### "My Love/Hate Relationship with This Software"

As a therapist, sometimes I feel like being with TN is akin to staying in a bad relationship. They don't actually promise anything but I keep staying because I keep hoping/believing they're going to come through one day and offer these features (i.e. fillable client intake forms that transfer the data into my intake note, a mobile app, and a two-way calendar). TN is also charging the same amount of money or in some cases more money as other EHRs that do offer these simplistic features. One good thing is that they did lower the price by $10 per month for solo practices, but I am already paying $79 per month for myself and one intern. That price will increase by $20 per month for every intern I supervise, and I currently have ten prospective interns waiting in the wings. You do the math.

Pros

The good: First, TherapyNotes has outstanding customer service. The staff is friendly, knowledgeable, and able to troubleshoot issues within minutes after I've wrestled for hours trying to figure out what I'm doing wrong. Secondly, ease of billing. I have been with this service since 2015 and I've tried about four other EHR products, but I keep coming back to TN because of the ease of billing. All you have to do is input the client's insurance information and once you complete a note, you just press a button and the claim is sent out. With other EHRs, I still had to fill out my own claim forms, which I didn't know how to do. Because TN makes it so simple, I have decided to stay with them. Getting paid is pretty important, so I suppose this would be the single greatest value for me as far as this software is concerned.

Cons

The bad: They consistently refuse to provide the simplest of features requested by their users. I am intentionally using the word "refuse" because it is clearly a choice made by TN. I asked TN in September 2016 if they would EVER implement an electronic intake form. TN told me they were "working on it" and gave me an estimate of December 2016. It actually didn't happen until several months later, and when they finally revealed it, it was so disappointing. All they did was give us the ability to upload a form to the portal so a patient could download it, fill it out, and then upload it back. This means I still have to go through the time consuming task of manually typing everything the client wrote into the intake form on my end. When TN released this feature, they were so excited, as if it were the most amazing feature they've ever rolled out, completely oblivious to the fact that this "feature" is not much different from me emailing my intake form to a client. Apparently TN thinks it's still 2003. Several users left comments on the announcement post telling TN this is NOT what we were waiting for. As of May 2020, we are still waiting. TN also doesn't have a mobile app, while most other EHRs do. As someone else stated, there is no two-way calendar integration. I'd also like to see a way for me to document supervision meetings with my interns. Right now I have to create a separate client account for each of my interns to keep track of supervision meetings.

Reason for choosing TherapyNotes, LLC

One reason and one reason only: it is the only software that makes billing a breeze and actually gets me paid. With TherapyNotes, all I have to do is press a button and my claims are sent, processed, and paid within a few weeks. With all the other products I've tried, I still had to fill out my own forms and I often had errors. One of the other companies consistently paid my Cigna claims, but every Medicare claim was rejected. After months of going back and forth with customer service, I finally switched back to TherapyNotes. TherapyNotes irritates me for the "cons" I listed above, but at least I don't have to sit for hours trying to process my claims. In the end, this is the lesser of two evils. I would rather fill out intake paperwork ONCE per client than have to wrestle with claim forms every session. I have already tried four other EHRs and in the end, TherapyNotes does make my life easier than the others, even though I can't understand why they won't give us the simple features we've been asking for years. If TN did listen to its customers and add an app, a fillable intake form, and a two-way calendar, they wouldn't just be the lesser of two evils; they'd be the BEST.

In addition to the Patient Information Form, we recently released the Patient Contact Form, and more forms and portal features are in development now. ### "Therapy Notes makes billing a Breeze"

Therapy Notes made my transition from group practice to private solo practice effortless. They imported my client contact list and populated the demographic info in 1 easy step. They do all the billing from submission to payment with a simple click of a button from me. They provide friendly telephone access to knowledgeable support techniques late evening hours and weekends. They follow up each support call with an email explaining all steps they took during the call and instructions for me to complete any details that may need follow through from me. They make business management a breeze which is saying a lot coming from a completely uninformed therapist like myself. Thank you Therapy Notes😊

I love the ease of use and practical applications Therapy Notes provides. They do ALL the billing work from submission to payment and they provide telephone access to technicians after hours and weekends.

