### "Get a real company to do your payroll"

Pros

It is very inexpensive and takes on clients that have very few employees. Customer service reps are EXTREMELY HELPFUL, polite, and very knowledgeable of the program abilities and shortfalls.

Cons

You can cancel ANYTIME, but then you have to send all the State/Government taxes collect to their respective agencies with the appropriate paperwork. Patriot sends all the taxes back to you to deal with. Some taxes are due annually, due the end of January, so if you want Patriot to file it, you have to keep the subscription until that date. Nickel and diming. If you want them to track sick days, accumulated vacation days etc, it is included. If you want your employees to be able to track it through the online portal, that will cost you additional per month. Check out the list of add-ons to determine what is important to you. They offer QuickBooks import of data, but I have yet to see how anything matches anything on the bank statement. Like taxes are deducted from payroll, they show in a different month than the payroll, and the payroll imports as the gross amount which is not the amount sent to the employee by NatPay. If you use a dummy account in your accounting software (QuickBooks) to run all the payroll functions through, this will not bother you and your accountant will made the journal entry additional adjustments. I could not get my first payroll to reconcile, and it was determined that Patriot made an error and did not collect $ 3.60 in taxes somewhere. I am going with when the taxes were going to be sent to the agency, the error would have been found and corrected (depending on the tax agency, some are sent monthly, some quarterly, some annually.) The next payrolls were done correctly. NatPay is a 3rd party vendor that facilitates the employee direct deposit. If you enter a payroll incorrectly and want to cancel, even seconds later, Patriot says it is canceled, but you have to CALL NATPAY otherwise it goes through. Be sure to not miss the pop-up warning. I was advised they are working on a better solution to make sure it is clear what to do in order to cancel a mistake payroll that was submitted. The site is not all that easy to navigate. There are report and default options that may not be easy to locate how to set. Strongly suggest that you contact customer services and they will walk you quickly through the process. I have worked with 4 different Payroll service companies over the last couple of years. They are not all the same, they each have strengths and weaknesses and wide range of costs. From what I can tell, they all do the payroll functions of collecting and distributing employee payments and taxes correctly. The big difference, besides costs, is what they include in the base price, and if/how they enter this information into your accounting system like QuickBooks. With any payroll service, you always have the option to enter it manually into your system from the paystubs which ensure it is entered how you want it.

I'd like to take the opportunity to clarify some of your misgivings about Patriot: 1. You are correct, you can cancel anytime. If you do cancel, we do give you any money back we have collected so that you can make your filings yourself. If you want Patriot to file, for you, (we'd be happy to), you just need to cancel after the filings have been made. 2. You do not get charged to keep track of sick days or vacation days. There is a free feature in the software called "Manage Time Off". 3. Next pay periods DO automatically populate. This was a feature we added last year. 4. All payroll reports are under the Payroll tab under "Reports". We have an excellent "Payroll Details Report" where you can adjust dates and select specific employees and/or taxes to view. These can be grouped in a variety of ways: check, employee, paydate, totals 5. Once you run a payroll, a file is instantly sent to Natpay. If you void the payroll, you are correct, you will want to call Natpay and make sure the file has been canceled. Because this is a third party vendor who handles direct deposit, we can't control how their system works after the file is sent, unfortunately. We do give warning in the system to remind you. (We want to be sure your employees are only paid once.) 6. Our QB export only sends by pay date, not pay period. 7. We appreciate that we can make our navigation easier, and our UX team is on it! Really like it! The customer service team is AMAZING! I've never had any issue that couldn't be solved quickly and efficiently

Pros

The product is very easy to use, especially without having too much experience with payroll processing. Adding all our historical records for the year was very easy, it easily creates journal entries that can be imported directly into Quickbooks!

Cons

There really isn't any con. The ONLY thing that is frustrating at times - it has nothing to do with the service itself, however, when I process payroll before getting approval from my boss (oops!) i've had to void the full payroll only to process it a day or two later (cash flow) - the taxes are deducted from our account 2x, then refunded after 1-2 days. This is our fault when this happens, but if I had to list a con I guess that would be it :)

I did the trial for a couple others just to play around with their program, interface, features, etc. (without having imported any info yet) - Patriot was the one I felt the most comfortable with. I continued my trial with Patriot and imported all our data over - we purchased the subscription before our trial was even over.

Working with Patriot software has been easy and worry free over the past years. The tax payments are made timely and are accurate. Customer service is available to speak with via telephone which is a major plus.

Cons

As a full-service payroll subscriber there is no way to run a Form 941 without producing the entire quarterly tax report package. The workers compensation companies only want Form 941, so therefore I must use pdf software to extract this from from the package to submit.

My overall experience with Patriot software has been great.

