We have campers all around California and out of state. Our old system was complicated, not user friendly and parents would have to mail or email us additional forms. With CampDoc everything we need from parents are all in one place. If parents forget to sign or fill out, we can just email them to go in and take care of the issue. On the back end - user friendly for staff. Everything they had to do on paper now can be done online from assigning cabins, reviewing special request, rosters, etc. Cons At the beginning it was a challenge with the integration with our current software. the Communication between three parties was challenging but at the end it was worth it. February 22, 2023 5.0 Overall, CampDoc gets the job done.The price is prohibitive for us. We only use the software seasonally for 3-4 months and we also don't use a lot of the components available. We have 5 camps that run 9 weeks so the Campdoc staff can set it up very quickly and easily and it's just a copy of the year before. So really we only use it for camper data and reports of that camper data. We don't use the camper check in feature either. So basically I pay $3000+ to collect camper data. It would be nice if there were fees for components used. Pros I do like that it gathers all the camper information I need in one location. it is easy for parents to fill out and I like the automatic reminders that are sent from CampDoc. Cons It could be more user friendly. It is complicated making reports and groups and it is challenging to get all the information to all my camp locations and the staff there. We do not have computers at our parks so they all need to access it via camp cell phone. I'm not sure CampDoc was designed for municipal programs. Probably works better for resident camps. Outdoor Experience Manager Non-Profit Organization Management Used the software for: 1-2 years ### "Camp Doc Review" January 3, 2023 3.0 it saves us time during check in and helps us to eliminate paper waste Pros It reduces paper waste and makes check in easier for my staff Cons The cost, and the customer service is not very clear in their communications Reason for choosing CampDoc we will be looking in to other options this year for comparison, last year no other products were investigated because this was the one that was used in the past and recommended to me for use by my predecessor. While it's clunky, they try to improve that each year and listen to suggestions/feedback and actually implement them. They are also always available to help. Pros We love the medical aspect, stronger than all other camp software that I've seen so far. I like that campers can register and get all their info in and that it rolls over year after year. Staff are always available for our needs. They also always ask for feedback and have seen some of our suggestions be implemented over the years. CampDoc really was a HUGE game changer for our program in terms of increasing medical safety, increasing camper enrollment, customer service (no more re-doing the same paper forms over and over!), improved data tracking, and reduced admin work when it comes to 'paper chasing' forms. I recommend it to all my camp friends who need a way to keep campers safe medically. Cons In short:Has a steep learning curve, clunky/not intuitive, missing a few important med features (but still is better than all other camp software!), SO EXPENSIVE (almost unaffordable) especially for a very small camp (we serve only about 100 campers total).Longer Explanation:After 7 years I still feel like I am stumbling through it or needing to re-look up how to pull specific reports that I feel I should be able to . It just still feels a bit 'clunky' and not quite as intuitive as it should be. If you don't use it every day, it's hard for seasonal staff to learn and re-learn year to year.Cost honestly is the worst part of CampDoc. Price SOARED in just a single year, I mean SOARED!!I wish they had a creative way to make it more affordable for small camps that only operate for a single weekend or serve few campers. I know several camps who had to let it go. My camp honestly can't afford it either, but because the alternative is far to risky (ie more med errors would happen, etc), we won't let it go and cut costs elsewhere. Reason for choosing CampDoc I can't remember all the other camp registration systems I looked into, there were a lot, but CampDoc was the only one who had an adequate Medical aspect for our camper's, so truly is the only option for us aside from paper or google docs. It seems user friendly for parents as well. Unfortunately we can't use it for registration software but it seems like it would integrate well and other aspects of the software would be useful. The Cons There seems to be a lot of issues with the report building - I can never get it to pull everything I need in one single report. I also hate that you can't see attendance lists until the program actually starts. I'm the one who set up our system and I'm pretty tech savvy but it is a little cumbersome. The customer service I've spoken with tend to talk in their jargon which isn't the same as mine so it takes a bit to get things worked out. Our price basically doubled and we were not happy about that. But, we did so much work to get it up and running, we decided to stick with it for a couple of more years. We will look into switching in the future to save some money though. Reason for choosing CampDoc At the time it was cheaper. The product is invaluable to our operations, and I am very grateful for the high level of customer service that the team provides to us. They are responsive and flexible to our needs. I have always been impressed by the level of knowledge and professionalism that every member of their team shows. Pros Our team uses CampDoc at all levels. Hourly camp teachers use it to keep track of the campers on their rosters and to manage food and activity safety. Management uses it to keep camp records and waivers on file. This software is essential to the smooth operation of our camp. Cons The software is powerful, so it can take some time to learn and feel like I am using it to its fullest potential. The online training videos are helpful, but it can take a lot of my time in my work day to really understand the tools and resources available to help me learn the software. February 22, 2023 5.0 The registration process saves a lot of printing of forms, having