It is very easy to ask a question and I always get prompt replies. They have been very good to deal with, listen to my questions and concerns and work to improve the program where needed. Pros Easy transaction entries, I like the duplication of entry feature. Reconciliation is easy and fast. Great customer service It's easy to do a transaction search Cons When integrating for each account, I have to keep making sure it's on the right account if I go from transaction to integration. It won't stay on the account I've been working on. When I enter an online payment it puts it in the check register and I can't remove it from the list. Review Source MH Mike H. Pros Web based, true fund accounting, great customer service, the reports are easy to read and understand, everything is real time. Accounting, credit card processing, year-end tax statements, donor communication, fund management. I have only been using the software about 6 months and they have already changed or updated several functions so I know they are constantly listening to users and making changes and improvements. Cons There is no function to create a deposit slip for the bank. I'm told they are working on it. Sometimes the navigation between functions is a little inconvenient. We are able to easily keep records for our contributors, expenses, and income. The software is simple but effective. I hope it will develop the software to allow users to customize receipts and print individual batches of receipts with the YTD record for those givers. Pros Simple to use. Great customer service response. Affordable. Addresses the needs of small nonprofits. Cons Does not have capacity to create and maintain a budget. Cannot customize receipts with company logo. Cannot export in excel, only PDF. (See example from EFT the online donation service on our website.) Cannot print a batch of receipts as YTD, just all receipts YTD so I have to always pick which pages to print from the YTD export. We now make it possible to maintain a budget, customizing statements and reports with your logo, exporting any report to Excel, and the ability to export annual contribution receipts either as a batch or individually. Tracking donors with a functional database is wonderful. The WePay integration is phenomenal. And, although I haven't used it yet, the event management aspect will save us time and money. Pros That it was written specifically for nonprofit organizations. Cons Knowledge base could be improved by including better word recognition. Cons It does take a long time to transfer information from another system to Aplos. We made the switch and 4 months later we were ready to start using the program. This makes it very easy to submit a payment. Cons I do not like that I cannot customize how often I want to submit a payment. The options for auto-pay are very limited. It has a very powerful feature set, yet it is simple to use. I cannot imagine what we would be doing as an organization without this. This application does everything you need it to do and then some. The customer service is the best I have ever seen or experienced. The product and the service have exceeded our expectations, and I highly recommend Aplos Software without reservations. Pros Easy to use. Powerful features. Second to none customer service. Cons Because I operate internationally, I would like to have the option to choose a different currency....euros for example. Aplos platform allowed for easy implementation and management of electronic donations and gift giving in lieu of in-person contributions. It also has allowed for more efficient book keeping in general. Pros Aplos has allowed our HR client, a large regional church group, to continue their mission during covid with operational and financial efficiency. Cons The one drawback with Aplos is the initial setup. This requires a serious time and manpower commitment to ensure that everything is setup and functionally correctly. Our budget is $350,000 a year with less than 2,000 donors. We were looking for a program for our nonprofit that would provide a customer records management system, accounting system and credit card processing. Aplos provides all three at a very affordable price. Pros Affordability, ease of use and AWESOME customer service. Cons We have only had the program about a month and are still learning a lot of the features. We haven't had a chance to check out all the programs or to run reports yet. Unfortunately, after using it for 2 months, I have wasted so much of my time working around its glitches that I'm about to give up and move to other software. Pros You always know how much money is in each "fund". Cons A lot of bugs, missing some basic functionality (e.g. sorting of tables), importing existing transactions is painful. Non-intuitive in many places. 2 versions of reporting that have a lot of overlap so it's not clear which version is better for a specific task until you try both. Review Source JH John H. Pros Lots of features, more than we would use. Helpful sales team; looks like it could do all that we needed as a non-profit (and more) Cons Expensive for a non-profit. Most of the options for accounting for non-profits are expensive... so why don't someone really create a product/service that we 501(c)3's can afford. If I were a multi-million dollar operation it might not matter, but I'm a 250K/year type non-profit so price it accordingly. It is easy to learn and we have had excellent support. Pros I like the fact that it is an on-line accounting product and I can access it from home, on the road, or wherever I am. The reports are excellent for our use. I have had very good customer support and the pricing is very acceptable. There are serious benefits and drawbacks to it. We are such a small charity that it is hard for us to budget for a year. Below I will describe. Pros It has information on how to apply for grants. It has information on how to attract board members. I have reports I can just print out for my board of directors and it has a way to print letters to donors. It has budgeting capability, so I can present a budget to the board of directors as well. Cons It took me a long time to learn and is not easy to learn. I want to edit transactions, but need to learn how. I don't even know how to access those transactions to edit them. I am not sure how to save my work and want to know how to back up my work. I am keeping all my transactions on excel in case they get misrepresented in my records on Aplos. So this is double work for me.
