### "Perfect Project management tool."

ActiveCollab is one of the best, if not the best project management tool that I have ever used and I have jumped from one to another tool for different projects and project types. If offers so many features, perfect dashboard, milestone preview, calendar, planner, contact details, time tracking and much more. While it is perfect for managing many different types of projects, this is still not the perfect tool for managing software development projects. The only reason for that would be, there is no (or that was not back then) an integration with Git or other version of control system. It was simply a missing feature back then. I truly hope that nowadays the ActiveCollab team managed to improve and integrate such feature, but talking 6-7 years ago, that was the only downside that I can say about it. If for some reason that is still not available and you are into software development business, look for something else like Asana or Bitbucket.

Pros

Great dashboard, different types of reports, milestone preview, calendars, time tracking tool are just a few of the features that make this software irreplaceable tool when it comes to project management.

Cons

Lack of integration with Git or another version of control system.

Not us directly, but our customers are sometimes disturbed by the UX, despite huge leap forward recently.We sometimes find it a bit slow in terms of performance - we host it so we may be to blame - and access to data (because we have a lot of projects and customers).

### "20 years using it!"

I used since 2005, it is great and it does what it is needed. I started using it in a multimedia company I worked for, and in 2012 I implemented AC in my current job.

Pros

simple and easy, UX is right, it do what it needs to do for marketing teams, collaboration, task management, and reporting. Customer Support is great!

Cons

it needs to have a built in form feature to capture requests. Integration is ok with other platforms, but for security reasons I think a form feature will be perfect. Still a five start app.

Great. Over the years I've spoken directly with their development team and product people numerous times. They listen to their customers. Support is fantastic.

Pros

Active Collab is a legit task management app that just works. Not too complicated. Everything is super simple to use.

Cons

I can nitpick, but it wouldn't be fair. Active Collab just works. There's a few things I wish it could do but they're creature comforts not missing features.

A very good experience. We are a construction company that organizes workers and their work files in ActiveCollab. For a basic form of job organization, it covers our needs very well.

Pros

Definitely, ActiveCollab version 8 comes with many useful features. Truly a serious application-level improvement compared to ActiveCollab 7. The Support Team does an excellent job. Every time, they have helped me in a very efficient and concrete way, with video tutorials.

Cons

The ability to assign more than one person to a single task. Also, an option to download my entire project in text format along with all the files attached to it.

I’ve been using ActiveCollab for over 7 years, and it has consistently proven to be an excellent tool. I first implemented it in my previous company, where it helped me bring my team’s organization to a much higher level. Because of that positive experience, I also introduced ActiveCollab in my current company, where it is now used across almost all departments. It has truly become a central part of how we manage projects and collaborate effectively.

Pros

What I like most about ActiveCollab is how user-friendly and responsive it is. It runs smoothly without bugs, has a very clear and well-organized interface, and it’s very effective for both group and individual projects. Because of that, we’ve integrated it into many of our processes, and it has become a truly valuable tool for our daily work. On the rare occasions when we did face an issue, their support team was always quick to respond and resolve everything in a very short time.

Cons

Honestly, there isn’t much that I dislike about ActiveCollab. If I had to point out something, it would be that there’s always room for adding more integrations or small quality-of-life features, but overall the platform already works very well for our needs.

### "ActiveCollab has been a dream for my business"

Pros

I love AC and have been using the software for 5 years now. I can manage everything in one place. Task management, time tracking, estimates, billing, invoicing and income reports. They constantly add new useful features based on user feedback.

Cons

The one thing I don't like is that recurring tasks, are sometimes placed on non working days (weekends in my case).

We have used many tools for organizing work, ActiveCollab is by far the simplest to use. A straightforward overview of each task, especially the communication through comments, which is important for our work.

Pros

Simplicity is the biggest advantage of this application. An intuitive design that is great. The support team responds to emails very quickly and they make every effort to help with every troubleshooting issue.

Cons

The Self-Hosted version lags far behind ActiveCollab 8. We hope it will be available soon, as it is much better than ActiveCollab 7.

Overall, I really enjoyed using ActiveCollab during the trial.

Pros

I tried it out as an active replacement for Capterra; I enjoyed how they are trying to revamp and make new strides in the front of organizational telemetry/communication. They offer a wide variety of integrations and visualizations that, frankly, Office does not. It's sort of like Trello and the traditional Office platform all in one.

