### "Therapy Appointment - functional but not adaptable"

January 30, 2025

3.0

This system was perfect for when we were a small practice. We have grown to the point that it no longer suited us and the updated version did not allow us to import or transfer our records without locking everything permanently, so we had to go to an entirely new system. It served it's purpose for the time we used it.

Pros

The simplicity and streamline of the system.

Cons

The version that we used was antiquated and there were many things we were not able to do within it. Reporting was limited, there was no ability to upload or maintain electronic records.

horrible. too many problems to list and tech support was of no help.

Pros

Ease of signing on, that's about it. Nothing else was useful.

Cons

Lack of reporting, lack of claims submission, had no ability of bill secondary claims, transfer of information from clearinghouse is lacking, posting of ERA's was constantly mismatched, tech support was very unhelpful, lacked ability to edit claims, no means to extract data in anything other than pdf or ext. file, posting of eob's meant hunting through all claims for one payer, absolutely no auditing capabilities, no ability to set up work queue in system, patient portal was difficult to use, no note take capabilities, unable to see claim history or changes, data from clearinghouse not pulled in order or timely manner.

### "Do NOT use unless you like to add more work and stress to your plate."

August 4, 2024

2.0

My overall experience are massive headaches, a TON of extra work, extra money, stress and frustration! We are finally cutting the cord with them and I cannot wait!

Pros

The ease of the calendar and notes. It's very hard for me to find much else I like about the system.

Cons

Theranest has a very large learning curve-it is not user friendly. It's tricky and cumbersome. You have to always remember to save and sometimes even save 2x or you will lose everything you did. The billing never works correctly. There is way too much room for user error. Sometimes ERA's don't even appear back in the system to reconcile them - even thought I am paying for the service. The reconciling of client claims take extremely long. Their "updated" billing system never works correctly either - you still end up having to go through clients accounts in detail which is so time consuming. The client statements are so confusing for them. (and me for quite a long time) It is basically impossible to get hold of anyone for questions or when something is not working right. It can take up a week to get something fixed. Sometimes the reps are really rude too and patronize you. The company continually add really useless updates which always causes other problems in the system. I cringe when they come out with they think is a really exciting "update"!

### "Frustrated Long Term Supporter of Therapy Appointment"

February 8, 2020

2.0

I have appreciated Customer Service for the most part over the years because they generally have responded quickly and in helpful ways when it comes to the program, itself. However, when it has to do with the upgraded 2.0 system and the problems involved, the Customer Service is poor. I have been on many Facebook threads and I know high numbers of practice owners feel lied to about the launch of 2.0 and it's readiness and capabilities. It's really too bad because I feel Therapy Appointment was a leader in the industry and if they could get the problems figured out could still be a leader. I hope it's not too late.

Pros

When I began using Therapy Appointment 8 years ago, I felt it had all the bells and whistles no one else could offer. I really like that it has encrypted messaging. I also like that clients can schedule themselves. The billing has been good, and the reports are great. For the most part, customer service is generally responsive.

Cons

I have been waiting two years for the promise of an upgraded system. We are on the old, Legacy system and were supposed to "migrate" to the new 2.0 system right after Thanksgiving, 2019. That was cancelled, due to what I was originally told was an overload due to the holiday. When pressed, I was finally told that there were glitches in the system and migrations would be on old until January. January has come and gone and when I asked Customer Service about an update, they responded with "you'll know when we know". We need to move to the new system for many reasons. The messaging system is difficult to utilize. You can't see when more than one person is added to the message. It is in desperate need of revamping and is archaic. There is no way to send intake forms to clients and there is no e-signature capability. There are many pieces that need upgraded - too many to mention. I contacted customer service by phone several days ago. There was no answer so I left a message asking for a call back to review my options. I have been with Therapy Appointment from virtually the beginning and spend over $8500 per year (not counting credit card fees and clearing house fees). I will update this review if I am given some options that solve the problem of migrating or getting some of the features we so desperately need. Unfortunately, in the meantime are forced to look elsewhere for a different EHR.

### "Disaster Capitalism, Disaster results"

June 29, 2023

1.0

Horrific. Wish I would have filmed it. Then the horror movie profit might have offset the wasted time, effort, and money.

Pros

Originally liked simplicity. The 2.0 version has nothing to like.

