The platform is easy to use and will save you time on invoicing. They also have a variety of resources to learn more about the platform and tailor it to your needs. Pros Making the switch to Coupa cut the time I spent on individual invoices in half. The process is streamlined and very intuitive. Cons The hardest aspect of Coupa is convincing my vendors to buy in to signing up for it. It is not a difficult process but can be daunting when the vendors are not familiar with Coupa. We moved from a messy system of emails and spreadsheets, so having everything in one place is a huge relief. I finally know who is spending what before the bill actually arrives, which makes my job way easier. That said, getting there wasn't fun. The implementation took longer than we expected, and getting our non-techy staff to actually use it correctly was a struggle. It’s not something you "pick up" in an afternoon. But now that we are over the hump, I can’t imagine going back to the old way. It works, but you have to be patient with it. Pros The "Amazon-like" feel. For the average employee buying office supplies or laptops, it’s actually pretty easy. They search for what they need and click buy. It stops them from going rogue and buying stuff from random websites. The Mobile App, a lifesaver for expenses. Being able to snap a photo of a receipt at dinner and toss the paper away immediately is the best feature. Invoicing. I love that a vendor literally cannot get paid unless they have a matching PO. It forces everyone to follow the rules. Cons Suppliers complaints.The "Coupa Supplier Portal" is great for us, but annoying for them to log in just to submit an invoice. Poor when something is disrupted in the chain of events normal to humans in business. Pros In concept the program benefits many of the suppliers when the end users (customers) cannot process invoices correctly and efficiently. Cons Their customer service is generally poor due to the delays in response. They are not set up for immediate interactive engagement. In our enperience they were allowing unauthorized use of our account and they struggled trying to unravel how they had accidently allowed it to happen. The interface is clean and straightforward, which makes it easy for new users to learn quickly without extensive training. excellent value because it brings multiple procurement and financial processes into a single platform. Instead of relying on separate tools for purchasing, invoicing, and expense management, everything is in one place, which is very convenient. I enjoyed totally. The way it integrates with everything even with AI Pros I used coupon, basically for invoice processing and expense management. It was really good the way it raises requisitions and create them into purchase orders having the approval for right, and it’s integration with that Netsuite was perfect. Purchasing is easy once you set it up, but the inital setup can be painful. Pros Ease of releasing purchase order and copying new ones from existing ones. Pros Being able to manage more than one vendor/customer within the system. Cons Not having a more updated Courier list for shipment tracking. We use TForce Freight and Old Dominion Freight frequently but they are not options on the drop down list. So, we get a lot of disputed invoices due to not having proof of delivery. The vendor receives the purchase order once approved via email. Once the service has been received attaching the invoice and the closure procedure is easy as well. Pros I have been using Coupa for 2+ years. Mainly use it to create Purchase Orders to vendors. Receive invoices from suppliers. The software has an inbuilt approval process to route Purchase Orders, vendor master service agreements. The software can be synced with Microsoft office which allows you to get notifications when a request is new your queue or the Purchase Order has been approved or denied. It also allows you to run queries to tabulate budgetary expenses and track historical expenditure. Creating a Purchase Requisition is fairly easy and straightforward. Cons Coupa is very useful and easy to navigate but requires training to become proficient in the application. Suggestion is to create job aids/ training procedures which can be used as a reference guideline whenever needed specially for personnel not using the application too often. This creates difficulties for the accounting department that needs to track these expenses and their related taxes accurately. Coupa Expenses allows your employees to take pictures of these expenses as they are incurred so they cannot be lost of forgotten. All of this is delivered with an easy to use Android or Iphone app as well as a full featured web client. Cons It sometimes gets tedious filling out the same options on every single expense, these should be caches so they do not need to be selected each time. Suppliers will love Coupa, because they can monitor the status of their invoice online via a self service portal. There are multiple ways invoices will be processed in Coupa invoicing Viz via supplier portal, Emailed invoices to Accounts Payables etc. Coupa invoicing has automated invoice matching and tolerances capability, supplier actionable notifications, mobile friendly app. Cons Coupa cannot handle accounting.
