P&L's and balance sheets. Xero's ease of use also lead me to quickly be able to confidently action financial matters myself if needed, which was never an option with the previous software used. I would encourage every small business to use Xero. Pros So very easy to use once it is all set up. the reporting is clean and easy to understand, invoicing is seamless and account reconciliation is simple. Cons Migrating from MYOB or another accounting software can be time consuming, however this would happen with any software. Its ability to allow workers to work remotely and monitor work is highly useful. It has great accounting tools at your fingertips. The great selection of integrations also help with syncing workflows and tasks cross different platforms like document collections and processing, job management and payment processing. Pros There is a constant improvement of the Xero Blue platform with new integrations coming all the time (like the Karbon integration for contact sync just announced) The Dashboard is highly intuitive and gives an up to date snapshot of the business when you loginThe ability to create reports is highly useful, especially the new update that gives a modern interface with features like budgets for P & L Statements. When compared to their competitors like DEXT they are severely lacking in features and usability. Xero invoicing is very basic, no ability for direct debit payments, no engagement letter etc. Document management software like Suitfiles needs to be used, there is currently no direct integration for document management like Karbon has. Integrations into Xero Green (XPM) basic, XPM has not been updated in many years and to an overhaul to compete. Pricing when compared to software like software assistant is more premium. Overall it is a very easy system to use and has cut down a considerable amount of admin time. Overall it is positive, however, you can get caught out with the add on's needed to raise it from a very basic software. Pros The interface is very simplistic. The headings are very clear and the day to day using of the software is very easy to teach to new staff. The expenses app allows individual staff members to load their own documents cutting down admin time considerably. Cons A lot of the figures that you would like to see at quick glance like total spend with each supplier are not immediately apparent unless you run the correct search. The integrations with banks and payment apps enabled me to automate financial processes. The reporting and dashboards helped me make better decisions to grow my business. Pros Since our business model is fairly simple and streamlined, it's a perfect solution for reconciling the books and autogenerating the monthly expense reports. Other small business colleagues wait until the end of the month to see how the company is performing but with Xero, I can run that report at the click of a button at any time. Cons Adding new assets to the balance sheet was a cumbersome process and wasn't explained very well within the help documentation. However, now that it's been set up, running the depreciation is a simple click of a button. However from looking at other platforms, it doesn't have the best interface. We selected it on the basis that it's well supported by accountants, HMRC and has good API support. Pros The reconciliation functionality is very useful. It's not perfect and it does need a lot of massaging to get it right, but ultimately it's a big time saver. Xero also has very good APIs and integrations in to other products. Cons The interface is not perfect. Some tasks are a lot more cumbersome than they should be. The connectors to external services are useful but fall over on occasions. Under these circumstances, Xero's somewhat nonchalant support (akin to "turn it off and turn it on again") is not that inspiring often leading to them blaming the provider and the provider blaming them. Definitely the best of all of the accounting software that I used. It's so easy and intuitive to use. Customer/tech support leaves a lot to be desired. Good UK telephone support really is needed here. Pros It's very easy to use. It works a treat. It does everything I need it to, in a very user-friendly way. It's so easy to fix errors, even large multiple errors. Cons It's a little pricy. There's no telephone or online chat support and e-mail support just doesn't cut it. They are a little arrogant. While other software companies release additional functionality as part of their continuous improvement, for free, Xero charges for every additional development. September 30, 2021 5.0 When I first began using Xero, I had heard a lot about it and was skeptical. Surely, no software could be so "all that"! I was introduced to it by a colleague who has converted the whole of her mid-size accountancy practice to it, and literally within a day and a half (which did include watching some of the short but very clear tutorial videos) I was not only up and running, but felt confident using it, finding my way around it, locating and fixing errors etc. It's literally that simple and straightforward. It's also incredibly stable - I think in 3 years it's only been offline (to my knowledge) 3 times, each for a very short period. I've also not found ANY bugs so far - almost unheard of! - and the support is fantastic, even though it's online. Pros Provided it's set up properly, Xero is probably the most friendly accounting software - to non-accountants that is - of any I've ever come across. Back in the 90's, MYOB revolutionised accounting software for small business, but Xero takes it to a whole new level, by removing so much of the data entry work that takes time, leaves room for errors and is in general a pain, when you'd rather be - you know, running your business. With Xero, it's up to the individual operator how much they want to automate their accounting transactions; if you want to, you can use the really powerful, but still simple tools to do a lot of the legwork for you. If you prefer to do it more manually, that's OK too - it's still simple and very