Pros

I began using SharePoint as a business user and loved it so much I began the journey to becoming a developer! A well maintained SharePoint site can make the difference between a successful company and not coping in the modern age of fast moving information. My career is dedicated to making this software work for my organisation.

Cons

SharePoint online has grown in leaps and bounds, but there are still features that we miss. Syncing from online to local is sometimes messy and complicated.

It's an option. It's a headache for the one role it has, but it's still an option.

Pros

The feature that might be the most impactful might be the suggested structure of the how to divide areas of your work, called Sites. But personally, without an example provided to go by, we didn't know how to use it properly and made way too many Sites which we never used again.

Cons

The. Upload. Synchronisation. If you have archives to upload, do it folder by folder - no folders should be in the folders you upload. Otherwise, it'll completely ignore you can you won't know which files have not been uploaded like you asked. Don't even try to use local file synchronisation. Just. Don't.

Overall Sharepoint has been great for us. We already pay for it as part of our Microsoft Office Licensing and so we've been intentionally moving processes over to sharepoint to reduce cost in other areas and streamline. With the use of Power apps and power automate you can make sharepoint do some really crazy things that it doesn't do out of the box. We basically built a ticketing system for our data department because they needed to manage requests, but didn't have enough requests coming through to justify purchasing a system. Took a couple hours of work to get working.

Pros

All the various use cases for MS Sharepoint. With the right plugins and apps, Sharepoint can solve a really surprising variety of problems. From Intranet, to knowledgebase to shared drives and even contract management or acting as a ticketing system, Sharepoint is extremely flexible and even easier to use now.

Cons

Sharepoint has basically 2 interfaces, the more modern on you see on the surface and do much of the configuration of pages with and the older 2013 interface for a ton of the permissions and granular items. It almost feels like 2 different products at this point.

With Microsoft SharePoint, we always ensure that our data is preserved in an organized manner, and we can always share the performance of many functions and also share files of various sizes easily, and this has reduced unnecessary emails, and this has also contributed to documenting the original copies of files and various forms.

Pros

I am very grateful to Microsoft SharePoint, as it provides many features for teams, so that they can collaborate more effectively on everything related to file management. I really like the ease of creating main folders and subfolders and organizing data storage, and I also like the permission system that enables us to specify who is authorized to access certain files and who is allowed to make modifications, these features are very important to protect data from tampering. Microsoft SharePoint enables us to work together remotely with greater flexibility, as it is enough for a colleague to complete the update required of him, for another colleague to add other updates to the same copy and without the need to download them on his device or make additional copies and send them via e-mail, which saves a lot of effort.

Cons

I haven't experienced any concerns, as Microsoft SharePoint integrates with my computer, which is an extra space in which I can save data and files and share them with colleagues with ease.

Sharepoint solution feels natural and familiar with office users, it integrates well with many other products and works with them seamlessly. I like how we can have all our deliverables and information on one place accessible by the right people.

Pros

I love how SharePoint seamlessly merges with all other products: ms teams, office, powerbi, etc. It has also so many features that make it more than a file sharing tool: se can collaborate, control file versions, submit changes and approve, search all company to find relevant documents or files and more!!

Cons

Sometimes when uploading files, it gets stuck and its progress does not continue, I could be great if the files that are not successfully uploaded are then marked or deleted somehow. But most of the times it does not happen. I also find that SharePoint could have a stand alone app that is installed on windows instead of relying on the web browser (sometimes if the browser freezes or anything goes wrong all the progress on editing files or uploading/downloading is lost), sure it will come one day!

We had hoped that Sharepoint would offer the cloud-to-local sync functionality and performance of Dropbox, but with integration with Office and Excel. In reality, its bugs and inconsistent syncing make it a highly frustrating and a miserable experience for our staff. Dropbox offers some Office and Excel integration and in our testing its simpler and works more consistently. We will be switching to Dropbox Enterprise within the next few months. This is sad, because Sharepoint comes "free" with our Office and Excel licenses, so it just ends up being something we paid for in the bundle price that will sit on the shelf.

Pros

SharePoint integrates with Office and Excel, which are tools we use regularly. It serves as a cloud-based central file store, and you can open files from it via the web browser or use its sync utility to sync the files locally similar to Dropbox. When it works as intended, it's a passable experience.