Cons

It was hard learning and getting up-to efficiency on everything they offer.

Using ActiveCollab daily for over two years felt easy, but also like a chore sometimes. Doing things manually falls within one's job, and it offers good control over how things happen, but sometimes you just want to automate things exactly to your liking. The former describes using ActiveCollab better, but as mentioned, that is sometimes a good thing.

Pros

For all intents and purposes, ActiveCollab is awesome at doing what it advertises it's doing - project and task management, with easy-to-use, uncomplicated and effective tools. And really, especially on the task level, it is great and will save you a lot of time and brain power.

Cons

On the other hand, if you're the one to experiment with your software, look for ways to improve it in new and unexpected way, I hope you're not expecting a lot of success with ActiveCollab. It is a good piece of software, as long as you stay within its area of expertise. Otherwise, you're just stopped in tracks for the most of time, with little or no ways to go forward.

It helps me organize a great number of projects as one-man business without losing more time than necessary.

Pros

It's amazing how flexible AC can be depending on a project's needs. It can serve as a simple reminder list with great speed and simplicity but also get fully blown up for projects involving production teams and clients at once. Compared to its competition it never feels like its dictating you to use it in a certain way, it just hands you a great bunch of options and lets you use them without interference. I use other products like dropbox and dropbox paper too and it all goes together really nicely. One thing to note is a personal and genuinely helpful customer service, there have been issues and bugs here and there (not many) and in 90% of the cases they were solved within short time. I think AC is great for freelancers and small project groups working remotely I switched from Basecamp and it was one of a relief.

Cons

I personally don't like the free limitations of users. I know there's a business model behind it but I hate to delete other clients/team members just to make room for someone else.

Pros

In such a complex world, where the time and control factor in operations makes a difference, it is vital to have a platform that allows access to many tasks that, otherwise, would involve and coordinate many people, this type of tools allows us to save costs and reduce involuntary human errors, in everything that refers to the necessary coordination between all the members of the project. The calendar allows to have all the tasks, meetings, and filter the tasks by projects, and if that were not enough, all this can be complemented with the participation of the members remotely, so that it is possible to follow the general state of the proyects. In case of any problem, the support team is attentive to clarify your doubts, there are still elements that we have not had the opportunity to explore, but that, surely, according to our needs we will be using them to solve the growing demands of our organizations.

Cons

As with many platforms, the versions that are used in tables or smart devices show some limitations, in relation to those that are handled by PC, it would be very important to preserve and maximize the benefits when you have other devices and not limit the functions that, After all, knowledge or traditional devices for solving problems are not always available.

It is an average tool that will get the job done for anyone that needs basic task and project management.

Pros

This tool is intuitive to use and had a pretty easy ramp-up period. Projects can be organized easily and tasks are easy to create and assign out. The comment function works well for tracking task updates and notes.

Cons

Does not have a task workflow built into it, and is not great if you have more advanced project tracking needs. The time tracking also needs improvement.

### "A great project management tool for design studios"

Pros

We've been using ActiveCollab since version 1. We needed more features and flexibility than other project management systems provided and we also were looking for an invoicing system. ActiveCollab provided all of that in one package and we could buy a license to run on our own server instead of paying monthly fees. This pricing model was very attractive for us along with the extra features to make the system fit our project management workflow, made ActiveCollab an easy choice.

Cons

The mobile app isn't the best. For those who heavily rely on using their project management system on mobile, this might be something to consider. I'm not a fan of the themes in the theme option, but if using the self hosted version, then you could potentially adjust styling to fit your business better.

Although we have to wrestle with ActiveCollab on a regular basis, it does allow us to stay organized between projects and client communication. Something we would be unable to do through email alone.

Pros

Working at an agency with 50+ people, where there are many moving parts and everyone wears a lot of hats, Active Collab allows us to stay organized and hold conversations in tasks, with or without clients. Tasks are easy to schedule, reschedule and conversate in.

