I run payroll weekly and it takes me about 5 minutes total. It's completely seamless and efficient! Pros When I signed up for Patriot (YEARS ago!) I wanted something that was user friendly, easy to navigate and had an awesome customer service team behind it. I'm an entrepreneur; not an accountant and I wanted a company that would help whenever I had tax related questions. Patriot has fit the bill for all of that. Cons The only thing that has been an issue is there have been two times in the last year in which my employees have woken up Friday morning and not had their direct deposit paychecks in their bank account. Given the stressful times of COVID this has caused them (mainly their spouses!) stress wondering where their paychecks have been. Luckily both times I've gotten on chat with Patriot and they've admitted the problem with their bank and have promised the direct deposits would be in by EOD. And they have been. I do hope they can get those kinks worked out bc no one likes to wake up and not have their owed money in their bank accounts. But for what it's worth... the communication about it is AMAZING and most of the time that is more important than anything else. I am coming from a competitor and found this software easy to work, maneuver around, and get the company on track again. Pros I like the interface. This software is customer friendly. The steps to set up and run your first payroll are simple and allow you to really decide what you want on the pay remit. The options are many so you have a lot of versatility from deductions to taxes to contributions to covid parameters. Cons Sometimes it takes a few tries to get where you really need to go. Whether it is user inexperience or just difficulty with verbiage. I will say take advantage of the videos, tutorials, and all the help and support you can get. I appreciate there is a team that can keep up-to-date with tax laws and all returns are submitted electronically. Cons When I made an error in setting up PTO, I couldn't edit it. I had to create a new rule completely and make the one in error, inactive. I have used Patriot for a two-employee company and found it was helpful. W2s were available right away. They kept up-to-date with the changing payroll tax laws during Covid19. I was responsible for all paying of taxes and reporting I have had some issues with the payroll forms company connected with Accountedge. They wouldn't print and I would get an error message. Their reps would tell me that it was because I made a change in my computer or I needed to upgrade my computer. Also, I wasn't too confident using their company to transmit electronically. They have had some issues. Also, I am retiring from the company and know that many bookkeepers don't know how to do payroll through W2s, so I felt it would be easier to set this up for the next employee to use. It doesn't double things or add things that shouldn't be there. It is easy and straightforward, and the staff helps with any questions. Pros The software is easy to use, if you make a mistake, it's easy to fix or correct. I am able to add multiple bank accounts so I can track my transfers easily. The staff is very helpful whether I call in or as for help over the messaging platform they are always quick to answer my questions and email me the conversations so I can refer back if I need to. Cons The only real issue I had is it kicked my bank off once and I had to re-record everything. It worked out ok though. I just hope it never does that again. Pros Probably the absolute MOST valuable and useful aspects of Patriot Payroll are the support staff. They are knowledgable, patient, helpful, patient, resourceful, patient, and patient. The software itself is intuitively simple. No steep learning curve at all. Notwithstanding, we have had instances requiring unusual transactions or just lapses of our knowledge of payroll-related vagaries. The support staff has always been quick to answer a phone call or email. And, their help has always been exceptional. Cons They are continually adding features. November 1, 2021 5.0 The problem I am solving was my old CPA who did my payroll, wasn't always doing it right or sending in reports done right or ontime. I didn't know anything about it. He sent me the amount each week to pay and I just wrote the check. Finally got audited ( just the payroll ) and he was of no help. So I decided to do it myself. That was a nightmare. The IRS was no help, anything they had to teach you how to do payroll, assumed you already knew how and just showed you how to fill out the forms, but you had to know which form. I stumbled upon Patriot, signed up and it has been pretty smooth sailing for years. Pros I went from paying my CPA to do my payroll and found out years into it, he wasn't always correct. I knew nothing about it, nor what he was doing wrong, nor how to fix it. And I don't think he did either. It was a huge pain in the .... A friend who is a big time corporate CPA, who says I'm too small for his company, told me about online payrolls, mentioned a name or two, so I investigated. Patriot was not one of the ones he mentioned. I don't remember where I first heard about them, but immediately liked them because they have different levels of how much service they provided. I wasn't looking for someone to do everything, I still wanted to be in the loop of knowing what is being done and when. They offer several plans and the one I use is perfect. Cons Nothing really. But I have never done payroll before using Patriot, nor have I ever used another software, so I don't have any experience to compare it to. But I have done my payroll to the satisfaction of the governments and would not have been able to with out Patriot. And whenever something came up that I didn't know, they were there to explain/guide me through it. Reason for choosing Patriot Software Because the others were all or nothing. With Patriot, I was able to get them to do just the part I did not know how to do nor wanted to. I do just enough each week that I know what's going on, know if everything is done on time, and save a few bucks to boot. I would like that to be blank. I have my own invoice number to enter, so I need to delete the preset before entering my own. March 25, 2022 