Cons

Refusal to accept responsibility for their errors. For example, in original version, the integrated fax function -- which I loved -- stopped working. I contacted support, which gave their usually response -- no one else is having this problem, so the problem is you. So I sent them the screenshot of the actual problem: TA had not been paying their bills. The company that provides the integrated fax suspended TA's account for past due invoices. Gaslight much?

### "One month in and I like what it has to offer"

February 17, 2022

5.0

As a solo-practitioner with no IT help or experience, it took me a minimal amount of time to adapt to the nuances of this portal. I don't consider myself especially technologically gifted, but I am adept. I do search for answers when I'm stumped and only had to contact their help once. They were helpful. I like it. I'm interested to see where they go in the future. I do hope they keep us solo-practitioners in mind as they grow. We aren't making the big bucks and pricing us out is easy. I do not do insurance billing through the platform. I am a contractor with Sondermind and Headway because I wasted over 30 hours trying to bill a client's insurance on my own. So, I can't speak to that end of the platform. I do take private pay through Therapy Appointment and it works seamlessly once you get it set up.

Pros

It's fairly comprehensive. I like most that I can customize forms. I like that it's fairly straightforward and easy to use. I like the calendar sync option, as it keeps my appointment private (i.e., labeled "appointment"), though stays up to date with my google calendar. This option is available in the lowest tier/ solo practitioner plan. Other programs offer this feature only in their premier product, but it's such a basic feature. I like that I can customize what information to see for each client in the portal. I like that there is a client messaging option from within the portal. Client messaging, scheduling, and note-taking are essential for me. I also set up the payment part of the portal, which required a contract with an external company that I'd never heard of. It took roughly 5 days to get it set up, but it has worked seamlessly since.

Cons

I do like for clients to self-schedule, but I'd like an opportunity to approve client requests, as I see clients on 3 different platforms, so my schedule changes quickly. It's also annoying that an appointment can't be deleted and the "cancelled" or "rescheduled" appointment shows up in the client's list of appointments. It's visually cluttering. I made a mistake setting up reoccurring appointments for a client and now there are 20 "cancelled" appointments in her file. I have to be careful that I'm selecting the correct appointment to make notes on, or I might accidentally make notes on the "cancelled" appointment. Sometimes, it's just a clerical error and it doesn't need to be in the client's file.

[TherapyNotes, LLC](https://www.capterra.com/p/118981/TherapyNotes-com/)[SimplePractice](https://www.capterra.com/p/130710/SimplePractice/)

Reason for choosing TherapyAppointment

I used Simple Practice for a little over a year. They just gave us 2 months notice that they were raising their prices and changing their plans. They took calendar sync away from the lowest/ solo-provider plan and client self-scheduling. This made their software unusable for me. There are a few things that I like better about Therapy Appointment already. When I was looking for a replacement for Simple Practice, I also considered TherapyNotes. They didn't have internal messaging with clients. I do not email or text clients, due to HIPAA, so this was a deciding factor. I had some issues customizing forms in Therapy Notes and a client had trouble navigating her end of the portal, too.

### "A decent EHR option for mental health therapists"

November 20, 2018

4.0

I have really appreciated the responsiveness of the support team. I send in my question/request and hear back, typically that day or within 24hrs, with it answered/completed. Despite the things I get frustrated about with the system, I feel like the people behind this system are doing what they can and like I have a HIPAA team behind me, watching my back.

Pros

I've used this for years and appreciate the ease of storage, billing, and reassurance that the note formats keep me HIPAA compliant. It is best suited to an individual provider, although it can scale to small groups of providers.

Cons

It does not integrate well/function well for groups of diverse providers, such as group practices that include prescribers and other medical providers. It is limited in its ability to run useful reports. It suffers from significant glitches (like, reversing a payment you distributed in error reverses ALL of them for the client, not just the one you made the error in. This requires you to redistribute everything, which takes a lot of time, especially if you've seen a client for a long time). The statements it creates for clients are very confusing for them to read and understand. It does not facilitate a paperless office - no ability to exchange/complete all intake forms/questionnaires electronically - can send out but forms must be printed out by the client, filled in and signed by hand, brought in to the appointment (or uploaded by client and emailed back to office), scanned to computer by therapist and then uploaded to client's chart; no ability for electronic signatures, etc. There's a rumor that this bit about the paperless office has been corrected in the new version - fingers crossed!!