Cons

There are daily failures by Sharepoint that add up to a miserable user experience. The biggest issue is the sync utility. On a daily basis there are problems with local changes syncing back to the cloud, or cloud changes syncing locally. We work on Macs, which I suppose is understandable that our platform wouldn't be as well-supported, but we do pay the same money that Windows users do. The integration with Finder is passabe, but the icons for "synced" or "up-to-date" are not always accurate. Also, the utility that shows you what is syncing is not always accurate. I can save a file locally and watch that utility and I see no sign that my change is syncing to the cloud. On a weekly basis, we have a user open a file from the web browser only to discover that some other user had saved a version of the file that never synced. Also, the web browser file views frequently load folders with empty file lists, you have to refresh to see the files, which is just problems with basic usability.

Small, medium-sized, and large enterprises with multiple teams and collaboration programs can all benefit from SharePoint. Furthermore, setting up a SharePoint is rather simple for an enterprise with an IT department. Sharepoint has helped me become more efficient in a variety of areas, and I'm hoping that one of its functions will allow me to make a process more collaborative, controlled, and automated. Currently, the entire organization has access to the software, and the transition from local servers to Sharepoint has been gradual, owing to people's apprehension of something new and unknown.

Pros

SharePoint is particularly user-friendly when it comes to co-authoring. Simply open the online version of the document you want to edit, and you'll be able to make changes to the content while others in your team do the same. This feature makes it simple to manage shared documents and provides visibility into who is making changes and when. The capacity to communicate and work with anyone within our firm, as well as the option to transfer information outside of it, is tremendously beneficial. SharePoint crams a lot of functionality onto a single platform, making it a powerful tool for teams that can integrate it with their existing processes. It may take some time to learn everything there is to know.

Cons

Even though your Office 365 subscription includes a free SharePoint online license, you'll have to pay for further customization, deployment, training, and administration. You should think about integration concerns ahead of time because they may add time and cost to your project, and there's a potential that if it fails, it will reduce employee productivity. SharePoint may be overkill if you're searching for a simple document management system. It is, however, a terrific alternative if you're searching for a dynamic platform that gives excellent flexibility and simultaneous collaboration, as well as the ability to scale up with your growing organization.

On an overall basis, I like SharePoint, as I am using it since almost 5 years now. This is a great tool for collaboration workflows and file sharing.

Pros

The fact that I am able to access my files anywhere and on any platform. Desktop, tab, mobile, etc. and still handle my critical files. Many can have access to one file and work on the same file. Eg: We have a bi-weekly Global Marketing Network Meeting. We will usually have a presentation that needs to be updated by our marketeers from all around the globe. SharePoint does that job so easy for us :-) Another best feature is its easy website building features! I am not a coder but I have created impressing marketing campaign websites for my company, all thanks to SharePoint!

Cons

Searching feature. I am not a big fan as how SharePoint lets us search and returns the search result. It looks very amateur. There should be significant work done in Search module of SharePoint. Perhaps by studying other platforms that do the search better than SharePoint.

Reason for choosing Microsoft SharePoint

Honestly I am not aware of other products that do a job like SharePoint. Though I had worked in Basecamp long back, I found it expensive. Recently, I have come in touch with comprehensive digital asset management systems, but their target is mostly storing and managing digital assets and not handling workflows and collaboration like SharePoint.

I would recommend it to any business looking to move there data from an on premises solution, into the cloud.

Pros

Migrating to the Sharepoint cloud is easy with the official Microsoft migration tool and having your business data stored in this secure manner is reassuring. Syncing documents to your computer locally via the OneDrive client is one of the best included features.

Cons

Whilst the OneDrive client integration is one of it's best features, it can also be the worst at times. There is still much work to be done by Microsoft in terms of the solution's stability. The access control list functionality also needs simplifying as it often contradicts itself when moving between the modern and classic UI's.

I have worked with SharePoint since it was a new server product in 2001, it has ups and downs, but now is an extremely strong, broad and rich set of tools that brings Office alive, and is a diamond anchoring collaboration with the other great tools Microsoft's is often underappreciated for.

The UI is user-friendly, easy to navigate, and helpful. Creating SharePoint pages (websites or intranet sites) is very easy to use whether it is from "scratch" or using the template tools provided.