Pros

When I joined Patriot as an affinity partner, the software discounts were too good to ignore, especially from a company who offered equal functionality as other top providers in the market. My favorite feature about Patriot Software is the 100% automated payroll tax filing and payments. Other software companies that I have used claimed full automation, but there would inevitably end up being at least one or two tasks that had to be completed manually, which was frustrating. Patriot lived up to and continues to satisfy its promise.

Cons

My least favorite thing about Patriot software is that credit card accounts have to be set up as negative asset accounts versus liabilities, as Patriot (at least at the time of my first company's onboarding) did not accommodate positive liabilities.

Reason for choosing Patriot Payroll

I purposely selected a product that had an accounting and payroll piece. I never considered these items separately.

I am so glad I chose Patriot software. I have already recommended it to another small business that uses it. I am lucky I choose it.

Pros

Easy to run and adjust payroll. Complete Tax withholding and send it to taxing agencies. Reports for CPAs and financial planners are super simple. The customer support is outstanding!

Cons

At this point the more I use it I find almost no cons. I use a lot of the reports but forget what does what at time.

My problem to solve was hiring a nanny as a household employer. I needed to run payroll for this individual, and not really anything else. Overall, this ended up being a very poor fit, as Patriot stopped short of issuing payments and taxes. I had to do those portions myself. If that hole could be fixed, I would highly recommend this product for others in a similar circumstance. The critical problem was household employees not needing or qualifying for a commercial checking account, but Patriot requiring one to process payroll transactions. I was able to print paystubs and W-2s, but that's where the utility ended. I was able to drop down to basic payroll, as the complete options weren't supported.

Pros

Once you figure out the basics of the product, it is very easy to enter hours and kick out paystubs. It's a slight learning curve to get to that point, however. Nothing a couple hours can't fix.

Cons

Lack of support for household employees was a big issue for me, and I only found that out after I spent a significant amount of time setting everything up. The product will be a lot better for paying household employees like nannies if Patriot can get it working with a normal checking account (not requiring a business account late in the process). I ended up having to figure out the most complicated part of the process on my own.

We have had issues with integration into QuickBooks. Initially we had it set up and then there was an update and we haven't been able to resolve the issue.

I love the software and the full service payroll option. It has saved me time and money and aggravation.

Pros

I love how fast and easy this software is to use. They are the lowest cost for full service payroll, and were fairly easy to set up. They integrate with QBO and have good customer service.

Cons

I don't like the lag time between running payroll and direct deposit. You have to run it 4-5 days ahead of time or you are out of luck.

Patriot was lower cost, and they offered something Gusto did not - the ability to file Wyoming Workman's Comp reports and payments.

Definitely an A overall and have no intentions of switching to another provider. If I leave it would be because I stop offering payroll services OR have an extremely bad experience, which I just don't forsee happening.

Pros

The customer service is outstanding and one of the main reasons that I would not switch to another software. In a day in age where automated and AI are the new norm, it is refreshing to be able to directly speak with / chat with a real live person.

Cons

The number of days needed ahead of time to submit direct deposit payroll.

It has not been a smooth transition overall, but we're working through it. I feel it would be so painful to switch to another company at this point, after everything we've had to learn and go through, that I'd be reluctant to do so unless something really bad happened. I'm hoping this is going to smooth out now that we are in real time and not working from history.

Pros

I like the friendly interface and use of direct deposit (once we got through setting it up). Payroll is quick to run now that it's set up.

Cons

The setup and entering payroll history at the start of the fourth quarter took approximately 24 work hours. It was not easy, and getting direct deposit approved took time as well. The payroll history is not fool proof as I mentioned--the software caused an error when running payroll for two states that still hasn't been fixed. Also, the vacation and sick time tracking does not cap properly (as it says it does) and so we'll need to track this separately outside of the software, which is a pain. Customer service has been good overall, though we have had conflicting responses at times. It has not been a smooth transition overall, but we're working through it.

Pros

I love that Patriot was easy to understand, implement and use! I switched to Patriot from QB payroll mid year and Patriot made the process super easy. I had the option to have Patriot handle the transition, or I could self implement. Being that I am a night owl and type A, I handled it myself. It was very easy and seamless. I did contact customer service once and they were helpful and responsive.

Cons

The payroll numbers were a bit off due to rounding. Apparently QB rounds differently than Patriot. However, I was assured it would all work out in the end and not to worry.

What I love most about the software is that it is easy to use and that you can operate it from the comfort of your own home and if you have any problem there are also numbers listed that you can contact to speak to an agent or a representative.

There are definitely no Cons when it comes to Patriot payroll. The software is definitely the best that I have used by far.