We're excited for you to get started in TA2.0 -- it has more adaptability for groups than our legacy product, and will address most of your concerns. For example, your office will be able to switch to a completely paperless practice with the addition of esignatures, customizable forms, attachments in messages. Feel free to uncross your fingers --it's here! :) We do hope that you'll continue to share your thoughts on how we can change for the better: TA2.0 is built to continually grow so that we'll never stop improving! ### "Therapy Appointment is a Complex Program"

October 15, 2021

3.0

I was disappointed with the program. It is a complex program that would be best for someone with tech savvy and previous billing expertise. It's not intuitive, and I found the tech support to be lackluster in regards to providing clear, step-by-step instructions when I had questions. One person was clearly in a hurry to get me off the phone, and that was the day I decided to discontinue using Therapy Appointment.

Pros

The documentation feature was the easiest to use. Instructions were clear and easy to follow. There were several templates to choose from, and the ability to create your own documentation template.

Cons

The initial information/demo session made it seem like Therapy Appointment was going to be easy to use and make my job easier. The demo was an in-person virtual meeting that was well done. However, the program itself wasn't intuitive, and frequently switching from one screen to another was necessary, so it made this part of my job more time consuming overall. Tech support wasn't as helpful as I've found in other companies. And the billing aspect of the program was a disaster for me. Very few of my bills were successfully submitted.

### "Beyond disappointed - bring back the old version!"

March 21, 2023

2.0

Just don’t get them - it will be a nightmare, a hassle, complicated and one problem after another.

Pros

I used to love therapyappointment - and then they upgraded and then they forced us to use the upgrade. Right now I have nothing that I like about the new system. I went from what I would have given is mostly 4-5 starts to 0 stars if that were an option.

Cons

It is all a huge mess. They are rude and not helpful - the customer service is beyond challenging to access and often they don’t really help the issue. The system is so full of unnecessary things and convoluted. I have given it an entire year and a few months now. I am jumping ship and have voiced over and over my concerns. I just can’t believe how different they have become and what a nightmare it is. It is really disappointing and makes me sad to see such a great small company with an amazing product and customer service sell out and become a mess and honestly horrible to someone who has been a loyal customer for 9 years.

### "One of the best choices I've ever made for my private practice!"

November 18, 2018

4.0

Overall, using this system has significantly decreased stress in running my practice! It keeps me organized and on track with billing and scheduling and keeping up with notes. I would never try to go back to the old paper and pencil method of private practice again. My clients are also quite pleased with the features they are able to use.

Pros

I'm most impressed with the security and support. Once they shut down to keep hackers out - all of my clients' private information was completely safe so I could relax. The personnel providing support for any concerns are very responsive, friendly and helpful. I increasingly feel more like I'm part of an online family of sorts when using this practice management system.

Cons

I really wish clients could complete all paperwork directly online rather than having to do any printing. I wish documents could be attached to the email within the system both from and to me. I also wish documents could be faxed, other than just to referral sources.

### "Expect Outages"

June 7, 2017

2.0

I am in the process of switching over to a different system.

Pros

Easy to use, you can make some very basic templates if you want. No significant training needed to get started Low cost

Cons

Frequent outages Poor customer service - I asked for a partial credit due to significant outages and was arrogantly told that the electric company does not issue credits, and the most they would do would be to remove the outage time from the last bill when I decided to leave their system. They have promised an update for a while now, and still no ETA. Templates are very basic, you can only make a template with text, no check boxes, etc.

Response from Psych Select Software

June 9, 2017

We have continued to test the software changes made in response to the recent service outages. and are convinced that the problem caused by by our new password encryption system using too many resources and crashing the system has been resolved. We also have a compensation policy that you will likely not find from most software companies. Here is our policy: we consider any service outage that lasts for more than one hour to have a significant impact on the utility of our system. For this reason, we consider any day with outages totaling more than 60 minutes to be a "lost day of service" for which compensation is appropriate. We count four such days in the last month; therefore, we will be giving credit for four days of service. This is consistent with the End User License Agreement that you accepted as a precondition for use of our system. We understand that you may rely upon TherapyAppointment as a locus of organization of your practice, and recognize that a system outage can disrupt the operations of your practice. We will continue to strive for consistent service delivery; we believe that the recent problems are resolved.

