I was disappointed to have to move on. These limitations may not impact other businesses, and I would gladly return to Patriot Accounting if these issues are addressed. They truly are good people. Pros First, I want to clarify that this is NOT a negative review. After using QuickBooks for over 20 years, I was pleasantly surprised to find that Patriot Accounting offered everything my small business needed: exceptional customer service, reasonable pricing, and an attractive, intuitive online platform. Cons The software has two major limitations for a service business. First, it cannot accept deposits or progress payments for a job; payments can only be made against an existing invoice. While this might not be a problem for some, it created significant issues for me. Once a payment is applied to an invoice, the invoice is "locked" and cannot be modified. This restriction becomes problematic when a customer wants to add or remove a service from their project, or if I want to apply a discount for any reason. The workaround suggested by Patriot—using a journal entry to receive payments (to a bank account but not directly to a customer) and later deleting this journal entry to apply the payment to an invoice created at the end of the job—is completely impractical. The payment and the final invoice would often occur in different years and accounts receivable reports would become meaningless. There is a requirement to run payroll four business days ahead of time but there is also an option to prefund payroll to shorten that process time. Pros Hands down the best part of this software is the customer support. Having moved from Quickbooks where you can never talk to anyone about anything, the customer support is next level with almost immediate chat response times and the ability to resolve most questions right away. Cons The downside is that it is much more limited in some functions. It is limited in your ability to track different jobs or workers comp codes easily. This software is certainly built for ease of use and affordability, but it does lack in a few features that would benefit customers who are in industries that require more tracking of where and what employees are doing. Our employees do complain about the app sometimes, but not enough for us to go back to Quickbooks. The articles are also very relevant and answer questions so you don't have to talk to a person. However, they are always available to answer questions and to remind me of processes that maybe I only do once a year. Pros Very affordable, organized, vetted service that replaces my very expensive bookkeeper. Easy to use and I am secure in their knowledge as I feel their calculations have my back. They have done payroll before and perfected that service before adding on HR and other accounting services. Cons Only con is having a prefunded amount, however, I think of it as a savings account I cannot have access to because I do often have to do next day payrolls. Pros We get so much more for our money than we did on our previous payroll service. Patriot does more for less! I appreciate not having to worry about any of the reports to the IRS. Patriot handles it all. This has been a gift! Customer service has been excellent also. Cons I sincerely can't think of any "cons", I only have positive to say. I wish we had known about it sooner. The system does flag duplicate invoices at the top level which prevents me from entering the same invoice twice. I was amazed that the API allowed us to transfer transactions from another platform and not have the entire process blow up. Pros As well as running the AP, and reporting it has not crashed. That is more than I expected it to run in the beginning. The dimensions are ok for seeing all the different departments, even if there is a delay. Having the cloud allows me to do this while waiting for my car to get serviced. This is acceptable. Cons I think the support is somewhat of a joke as they always give you a link to a video on how to fix an issue and I don't have time to sit through a movie about fixing an error. We had one instance where we wanted to view which 1099 bills were actually filed but the reports only gave us payments therefore creating multiple back and fourth communications. It's far too large of a product for what we need and I still am unsure of what exactly half of the functions do. Review Source hP henry P. Cons Sometimes delay will freeze screen. some payroll function need to translate to spread sheet. Profit loss report needs a little enhancement.
