January 10, 2023 4.0 We were using two software platforms to manage opur processes in 2022 - home-grown REDCap projects for pre-screening and CampSite once campers were selected. My predecessor had "evaluated" CampDoc when CampSite was selected in late 2021, but had somehow missed the need for the prescreening phase in the system spec requirements. We were going to fumble our way through another year with REDCap/CampSite and re-evaluate other options, when I got a marketing email from CampDoc that talked about pre-screening. I re-opened the conversation with them and we were able to work through our needs in a very short time with a very aggressive go live date of less than six weeks. We are about two weeks from that date and they have been very responsive and supportive as we go back and forth on our final design using a mish-mash of forms from both prior systems. It appears that they have been able to address 90+% of our requirements, including all the critical ones. The proof is in the pudding though, so ask me how it went in another six months... Pros We are a non-profit, volunteer-run program looking for software that could handle our non-profit camp process from cradle-to-grave, enabling us to pre-screen applicants before assigning to specific camps. CampDoc was the only provider we could find who had clients that they had already developed this approach with. Having the ability to edit various lists such as required immunizations and medications was also a plus. Cons Although we are in the very early stages (we started working with them in Dec 22), they appear to have some limitations in ability to cc and bcc emails, which is important in our selection process. Switched from [CampSite](https://www.capterra.com/p/131210/CampSite/)[RedCap](https://www.capterra.com/p/234600/RedCap/) As mentioned above, we wanted to move to a single platform that could do everything we needed. REDCap was good for customizing forms to suit our needs but involved a lot of programming at our end, which required expertise that we were not organizationally deep in, overloading our volunteers who provide that function. We probably could have further developed it to create a Registration app (we did use it for virtual camp registration in 2021), but back to volunteer bandwidth...CampSite did a decent job of registering campers but did not provide the ability to give users access to only specific records nor to view exactly what the participant saw without having to create a different login and enter a completely different link. Additionally, we could not download all the CampSite data, only by creating reports that included the fields we wanted (Select All was not a choice) and downloading as CSVs.The cost of CampDoc is comparable to the two different programs, plus cost for system admins for database management, if not a little cheaper after the first year. Pros CampDoc synthesizes all of our needs - registration, health forms, finances - into one user friendly interface. They are definitely a health-forms company first, but they are absolutely the best in the business in terms of customer service and support. Every time we've needed to troubleshoot areas of the software that isn't completely meeting our needs, they have worked around the clock to find a solution. Even though costs have gone up, I wouldn't trade their customer service quality for any discounting anywhere. Cons We wish the filtering process for billing invoices was a little more comprehensive. Similarly, we are probably their trickiest client in terms of how complex our registration "categories" are, and we haven't quite made that process seamless yet. But I still would choose them over again with the same budget and a clean slate of choices within the industry. I've spoken mainly with \[sensitive content hidden\] and he has been very responsive, friendly, and overall amazing at his job. Thank you for putting up with all of our changes and getting us ready for summer! Pros The fact that almost everything is customizable, and can be altered to our needs for each individual session. Cons Some features (like reports and statistics) are not as user-friendly. Also, when making list of campers, the list always disappears and has to be selected each time a camper is clicked on. The features in Program Management allow us to track enrollment and create reports to distribute for statistics as well as everyday use. Prior to CampDoc, we were an all paper-based organization which did not allow for sensitive information to be secure or to be retrieved from numerous locations. This has saved so much time and extra resources that we would be lost without it. All parent information is collected and used in the Parent Portal. It is critical for our staff in the field to be able to access sensitive information in a secure portal and CampDoc drives our success in collaborating with parents. Summer Camp Director Education Management Used the software for: Less than 6 months ### "Easy to Use and Minimal Maintenance " December 20, 2022 5.0 It's saving us time and money and customer service immediately replies immediately with screen shots for any questions I have. To be honest, most of my questions are because I didn't take a few extra minutes to search for the answer in the help docs. Pros It's so much easier to use than some other camp software. Our biggest reason for signing up, apart from paying several hundred per month less, was the minimal amount of paper we have to deal with. Everything is done electronically with eSignatures. Such a timesaver for us so far. Cons Some of the terms take a little while to get used to. They all make sense, but just not what we were used to hearing. Also, reporting is different, but should be great once we use it more. You don’t know how much extra work you’ve been doing until you see what the system can do. Pros From design to use ability, camp doc is one of the most comprehensive and user-friendly systems for managing camp information. Cons The list builder feature has a little bit of a learning curve but once you understand it, it makes sense. Reason for choosing CampDoc Camp space is one of the worst camp programs I’ve ever seen. If we were using one system without having to go back-and-forth between two, I would have picked Camp Brain but in the situation where we have to use our other system Camp Brain was too much. Pros The software is affordable, support is strong, launching is reasonably easy, communication functions are helpful. Cons The parent company of CampDoc, seeks to sell insurance to our constituents. The default answer is yes, instead of no. This cannot be changed nor removed. Parents often complain that they are charged extra for insurance which they do not need. I can also attest, that the insurance is of little value. Not once has the insurance paid out a claim to