4.0 Overall, I have had a positive experience with Patriot Payroll. The staff is friendly and helpful, and they always answer my questions in a timely manner. I appreciate the fact that they offer both online and offline payroll services, which makes it easy for me to stay compliant with the IRS. I would definitely recommend their services to other small businesses. Pros There are many things that we like about Patriot Payroll. First, they offer a variety of services that cater to our needs. Second, their customer service is excellent. We always receive prompt responses to our questions, and their representatives are always willing to help. Third, their prices are very reasonable, and they offer a variety of payment options. Finally, their software is easy to use and very reliable. We never have any problems with it, and it makes processing payroll a breeze. Cons There are a few things that I didn't like about Patriot Payroll. First, their customer service is not the best. It can be very difficult to get in touch with someone who can help you, and when you do, they often don't have the answers to your questions. Second, their website is not very user-friendly. Pros We are a fairly new nonprofit started in the past 3 years. We started out using patriot payroll and its made paying our employees, paying taxes and filing taxes, as well as tracking what we pay contractors easy and doable for us! It is user friendly and is a very non complicated system. We love the time card management addition that allows our employees to fill out their own time cards, but also allows the administrator to edit them as needed. Cons I don't feel much needs to be improved upon, I am happy with the software and feel its very user friendly. I have not had any issues with it at all. It's very fast to run, provides a summary that contains nearly all the information I need in one place, provides a PDF file that reflects pay stubs, by employee and it's all quite straightforward and fast. Journal entries are easy to construct with the information given for summary entry into General Ledger. And I do not have to pay by the year which is one of the reasons I switched from another software. Pros Patriot was a breeze to set up, even mid-year and mid-quarter. Payroll is very easy to run and because my clients don't feel comfortable giving access to their bank accounts, I simply provide a PDF of their check stubs for the given week and they write the checks, it works quite well. I am in a different state than my clients but we work by mail and email so PDF files are fine. I have one client that I also use a different General Ledger Accounting software for and I simply journal in the Patriot payroll in journal form at the end of each month. I can break down the detail as much or as little as I need. Cons State of California requires a breakdown per quarter of how much each employee was paid and how much tax they paid for State Taxes. This is a little more difficult to put together as there is no report labeled State payroll. Possibly it is there I just haven't found it specifically, but it is always the most challenging part of the quarterly payroll tax process. I would also like it if child support and Cal Savers could be on the same report as payroll tax deductions. If I had more employees it would be a bigger problem for me. They were willing to charge monthly rather than yearly. Quickbooks had begun to demand more control and higher prices. Switched from [QuickBooks Desktop](https://www.capterra.com/p/212058/QuickBooks-Desktop-Pro/) I thought the continually rising cost to use QuickBooks for the small number of employees was too much. Additionally, QB requires a yearly fee and sometimes a monthly fee as well. I just didn't like the feeling that I had no options but to continue to pay high prices. Because I live in a rural area I have limited internet access so a hot spot, on metered usage is a must. Thus I need to keep as much on desktop as possible. And even if I had, it's always resolved ASAP. Pros I can do a lot of things with this software and not just simply payroll itself. It is also very easy to use. I can use the free expert support wherein the chat support aren't robots. I call, chat and email them and they really solve problems. It's mobile friendly too. It doesn't take up too much space on my phone. The design gives me access to my account anywhere and there is no hassle in downloading and updating. These are the things I like most based on experience and it's overall helpful to me. Cons What I like least about this software is the optional 1099 e-filing because it has nominal fees. It's nice to have this feature though and it's good because it's optional. I'm just sharing that it's my least favorite feature. Book keeper Electrical/Electronic Manufacturing Used the software for: Less than 6 months ### "Get a real company to do your payroll" May 3, 2017 2.0 Pros It is very inexpensive and takes on clients that have very few employees. Customer service reps are EXTREMELY HELPFUL, polite, and very knowledgeable of the program abilities and shortfalls. Cons You can cancel ANYTIME, but then you have to send all the State/Government taxes collect to their respective agencies with the appropriate paperwork. Patriot sends all the taxes back to you to deal with. Some taxes are due annually, due the end of January, so if you want Patriot to file it, you have to keep the subscription until that date. Nickel and diming. If you want them to track sick days, accumulated vacation days etc, it is included. If you want your employees to be able to track it through the online portal, that will cost you additional per month. Check out the list of add-ons to determine what is important to you. They offer QuickBooks import of data, but I have yet to see how anything matches anything on the bank statement. Like taxes are deducted from payroll, they show in a different month than the payroll, and the payroll imports as the gross amount which is not the amount sent to the employee by NatPay. If you use a dummy account in your accounting software (QuickBooks) to run all the payroll functions through, this will not bother you and your accountant will made the journal entry additional adjustments. I could not