Previously, we manually recorded payroll entries in QuickBooks, which added extra steps and time to our process. Moving both payroll and accounting to Patriot created one unified system. Payroll now posts automatically to the accounting side, eliminating duplicate data entry and reducing the risk of errors. The employee and contractor portals are an added benefit. Our contractors previously lacked portal access to review their payment history, so this feature has improved transparency and reduced administrative requests. Overall, Patriot has provided a more streamlined, efficient, and cost-conscious solution for managing payroll and contractor payments within our organization. Pros Patriot delivers strong value through a clear pricing model, in which extra payroll runs and vendor payments do not incur additional fees. The system is easy to use, and data entry is simple. When paired with Patriot Accounting, it saves both time and money. The 2-day direct deposit option for trusted users is a major benefit. Their U.S.-based client support team is responsive and stays engaged until issues are resolved. Cons The main limitation is that support is not available 24/7, though this has not created operational issues for our team. If a question comes up over the weekend, you must wait until normal business hours. New users should also note that direct deposit begins with a 4-day lead time before transitioning to 2-day processing. Patriot knows their market- and in my case that means the business owner who wants to do it right but doesn't have time to learn HR, Accounting, Payroll, Tax law, and each state's unique requirements. Pros Excellent value for the cost. I tried moving to Insperity fora brief time and not only were my taxes a mess and my payroll history a disaster but I transitioned back to Patriot quickly and easily within 6 months. Patriot helped me get my books back in order and were knowledgeable and helpful along the way. I've had minimal difficulty onboarding and deactivating employees most issues stem from my own knowledge gaps. 10/10 would recommend to my friends and I regularly do. Cons It would be nice to have a dedicated POC for issues but the phone line seems to do the trick. A more integrated training system would be nice, Mineral doesn't really do the trick for govcon work. They got my payroll EOY information wrong, they neglected to sign an employee up for health benefits after he enrolled which left him without coverage for 4 months. Their time card system was worse than using excel or a post it note. They advertise working with govcon industry but were truly clueless about the requirements for timekeeping. When we finally transitioned away from Insperity they refused to negotiate any discount for partial months or for the months that they had failed to perform to their SOW. All told, a terrible experience. When I came back to Patriot I had help, support and the only error in my taxes this year is from bad data from Insperity. Review Source DA Diana A. If I have questions, their team is a simple chat or phone call away. Pros The platform makes the experience super easy and seamless. I do not have to do anything with the new auto-payroll feature! It automatically pulls and sends the taxes for me, which also makes it easy for my CPA as well. Cons I have no issues. Cons I would like more instructions for those of us with small businesses that simply indicates the tax report(s) we will need to pull and provide our CPA’s for tax deductions. November 4, 2025 5.0 Nothing but praise and thankfulness for your payroll service! It has streamlined our payroll process :-). Pros Our small church uses Patriot Payroll and it has been a wonderful experience. It has saved us precious budget monies by being cost effective, plus it is easy for our Finance \[sensitive content hidden\] to learn and use. The employees are thankful for their portal to see their profiles and adjust their withholding or their direct deposit information. It is adaptable for our salaried staff and our hourly preschool teachers. Onboarding is quick and easy with links to send to employees to complete their paperwork and profile. Cons The only thing that is missing is a visual icon or checkbox that says "Payroll is complete", because we have one person input the hours and another person logs in to approve payroll. I absolutely love Patriot Payroll. It is user friendly; the price is more than competitive, and the startup discount and referral rewards are great. The reporting features and customer service are top notch. There is a requirement to run payroll four business days ahead of time but there is also an option to prefund payroll to shorten that process time. I have no complaints about Patriot and will continue to recommend them to all my clients. Pros The value and the ease of use. Quick response from customer service. The new client and referral discounts are a wonderful bonus. I love the reporting features. Cons The requirement to process payroll four days ahead of time is a little inconvenient but I do know there is an option to prefund. They keep you updated when things are due. They are accessible for any questions. They are innovative, improving on an already great system. It has been and continues to be a great experience. Pros I absolutely LOVE the fact when you call, you get a live person. Not recordings to connect you to another recording! Patriot has the very BEST customer support! Also, when you are talking to support, they are kind and patient and do not make you feel like you are wasting their time or that you are bothering them. I can’t stress this enough. Patriot is very informative and easy to navigate. It would have to be simple for me to do it. I received an IRS letter one year and called Patriot and it was taken care of. Pros I like how easy and fast it is to make entries and keep track of sales and expenses. When I got started with it, I needed a system to send recurring invoices, and not all accounting programs could do that. Cons Hard to change things if I make a mistake. Arbitrary limit on length of reference when recording payments. Some customers have non-numeric check numbers or very long check numbers. Patriot freaks out with this and the error message is not really helpful - we just know from experience