Then it took another 2 weeks for me to load in all information so I was able to submit forms. The support staff is super and the pod casts and information given is very helpful. The staff have a lot of patience as I had some questions that I asked over again and they had to continue to give me same answers as it took time to learn enough of the program to be on my own. Now, although not an expert I feel I am very pleased to stay with this program and believe that overall it is a big improvement over my previous biller. Keeping up with submitting forms, with progress notes and all necessary paper work is much easier. Pros I could use it anytime. could fit it into my irregular work hours The cost seemed reasonable The support is fantastic. I find the system is complete for a psychotherapist. Although it proved to be frustrating in the early stages, I realize that I’ve been able to upload a practice of about 30 patients within a month, and get more comfortable with the system. Pros I appreciate the cues promoting more detailed and specific treatment planning. I also really like the to do list, accessible from the main page, as well as in each client record. I have found the phone support to be excellent although at times, the wait to speak to a support person can be long. The main reason I continued with therapy notes was the opportunity to use their card services, which appears to have the lowest fees of the more common credit card service providers. Cons I would like to be able to more easily customize the reporting aspects of the clinical note and treatment plan. And the billing component has been rather awkward to use. I was, however, dismayed that my application to enroll in credit card services was denied, due to lacking proof of an office lease. I am primarily doing virtual care and so I lease hourly when I need to see a client in person. I am hopeful that the client services support person has found a solution and I should be accepted for credit card services within a couple of days. Cons That the Help Line is open on Eastern Time only, which means it closes 3 hours earlier than Pacific Time. So, both Central Time and Pacific Time users of Therapy Notes are short changed. Also, the system bills clients before they are seen and if they don't come it still bills them. Please change this so they are not billed until a note is made. Also, if the calendar could change colors when an appointment is completed and the note is made it would be a great way to avoid completing the notes and seeing that it is billed properly. It would also avoid billing clients for sessions they didn't come. Thanks. This would help so much. Hope you can eventually get to these critical items. I've suggested these for two years now. They cause me to look for another system to do my practice in and I'd rather stay with Therapynotes if these can be improved. Pros Cross checking in the system reminds me to make notes and get documents signed from clients. To DO list is awsome and is functional. Quick access to all windows is good. Service is awesome. Thanks to your staff. They are quick to respond and almost always are on target. Cons Clients cannot sign needed documents within Therapynotes. Requires much extra work and expense. System bills clients before sessions and includes charges in their statements unless I remember to cancel their session. When your system goes down it is a major problem. October 12, 2016 5.0 Therapy Notes is the most Outstanding clinical documentation & billing software system I have ever used. It's "Ease of Use" is exceptional. But during times it may be difficult to solve your problem on your own, TN has a Rapid Customer Service Response Time (typically 24 or less via email), in addition to a vast array of Tutorials to access that are clearly written and easy to follow on just about every topic imaginable. I love having access to a knowledge-based library this comprehensive that I can utilize at times I need to look up a quick procedure I had forgotten or for when I need an answer quicker than it may take for TN to respond (NOTE: I'm referring to an email response!) You do have the option of calling the TN support team and receiving instant customer service from a friendly, patient TN support representative. One thing I love is that in the 4-5 short months I've been using TN, I've had to contact Support for a number of matters, as I am a new, first time practice owner. It's very comforting to be greeted by or responded to by the same set of people on staff to assist me. The consistent low turn over rate says a lot about the management of a company and the staff at TN genuinely make me feel as if they're getting to know me and my company/account personally. Some of the actual features that has made my job easier by switching to Therapy Notes is their multiple drop down menu features for Clinical Interventions, or the History drop down tap, which you can click on during a session with your Client to instantly review their status from their last session. Scheduling is a breeze, Billing is effortless and the Patient Portal is exceptional. The features are endless and I can't rave about it enough. Not to mention, they take ALL suggestions for improvement into consideration and actually respond to those requests with gratitude while providing you feedback on your request. IF YOU ARE LOOKING FOR A SIMPLE, YET THOROUGH AND COMPREHENSIVE SYSTEM DESIGNED SPECIFICALLY FOR THE MENTAL HEALTH PROFESSION, THEN THERAPY NOTES IS THE ONE TO CHOOSE. Pros Intuitive, goal carries forward from each progress note, and you have to complete treatment plan before it will even let you go to a progress note. Now that can be a pain in the tail however, it makes me do my treatment plan! Cons Can’t alter Progress Note; no option for a blank note that u can design for yourself, no option to upload your own template. It has made billing a lot lot