Previously, we manually recorded payroll entries in QuickBooks, which added extra steps and time to our process. Moving both payroll and accounting to Patriot created one unified system. Payroll now posts automatically to the accounting side, eliminating duplicate data entry and reducing the risk of errors. The employee and contractor portals are an added benefit. Our contractors previously lacked portal access to review their payment history, so this feature has improved transparency and reduced administrative requests. Overall, Patriot has provided a more streamlined, efficient, and cost-conscious solution for managing payroll and contractor payments within our organization. Pros Patriot delivers strong value through a clear pricing model, in which extra payroll runs and vendor payments do not incur additional fees. The system is easy to use, and data entry is simple. When paired with Patriot Accounting, it saves both time and money. The 2-day direct deposit option for trusted users is a major benefit. Their U.S.-based client support team is responsive and stays engaged until issues are resolved. Cons The main limitation is that support is not available 24/7, though this has not created operational issues for our team. If a question comes up over the weekend, you must wait until normal business hours. New users should also note that direct deposit begins with a 4-day lead time before transitioning to 2-day processing. Cons I would like more instructions for those of us with small businesses that simply indicates the tax report(s) we will need to pull and provide our CPA’s for tax deductions. November 4, 2025 5.0 Nothing but praise and thankfulness for your payroll service! It has streamlined our payroll process :-). Pros Our small church uses Patriot Payroll and it has been a wonderful experience. It has saved us precious budget monies by being cost effective, plus it is easy for our Finance \[sensitive content hidden\] to learn and use. The employees are thankful for their portal to see their profiles and adjust their withholding or their direct deposit information. It is adaptable for our salaried staff and our hourly preschool teachers. Onboarding is quick and easy with links to send to employees to complete their paperwork and profile. Cons The only thing that is missing is a visual icon or checkbox that says "Payroll is complete", because we have one person input the hours and another person logs in to approve payroll. I absolutely love Patriot Payroll. It is user friendly; the price is more than competitive, and the startup discount and referral rewards are great. The reporting features and customer service are top notch. There is a requirement to run payroll four business days ahead of time but there is also an option to prefund payroll to shorten that process time. I have no complaints about Patriot and will continue to recommend them to all my clients. Pros The value and the ease of use. Quick response from customer service. The new client and referral discounts are a wonderful bonus. I love the reporting features. Cons The requirement to process payroll four days ahead of time is a little inconvenient but I do know there is an option to prefund. They keep you updated when things are due. They are accessible for any questions. They are innovative, improving on an already great system. It has been and continues to be a great experience. Pros I absolutely LOVE the fact when you call, you get a live person. Not recordings to connect you to another recording! Patriot has the very BEST customer support! Also, when you are talking to support, they are kind and patient and do not make you feel like you are wasting their time or that you are bothering them. I can’t stress this enough. Patriot is very informative and easy to navigate. It would have to be simple for me to do it. I received an IRS letter one year and called Patriot and it was taken care of. We recently converted to direct deposit without hiccups. The printed documentation as well as the how to videos are extremely beneficial. The employee payroll portal allow for employees to enter their own bank account information is a value add. Pros The price for the features offered is perfect for start up businesses. The software grows as your business grows and you can enjoy the bells and whistles that the software has to offer. Cons You can't save the payroll you've enter; add an employee; and pick up where you left off. The only tax form offered for quarterly taxes is federal 941. I would like to see State forms available as well. The program is super easy to use and provides 100% accuracy in reporting. Pros Patriots software is user friendly and super easy to implement, easy to use and easy to integrate with employee benefits. The value as compared to other payroll packages and/or services is very substantial. I run payroll for about 20% of what other services would cost. This is a no-brainer if you want to be efficient and effective. Cons The 1099 reporting mechanism isn't as smooth as the W-2 reporting. The program needs to be able to print pro-forma 1099-NEC and 1099-MISC without having to use a Preprinted Form. Its also good for employee's