### "Best Overall Payroll Experience I've had in 40 years"

Patriot's team members were invaluable in cleaning up the horrible mess created by 1800Accountants who repeatedly filed erroneous 941s after I fired them. For over a year I had numerous letters and calls with the IRS trying to explain that 1800Accountants was sending incorrect 941s with zero dollar amounts. Patriot had to file many amended reports.

Pros

The software is easy to use and the value for the dollar is the best part for me. I had a C Corporation with many employees for 35 years and now I have an LLC. The customer service people are the best part - professional, friendly and efficient.

Cons

I really have no complaints. Years ago I was developer of commercial software for IBM with extremely high standards for user interface and user experience. If I studied the usability I probably would make some suggestions about the user experience and what I call "intuitively obvious' user interface but nothing that I consider show stoppers.

### "Solid Tool, Some Shortcomings"

Performing the payroll function is the easiest and best function. It has been simple to learn overall (with a few exceptions). Those items I had issues with the support team was great in assisting me directly (usually the chat function).

Pros

Ease of performing payroll functions that are beyond my capabilities. Enter all the data and it runs appropriately, collects the taxes, and keeps us legal and current on tax liabilities. These are all functions that would take significantly more time to accomplish without Patriot (and I would be uncertain if they were done correctly).

Cons

Several of the tools are difficult to use/understand how best to use such as the PTO/holiday accrual system, paycheck withdrawals, etc. I did figure out how to use them, but once I did, there were "orphan rules" I no longer needed/wanted and no way to delete them (and no way to make them do what I needed, which is why they were abandoned). The other issue I have had is the way PTO works (rules are limited and I need to make too many manual adjustments). Also, the turnover from 2020 to 2021 was challenging. I had to complete payroll yesterday (1/4/21) before COB and the Patriot Software had a glitch (per my conversation with one of the Patriot representatives) and we were not the only affected company. I did manage to push payroll through, but rather than 30 - 40 minutes running payroll, I spent most of the day. Fixing issues, answering employee questions, etc. On the timecard, I would like to be able to simply and easily enter 100 or more charging categories for projects. I'm looking for a new solution because there isn't really a simple way to administer that type of requirement in the timecard system

The company seemed to align with my personal objectives and views - good back story (this is what originally made me look at them). The cost was a factor and that I didn't need a detailed and complex process for payroll since we are less than 10 employees.

### "Why didn't I try this software sooner"

I am kicking myself for not doing this sooner. Great support that is US based and I'm treated very professionally.

Pros

I had heard it was complicated to set up, but once I had everything in I realized that was a good thing. Payroll has gotten so much more complicated over the years, to have all the small parts done right was a work saver. I wasn't having to create multiple work-arounds and spend extra time double checking. The non-accountant business owner, should consider hiring someone for a short time, get it set up right, then sit back and let the program do it magic.

Cons

Because I prepare the payroll tax filings outside of Patriot I wish there was a simple report that listed the employee name, hours, gross, and full listing of SOCIAL SECURITY NUMBER. Currently I have to dig through the employees' records and manually write down the SS#. I know a lot of this is ID thief protection. But I have an IRS Tax Preparer Certification and they required me to be finger printed and back ground checked.

I was tired of being treated like a child. I do several Washington State payroll filings and like lots of other states they have quirky rules. I was having to amended too many of their filings. I was tired of cursing at the computer screen. I didn't like the data mining and the slow loading while they got all their mining software in place. On an annual basis I was paying more for junk than I was paying for my Wolter Kluwer/CCH Small Firm Services tax preparation software.

A long time user who appreciates the efficiencies it offers. I've felt confident each quarter and end-of-year when taxes have to be paid that I can easily retrieve the necessary data so it can be done right.

Pros

The support stands out - I'm a big chat fan and questions can be answered quickly that way. Support people obviously well trained.

Cons

They sprung a major price increase without notice a while back, where the cost went up by a much higher percentage than you would expect from a software provider (Quickbooks Online for example).

### "An excellent and inexpensive option for handling payroll"

I needed to reduce payroll costs, as our small company was paying a small fortune every month to one of the mega-payroll companies. I was able to set up Patriot quickly and upgraded the account so Patriot handles all of our tax filings. Now I simply logon several times a month to run payroll and Patriot handles the rest. And it costs 50-75% less than our old payroll company.

Pros

The website is intuitive and easy to navigate and use. The price is far below the larger payroll companies and when our company switched to Patriot our payroll expenses dropped by more than 50%. The best part is that Patriot handles everything when you upgrade your account. Taxes are automatically filed, and direct deposits go out the door to employees. I simply set the payroll amounts, schedule the dates payroll gets paid, and Patriot does the rest.

Cons

There is not much to complain about with the software. Perhaps generating reports could be a bit easier. As someone without much familiarity with bookkeeping, it can take a few minutes to figure out how to generate a report that contains the information I need. But I assume people with appropriate experience could use the software easily.
