### "Asset Essentials great for schools"

July 19, 2023

4.0

It's a great program with the proper training.

Pros

I love the work order process. Owners see what is done, when its done, etc.

Cons

Sometimes it's a little wonky. The filtering/sorting can be hard to figure out.

### "Asset Essentials - Sort by Work Date for Time-Based Work Orders (Not Date Submitted)"

March 11, 2026

4.0

I typically use Asset Essentials for routine cleaning jobs at the university I work at. I fill out the work done for certain buildings. I also submit new work orders to maintenance when anything is broken. I also have special requests, normally for larger events with lots of tasks needed.

Pros

Asset Essentials helps communicate the tasks that are being accomplished in separate buildings/areas. It provides a layer of security by allowing managers to review data before finalizing the completion of any work order.

Cons

Asset Essentials has a feature to filter work orders by the date they are submitted. I would like to filter by the date the work is being requested for, and I wish there was a dedicated section for this. I have been able to put the date in the comment section and sort in this way.

### "Asset essentials "

February 27, 2026

3.0

The security features seem to be good but it has to be updated on my phone quite frequently. I'm starting get like all the features it has but still would like it to be easier to maneuver around.

Pros

What i like most about asset essentials is that I can look at my pm's and add to them if need be. I can also keep up with my work orders.

Cons

Its not very user friendly for me anyways. It has taken me some time to get comfortable using it and I know it has alot more features I haven't used yet.

### "A powerful program that helps keep track and organize."

March 4, 2026

5.0

Overall my experience has been positive. It is easy to use and is a great tool for our organization.

Pros

The ability to keep track of issues and parts for our machines. Can easily see how often these issues occur and how often parts are used.

Cons

Easier to use on the laptop than the phone. Sometimes with the small phone screen it is just quicker to find things or see it on the laptop.

### "We at KPBM love asset essentials and are so happy we moved from School Dude"

September 18, 2025

4.0

It has been great. We have been able to instruct all of our lower level personnel on how to access the system and how to find what they are looking for.

Pros

I love the ability to access all pertinent information on a work order so easily. After we got all the assets built it went pretty smoothly.

Cons

It is a lot to put in all the information. But.... once we got the infrastructure built it is so easy to use. I also struggle a bit with the app version in making sure I do not have filters set.

### "good, but get a good configuration up front"

March 3, 2026

3.0

overall its good, its just been a slow roll out for us, which has been frustrating. Wish we would have had someone better be the point person for the initial set up.

Pros

How it communicates with itself. When putting in work orders in it can create an accurate picture of the cost and effort to maintain things around the city

Cons

building it out, the person who chose Brightly for us didn't do a good job deciding how to roll it out, so now we're inputting assets, locations, and parts one by one. I don't feel like the training in brightly academy was detailed enough; it was more about what the software could do, and less about how to set up those configurations. Wish there was more GIS integration

### "Asset Essentials: A Powerful CMMS with Room for Improvement"

September 18, 2025

5.0

Asset Essentials is a powerful and reliable CMMS that provides a centralized solution for complex asset and maintenance management. Its strengths lie in its comprehensive features, mobile access, and excellent customer support. However, users should be prepared for a learning curve and some potential frustrations with the user interface and mobile app stability. The experience is often described as a trade-off: a functional and feature-rich system that may lack the modern polish and simplicity of some newer alternatives

Pros

its ability to help our center track and assign work orders, which is helpful for our maintenance requests because of the large center.

Cons

problems with filtering work orders, difficulty copying and pasting in text boxes, and issues with file attachments.

### "Do not renew with Asset Essentials"

October 2, 2025

1.0

It's a joke. Multiple days without access to the system because of their technicians. What good is a work order system that we cannot put work orders into?

Pros

Two years ago, the support was great. Now, it sucks. Over promise and under deliver. School Dude was better.

Cons

Poor support. Cannot use this software across all platforms unless you jump through hoops. The company makes you feel like you work for them and not them working for you.