to use their side of things, but it also gives them responsibility such as when it comes to their payroll. As of now I have not found any issues or bugs. Some of my past services, most actually, were billion dollar companies, but for the life of me, I don't know how they got that way! Cons There is \*nothing\* to not like about Patriot. Pros Patriot gives me the right level of features without relying on a big payroll company administrator. Cons The Time Off Request feature (beta) does not allow a negative balance. The manager role cannot add people. Each employee can only have one direct line manager who can edit their punches and approve their time off. I have used multiple payroll companies and contacting customer support is always a headache and I'm talking to someone outside of our country. I love that when I call into Patriot Customer Support that I am not on hold for hours and I am talking to someone who actually knows the software. Every time I've had to call support the representative was kind and knowledgeable and was able to resolve my question on the first call. Cons I have found only one con with Patriot, which is their payroll processing time. I wish it didn't take 5 business days to process payroll. I do miss having a 24 hour processing time. Pros Patriot payroll is so easy to use. It takes about 3 minutes to run payroll. Patriot takes care of all of the back office stuff for us. It literally couldn't be any easier. Customer service is easy to reach, they have clearly speaking and kind agents to help you quickly. It is very user friendly when managing employees in the system. We haven't had any issues so far and it is worth every penny! Cons I genuinely can't think of anything to list under cons with Patriot Payroll. We have not had any issues at all. The only time I've had to call customer service was because I just needed to confirm tax information and they answered and helped quickly. No negative feedback to give. My employees receive their pay on time, and that's what matter most. I especially love that they're a local Ohio company — I trust them to handle Ohio taxes well. Payroll is easy to run, and I get it done much faster than I did with QuickBooks. I may be open to exploring future Patriot Software products in the future. Pros Patriot excels in their customer service. All of their employees are extremely knowledgeable in any issue. I trust that if I have any problems, they will be able to help me right away. Cons I wish billing information was more visible when viewing "My Products". I have a variable amount of employees each month, and I'd like to know how much I'm currently paying. Additionally, I don't care for the 4 day ACH Direct Deposit. My business runs payroll biweekly on Sunday, and as a result of switching my employees now receive payment 2 days later than they're used to. I understand Expedited 2 Day ACH Direct Deposit, but I could not find any information on how to become an "established, well-qualified customer". The articles are also very relevant and answer questions so you don't have to talk to a person. However, they are always available to answer questions and to remind me of processes that maybe I only do once a year. Pros Very affordable, organized, vetted service that replaces my very expensive bookkeeper. Easy to use and I am secure in their knowledge as I feel their calculations have my back. They have done payroll before and perfected that service before adding on HR and other accounting services. Cons Only con is having a prefunded amount, however, I think of it as a savings account I cannot have access to because I do often have to do next day payrolls. I forget the names of the ones I use regularly and have to search for them. If they could allow me to save favorite reports so the next time I need it, I know which report it is, that would be great. I don't like the company name because it is a word that is unfortunately loaded today. March 6, 2026 5.0 I would suggest Patriot payroll, the ease of use, value and customer support are great. 2025 was the first year I used it so when it came time for the W2's I had a few questions and I contacted customer support (right on the computer) and she walked me through step by step. She was very helpful and patient with me. Pros I think it is very easy to use. Any questions I had I clicked on "help" and it gave me the link for the everything I was looking for. I also think the price is great, I was using Quickbooks prior and the price was getting ridiculous. Cons The only thing I don't like is when I am doing payroll and if I want to make a wage change for someone, I have to start my payroll all over. The hours I entered in already don't save. If there are errors on my end, the Patriot staff are understanding and helpful. If there is an issue on their end, they address it immediately and do not try to deflect it back to me. Pros It's easy to learn, easy to use. Very intuitive. The cost is reasonable and has never been excessive, even in the beginning. Cons No after hours or weekend/holiday assistance when something goes wrong. When the company needs help, we should be able to call someone, even if there is a cost.
