function for timeline management is an excellent extra feature within the project team/workspace but is not set up as a reporting tool. It has allowed us to work collaboratively and effectively in a team which is based across several, geographically disparate institutions. It has been really useful to house all of our resources and being able to edit in browser with Microsoft 365 has been very helpful. Pros The high security and protection of key documents, as well as the function that allows you to share documents with juniors or other people without giving there the ability to download or edit the original. Also the documents on Glasscubes can be uploaded in versions, so previous versions can be tracked and secured when needed. Cons It is very frustrating to share with other organisations who do not have the permission to access and edit the document as they are not a Glasscubes user, this makes cross-collaboration hard. Also if multiple people work on the same document- at the same time, you will get kicked out and it will become locked to the main editor, so again- not good for multi-person editing and collaboration. It is possible to securely share information from Glasscubes with external organisations, using our 'secure share link' feature. If you need to edit and collaborate with external parties, please contact your account administrator and request that they be added to your workspace. When editing a file Glasscubes locks that file, so that other users cannot edit it at the same time, this protects the versioning of the document. During that time the file can still be viewed online, or downloaded by other users. If you use Office 365, it is also possible to co-edit documents, in much the same way as you can with Google Docs.