get my first payroll to reconcile, and it was determined that Patriot made an error and did not collect $ 3.60 in taxes somewhere. I am going with when the taxes were going to be sent to the agency, the error would have been found and corrected (depending on the tax agency, some are sent monthly, some quarterly, some annually.) The next payrolls were done correctly. NatPay is a 3rd party vendor that facilitates the employee direct deposit. If you enter a payroll incorrectly and want to cancel, even seconds later, Patriot says it is canceled, but you have to CALL NATPAY otherwise it goes through. Be sure to not miss the pop-up warning. I was advised they are working on a better solution to make sure it is clear what to do in order to cancel a mistake payroll that was submitted. The site is not all that easy to navigate. There are report and default options that may not be easy to locate how to set. Strongly suggest that you contact customer services and they will walk you quickly through the process. I have worked with 4 different Payroll service companies over the last couple of years. They are not all the same, they each have strengths and weaknesses and wide range of costs. From what I can tell, they all do the payroll functions of collecting and distributing employee payments and taxes correctly. The big difference, besides costs, is what they include in the base price, and if/how they enter this information into your accounting system like QuickBooks. With any payroll service, you always have the option to enter it manually into your system from the paystubs which ensure it is entered how you want it. Review Source Response from Patriot Software May 5, 2017 I'd like to take the opportunity to clarify some of your misgivings about Patriot: 1. You are correct, you can cancel anytime. If you do cancel, we do give you any money back we have collected so that you can make your filings yourself. If you want Patriot to file, for you, (we'd be happy to), you just need to cancel after the filings have been made. 2. You do not get charged to keep track of sick days or vacation days. There is a free feature in the software called "Manage Time Off". 3. Next pay periods DO automatically populate. This was a feature we added last year. 4. All payroll reports are under the Payroll tab under "Reports". We have an excellent "Payroll Details Report" where you can adjust dates and select specific employees and/or taxes to view. These can be grouped in a variety of ways: check, employee, paydate, totals 5. Once you run a payroll, a file is instantly sent to Natpay. If you void the payroll, you are correct, you will want to call Natpay and make sure the file has been canceled. Because this is a third party vendor who handles direct deposit, we can't control how their system works after the file is sent, unfortunately. We do give warning in the system to remind you. (We want to be sure your employees are only paid once.) 6. Our QB export only sends by pay date, not pay period. 7. We appreciate that we can make our navigation easier, and our UX team is on it! I've never had any issue that couldn't be solved quickly and efficiently Pros The product is very easy to use, especially without having too much experience with payroll processing. Adding all our historical records for the year was very easy, it easily creates journal entries that can be imported directly into Quickbooks! Cons There really isn't any con. The ONLY thing that is frustrating at times - it has nothing to do with the service itself, however, when I process payroll before getting approval from my boss (oops!) i've had to void the full payroll only to process it a day or two later (cash flow) - the taxes are deducted from our account 2x, then refunded after 1-2 days. Cons Accounts Payable- There is no easy way to go into a vendor's file and see the entire payment information. You have to go to a billing report to see some info. Pros When I joined Patriot as an affinity partner, the software discounts were too good to ignore, especially from a company who offered equal functionality as other top providers in the market. My favorite feature about is the 100% automated payroll tax filing and payments. Other software companies that I have used claimed full automation, but there would inevitably end up being at least one or two tasks that had to be completed manually, which was frustrating. Patriot lived up to and continues to satisfy its promise. Cons My least favorite thing about is that credit card accounts have to be set up as negative asset accounts versus liabilities, as Patriot (at least at the time of my first company's onboarding) did not accommodate positive liabilities. I needed to run payroll for this individual, and not really anything else. Overall, this ended up being a very poor fit, as Patriot stopped short of issuing payments and taxes. I had to do those portions myself. If that hole could be fixed, I would highly recommend this product for others in a similar circumstance. The critical problem was household employees not needing or qualifying for a commercial checking account, but Patriot requiring one to process payroll transactions. I was able to print paystubs and W-2s, but that's where the utility ended. I was able to drop down to basic payroll, as the complete options weren't supported. Pros Once you figure out the basics of the product, it is very easy to enter hours and kick out paystubs. It's a slight learning curve to get to that point, however. Nothing a couple hours can't fix. Cons Lack of support for household employees was a big issue for me, and I only found that out after I spent a significant amount of time setting everything up. The product will be a lot better for paying household employees like nannies if Patriot can get it working with a normal checking account (not requiring a business account late in the process). I ended up having to figure out the most complicated part of the process on my own. It is affordable. And we never have to worry about submitting payroll taxes. Patriot makes doing payroll one of my easy tasks. Cons We have had issues with integration into QuickBooks. Initially we had it set up and then there was an update and we haven't been able to resolve the issue.