Cons

Sometimes there are too many options. Not really a bad thing but it is very easy to "fall down a rabbit hole" searching for the help you need.

Sharepoint and the wider MS environment provide an extensive suite of tools, and the level of detail works well even for demanding firms. If you're already deep in this environment (e.g. you have other systems relying on Azure), you'll get a lot of value here--but be sure to have training materials prepared for newcomers. Apart from occasional sync problems, this is a robust platform & can reduce a lot of friction vs. a traditional server setup.

Pros

Sharepoint works well for orgs where information changes hands frequently--it's incredibly easy to share files & relatively easy to provision users to access only the ones they need. Syncing works fairly well for both remote and in-office, and the storage capacity is substantial, so it could work for you if your org benefits from having a literal shared point of reference for everyday documentation.

Cons

Occasional syncing hiccups and, for those not steeped in the MS ecosystem (which is more people than you'd think!), there can be a steep learning curve as you figure out how all the various pieces fit together & where exactly Sharepoint's place in that is since there's some feature overlap with e.g. Teams, Outlook, Access, and OneDrive.

I love the ability to store documents in different folders, and the idea of sharing folder-related information is appealing if an organization has the time and expertise to be able to use that feature. Even though it's been tough getting all our staff acclimated, it has been a really good, cost-effective product for our non-profit org.

Pros

This software has a great price for non-profits orgs, and has some pretty incredible, useful features. However, those features are only good if the org's staff is willing to invest time into learning to use them.

Cons

The emails that are sent to the administrators with upcoming changes are written to an IT audience. For a small organization that may not have the staff with that expertise or experience, they are difficult to understand. I really wish Microsoft emails could be understood by a larger audience.

I used SharePoint over several years and saw its evolution and its strengths. I was a little shocked, when the external websites were given up, because I liked the same design principles for Intranet end internet. Now as Teams is the „Eier legende WollMilchSau“ German Word for „can do it all“, I see, that the focus is gone from SharePoint over to Teams and every AddOn is created for Teams, no more SharePoint.

Pros

After a period of time to get used to the product, you find every day new features to improve your Workflows. If you have only been used before to files and folders, you see how easy it can be, to find the file your worked last on, to keep track of changes and versions without renaming files and storing them in different folders. You see, when someone edits something in the same document and you can comment on their changes. Cooperation at its best. By searching older files or archiving files, that are no longer needed, you keep track of what is happening in your company. You can create structures for new employees, to find their way through existing structures. Explain the way of working together. You can have many intern devices or bring your own device and with one single login, you can work immediately on all those machines.

Cons

The learning curve needs to be planned in advance, because the way of working does not change on its own. People who never experienced all the new possibilities will not start to use them, if not shown, with a clear structure and policies from the beginning onwards. The need for an experienced instructor is clear especially in the installation and configuration phase. Because the IT department needs to be involved as well as the head of each department. The instructor has to ask the right questions, to get to know the existing way of working and to advice for the new way of working and that implementation for it.

Reason for choosing Microsoft SharePoint

I was used to all the Microsoft Office Products before, so my learning curve was not as steep as it might have been with the GSuite.

I can say that it is the most ideal application to be used for the workplace. integration with other applications makes things easier.

Pros

I use this program at my workplace. I find it especially successful in terms of providing many opportunities. I can access files and limit other users while accessing other applications. This is done via OneDrive when sharing files. It's nice to have storage space here. Having team sites is a great convenience when using it with employees at work.

Cons

Collaborating this application with people with different mail extensions is challenging. Also, OneDrive sync can be very slow and disruptive sometimes. I can't find the file while showing that the files are uploaded, that's the downside of the program in my opinion. Sometimes I have problems with access. My predefined e-mail address may not be accessible on some days. This is annoying for me sometimes.

I can trust this software, and it frees up a lot of digital garbage that collects on hard drives and servers. I like the accountability of seeing when files were added and edited, and I like the ability to link to outside of my organization. What I really enjoy the most is being able to chose if someone can edit the document or not before sending it to them. Multiple users being able to edit a document at the same time also comes in handy for day to day operations. If I really need to, I can bookmark a Sharepoint page in my browser, which also makes recalling important pages very efficient.

