Using SharePoint is like being on a rollercoaster designed by a committee—sometimes thrilling, sometimes terrifying, and occasionally you’re just hanging there wondering why you ever got on. It’s powerful, confusing, occasionally frustrating, but somehow you can’t live without it… mostly because your files are trapped inside.

Pros

SharePoint: the ultimate game of “Where Did I Save That?” Great for document hide-and-seek, turning clicks into cardio, and giving meetings an existential purpose. Bonus points for making you feel like a detective every time you try to find a version of a file that actually exists.

Cons

SharePoint: because who doesn’t love a good treasure hunt just to open a document? Menus everywhere, clicks galore, and don’t even get me started on the “modern” interface that somehow makes everything more confusing. Also doubles as a test of patience and willpower—Excel files, beware.

### "SharePoint in the Workplace"

Overall SharePoint is a beneficial program within the workplace for group file management. This program works for small groups as well as larger groups and can be controlled based on user permissions which allows the ability to set up multiple libraries. Unfortunately there can be a rather steep learning curve for new users and larger libraries do not perform to the same level as smaller ones.

Pros

Having all shared documents in one location on cloud-based software has been instrumental in effective team work. Having the ability to create multiple folders and also manage them based on security and permissions has significantly decreased the number of emails with potentially confidential attachments. All users who understand and are comfortable with SharePoint love the ability to search for specific documents rather. Furthermore, having the ability to use it on a web based platform as well as having "folders" within Windows allows users to use the software in an individualized way. We have folders that are accessible to only 4 employees and some that are accessible to 20 employees and they both function well.

Cons

The largest issue with SharePoint is the learning curve. It can be quite difficult for new users to navigate, specifically those who are less tech savvy. The inability to customize the software based on user can at times be difficult to manage. While SharePoint is a Microsoft product, it can be confusing to employees that they potentially have two places to save documents (OneDrive and SharePoint). Unfortunately, larger libraries can be slower when searching and/or syncing.

SharePoint has been an invaluable tool for my team at more than 3 different companies, all for a price that doesn't break the bank. It is essential for any company using Teams for communication.

Pros

SharePoint is the best collaboration tool that Microsoft makes. It is designed to integrate well with Azure networks. Though not easy to set up for layman, once it is set up everything is very easy to use. Managing employee controls is a breeze. Organizing and distributing documents to individualized team based on permissions is great with SharePoint. The best part by far though is the integration in the other Microsoft products like Teams and Outlook for scheduling meetings and collaboration.

Cons

Like most Microsoft products, there will be bugs that have to worked out after every update. Microsoft's customer support is notoriously lackluster in this regard. The open community is where you'll find better support.

Overall, even with all the cons, Sharepoint is one of a kind apps that allows your organization (small or enterprise) to collaborate and manage files/tasks/projects together. With almost endless ways to customize your sites you can do so many cool things with Sharepoint - from creating a Teams group where you keep your files and chat with colleagues to creating a whole Intranet web for your organization.

Pros

Microsoft Sharepoint is one of the most powerful apps in the whole MS Office suite. First of all - it allows collaboration between teams of any size. You can have 1 site member that just wants to keep their documents there, or you can have a site for thousands of people to upload any files or documents - Sharepoint allows you this. - Sharepoint is easy to start, hard to master kind of service. While creating a Teams Group or a small Sharepoint site could be pretty easy, building a whole intranet will require your organization a dedicated Sharepoint Administrator. -Sharepoint isn't cheap on the first glance. But if your organization uses other Microsoft services such as Business or Enterprise user licenses - you will save on storage prices. So I would prefer Sharepoint to any other similar service. - There are endless ways to use Sharepoint - team collaboration, project management and tracking. Easiness of use and administration (for simple tasks) can help you to manage tasks and files of your employees. -Not totally a pro or con - but PowerShell knowledge is a must for admins

Cons

\- Customer support from Microsoft is always hit or miss. Usually if you stuck with something looking elsewhere is easier than escalating to MS Support. - Interface could be tricky and non-intuitive. Sometimes even simple tasks can take a lot of time because of interface. - This is one of the most powerful Microsoft services available on a market so bugs are pretty inevitable. And given MS support sometimes doing some tasks is hard - If you have an on-prem environment - SharePoint is a cloud based service. You will have to migrate your files to a cloud first.