### "I wish I hadn't ended up using this in the long run."

May 30, 2017

2.0

Honestly, I have sincerely avoided writing bad reviews, because I know the effect it can have on a business, and I am a positive person, trying to hang in there. However, I want to save somebody the headache that I am now dealing with. I would love to find a resolution. I have been holding on to the thought that Therapy Appointment will get better or at least make it right, but I'm a therapist. Out of anyone, I should be realistic and convince myself to lose all of my hard work and move on to another system. I am looking now, so if anybody can contact me with suggestions, I would greatly appreciate it.

Pros

At first, there is a slight learning curve. Scheduling and billing was nice. sometimes reminder texts didn't go out. they called it a "glitch" and say that it's a service free of charge and the contract states that they're not responsible if something goes wrong with it. needless to say, many of my clients have come to rely on it, so on those days, I have quite a few no shows.

Cons

Have to have a separate clearing house, and they still don't have electronic paperwork. The website goes down almost once a week. I can't see my schedule, can't write notes, can't schedule new clients, my clients can't log on. Their solution has been to refund the few dollars from that day. The loss to my business is nowhere equivalent to what they "make-up" in a measly small refund of a few bucks. I have e-mailed and called on multiple occasions about this, but they have all the control and obviously don't care about losing my business.

### "Revolutionized My Practice "

November 2, 2018

5.0

Therapy Appointment has changed my professional life- the way I leave daily having fully charted, sent out bills as well as been reminded to respond to things important. It seems amazing to me that the staff at TA answers the phone with any question I’ve had- even the owner/ developer answers the tech call sometimes and you feel like you are talking to a friend! I know some of the staff’s names- they remember me- help solve my problems- even help me relax and see they’ve got it- it’s incredible. Therapy Appointment is user friendly and seems so sophisticated in its reminders it’s almost scary accurate - like artificial intelligence. I could not even write all that Therapy Appointment has been a part of revolutionizing my practice- let alone quicker income from efficient submission of claims- I haven’t left my building in months with a mistake or misfiled claim- the software is designed to help you submit without one error! I thank you so much Therapy Appointment! Sima, Washington DC, Virginia and Maryland.

Pros

Almost no one forgets or misses their appointments due to very professional non intrusive auto reminders, User friendly, TA error checking for you, reminders for client and therspist( birthday, bills, everything) , ability to send print a receipt in sevinds( it’s something I’ve never had- previous fumbling, searching and after hours find- not here it’s at most in 30 seconds!

Cons

I’m wishing for the reminder for a client not seen in a month to be personalized by me( not saying to call office) but staff said they are working on it after my call( and they will)- total trust in Therapy Appointment staff!

### "Office Managing Made Easy!!!"

November 16, 2018

5.0

I have been with T.A. for several years and have no real complaints. Their customer service is friendly and fast and they are always on top of anything that comes up that may disrupt service. I would recommend them to anyone looking to lighten their load of "office" work.

Pros

I have been a user of therapy appointment for years!! I am an individual therapist with no employees and this software does almost everything for me at an incredibly reasonable price! I highly recommend it!

Cons

There have been two things that have been difficult - both of which I believe are being taken care of in the upcoming release of 2.0. One is that clients can't reset their passwords without contacting me, and the other is that doing paperwork electronically is not an option.

### "Great program"

September 24, 2020

4.0

Overall it's been a positive experience. I have thought about trying other similar programs but am not ready for the hassle of migrating to a different software.

Pros

I have used the old version and the new 2.0 version of this software for the past few years. The newer version is definitly better than the older version. It's easy to use and figure out.

Cons

I don't like that I cannot call customer support and get a live person. I have to wait on someone to call me back. Being in a private practice, I have limited time to make calls so when I call that's the only time I have available. There are other small changes that need to be made to software that I've mentioned to customer support but they haven't been made.

### "Great for Solo or Group Practice"

November 30, 2018

TherapyAppointment really does help streamline notes and insurance claims/billing. I get to spend more time being productive seeing people, then pushing paperwork!

Pros

I've used this since opening my private practice- as a solo practitioner and now we have expanded into 5 therapist group practice. Love the quick response from customer support. I like the various options on how to write a note. Free admin accounts a bonus. The capability for ERA and automatic posting is great.

Cons

I don't like that we, as a therapist, cannot make appointments for the other therapists and have to have the admin account to do this. I believe with the new update this will be addressed.

