Pros

Since most people understand how to use Microsoft in some way, this is a no-brainer. The system allows you to house a variety of file types in one place and allows you to restrict access to many users (by username & credentials). This lets you share content with many people while still remaining in control of that content. It can be accessed via many device types and on the go. It's super versatile for project management and change management.

Cons

There really isn't a down-side to this for business. Microsoft Office products are ingrained everywhere and this is another tool to help manage the capabilities of all those Office products in one place. If anything, the only con is setting up the access rights and making sure the credentials are recognized across your system.

I think the best tool for any organization where lot's of data is managed by humans that differently needs to switch to SharePoint and make data safe and it's easily accessed by any place where we want to access it.

Pros

I am using SharePoint for all most 3 years, and it's a great tool for managing all the data. In fact, my organization's data is also managed in SharePoint. Some of the great feature that I like most is my data is stored in the cloud we can easily access it from smartphones and laptops or desktops. And we can do real-time work on the same file using SharePoint. It also fixes a is an issue in my organization we don't need to send a file multiple times and rework again and again work on the single file. We can integrate SharePoint with our MS Teams and we can easily work on a file going on the browser and our data is automatic on SharePoint. That is a great feature of SharePoint. we can easily integrate SharePoint with any other Microsoft office software as well.

Cons

I don't think any cons to this tool. That saves us lots of time for managing and storing data.

### "Great collaboration with SharePoint; don't go overboard"

Since we were strict with our permissions and governance, we had the fortune of having a clean environment. In my past jobs, SharePoint was free for all and it used to be an absolutely disaster. Based on those learnings, we have chosen to use SharePoint only for collaboration. Anything more complex than taking notes, sharing documents, versioning and Visio is moved out of SharePoint. In the first year of use, people became comfortable with our limited and right-sized use of SharePoint. That's our sweet spot and we enjoy SharePoint for collaboration.

Pros

I love that SharePoint makes collaboration easy. We used to take notes on pen and paper and reconcile our thoughts via emails. Now, we whip up OneNote online and write our notes before the meeting, discuss our thoughts in the meeting and write take-aways in OneNote. Decisioning has become really easy. We also share news across the company using SharePoint. That has worked very well.

Cons

Workflows and debugging is not the best in SharePoint. We have been bit by gotchas in workflows. They were had to debug. We just gave up on workflows in SharePoint and switched to doing those activities in a different manner.

Reason for choosing Microsoft SharePoint

We were debating whether to do documentation in SharePoint or Confluence. We use Jira, which connects with Confluence very well. We noticed that our documentation will need AD permissions, documents, versioning, videos and more - all of which was built right into SharePoint the way we were using it. There was no point in investing thousands of dollars in another system just for documentation. We feel we made the right decision as SharePoint is working really well for us for documentation.

My overall experience with Microsoft has been good so far. I am sure there is still so much to learn about this application and I am still discovering new things occasionally. It is suitable if you are looking to create a cloud-based repository of documents and it works efficiently if the IT support team of your company set it up perfectly and they keep updating it steadily.

Pros

SharePoint is the cloud-based tool, which facilitates the storage, sharing, accessing, and managing the files from any location/device using centralized location link. It is a flexible platform and can be implemented and managed in the way you like it. We have been using this software in our company for almost 3 years now and it is extremely compatible with our needs. It helps in creating a common repository of documents, which can be accessed by multiple users/devices. It works well within groups where the permission to access, edit is given by the primary user. It is one of the best software to manage the confidential information in a controlled and restrictive way. There is an option to chat within the group as well. All files can be added to library by simple step of drag and drop. It has abundant features to choose from and you can tailor them as per your business needs. Since it is cloud based, it provides inter and intra-departmental cooperation creating a perfect collaborative environment for a small organization.

Cons

One has to be experienced with Microsoft products in order to run this smoothly else, it could be little complicated to learn in the initiate phase. Secondly, it could be expensive than the other products in the market however it provides good features but if you are looking for economical solution, you should research more before buying this. If someone authorized edits something in a document, it becomes difficult to locate where the correction has been made. Though it shows the real-time notification I someone is editing but if you try to locate for the past corrections, it is not easy to find out.