### "The perfect App"

March 3, 2026

5.0

My overall experience with Asset Essentials has been a 10/10, it has made running reports so easy for me and I even get to show other coworkers how to run their own reports as well, which makes things easier for me.

Pros

I like that I get to run reports based off of different departments and I even got to break down the reports with details.

Cons

I haven't found anything not to like yet, I keep finding new ways to make my job easier as the Administrative Assistant in my department.

### "We have been able to get some value from this product but it has taken a long time to implement. "

April 25, 2018

3.0

Pros

This software has a lot of potential for us. The ability to track costs of repairs, parts, downtime, etc. could be really valuable. Having an accurate parts inventory will also be very nice when we get to that point. Keeping track of what work has been done on the different assets has been the best for us so far. Finally, having a parts list for each piece of equipment will be awesome.

Cons

It is not a very sleek or modern user interface. Also, there are abundant features that can provide great value but it takes a lot of clicks to access what I want. Sometimes it seems like there are too many steps to perform what I want to. One example would be PO's. I also wish it would allow me to customize more so I can avoid fields of information that I don't need.

### "great software, still needs tweaked"

January 20, 2022

4.0

it's good overall, wish we could minimize the tech's frustration with the app.

Pros

it is very easy to use, you can fix mistake relatively easy. when it works correctly, the mobile app is great.

Cons

we have had several issues with the app, not sure if it is all the app's fault or our wifi. Dude Solutions seems to be constantly updating something and that usually effects us downstream. the issue that is most common, the app will "refresh" while the tech is inputting data and erase, making them start over.

Reason for choosing Asset Essentials

cost and after participating at a dude Solutions conference we observed it in action. the ease of use and the willingness of everyone there to help you use it.

Good. It's a step in the right direction but we are not where we want to be.

Pros

It's better than our last system, but we do not know enough to implement many features of AE to the fullest capacity.

Cons

Sometimes you have to enter the same information and fthe employees complain.

Reason for choosing Asset Essentials

Price was better. Also, many of the other JCC have had success w/AE.

### "Benefits of using Asset Essentials"

July 13, 2023

5.0

Our overall experience has been positive. The Asset Essentials team is easy to reach and helpful in resolving any problems.

Pros

The ease of work order entry and the dispersion to the trades. Also, when I call for help, the person I reach spends as much time as necessary to answer all my questions.

Cons

Learning how to create different views for the work orders and batching work orders that need to be closed. We have single sign on for the users so we had to work with our IT department to make sure everyone was signed on and could access the program.

### "Marty's Review"

June 28, 2022

4.0

Pros

It is very intuitive. The HELP menu is excellent. Tech support is outstanding.

Cons

1\. I would like to see the ability to look up parts by manufacturer number when adding parts to a work order. On many occasions the technician has to back out of the work order, go to the parts screen to identify the Brightly part number and then reopen the work order to input the part used. 2. I would like the ability to have a column in the parts screen that identified actual physical location of the part. At this time you can only see the location such as Bearing Cabinet. We want to see the Shelf/Row/Bin without having to open the part screen for the part.