Overall Sharepoint has proved as a useful solution to our challenge of managing such a high quantity and size of documents, photos and videos. Being already familiar with other Microsoft software it was easy to adopt Sharepoint and there has been high uptake across our organization. Previously across our organization individuals used several different types of file sharing and storage tools so it has been great to consolidate them into a singular solution.

Pros

SharePoint has allowed for consolidation of our files, photos/videos and documents in a singular software solution that is easily accessible being a Microsoft-based organization. Working in marketing we often deal with files that are quite large in size and need to be accessible by a large group of people. Sharepoint has solved this challenge for us and made file sharing very simple. Since we already work in a Microsoft ecosystem it was a natural extension to start using Sharepoint instead of other file management solutions. If you're already familiar with other MS software like Excel, Word, Outlook, etc. learning how to use Sharepoint will be very easy as the interface looks similar.

Cons

In some instances due to the way our security is set up through Sharepoint it can be difficult to share files/documents with individuals external to our organization. The permissions won't always allow for us to share externally, or outside users report difficulty in figuring out how to access the files we are sharing with them. I find that it is great for internal-access, but we do periodically run into issues when trying to get external users to use Sharepoint.

Powerful tool that has an enormous potential when working within Microsoft's ecosystem, but still has some issues that need to be resolved. It's still the best tool for data and knowledge management for companies that rely on Microsoft software

Pros

Great backend tool for company's data and knowledge management. It serves us as an internal website (intranet) and a database where most of our files are saved. It's well connected within Microsoft's ecosystem, especially Teams, and allows everyone to collaborate and access company's data. Thanks to different settings, access rights are easy to enforce, and thus managing employees and their access rights is straight-forward. It's relatively easy to use, but setting the whole system the right way may take some time and effort, depending on organisation's needs.

Cons

It can have occasional bugs, though Microsoft support is generally reactive. When Modern SharePoint was introduced, some legacy settings from classic SharePoint remained, which can cause inconsistencies. Also, certain advanced settings aren’t available in the UI and require PowerShell, meaning admin access and basic coding skills (though this can usually be overcome with Copilot).

Pros

It allowed our company to work more remotely and share files a documents. It has stream lined our document libraries and made sure versions are updated.

Cons

Needed some help to set up to e syre administration was set and licenses controlled. Giving everyone access would have caused for choas with sites being created.

My overall experience with Ms SharePoint has been great. Collaborating with teams is easier since you can see all updates that are being made in real time. If you work in a dynamic team from all over the world or country, Ms SharePoint makes it easier to manage documents and some essential collateral. You can easily work with Excel files, Word Documents, PowerPoint documents and it’s very easy to edit and customise all these documents. You can easily create Folders and Sub Folders for hygiene and ease to find documents. I love Ms SharePoint and will continue using it.

Pros

Microsoft SharePoint has made life easy for my team. If you are talking about a central repository for documentation and collaboration, and SharePoint does it well. As a sales person, I create a lot of lead lists and collateral that I use on a day to day basis, and without a tool like Ms SharePoint, it would have been a nightmare managing all those lead lists and all that documentation. Ms PowerPoint has enabled us to create a central repository for our documents and collateral. I also love the fact that it’s easy to share those documents internally and even externally if you need to share the documents externally. It’s super safe and secure and it does make life a lot easier if you deal with a lot of documents

Cons

So far, I haven’t come across something I do not like about Ms SharePoint. You can access it from anywhere and it makes it easy to collaborate with teams

SharePoint is a great singular application that can take care of many needs. This can lead to the application being bloated, but also very useful. Permissions are hard to get right, but this just means taking extra time upfront. In addition, support for SharePoint is very good, with a good amount of documentation available.

Pros

SharePoint does document management, intranet, and a low-code platform all-in-one. This makes it a one-stop shop for your organization to have their sites, files, and documents in a single location.