Pros

The scale of it is massive. My corner of this mega world in my organization is siloed off except when I decide for it to not be. I don't need or want access to our whole legal department Sharepoint, but our legal council can share files to me at any time when needed. Same goes in reverse. I can keep my blinders on and grant access when and where I need to, and collaborate without a lot of worry that things will get lost. The backbone of this application seems robust and accessible across multiple areas of usage, so long as a solid internet connection can be provided.

Cons

The user interface can be frustrating at times. The screen real-estate is not efficient as a business tool and this is probably the reason I don't use this more often. I also deal with entities of the organization that don't have strong internet connections in various parts of the world, and the inefficiencies in the browser GUI become even more apparent. Scrolling through a folder with any significant number of files becomes a chore on poor internet. The search bar can cut through this, but only if you know what you are looking for and can spell it correctly. With multiple languages involved in business, a search bar is sometimes less useful than you might think.

MS Sharepoint has been utilized by my company for years, with recent addition of self-service portal. The tool has become an integral part of nearly all ongoing IT processes within the organization. Now that it has become a central part of our structure I cannot imagine daily workflow without it. Offered data management and sharing capabilities are simply unmatched by other products available on the market.

Pros

When it comes to the intranet platforms I personally believe MS Sharepoint is currently unmatched when it comes to data management and its self-service portal functionalities. The tool is integrated with MS Office 365 which allows for easily data upload & management. Sharepoint is continually expanding and it offers more and more features when it comes to the everchanging data-management processes and solutions.

Cons

I found the platform to occassionaly struggle with syncing changes to a file in a scenario where the document is being frequently updated by multiple endusers, I encountered an issue where the file would be locked even if no user was not actively working on the data and it took time for the document to unlock.

It solves the problem of having duplicate and very confusing copies of files where employees are lost regarding which are the original files and the source of truth. It also saves a lot of time by allowing multiple users work on the same thing at the same time. Lastly, by being the central location of everything: files, process documentations in the intranet, and others, employees don't need to remember the location of anything at all, admins can structure it very neatly for everyone to know where things are located.

Pros

To me, the most impactful is that it allows a central location for the files where everyone within the organization can access them and work on them simultaneously. It's also very satisfying that along with that fact, I can create reports using MS Power BI or MS Excel using power query directly sourcing the data from files stored in SharePoint

Cons

The drag and drop feature could be improved. It could allow to drag files from MS Teams or OneDrive when transferring it to SharePoint folders.

The fact that all our training materials are located on the Site is extremely beneficial to our increased knowledge base, helping with training and overall recollection and access to stored data.

Pros

The centralized location of training documents, Corporate contact lists, recorded Webinars, Power Point documents and key policies & procedures are extremely impactful and helpful to our team and organization's ultimate success. We also can easily communicate to our group of 325+ BH facilities by posting ANNOUNCEMENTS on the Site.

Cons

I wish there was a simply way to store recorded Webinars on the Site.

My overall experience with SharePoint has been positive across the many years I've used it. One of the best features I learned about in recent years was the ability to map SharePoint to a drive on your computer. This has really helped in terms of uploading and downloading multiple files simultaneously. If you plan to use SharePoint, I highly recommend looking into this feature as it will save you a ton of time and enable you faster access to your files versus accessing them from a browser window. Mapping is extremely easy and, in my experience, invaluable. You will also find that you can post graphics on your SharePoint pages. We frequently post "work anniversary" or "birthday wishes" for our team. Lastly, the calendar is extremely helpful as you can block out vacations, conferences, and other events, and know, at a glance, what's happening each day without having to search through Outlook or other resources.

Pros

I've used SharePoint for over a decade. Long before "the cloud" was the tech buzz word, SharePoint was providing users with web-based storage access, and it still does. There are many things to like about SharePoint. First and foremost, it functions much like a web site. Users can easily navigate to their SharePoint home page and set up additional pages, upload and download files, add calendars and calendar events, and much more. SharePoint also creates archives of all files, so if you revise a file and then later need to see an earlier version of that file, you can use SharePoint's versioning functionality to do this. It's a great utility for storing files of all sorts that others on your team need to use. Uploading and downloading files couldn't be easier. We created different landing pages based on our company's needs. For example, we have a Marketing page to store our collateral, a Content page for manuscripts and legal documents, and an HR page for human resources-related materials.