easier. I appreciate being able to bill with a click of a button. I also appreciate being able to decline appointments. Video is pretty good and pretty easy to get to. I have found though that the video will lag on occasion and act up. It also appears to always say that internet connection is poor for both parties; I am not sure what that is about. All in all I can say I do like the platform. They have even made some small changes in the short period of time I've been on. Once thing I can say is stellar is the amount of support, they give you. There are videos and helpful blogs everywhere, but they are also always reaching out to see if you need assistance with anything. They call, email, and just reach out if they feel you need anything. I think the platform is awesome and I am pleased with my decision. Cons There could be room for improvement there as they don't alert the client that the appointment was declined, you have to do that yourself but it's also easy to miss the message that lets you know that. Also setting up billing can be a tad bit confusing and a bit of a nuance but once it's done its all good. I've waited years though for an easier online client form submission process. Pros The features offered work well such as the scheduling and billing. Cons There are features which should be offered by now and are not. The ability to create forms within Therapy Notes or already available through Therapy Notes. The Client Information Form copies into your patient's Info tab. The Client History Form populates your Intake Note. The Payment Authorization Form actually puts a credit card on file. Owner Mental Health Care Used the software for: 1-2 years ### "Some major issues" May 11, 2016 2.5 Pros Great customer service, easy to use, intuitive, sleek Cons There are some major issues that business owners should be aware of. While the program itself is sleek, user friendly, intuitive, and encompassing. Some major issues include accounting inaccuracies. The most costly one for business owners is that any refund issued to a client, or a redacted payment by insurance, is only reflected on the actual date of service. So if you have already paid your therapist months ago for that session, and pull an income report for this current payperiod, in which you issued the refund, you will not find it. It gets deducted, on paper, from the therapists income at the date of service, not the date it was issued. So you can't easily deduct the refund back from the therapists pay using their accounting features. Another major issue is diffulty navigating the calendar if you are scheduling for many therapists at once. We have 12 therapist and there is no way for the system to identify regular openings on a therapists scheduled without looking at them one by one on a week view of multiple therapists on a day view but you still must scroll through week to week to make sure it is a consistent opening if you like to schedule that way. Our previous system would allow us to search slots by selecting AM, Afternoon, PM and Morning, Day, Evening and it would present all the options available like "12 upcoming slots on wed. at 9AM with Sam, for example. This one is extremely cumbersome when locating slots. We made several attempts at working with TN to resolve these issues but after over a year they are still not even in the queue. They roll out lots of little stuff but the big things don't seem to ever make the list. Review Source NS Nina S. Pros Everytime I call for help, I am able to get an almost immediate friendly, professional, patient person to help answer questions and trouble shoot problems. This is so helpful in keeping things moving in a fast paced helping profession. Cons I wish they had the ability to customize forms. We had to look at another options since this feature is limited to either the forms they have available or uploading a .pdf which can be clunky for clients. Set up was easy and they walk you through everything. I was given a 90 day free trial and knew I was going to subscribe about 9 minutes in. Customer service is top notch. I am an independent counselor so I don't have experience with TherapyNotes for a group practice, but if the day comes I decide to expand, I will definitely reach out to customer support at TherapyNotes for guidance. Pros Not once have I felt "alone" in setting up and using TherapyNotes. Any time I have a question or concern, the customer service reps are quick to respond. They always seem to have an answer and I have not been disappointed yet. They are quick, efficient and friendly. Cons Complaints from me are not a thing. I have been very satisfied with TherapyNotes. I appreciate the quick support feedback. That's an important feature to me as a manager. I also appreciate their quick updates when there is an issue with the program, which is going to happen in any program one uses. It doesn't happen often, but when it does, they keep all of their users up-to-date in real time. I think Therapy Notes is a really good program and I would recommend it to anyone in this industry. Pros The software is pretty easy to use and set it up to what works best for your practice/office. I have trained many people on Therapy Notes since we started using it in February of 2016. The software is intuitive and learning the ins and outs is not too time consuming. I like it much, and I mean MUCH, better than our previous software program. Cons There are a few items that we would like to see such as being able to set up a client with more than one provider, and have the software bill insurance for one provider, but allow another provider to be self-pay with no insurance. The other really big item would be to add a comments section on the actual billing page. While we can make comments on the billing settings page, it would make sense to also allow comments on the billing page, where our providers are more likely to look.