Cons

Overall, these are the issues we experienced with ActiveCollab on a regular basis: - The ActiveCollab timer erased logged time regularly - Documents were unable to be uploaded to tasks from time to time, which halted communication on certain topics - The customer service is very slow. If you're having an issue with the software, it takes weeks to resolve the issue - Sometimes the software is so slow or won't open for an unreasonable amount of time, ultimately wasting time

Flexible, robust project management with great support.

Pros

While some project management systems try to force their own project management paradigms, ActiveCollab allows you the freedom to decide how you will manage your projects. Kanban? Click a button. Gannt? Click a button. You can easily manage milestones, tasks, files, discussions, time-tracking et al. however needed and have every feature you'll need or want available. Their support and development has been amazing. Quick replies, quick changes to the core product for quality-of-life requests.

Cons

Rich text could use some work as adding formatted content will sometimes yield awful results. Needs a better way to sort/view items in "My Work" based on tags and deadlines e.g., view all tasks due that week or all view all time based on job types. A responsive design and more fluid UI would also be a welcome change.

Pros

It's a great Project Management System. We moved from a legacy system and had prerequisites for our agency: project & task management, people/roll management and time management. It does these with ease. Then it layered great collaborative working.

Cons

The recently launched "workload" feature is an add-on additional cost. As a SaaS the competition is fierce for features and benefits. I personally think this should have been part of their bundle, not additional.

### "Convoluted structure is a hindrance to workflow"

We ended up transferring from ActiveCollab to Teamwork fairly quickly because it caused some business problems for us. Issues were missed (especially subtasks), and we lacked the reporting structure we needed to keep a good grasp of resourcing and individual task progress. The time logging structure was also a pain point compared to alternate software options we've since pursued.

Pros

While I will say I don't like much about this software, the budget and description location/transparency works well for the task workflow. It is fairly easy to include all necessary information in an individual task, but detail tracking and dependencies are where this ease of use falls off.

Cons

The relationship between tasks and subtasks is a pain point and lacks clarity/definition. Sometimes there would be dropoff when trying to upload attachments, and they would not actually post to the task. ActiveCollab doesn't have a great reporting structure (compared to Jira) for our specific needs, and that ended up being a hindrance to workflow. For as complicated as the reporting section looked, I felt it was lacking. While it isn't a functionality issue, I also dislike the visual design of the software - it feels antiquated and can be draining for such a frequently used tool. Time logging was difficult compared to the software we moved to later.

Operational control of projects

Pros

Enables us to work efficiently on multiple tasks, with multiple users across multiple projects and multiple geographies. It's not too complicated for non-technical users and not too simple when dealing with technical issues with developers. Also can be used many different types of projects.

Cons

We would like more elaborate options for "operational analytics". The reports are ok, but we still have to do too much manual manipulation of data to get what we want. We would also welcome SMS/Text alerts and integration with services such Ghost inspector (e.g. automatic ticket generation).

The overall experience using ActiveCollab is smooth although there are some discomfort using the dashboard. The dashboard is something that need to improve.

Pros

My favorite tool in ActiveCollab is the task management feature. I can easily track users and comment on their task progress. I can also estimate the duration for each task and make various planning with the project goal in mind. Furthermore, I can also add attachments like images and documents from my desktop. The invoicing feature is also something I like as creating and tracking invoice is straightforward and simple.

Cons

One of the drawback of ActiveCollab is the lack of integrations with other apps. In addition, there are a learning which new users need to overcome. However, after conquering the learning curve it should easy to use. Another dislike is the dashboard which is not so user friendly.

Pros

I like the fact that everything is contextually linked, you can dive into a task from a calendar, report, email - anything really. As a manager it's great for checking workload and distributing tasks efficiently. I've been using ActiveCollab for a while now in different organisations, so much so I recommended we get the self-hosted version.

Cons

The inability to email direct to other modules like conversations and files unlike Basecamp which does allow it. That and not being able to add tasks from the calendar. That would be awesome.

### "Could of been great"

It's run's our agency and we want scheduling integrated but, it's not being supported.

Pros

New version is clean and nice, posting old data from hosted versions is simple. Almost hit's it out of the park fopr use in any ad agency.

Cons

It's no longer supported. We looked to invest a bit of $ to move from a self-hosted to their cloud for AC3 and the support response was crickets. They have a scheduler but, it is not for hourly limits, jsut due dates. If you are trying to schedule against hour constraints you'll need to look elsewhere.
