Pros

Kantata makes it easy to track time without filling in every line item. It automatically knows my schedule and inputs my time for me.

Cons

Sometimes mobile user interface could be better. But I appreciate that it isn't locked down by a certain operating system or app store in order for it to work on mobile.

Great interface for employees to track hours, organize by different projects. Great and accurate tool to track costs.

Cons

I actually don’t have much negative to say about it. Setting up reports is often a difficult part in these programs. Anything we can do to make that easier is good.

Overall, it’s been a good experience. It’s a useful tool once you get used to it, but there’s definitely a learning curve.

Pros

I like how easy it is to see project progress and manage resources. The reporting tools are helpful and give good visibility into what’s going on.

Cons

It can be a bit confusing to use at first, and some things take more steps than they probably should.

Pros

What I liked most about Kantata is its ability to centralize projects, people, and financial performance in one platform. In practice, this is very valuable when managing multiple engagements simultaneously. For example, having real-time visibility on utilization, project margins, staffing capacity, and burn rates helps management make faster and better decisions.

Cons

What I liked least about Kantata is that the platform can feel complex at first. In practice, configuration, reporting logic, and integrations may require internal ownership or dedicated admins. It can also be expensive for smaller teams with lighter operational needs

Overall, I think the idea of having everything available in one program is great for a small account with a few projects, however I feel that a lot of the features go missed with a large account. There are a lot of tasks that require multiple steps and with that needing double checked once complete, which can sometimes feel like you don't have time to manage other responsibilities because there are so many steps with project creation.

Pros

I think Kantana has done a great job in their timeline developments, time tracking, and resource allocation.

Cons

I do sometimes feel as if there are too many moving parts in Kantata which makes it difficult to follow each step involved with project creation, etc. This would be a great resource for a small account, but it tends to get tedious with big accounts with a high volume of projects. Additionally, there are frequently bugs with resourcing allocation where the timeline says one thing, but the hours are behind. So needing to double check every time hours are distributed gets tedious.

Kantata feels powerful and enterprise-ready, especially for agencies or services teams that need visibility into resourcing and financials. When it’s well configured, it gives leadership-level clarity, but it does require discipline and admin effort to keep setups consistent and reporting trustworthy.

Pros

It gives a clear picture of project health in one place—resourcing, budgets, and delivery status are tied together, so you’re not stitching reports from multiple tools. I also like that it makes capacity planning more concrete, especially when multiple projects are competing for the same people.

Cons

It often takes extra configuration to build dashboards that answer simple questions (forecast vs actuals, utilization by team, burn vs budget), and small changes to fields can break a report. It can also feel heavy for day-to-day use: logging time and updating project details can involve too many clicks, and if project setup isn’t standardized, data quality drifts quickly (duplicate fields, inconsistent naming, mismatched project types).

Pros

Some pros for Kantata are great project tracking and customer support team. The project tracking allows effective and in depth revenue management. The customer support team is fast responding and resolving the issue.

Cons

Some cons for using Kantata are it can be expensive for smaller businesses and it is challenging to use when you are a new user. Definitely have to be trained properly.

Having everything (Budget, Billing) in one location gives credibility to clients as we send them reports. Not having to open 5 Tabs at the same time to see the budget and billing information is a plus. I am simply happy that the proofing for those large files will upload, even if it is slow. In the workload planner view, we can determine who is working the most.

Pros

I am writing this message, while the heating unit located in my office is clicking, clicking, clicking I’m glad your Kanban boards moved when I clicked on them, I was afraid they would be extremely slow and therefore annoying. I received a response immediately from \[sensitive content hidden\] in Support which I did not expect. The system saves me a lot of time creating the template for each of the recurring items. I like the timer feature to track our developers and their billable hours.

Cons

I think the email notifications are way too many unless you turn them off completely. I believe my largest complaint is how long it takes the scheduler to load due to the fact the data gets updated each time I scroll through the scheduler and honestly causes eye strain. When you have very large projects, the mobile app is essentially worthless, it freezes constantly.

The functionality is there but the complexity and setup effort made it hard to justify moving forward. A good option for mature, services-based teams that need deep project and resource management.

Pros

Clean, modern interface and a thoughtful feature set built with real-time inventory visibility in mind. During the free trial, it was easy to explore basic tools

Cons

The platform felt heavy for my needs. There’s a noticeable learning curve and many features require upfront configuration and training to use effectively. For our smaller teams and simple workflows, it felt overwhelming and the value wasn't immediately clear during a short trial period.