parents fill them in (sometimes illegibly), and shows them exactly what is missing to complete their registration. Saves a lot of parent phone calls with questions, or us having to continuously reach out to let them know what's missing. Pros We love that the parents create an online account and then can take their time with completing everything because we do have a lot of medical questions for our camp. Cons I wish we were able to make more changes to the staff application - for instance they shouldn't have to go to the page that talks about tuition or recieve notifications about camp insurance. Reason for choosing CampDoc When we were deciding to transition from paper to online, we were not sure where to start. We haven't had a "normal" year since 2019, but we are arriving at our new normal. Pros The ability for participants to register and pay on-line as well as the digital approach to forms. Online forms saves countless hours during a summer season. It's also easy to print out forms for host venues that require it. Cons It would be super beneficial if CampDoc could generate emails that collect data and populate that data into a participants account. For example, as part of our application process applicants must provided a teacher email address. We then reach out to the teacher (using another 3rd party software) and collect a standardized teacher recommendation. We would love to house this data in campdoc so that all of our data is in one system. Reason for choosing CampDoc At the time, final forms only did school accounts, not summer camps. It's helped so much with the organization of our programs and it's easier on our families to register for our programs since they don't have to fill out the same information every time they want to attend anymore. Pros I love the customizable reports and how everything stays organized. The biggest help is how easy it is for our families to register their kids for programs once they've created the account. The Medical Sections are well crafted and gives us as the camp as well as the parents peace of mind that we are fully prepared to care for our students. Cons I feel our camp has different needs than most camps. At our camp, some students choose to get headshots so if there were a way for us to upload those images to their CampDoc account so I wouldn't have to store them, that would be helpful. We also have some programs that require audition videos for some but not all student and if they could submit their video for us to review and share to other teachers that would be cool. I know we can have them upload videos files but since it's not required for all students, that feels like more of a hassle to do it that way. December 12, 2017 4.0 Consistency with the year before (previous campers), medical information at our fingertips, ability to sort in a variety of ways and pull lists from the sorts. Pros Ease of use, eMAR is very well thought out (I know we aren't using it to it's fullest capacity, but we find it great for our needs, filters to narrow down specific populations are excellent and came in handy daily. Cons Customer support was very much a disappointment this year compared to last. Parents were told to call the help line, advertised with very broad hours, yet the line was often not picked up by a person or parents were told to call our camp by the help line. This caused distrust among the parents about entering in their children's medical information in this system. The representatives also seemed less willing to help our staff this year when called with problems, less educated on problem solving, and at times, short on the phone or by email with our staff. I'm not sure what the change was from last year's wonderful experience, but it definitely affected our experience this year. Cons Some times the refresh rate can be a little slow which has confused users and they think their browser has frozen. August 23, 2016 5.0 Every time I have needed to call and talk to someone they are so friendly and helpful! Kirsten is always really helpful and patient with me. I appreciate that she checks in to see how things are going. She is very quick to respond to my questions and always willing to work with me! Pros Registrations are so much easier since they are organized by camp. Saves time to have parent reminders sent about balance or completing health information. September 15, 2016 5.0 Camp documents were available to all administration, regardless of where they were on the campgrounds, at all times (rather than having one single paper copy of each document only locate in the main office). The communication with families greatly improved. We felt much more connected to parents and they have commented the same. Time spent checking and rechecking, shuffling through papers each time we wanted to find one small fact/detail for each camper was becoming very frustrating and tedious. Having all this data complied in one place at the click of a mouse has helped us to learn new things about our camp and how it runs. We will be making changes next year as a result of this data. Customer support was excellent, and all members of your support team that we had contacted were very helpful! Pros Nolan, our account manager, was great! This was our first year using the software and we never once felt like we were alone in this. Nolan was there every step of the way, answering every question and fixing every problem! I would email him with what I thought was a catastrophic problem and he would just simply correct it or explain in to me- crisis averted within minutes!! He is an absolute lifesaver! He made this summer so much easier. We will continue to use CampDoc.com in the future almost entirely because of his assistance and dedication to making our program successful this summer. We were 40% faster with our ability to check people in. In years Past at one of our camps we would normally get a visit from the Sheriff Department due to the traffic that drop off first day of camp creates. Since we started using CampDoc we no longer have this issue. I cannot speak highly enough of the ease of use, and how many hours it has saved the parents as well as us. Pros The instant reporting Cons Some of the on the fly health reports for scraped knees and things like this could have a simplified version of this report. The report for this area is quite extensive, and sometimes more than that is needed for what was done.