### "Stop torturing yourself"

Overall I am very pleased. I have always been treated very well by your tech support as well as having the security of knowing that your group is on top of things. I never feel like I am missing something or am in the dark.

Pros

Therapy notes have been over the past 5 years amazing for us. I have used several EHRs This is by far the best for our needs. We are a small to mid-level group practice and have been able to have it grow with us as well as feeling secure that they are always on top of things and I can always ask for help. By the way, you get REAL help. You can ask anything and they will give you an informed answer with additional information as well direct ways to access whatever it is that you need.

Cons

PLEASE my only request is to have the ability to have more than one person on a telehealth appointment in your system. Currently, we have to keep another platform just so we can have the ability to have others join the session. This complicates family sessions as well as removes the ability for co-counseling or auditing sessions remotely. This is important for us as we are a teaching office.

This is the best software I have found for my private practice. It is priceless to me to be able to reach customer service by phone rather than by chat or an "online ticket". The billing aspect of the software is easier to use than the software I used previously. The only thing I would like to see improved is the addition of different notes and treatment plan templates, or at least ones that are more customizable.

### "Clean UI, Ease of Use, and Customization"

Having a secure and centralized portal for clients and clinicians to manage documents and services has been great. I didn't realize how slow other EHRs could be until trying TherapyNotes and now I don't want to go back ever. If I were going into solo private practice whether online or a mix of in-person and online, I would seriously consider TherapyNotes to simplify my life.

Pros

The UI is overall intuitive and the software runs quickly. I've been on other systems that took a long time to load and save things. I love the templates for progress notes, these have definitely made my life so much easier in getting through my documentation. Scheduling is a breeze and it's easy to set and change appointments. The e-signature feature and custom forms for things like insurance are great, much safer handling that the clients appreciate. My to-do list encourages me to stay on top of documentation and my schedule. I love that I can see the total to-do list and per client so I can see the big picture of what I need to do and narrow the focus.

Cons

A feature I wish existed was a way for multiple people (think family clients) to be able to access a virtual session (telehealth) from different devices, maybe as like a guest or something. Sometimes it can be difficult to have a full family crunch in together to fit the screen without being on top of each other or uncomfortable.

### "Not for med providers"

Not made for psychiatric medication providers. The support and development team is not very open to suggestions on how to develop templates to be more user-friendly for providers. The medication database is outdated and missing many current medications, when notified support about psychiatry templates missing medications, I was told that the matter would be looked at over a month ago, and no response. The TherapyNotes system is repeatedly lagging and freezing during the afternoon, it is not because of Wifi as I connect to the internet via ethernet cable, it does not matter if I am the only person in the building or not, it still lags and freezes. There is no patient messaging system as most medication providers have for patients, this just means pt have to contact via email and another internet screen has to be open. So use with caution.

Excellent software, excellent support.

Pros

Enough guardrails to rest easy about compliance. Claims get submitted automatically. Support for multiple locations and modifier codes. Financial reporting is flexible. Most reports can be downloaded as spreadsheets. SUPER customer support. They answer the phone and that's a big deal for us.

Cons

Supervision features are lacking. We'd like to see our supervision note displayed if we reject a note and then a supervisee resubmits. We need a report on when tx plans are filed so we can monitor compliance. These are very minor issues compared to what TherapyNotes does for us.

SimplePractice has non-standard forms for intake, tx plan, progress notes. All these forms have to be customized, which is fortunately allowed. SimplePractice did not support modifier codes on claim submission so every claim had to be edited by hand (apparently they fixed this). Customer support has to be the worst in the industry. No phone number to call. The staff that monitors the Facebook group is downright abusive. (maybe they fixed this)

Overall, their customer support can't really be beat. I like how quickly the implementation process has gone for us. I am in love with all aspects of claims management in this software.