what is happening. Its also good for employee's to use their side of things, but it also gives them responsibility such as when it comes to their payroll. As of now I have not found any issues or bugs. If I make a mistake, support can always walk me through fixing it. Pros Taking out payroll from QuickBooks to Patriot was the ABSOLUTE best thing we could have ever done. The cost was considerably lower, and they don't hassle us with additional fees for every little thing. AND they process our tax deposits! That's the best part of all. The customer support is superior to any other support I've ever used. The techs are kind, patient, and walk you through anything and everything. Running payroll is the easiest thing, takes no time at all. We've been Patriot client for over a year now and have not run into any issues or glitches at all. It's smooth to use and I can run payroll from anywhere. My phone, at home or just at my desk. I will always give it a 5-star review! We recently converted to direct deposit without hiccups. The printed documentation as well as the how to videos are extremely beneficial. The employee payroll portal allow for employees to enter their own bank account information is a value add. Pros The price for the features offered is perfect for start up businesses. The software grows as your business grows and you can enjoy the bells and whistles that the software has to offer. Cons You can't save the payroll you've enter; add an employee; and pick up where you left off. The only tax form offered for quarterly taxes is federal 941. I would like to see State forms available as well. They sent me automatic emails saying my EIN was wrong OR OTHER ISSUE, not clarifying the issue. I had to reach out to the State and to Patriots and escalate until they figured out what was wrong. Someone is always there to help and they are always taking recommendations for improvement. Pros The ease of use. I like that I can set it for lists and quickly find what I need. I like that it treats me like I'm doing bookkeeping and not a bunch of meaningless icons laid out oddly. Cons I cannot manually transfer transactions outside of the PLAID transfer. I love that my credit union now uses PLAID and I can transfer, but there were missing transactions and then I couldn't transfer manually, I had to do individual journal entries. The website is one of the most logical that I've used. Their help website is also one of the best I've used. I've only had to contact support a small number of times. Pros Patriot gives me the right level of features without relying on a big payroll company administrator. Cons The Time Off Request feature (beta) does not allow a negative balance. The manager role cannot add people. Each employee can only have one direct line manager who can edit their punches and approve their time off. For a small non-profit like us it's crucial to keep costs to a minimum. You get a lot of bang for your buck with Patriot. Pros The customer service! The system is fairly easy to use. Entering payroll is very easy, we use the time card feature and that makes it even easier. Cons We pay our own taxes, I wish there were more reports for filling out state tax forms like unemployment and paid family/medical leave. Needing to pull more than onw report to accomplish filing some of these returns is a pain in the butt. Overall, it's very intuitive and makes my job easier, all at a very fair price. Pros Very easy to use and easy on the budget. Customer service is top-notch! Love that they file the tax forms for me. One less thing for me to do. Cons Wish the vacation accrual time worked for me, but there doesn't appear to be a way to set a date that hours stop accruing. The only option is to set an accrual max limit which didn't work because people use their accrued time and therefore accrued time never reached the max. I was really fustrated in the begining. Pros That it was a cheaper option for just starting out with payroll. It didn't have a whole bunch of little fees that would drive up the cost of the service. Cons That they can't handel child support paymnets, that the FAQ is missing a lot of helpful answers (One exaple is do I inactivate employee or terminate when they quit). I would like to be able to have a hiring packet that I can have them review and sign off on. Setting up something were a little confusing but your customer support helped me through it. The system does flag duplicate invoices at the top level which prevents me from entering the same invoice twice. I was amazed that the API allowed us to transfer transactions from another platform and not have the entire process blow up. Pros As well as running the AP, and reporting it has not crashed. That is more than I expected it to run in the beginning. The dimensions are ok for seeing all the different departments, even if there is a delay. Having the cloud allows me to do this while waiting for my car to get serviced. This is acceptable. Cons I think the support is somewhat of a joke as they always give you a link to a video on how to fix an issue and I don't have time to sit through a movie about fixing an error. We had one instance where we wanted to view which 1099 bills were actually filed but the reports only gave us payments therefore creating multiple back and fourth communications. They're constantly working to add upgrades which I appreciate. Pros I love that this is a cost-effective service for small businesses like mine. Any time I have reached out to customer service, they have been very easy to deal with and respond very quickly. Running a payroll takes no time at all and is easy to set up. I also love that there is a time card feature that has a geolocation option. Cons I honestly can't think of anything. I use the full service payroll and it has just been smooth sailing for me. Pros What's not to love? Easy employee set up, easy weekly payroll entry, easy wire instructions if I enter payroll late, affordable monthly fee, and quick answers to online chat. When I've had to email questions or changes, it may take 1/2 to 1 business day for them to get back to me, but the cheerful and accurate answers are much appreciated. Cons Employees complain about the online portal they use, but as an employee myself, I think the portal works as intended.