I have been using this software for information sharing and accessing within my organisation and I can say it's one of the best online web-based tool for sharing record and information and that too very securely. Definitely one of the best software for intranet web based information sharing.

Microsoft SharePoint is the best software for sharing of documentation and information witin an organization. This software given best control to the owners to enable controlled and restricted access to the information for the targetted users. This helps users to access the information remotely from any location using centralized location link using web browser hence the companies can place the data securely at a centralized location even with password protection and let their employees to access the information virtually from any location using the link or url to access the information. Users can also edit or create new information on the portal using certain credentials provided as per the organizational chart. This also helps companies to distribute the important bulletin without being any need to distribute that locally to the employees. It's one of the best software for such controlled and restricted access to the information and valuable data.

Cons

Though it is very effective tool for management of information Sharing within an organization but it require some experience to set the checkpoints to enable the restricted access to the information to a certain group of peoples such as password protection, applying some read only checks and other restrictions that can be implemented.

Pros

SharePoint functions very well as a document storage and collaboration tool with many additional features and add-ons that allow for even more collaboration and data capture. The security and audit trail features add a sense of security.

Cons

There are some nuances to SharePoint that can make it difficult to accomplish what you wish and can lead to some frustration or data loss if the users are new to the tool. Some basic training goes a long way.

Pros

As a manager in a technology company, there is often the need to generate simple systems that will allow to capture information, process it and trigger actions from it. I loathe the use of Microsoft Excel for this type of collaboration, which is often the solution in a lot of companies. I've found the use of lists and forms to be a powerful tool to create simple applications. And even better, it is basically "free" as it is included with the Microsoft suite. You can request a full fledged Sharepoint site, but the version generated by creating a Microsoft Teams is often enough. It integrates nicely with other Microsoft tools, such as Power Automate, Power Apps and Power BI. By doing a set of custom developments, I've been able to have people collaborate and accurately get real time reports from that information.

Cons

It has a steep learning curve. Creating lists is trivial, but to extract information from that can get complicated if you are not using other Microsoft products for the integration. If you use a Microsoft Teams Sharepoint site, the permission administration is very poor. You have to either keep the Teams auto generated permissions (just Owner and Member groups) or lose that link and go to full Sharepoint permissions, which involves a little more expertise. Managing advanced permissions and having them stayed linked with Teams would be nice.

Since we are higher educational institution we almost got this great tool for free, thus we did not evaluate other products from different vendors i.e. Google G Suite, Huddle, Basecamp, etc.

Pros

SharePoint is the engine that drives so much of the Microsoft 365 ecosystem (Teams, OneDrive, Intranets, etc). If you are a Microsoft-centric business, SharePoint is a key part of collaboration on files, and organization-wide announcements. It's flexible enough to make it suit your needs, whatever they may be.

Cons

At times SharePoint online can be buggy (but far better than the days of running your own instance of SharePoint on-premise). I'll find myself needing to refresh pages for it to fully load. Sometimes it can be unintuitive where you have to force your browser to keep scrolling to see the full page results.

Pros

What I like about SharePoint the most is that a good Dot Net developer can customize it beyond what comes out of the box. Also, depending on your original install, updating, like with all Microsoft products is a breeze.

Cons

The only bad experience I have had with SharePoint was when trying to migrate from a single box install to a three box one. For best performance SharePoint should use three servers. One for the program and static content, another for the database, and the final one to run an index server. Migrating from a one box solution to a three box one was a nightmare and resource intensive. That was a few years ago, well...more than a few, however. If you have an Enterprise with a 1000 people or less, you could get by with a one box solution with a Intel i9 or Xeon CPU and 64GB of RAM.

Reason for choosing Microsoft SharePoint

We choose Microsoft SharePoint because we are a Microsoft shop and it's easy to integrate with other Microsoft products if needed. Also, the learning curve is not too steep.

I've used commercial versions of SharePoint that are much better and do not have the problems that the FedGov version has.

Pros

It is secure and meets Federal Government regulatory standards

Cons

We are unable to edit spreadsheets or documents in the browser. We must download them and edit them offline in a desktop client, then re-upload them again. This cripples collaboration.

