I would not recommend that this software be used as such. With One Drive and Google Docs as options I would select those 1st. This platform is great for those that are going to utilize the full capacity, but as a records tool it is too much software and requires too much expertise to work well. Pros Records all in one place that is easy to access for the users. Cons Very challenging to manage. Permissions are difficult to find and manage. The free storage area is a nice touch. The errors and rights restrictions can be frustrating at times. Pros I loved how easy it was for me the (user), the setup and the experience. I love how you can integrate Microsoft office. The large file support is great along with the ability to keep everything on your phone. Cons There are a lot of features and this can possibly make everything worse. It is also a little expensive. Also, like the feature multiple people can edit things at the same time and then put them back out there. Pros Love the ability to easily add pages and have separate folders/areas for people to go to. Setting up the actual page/site was extremely easy. Cons The security settings are too complicated. Giving access to a whole page, verses, just a folder, or a folder within a folder. It's too hard to figure out if you've granted appropriate access. Review Source AZ Arshad Z. Pros \- Great for collaboration - you can share files with others across your organization - Customizable to meet the particular needs of your organization - great for organization-wide notifications, newsfeeds, HR and other department updates -workflows - this is probably one of the best features. You can create custom workflows for document approvals with complexity (e.g. accounts payable) Cons \- Sharepoint is starting to overlap with other Microsoft products like OneDrive and MS Teams, which are also good for collaboration so it is good to use best practices to ensure the right stuff gets shared in the right places Review Source CG Catherine G. When working on word documents, it automatically backs up your files so you won't lose any documents. It's great and very reliable, would recommend Cons Sometimes you can't move files around if they aren't synced yet. But other than it, it's a great piece of software and has great functionality in the professional workplace. Both firms I worked for used this platform to host their internal documents and files, and it made it easy to switch over between the companies for using the intranets. Its easy to navigate which means I spend less time looking for documentation, and vendor contact information. Pros I like that it allows me to easily access my company policies and other documents. The calendar is also extremely convenient. The newer version has a very clean look, that makes navigating Sharepoint much easier than in legacy versions. Cons Sometimes the search function can be clunky. This isn't all Sharepoints fault, as my employer may shoulder some of that blame. Review Source Bharti O. Cons The software hasn't kept pace with recent developments in the software industry. The interface and features are still early 2000s. Details like timestamp and last user of the file can be easily tracked. Pros As the name indicates, it is a sharing platform with secured access. The administrator should give the user provision before a user can access the folder. We use this in Office 365 environment and it's easy and cool to collaborate with the people in the organization at all levels. Cons At the moment, I can only comment on the slow response rate when loading and opening a files. It really takes time especially when the file is large. It makes a great repository of documents, which can be accessed by authorized users. This helps when you have multiple people working on the same document from different location. The security features do help restrict who had access to files. Cons After a while, Sharepoint can become over crowded and difficult to navigate. I have seen better products that do virtually the same thing. However, if you use Microsoft Outlook for email than this may be your only option that does not require your teammates to adopt a whole new system. Pros When you have a large team it is hard to find a software that everyone can share their documents and PDFs on that is still secure. We have been using Sharepoint for quite some time since we all have Outlook emails. It is nice that you can send a Sharepoint link to a colleague and they can open and edit straight from the link. You can make different folders on Sharepoint for different departments. You can also make private folders. It is practical for a large team, but not the best software that is out there. Cons It is easy enough to use but sometimes, when you do not have a link to where something is in sharepoint it can be pretty difficult to locate. Review Source MB Matthew B. Also the software is very intuitive and fairly easy to use for a person who might not have much experience in using such sofrware Cons The software sometimes disconnects for no apparent reason and I'm forced to log back in every time it does.