Our Facilities Management Department covers the operations of 24 town buildings in our municipality. These buildings also include three elementary schools and one middle school. Our maintainers and custodians handle all aspects of these buildings, from cleaning and grounds work, to repairs, HVAC and inspections (just to name a few). Prior to Maintenance Edge we utilized two work order systems. School staff used an in-house request system through our IT Department, while all other town employees utilized a purchased software (MP2). My position is that of Administrative Assistant and I am the one individual that processes all work requests for our office. This meant switching back and forth between our two systems making sure all requests were processed. Work requests were not addressed during any absences from the office (vacation, etc.), thus sitting in queue until my return. Also, there was not a concise record of completed tasks. I am still the one individual in our organization who uses MaintenanceEdge on a full time basis. However, we have now added our maintainers and custodians as daily users of this program. When we began using it in November of 2012, I realized how simple and flexible this program was. It has met all of our needs, and as I continue to use the system, I find more and more areas we can adapt to its use. It has been extremely helpful in reducing the amount of daily work order processing, as so much is now automated through the program. Instant notification to our maintainers' cell phones and email gives immediate contact on requests and tasks, thus eliminating any delays during my out-of-office time. Automatic routing also eliminates the need to forward work orders to the proper maintainer, since notification is within minutes. This function also allows our maintainers to check on work orders when at a specific building, thus eliminating duplicate travel time. This has greatly improved the productivity of our department. We have also taken advantage of the automated reports function, which generates and emails the specific building reports to the proper individuals on a weekly basis. Everyone, including building directors and principals, are "on the same page" with updates and tasks. MaintenanceEdge definitely helps us all communicate more effectively and efficiently. Finally, from the standpoint of the "requesters" at our many buildings, they find it very user friendly. One 20-30 minute training session was all it took to get all users up and running. The transition has been very smooth, especially with the added assistance from the FacilityDude support staff. They are easy to contact, always friendly, and have the correct answers and information that is needed; and if not, they continue to work on any issues until they are solved. I've recommended MaintenanceEdge to a number of colleagues in local governments in my area. It is a user-friendly system with fantastic customer support. From my standpoint, it is a blessing, and has done wonders for our department!

### "Great value and pretty full featured"

November 25, 2019

4.0

Pros

This CMMS is fairly easy to learn and to use. I like that it has a "requester" function so rank-and-file employees can enter requests for work/service. Setup is pretty intuitive, though some choices need to be thought out thoroughly. We use it for maintenance and sanitation, both of which are a big deal for us as we fall under food safety protocols (we are a food service distributor). The import function is especially useful during setup. It's nice that you can attach photos/documents to assets.

Cons

I wish it supported handheld units with integrated barcode scanning (like the Zebra TC70). Work order generation from PMs works well but it defaults all work orders to be due at midnight. We have to show that work orders are due at particular times of day (shifts). It would also be nice to have a "true" inspection program. Take fire extinguishers. It would be nice if you could walk through the warehouse, scan the barcode on the extinguisher, mark as pass/fail and move on to the next one. Their inspection doesn't quite work as seaemlessly as that.

### "Here is my experience.."

November 22, 2019

5.0

We have always had a Preventive Maintenance program and the software allows us to continue with keeping our PM schedule and tracking equipment history of repairs and Work Orders.

Pros

This software is very robust with features that you can use or not. It will just depend on the size of your organization and how much information you want to include when you are doing your implementation. There are areas I do not use due to other software packages that are in our organization. Customer support has been very good. We had time to get the feel of Asset Essentials before we migrated to it. The migration from our old software to Asset Essentials was seamless.

Cons

At this time I do not really have a lot of cons. Maybe the help guide, it is a bit over whelming when you want to look for a specific subject.

Reason for choosing Asset Essentials

Our old software, which was Microsoft Access based had come to the end of its support. The former company was merging and it was just a good fit to be able to convert to a cloud platform.

### "Most Versatile for the Price"

January 13, 2022

5.0

Overall, we've had success in managing our growing inventory and in optimizing our PM's for minimizing downtime.

Pros

The value is a big benefit about the software, as most other providers are more expensive for many similar features (and often force including extra unnecessary features to justify the price). We're able to get what we need included at a price that helps continue renewing our service.

Cons

The biggest restricting factor for the product is in its response time in a desktop browser (unknown in mobile app). Most menus or screens take a second or so at minimum to fully load and populate with data, but up to 10-15 seconds in some cases. When considered independent from each other, the loading times aren't an issue, but when many different tasks need to be done, one after another, the lag time in loading rapidly builds up, causing nearly as much time waiting as working.

Reason for choosing Asset Essentials

Price point for functionality was a major factor that helped with staying with Asset Essentials.