Pros

We've streamlined our billing and our clinicians are finally able to create electronic charts!

I think missing certain features like robust patient portal billing could be good. Internal chat/messaging would also be great.

TherapyNotes is strong when it comes to the claims life cycle and reconciling payments. When you add a payer, there is helpful information to help make sure that enrollment succeeds. The feedback on EDI transactions helps immensely when it comes to catching problem claims--our old system could not do that. TheraNest did not meet our bookkeeping needs when it came to financial reporting, but TherapyNotes lets us export what we need.

I've been with Therapy Notes since I started my private practice and I won't use anything else.

Pros

I love the calendar feature in Therapy Notes. I also love the progress note platform. I find Therapy Notes easy to use and intuitive. Anytime I've needed help customer service has been there. I have no complaints.

Cons

The only thing I would like to see is a little bit more color coordination for the calendar or the ability to choose colors for specific appointment types myself.

### "Why I have stayed with Therapy Notes"

Anytime I have had trouble with billing or questions about anything TherapyNotes responds within 24 hours. When I reduced my client load to less than 5 clients they allowed me to cut my monthly payment to them to which I was very grateful.

Pros

When I began my private practice in 2013 there were not a lot of online billing programs out there. I worked with a group of other therapists and we all chose Therapy Notes. Since that time I moved my practice to a home office and online. I no longer need the insurance option for Therapy Notes because I no loner accept insurance. Ten years later I continue to use Therapy Notes despite the fact that there are many other competitors who offer similar services primarily due to the 100% reliable and extremely satisfactory customer service. I am not a person with high tech skills, nor do I love spending time doing the administrative and billing portion of therapy work. Therapy Notes continues to provide a highly user friendly platform that makes this work much less painful! The portal they added has been an incredible bonus and made telehealth even easier.

Cons

I am looking forward to TherapyNotes adding more forms, especially a Release of Information form.

I am looking to keep paperwork to a minimum, remain organized and on top of my notes and billing- TN does this very well for me.

Pros

It is comprehensive and meets all of the needs I have to run my practice efficiently. TN seems to be constantly working on future improvements in all functional areas of the system. It helps me keep up with notes and billing in a seamless manner and the system availability is pretty close to 100%!

Cons

I really have no thoughts about what would be better.

The help desk initially was really good and they always answered the phones quickly. During the past year one usually was waiting on hold for 1+ hours. Once you do talk with a staff person they are helpful, but the wait is way too long. I am fuming over the credit card fees.

Pros

Intuitive, simple to use and easy to teach.

Cons

Not set up for large practices. They can't handle time zones. Hard to use for many clinicians. Best suited for 1-3 clinicians.... Not 30+ clinicians. And they charge ENORMOUS credit card fees. Truly double Square credit card fees and TherapyNotes makes a profit off of the credit card fees....so they get you on a monthly user fee PLUS a percentage of all money collected using credit cards.

the fees were reasonable... then therapynotes pulled a money grab. My credit card fee went from being 2.3 per transaction to 2.9 plus 30 cents per transaction. Square is offering me 2.4

### "The Right Choice"

I was anxious about starting use of a system on my own but it's really been simple w/TherapyNotes.I am a self-employed therapist working on my own so a straightforward need for my business.

Pros

This product is easy to use for someone who has used EMR's but always with lots of support. I am now on my own but TherapyNotes is pretty self-explanatory. The articles for figuring things out are well written and easy to follow-not too technical.The selling point for me was having on-call tech support if I can't figure something out. So far I haven't had to wait more than 15 minutes and typically it's a much shorter wait time, if I have to wait at all. The tech support people are efficient and clear in their instructions. They then send an email reviewing the steps they have gone through w/me that I can review in the future if necessary.

Cons

Not being able to add templates within the system. You can customize (to an extent) the templates already in the system. The work around is scanning and uploading forms to the system. Not too bad...