We're working on SharePoint since every participant has to save and update SharePoint data, and we're following GCP and federal regulations. Data and project management are two of the most important aspects of project management. It's really simple to cooperate on. The ability to store data on the cloud and access it from anywhere, with or without the need of a VPN, is fantastic.

Pros

Microsoft SharePoint is significantly superior than traditional share folders in that it allows you to upload and download nearly any type of content. It's been a year since I switched to SharePoint, and it's already felt fantastic. It simply syncs with Microsoft Excel and Word; I share my work with the team via shareable links, and access is really smooth. What I like best about Microsoft Share Point is that everything is online and accessible from any device, anywhere. Every three years, I've had to replace my PC. I would have lost everything if I had kept my data on the local system. As a result, having Sharepoint saved me a lot of time and effort.

Cons

Please understand the distinction between a private and a public connection. I was guilty of this, as were many of my coworkers, but just because it's in the business cloud doesn't mean it's available to others until it's expressly mentioned. This is excellent for security, but it's annoying since it means asking, "Hey, I can't see your link," is all too often. Sadly, importing large files into Excel is a dead giveaway. It takes a long time, and we can't work on files with several individuals at the same time.

SharePoint is widely used in my company since it gives you the opportunity of having a common repository where keeping sensitive or reserved files. it's easy to use and helps you customize the public to which give the access to certain files or folders. It helps collaborate to project and to have always the latest updated version of the files without having to exchange it in other ways. You can also customize the color of the folder to be more organized in the environment

Cons

Its design is quite minimal and sometimes browsing in it, if you have a lot of folders in different places, can be not so immediate.

Experience overall has been good, but to a point if you’re dealing with a lot of sharepoint pages with a lot of data it gets very hard to find what you need.

Pros

I like that this method of storing documents is easier to access than hundreds of folders within mapped drives. I like that certain content can be edited in real time by multiple people with Excel online as an example. My favorite feature is the interfacing with Microsoft teams and the ability to share documents to teams sites with very few steps.

Cons

It can be difficult to navigate. Sometimes it’s not apparent that are more pages further in, that you have to click 4 or 5 layers deep to get to what you need, and the search feature doesn’t give you what you need even if you know for sure that it is there

I would say that the price is a bit steep. SharePoint that comes with your standard Microsoft Office license is good for home use, but if you want to implement it in a whole organization/company, the costs can become very high.

With the development of the concept of remote work in the past years, Microsoft SharePoint was an ideal solution for us, where we can share files of different sizes, without the need for auxiliary applications, and we can always access desktop applications easily, which maintains business continuity under all circumstances.

Pros

Microsoft SharePoint is very important to our team's collaboration and business continuity with the rest of the groups remotely and without interruption. It provides us with a central station for sharing content easily, and makes us constantly collaborate on getting things done. I love how Microsoft SharePoint helps us manage the data and files we share and how to organize their storage on the cloud and also restrict access to them according to specialties and importance, which allows us to organize updates on them in a way that avoids tampering by non-specialists, and ensures maximum data protection.

Cons

I don't think there are negatives that affect the use, as Microsoft SharePoint, like other Microsoft applications, has an intuitive interface, and the user can easily access files and built-in programs, and saving changes and also sharing is very easy.

I consider that one of its strongest points is the exchange of documents and the size limit that can be delivered, it is much more capable and the time to deliver is exceptionally short. It also has access controls, where some can only view and others can edit. It takes a bit of patience to know how to use the software correctly and get the best out of this product, but it is worth it, I can say that it is one of the best solutions for central storage of all documents, uploading, tracking, managing and sharing them.

Pros

I like SharePoint for the fact that it is a tool that seamlessly integrates and manages shared content, it is a secure place to store and organize information. >I have access from any device >Linking with MS Office 365 products, which makes working simultaneously more practical and faster. >Assists us by sharing huge records (good capacity). >Default models are clear.

Cons

If you want to start modifying it there is definitely a learning curve. I didn't like the user interface at first but I got used to it, but that doesn't mean it's the most intuitive.