Cons

It can take users a bit of time to understand the unique functionality of SharePoint. However, if you navigate around the toolbars you should find what you are looking for. In terms of design, SharePoint is relatively basic, so users looking for something with a bit more visual flash might be disappointed. Though if you are mainly looking for a reliable place to manage countless files, SharePoint is probably right for you.

While we did not switch to SharePoint to another solution, we have, over the years, looked at other solutions including OneDrive and Dropbox. However, for our needs, we found the features SharePoint offers, such as the calendar feature, to fit more closely with our organizational needs. My overall experience with SharePoint has been great, as I have been able to realize numerous benefits including, but not limited to, the ability to work with teammates on numerous assignments in real-time, the ability to store files of various formats on the platform, and the ability to share the aforementioned files directly from the platform via email with ease. Overall, I offer high praise for this service and would undoubtedly recommend others to give it a try as well as it is well worth it.

Pros

What I like most about this software is the fact that it allows for real-time collaboration on a number of Microsoft Office products on any web browser as long as you are connected to the internet. I find the amount of tools and resources offered by SharePoint to be very vast, even more so than some of its competitors, which on some occasions charge more for their services than does SharePoint. I also like the fact that documents can be worked on and accessed on virtually any device, whether it be a smartphone, tablet, laptop, or desktop. This allows for everyone on a team to participate on projects or assignments regardless of their device or operating system preferences.

Cons

What I like least about this software has nothing to do with the features or functionalities associated with SharePoint, which I find to be great, but rather has to do with its relatively lackluster appeal to the general public, which seems to be somewhat attracted more to its competitors. As a result, when new members join SharePoint, I have noticed that it takes them a decent amount of time to become acquainted with the service, which might take time away from focusing all attention towards the actual assignments that need to be worked on and completed. Depending on the workload of a company, this may or may not be a bit deal, but in the case that it is, some compromises might need to be made on deadlines for certain projects/assignments to make some extra time for getting used to SharePoint.

An overall good experience. With SharePoint you can create a space where information can be stored, edited, shared, among other things. There is a learning curve to master Sharepoint, it is up to the user to make the process complex or simple; but once the basics are mastered, everything will flow smoothly and you will get the most out of this software.

Pros

MS SharePoint has several qualities, it not only manages documents and work, it is an excellent intranet for internal communication. We can centralize, manage and share all the information easily and quickly. \*Support for large files \*Robustness as a CMS, since it is secure and has the required functions to not only organize but also store documents. \*Business Intelligence, workflow automation and system integration. \*It can be used as an information portal between collaborators. \*Ability to collaborate with MS Office. \*It is not limited to work laptops, you can equip your cell phones and tablets with SharePoint. \*Maximizes productivity by keeping members up to date.

Cons

The search function can be improved in terms of keywords. There is a distinct viewing delay when someone is updating a document in real time.

### "Share and SharePoint alike"

As mentioned briefly above, my most recent experience with SharePoint is using lists. This particular list (with a workflow to assign tasks) replaces an Excel spreadsheet of the same information. Using a SharePoint list instead, complete with different views and user alerts, allows relevant people access to the information they need in the right format, without having to duplicate work, send email updates, etc. While SharePoint can be frustrating, it seems evident from the updates that there is a move towards more intuitive use.

Pros

The recent updates to SharePoint have come a long way in making it more intuitive to use, and providing a better looking user interface. The management of the 'apps' (e.g. document libraries, lists, promoted links) has become much easier of late. It would be useful to see more information added to the apps descriptions, to help users determine which best suits their needs, without having to navigate to the Office help pages and/or third party sites. The best feature for my current use is the ability to create different views of a list, and initiate workflows to assign list items as Tasks for certain users, thereby automating the sharing of the distribution of workload.

Cons

Some parts of SharePoint's functionality can be baffling - without formal training, it can be very difficult to work out how best to utilise SharePoint's features. When SharePoint is used across a large institution, without consistent training differing practices across different teams can make collaboration hard, as Sites/Pages/Libraries have been set up to function so differently. Inheriting a SharePoint site set up by someone else is tricky, as the logic they used to manage the site can be hard to decipher. Permissions can be hard to manage, particularly as its rarely clear to the requester to whom their requests for access are being sent. This can be frustrating, as it can contradict the 'Share' aspect of SharePoint.