### "TherapyNotes- A revolution in Behavioral Health Billing and EHR"

Submitting claims for the entire day of work takes anywhere between 10 seconds to 4 minutes tops depending on if anything needs changed before it is submitted. The scheduling calendar is a breeze with the ability to see multiple locations and multiple providers at the same time, or restrict it to one provider at all locations, all providers at one location, or any configuration of that you can think of. It is color coded, giving each clinician a different color, so office staff can easily see which patients are with which doctor. And you can set up recurring appointments with the click of a button for as many or as few weeks as you would like for a patient. You can also individualize the billing per Insurance company, and per doctor, so any special billing can be saved and will be automatically input for the payers that require it. Also, the visit records (notes) that the doctors input for each patient are extremely well organized, and easy to print and provide to insurance companies/workers comp/other providers when requested. TherapyNotes is intuitive software that is easy to learn, user friendly, and inexpensive in comparison to other options.

Pros

The price charged, along with what you get is incomparable, this software is head and shoulders above the competition. TherapyNotes has solved 99% of our Billing and EHR issues. When issues do arise, we are able to get a representative on the phone within 1 minute flat, (this is record time, EVERY time.) and they are always extremely helpful, knowledgeable, and can SOLVE any problem. The one and only problem I still have, is already in the works for the next update to solve, and TherapyNotes staff has provided such an easy workaround in the meantime, that it has become nearly a non-issue. It is an extremely user friendly interface, and we have come to find that any mistake made within the system (Billing/health records/you name it) can be reversed, without any issues.

Cons

The Doctors had a hard time, when the office first transitioned to TherapyNotes, getting the notes completed. (All notes regarding a patient's visit on that date of service need to be completed before that DOS claim can be sent out. There is no deadline to complete them, you just can't send the claim until they are completed) Once the clinicians adjusted to writing their notes in a timely fashion, they too have concluded that they much prefer TherapyNotes over our old software (NueMD) which was MUCH more costly, for extensively less features that are beneficial to a behavioral health practice.

Pros

Excellent and quick telephone customer service with an expansive hours of operation, ease of insurance billing, simple design that is easy to follow, comprehensive and accurate to-do list, large selection of detailed online help/support pages. TherapyNotes is also proactive with updating their software on a regular basis.

Cons

When registering a new client, they are only granted TherapyPortal Access for seven days. This has proven to be an issue numerous times when the client needed to contact me to resend their link to access the portal. Also, it is a major inconvenience that clients cannot reset their own passwords on the portal. Clients must contact an administrator in order to reset their own password; there is no reason this should be the case. When using a Telehealth session, there is a pop up that appears stating the connection is poor even when it is not; this can be distracting. For the Calendar view, I would prefer that I can see my entire day on one screen without scrolling. Sometimes there is excessive clicking; I dislike that there is no one-click option to charge all/multiple copays for all clients at the end of the day.

### "Hands Down Makes My Life Easier"

Pros

TherapyNotes makes my life as a therapist and practice owner easier. Easy to customize (most) forms (and the ones that are less customizable it seems they are updating to make more so!). I find the charting to be very user-friendly, and, if you're billing insurance, they include within their documentation everything that insurance companies would require. And if I ever have any questions, the customer service is truly remarkable - very knowledgable, wonderful follow up and follow through, and I have never once spoken with someone where I felt like I was someone inconveniencing them or they hated their job (which, sadly, can happen with a lot of customer service!).

Cons

I honestly don't have any major complaints. The most recent treatment plan update is a bit cumbersome but they put out an announcement that they were getting that feedback and were making improvements immediately.