Cons

The permission system can be a nightmare to get right. Permissions are not always inherited properly with group permissions and individual permissions being difficult to manage. In addition, you have to deal with M365 groups vs SharePoint groups.

We have to use the software because it’s so embedded in our architecture, but I would strongly recommend looking at Google Drive and alternatives before you use this legacy beast

Pros

There are endemic version control issues depending on what version of SharePoint your admin is running. This can create a numerable headaches for teams trying to work under quick deadlines version control tries to address this but doesn’t.

Cons

The version control issue with multiple authors of one document can be completely debilitating. There are also issues if you have users working across Macs and Pcs.

SharePoint is a great tool to use because it has such a wide capability of things that it can do Such as document management, note taking and text editing, and file management. The downside of course is the lack of a universal link, but I think that is something maybe SharePoint can't consider adding into its future.

SharePoint is such a great tool for note taking and text editing which includes document management and file management. It allows me to edit files in real time so that users can see updates immediately. It also allows me to ensure that files can be shared and viewed by users and select who has what kind of access capability to the file.

Cons

What I like least about SharePoint is that because the links are tied into the file name and folder location that if the file name or folder location changes the link changes and the previous link is now broken. What I would like to see is an improvement of a universal link that allows updates to be made to the file and its location and yet the previous link can still function because it is a universal link.

My overall experience with micro soft, SharePoint has been a pleasant one considering I have been using it to store project files along with sharing out files with my project stakeholders. We can edit and work on documents together in real time. I also love how it integrate with Microsoft planner as well as we do use it to track projects and this does connect back to Microsoft SharePoint to store files.

Pros

I love how easy it is to use Microsoft SharePoint for file management. When it comes to document management, I do need to work with my team members and collaborate on files and this is something Microsoft SharePoint is able to do really well. We are able to do real-time collaboration on documents Within SharePoint and it’s very easy to use. We really enjoy the comments feature on documents because it sends an email to the user about notes to the document. I also really appreciate the library check in and out file feature. It’s a great way to lock a file for whatever review or editing you need to make to it and check it back in when you’re done. I also really appreciate how I rarely run into any issues while using the product and sharing out with team members is extremely easy.

Cons

We are still trying to figure out how guest accounts work with Microsoft SharePoint, considering our organization does work with external users that need access to our files. Otherwise, I have no issues.

Overall, my experience with SharePoint has been great over the last 12 months. I have not had any issue, so I cannot attest to Microsoft's customer service support. However, it should be commendable that I have never had to reach out.

Pros

We use Microsoft SharePoint for storing all our organization files. What we like the most is the ability to login from anywhere or any device to access, manage, and store our files.

Cons

Only downside of SharePoint is that for it to work it requires an internet connection at all times. So if internet is down so is your business operations. I would recommend storage on site as a backup for this purpose.

The correct Drive is not always opened when saving. This gets frustrating when you believ you have shared something to the sharepoint, are away from your computer and have to try to give the team acceess to a file while away.

It is absolutely one of the weaker offings from Microsoft. Their product messaging is also very confusing. Even after being in the 365 ecosystem for nearly a decade, I'm honestly still not completely sure of the difference between SharePoint and OneDrive... IS there a difference?

Pros

Since my company already uses most of the other products in the Microsoft 365 ecosystem, SharePoint provides a basic way of sharing files across the different apps and between coworkers/teams.

Cons

While using it for sharing a file at a time is a decent experience, using SharePoint as a true cloud file management system is kind of a nightmare. Going right into SharePoint to find a specific file you know exists is sort of like trying to find a needle in a giant, poorly managed, unorganized thrift store full of assorted junk.

Great experience overall. Reduces the stress of losing documents, ability to expand, and the ability to restore any lost documents with ease.

Pros

The ability to expand our library without hassle. The ability to add more SharePoint sites for each team, and keeping each teams responsibilities separate.

Cons

The OneDrive connection to the File Explorer constantly is having issues and not fully syncing. If there is a small period of time that the connection struggles, we are taking way too long to catch up.