our constituents. It would help to be more up front that with refunds you need to take into account all transaction charges. Directors of programs should have a non-refundable part of the charge to cover those transactions. They have a high quality customer support team. I have used 3 different data base portals for this camp program, and this one is the most effective in quality in regards to camp management. Pros CampDocs is specifically built for summer camp and it shows. The registration portal, electronic health profile, and report export have been incredibly helpful in summer camp management. Cons The financial ledger is sometimes a bit confusing, and the registration system only allows for one camper to be registered at a time. The staff and customer service is very responsive but the ease of use and timeliness is not where we want it. Pros The medical information captured, the roster development and the ability to run reports Cons The inability to change things or add programs to register for ourselves, the high cost of Credit Card processing to non-profits, the minimum charges for ACH/Credit Cards processed annually even though we pay a monthly fee, the inability to collate questions to fill in forms which are required by our state. CampDoc has made things more easily accessible. It has also helped parents be more confident in the safety/security of private information. Pros Easy to use, especially for small organizations/camps. Customizable to fit the needs of a specific camp/program. Many options to make registration and medical needs even easier. Customer support/service is great! Cons The only thing that we would consider a Con is the cost - given that we are a small non-profit organization. However, CampDoc has been very willing to negotiate and respects/honors customer loyalty. September 20, 2017 5.0 At our camp, we didn't have WiFi, but we were able to print all food/environmental/drug allergies and prescriptions that were needed to be taken at camp at certain times of the day and included the dosage. Our nurse would administer the prescriptions, and then sign-off on the paper copies. Pros CampDoc has really helped our company with camp and a conference. It was great to have all of the medical history and insurance cards before the event. When we first got to leadership camp, one of our campers passed out in the first hour of camp. We were able to look-up his medical history and found he does faint a lot. So we were able to call his parents, and we didn't have to take him to the hospital since it is something that happens to him. Later in camp we had a camper cut open her knee. We were able to go to the notebook and pull her medical history & insurance card and take her into the hospital. Since we had all of this information they were able to take care of her without waiting for a parent to get to the hospital (several hours away). We are now using CampDoc for the Registration and collection of the health profile and insurance card for our next conference. It works so well, and saves us tons of time collecting all of this information in paper. Our conference will have WiFi, so we will be able to utilize the on-line format of this program. CampDoc was the best find for our company, and it has given us the documents we need to protect our company and help the student in the time of need. If they put as much effort into the financial reports as they did the medical, we probably would’ve stayed with them. Pros I liked the ease of CampDocs. The team responsible for our account was always responsive and available to help us navigate the software. Cons CampDocs lacked financial reporting. The dashboard never cleared after completing the season, so you’d see this big number but that number was cumulative of how many sales etc. you had since the beginning of time. It was very confusing and made reporting very difficult. Also, you could not enter in your camp seasons/ sessions on your own. Their team had to go in and do it for you, and then there was a testing phase before it went live. Sometimes that made us have to push back registration, which was an inconvenience. December 21, 2022 5.0 Prior to using CampDoc for registering (we no longer use it for registration now, just camp session management) and managing camp paperwork, we used Eventbrite for registration and then had families mail us their paper applications and health forms. This system sometimes led to lost or mis-grouped paperwork and long, extra hours each day to make sure all the paperwork and forms were in order. Using CampDoc saves me hours of time each day during summer camp season, allows me to contact parents directly, and tracks important info that I use for reporting. Pros Most parents/caregivers find CampDoc easy to use and navigate. All the health forms and pertinent information are easily accessible to me and my camp staff. A highly functional system that allows you to collect, organize, and store the information needed to safely and efficiently run a camp program. Customizable for my needs. Allows me to download data. Cons Some of the features that I had asked about years ago are now in place (like using CampDoc for attendance), but are offered for an additional fee. CampDoc is well-worth the fee, but a feature like attendance is something that I would imagine every camp program could use; would be nice if it were included in the regular fee. Everyone has been extremely helpful, knowledgeable and friendly. Although we are very new to using the system, I feel like we are supported and have someone to help us if any questions arise. Pros I love that this software helps our families keep a profile so they do not need to fill out repetitive information every time they register for our camps. It is also amazing for attendance and check in/check out during the hectic camp weeks. Cons We are very new to using CampDoc, so I am not familiar with all of the features yet. I wish I could start a waitlist using CampDoc even though we do not currently have the full registration (payments) option. But at the end of the day, the monthly charge was going to be too high for the one two months a year we actually use the software. Pros Our camping ministry has worked with the team at CampDocs for the past five years. While the setup process can be a bit extensive, the team is always faithful to listen to our needs and provides timely edits. The charges for accepting online payments are competitive and the ability to generate reports is a excellent. The jewel of this software is definitely the eMar health system for tracking medications and allergies. Overall, this software has saved us a ton of time sifting the right information for the right camps. Cons It can be a little tricky generating reports that look exactly the way you want them to, and get the right information in that report.