Therapy Notes (as an organization) provides optimal, timely, friendly & solution-focused customer service for any need I've called about. They are EXTREMELY UNDERSTANDING if you experience a Hardship of Financial setback (I was diagnosed with Lupus) and will do ALL it takes to accommodating your needs to help get you back on track. Their software interace is extremey user-friendly (setting up your initial account, inputting new client information, scheduling (including a partient portal which assists clients in schedule their own appointment REQUESTS, automated email appt reminders, exceptional clinical documentation, SIMPLE billing practices to submit claims and receive ERA's (with one-click "posting" to various client accounts who are included on the same return ERA.) Payment processing has Several options (my favorite is "Submitted Payment through an External Account/Debit) because most of my client prefer quick POS payment processing for matters such as paying their per session Co-Pays. ETHICAL: Providers are blocked from submitted claims for processing until the corresponding clinical note has been signed. No way around this. Therefore, IF a provider wants reimbursement for services provided, they MUST be compliant and have signed and submitted their clinical documentation. Providers are able to change the settings of the program....but Not that ONE requirement for liability purposes of course. Seriously, Beyond Outstanding!

Cons

I'd say the ONE thing that makes it Exceptional::: LOL:::: The program forces providers to complete their clinical documentation within 24-48 hours. Unless you do so, the system blocks your ability to "bill" (and get paid!!) Ugh (but it's a good thing!) I wish they'd develop an APP. I've been asking them for almost 4 years, yet they don't have one? Despite making several other changes to their system (i.e. blogging). They're such an advanced, in-tune, intelligent team of "younger" professionals, it's actually a bit mind-blowing for me that there hasn't been an APP created to support their "mobile consumers".... I feel they could POTENTIALLY be losing lots of business potential by neglecting to make this a priority (knowing that most of their main competitors do function via Apps and their lack of developing one decreases their "attractiveness" over to a company who uses an APP, DESPITE that TN is Superior in every other way!

I will say my experience is wonderful and a blessing.

Pros

The getting started videos are great. Customer support is in the USA!!!!!! They spend as much time as needed and they are encouraging. The credit card processing is the best I have ever used. Their Golden Thread Method leaves no stone upturned. The telemed is much better then the competition. I would highly recommend this platform.

Cons

it does not track external authorization which is highly needed to EAP session

In the past, was quite frustrated with not being able to upload client insurances cards, ROIs, and and not having built in patient messaging, but all of these issues have been addressed.

I have also been impressed with the quality of the customer service with the support staff agent. The agent that assisted me one evening in particular, \[SENSITIVE CONTENT HIDDEN\] was knowledgeable, friendly, and prompt in resolving my issues that had stalled my work previously. Much appreciated and will highly recommend!

Pros

TherapyNotes was relatively easy to use after practicing some changes when crossing over from a different EHR (Theranest). After a month of practice, I found the documentation was relatively easy for daily progress notes and the psychosocial intake components. I particularly liked the intake section where it divides the areas of psychosocial with the specific questioner. Another plus is scheduling ease; TherapyNotes allows me to schedule my client on a monthly basis on a specific day rather than requiring manual entry from my previous EHR system. It also provides me with the option of system reminders via email and or text message depending on the client's preference. Lastly, from an audit standpoint, it appears TherapyNotes do not allow preliminary license holders such as LGPC, LGSW, etc.. from entering individual notes on new clients without the clinical supervisor approving/signing off on the treatment plan first. Also, TherapyNotes requires a clinician to document a treatment plan on the second visit following the initial intake prior to clearing the clinician from entering a progress note. I have also been informed billing insurance providers can only transpire after all entered notes for the service date has been signed off. The above-mentioned requirements from Therapynotes do quality control for audit and ethical purposes for practice holders.

Cons

The one thing I do find problematic with Therapynotes is the treatment plan section. The document allows the clinical to enter the approximate length of treatment however it does not allow for a clinical to set a review date (of 30, 60, or 90 days). This technically means Therappnotes does not generate a reminder for a clinical to review a treatment plan and resolve, complete, and or change with a selected review date in mind. That has been a rather frustrating experience and can possibly lead to audit issues.

Exceptional customer support and communication during the Change HealthCare cyber attack.

Pros

TherapyNotes makes clinical documentation very simple. The templates are easy to use and customize if needed. The information flows from intake, intake note to treatment plan and progress notes. I don't worry about missing an insurance requirement.

Cons

I've been challenged with part of the billing process especially when it comes to deductibles and insurance readjusting payments.