### "By Practitioners, For Practitioners"

September 25, 2020

5.0

Overall, TherapyAppointment has been an integral part of starting and maintaining my private practice. The ease with which I am able to access TherapyAppointment across devices helps me manage time and productivity. The comfort in knowing I will receive personalized support allows me to work through issues without stress. The billing process through TherapyAppointment has been one of the most painless processes I've ever encountered while working in mental health. I would highly recommend this program to colleagues in similar practice situations as me.

Pros

This program is wonderfully built to support my therapy practice needs. I can easily enter and access client information, upload documents, schedule, check billing and contact customer service. There are multiple helpful videos for initial set up and customer service personally walked me through step-by-step directions when I still did not understand some initial start-up procedures. Adjusting billing documents before submitting helps eliminate returned or rejected claims.

Cons

My only struggles have been around issues with adjusting or deleting scheduled appointments without a cancellation and recreating therapy notes but those can be adjusted by utilizing forms.

### "What I Love About Therapy Appointment"

August 27, 2020

5.0

My experience has been positive. We like the software for all it offers us and how efficient it is.

Pros

The accounting, the overall record keeping, the ease of use.

Cons

After a year I still do not have invoices with my letterhead and we cannot submit secondary claims electronically. Also, there is no phone app for my therapists.

Reason for choosing TherapyAppointment

Mostly because of the great customer care. I felt supported through the entire on boarding process. \[SENSITIVE CONTENT HIDDEN\] was clear and concise about what the product could offer. Also, it was amazing to me how for so many years the legacy software had little to no complaints - it was serving clients well.

5.0

Pros

Therapy Appointment has the best customer support. It's in the top three of any business I've ever worked with. The software seems intuitive and the new user interface has a great new look. It will be great to be able to sync with existing calendar, such as Google. Love that we will have the ability to reserve playroom through the software.

Cons

There are a few features that we will no longer have, like the side-by-side view for all clinicians.

Hi Alisa, Thank you so much for being pat of the TherapyAppointment family and thanks for your kind words! We are honored you consider us as one of the best-- we take helping you manage and your practice very seriously. We are glad that you're excited about the new features offered in TA2.0! Even though the launch is swiftly approaching, we are already looking to improvements -- like more customization of the dash. Please do continue to let us know what you need from us so that we may continue to improve! :) Thanks again and best wishes, The TherapyAppointment Team

### "Good program but still missing a few things"

November 20, 2018

4.0

Pros

I think the updated TA is great and there are a lot of new great features. I like the ability to do more online forms and the ease of use has increased.

Cons

There are still some limitations. I feel the software is most conducive to seeing individual adults clients. For a counselor who sees children it is not as ideal. There is not a way to list multiple address or phone numbers for different parents if they are divorced for example.

Hi Kaitlyn, This is helpful information and we really appreciate the honest feedback. So happy that you think the new software is great! Your perspective as a children's' counselor is invaluable, and we believe many of your concerns are addressed in the final version of TA2.0. But as you train on it, we hope that you'll let us know how we can continue to grow to better serve your practice! We do thank you for being part of our family, and we are glad that you took the time to share how we can improve! Best wishes, The TherapyAppointment Team

### "Awesome update for an awesome product"

November 16, 2018

5.0

Since signing on with TherapyAppointment I have noticed a significant improvement in my ability to collect on outstanding balances especially those with high deductible insurances, which have increased significantly for me within the past year.

Pros

I have always loved this product. I am very excited for the update which I found very user friendly and much more efficient from a business standpoint. I really liked the look of the dashboard.

Cons

The only con I have had is with regard to the limits of the ability to send a fax out of the software. I think it would be helpful if we could send the progress note along with a fax to help with collaboration among medical professionals our patients see.

### "STAY AWAY from 2.o"

December 29, 2019

1.0

Terrible.

Pros

Electronic billing and intergration of credit card processing.

Cons

The updated 2.0 is a HOT MESS. They migrated us from 1.0 and screwed up our finacials. None of our copays or insurance's information transferred properly. We have not been able to print statements for almost 2 months. I have wasted countless time, money, and frustration on this new system. I will be looking into other programs.

Reason for choosing TherapyAppointment

God knows at this point.

Thank you for your feedback. The issues with the reports are related to your "migration" as a pilot group in the initial phase and not the product itself. In any case, our migration team has been working with you to resolve those. We'll keep you updated.