quick and easy to use. Cons Xero is constantly adding and refining its software. Inventory control is an area I'd like to see strengthened, but that's already way ahead of where it was a couple of years ago. Similarly processing payments in advance. But these are relatively small niggles which for the majority of small businesses don't present any issue. It is indeed a good match for business owners who know nothing about accounting in order to keep their books and to properly manage their finances. From my own experience, I found that Xero is very user-friendly and its accounting interface is streamlined, almost seamless, and uncluttered. The Demo Company is very useful as you can manipulate data without worrying about messing up vital information in your practice company. Xero’s accounting dashboard shows the snapshot of your business (i.e., bank balances and reconciling items, outstanding invoices, and bills, accounts on the watchlist, etc.) and fully customizable depending on your needs. Quickbooks had been the leader of accounting software for small businesses for quite some time but Xero is becoming more popular because of its competitive offering and value proposition. Xero’s starting plan is very affordable and you have the option to add-on some features depending on your need. It also offers a basic inventory and fixed asset management functionality in all of its plans, which is very cool! And the best thing about Xero is the unlimited users allowed to access the financial information. Cons The feature I like the least is Fixed Assets. I find it confusing at times and cannot understand why we cannot attach a copy of the Vendor Invoice to a Fixed Asset file. Find this frustrating when we seem able to attach invoice copies to most other types of transactions. Pros I appreciate that Xero is responsive and simple to use for everyone, as it does not necessitate a great deal of prior experience. Once connected to the Internet, the user will be able to connect with all of his bank accounts, both those through which he wishes to make payments and those to which he wishes to transfer money, and monitor and follow them accurately and professionally, as well as track and report on them. It is extremely adaptable to a wide range of requirements, including those of freelancers and huge corporations. Furthermore, it serves as a vital database for all financial data, as it will allow you to download documents and invoices quickly and easily, and also through the phone application, where it is sufficient to scan documents and invoices in order to enter information from them into the system and schedule payments quickly and easily. I particularly appreciate the reports that are generated by Xero since they are comprehensive in that they include all of the financial transactions that occurred during the time period under consideration. Bookkeeper Financial Services Used the software for: 2+ years ### "My investment in Xero didn't work out" November 23, 2020 3.0 I became Xero certified in 2016, I was very enthusiastic about the product at the time, and thought I would be building a practice using it. Unfortunately, the more I used it, the less well it worked for me, due to the reasons given above and more. I also find the Xero portal for practitioners unnecessarily complex and difficult to navigate. The company was always also assigning new account managers to me. I think I've met four or five in total. Xero frequently asked me for feedback and I provided it several times, especially about my discontent with their reconciliation process, which I consider inadequate to my needs as a professional bookkeeper, and which I had seen cause significant problems for business owners trying to maintain their own file. Though I repeated this feedback over the course of several years, it hasn't changed. I realize I'm just one customer, and I don't know if others feel the same way or not. Anyway, in the end, I didn't want to work with this issue anymore. Pros Transaction processing in the bank feed is, as they claim, very well set up. At the time I started using Xero, the company also seemed to provide some needed competition and an alternative to intuit in the small business accounting software space. Cons The other accounting software apps I use are QBO and Wave. Both, IMO, are better than Xero. Back to the bank feed -- Xero is unable to connect with a number of banks. In addition, the bank feed sometimes drops out transactions with no notice to the file owner or bookkeeper. Thanks to the lack of a reconciliation process tied to hard numbers, inaccuracies can pile up in the registers as a result. In addition, overall access to data in the registers is more awkward to accomplish than in either QBO or Wave. Editing transactions is significantly more complex than in QBO. The system of comparison between the "bank statement lines" and the account register was confusing at times. And there are odd glitches in the reporting (cannot recall all the details now, I only have one client left using this app) that I had to watch out for. Xero is a product that has some really amazing capabilities mixed in with real weaknesses. With Xeo, it is easy to account for every penny we receive as payments from clients and balance our finances with our expenditure. It has helped us eliminate any loopholes which could see us experience loses in our business. Pros Xero has been such a savior product for us and has helped us streamline our financial management experience. We find it very useful how it allows us to track funds move within the organization including our overall expenditure as it helps avoid overspending. The financial reports are easy to read and extract useful insights which shows our position financially. Having Xero create invoices for us and directly email to customers with a link to pay is so much easier. What's more, customers which pay via stripe on our website, we can record on Xero and if a payment fails we can easily email them a Xero invoice and records remain combined and up to date. Cons Unable to establish how to send an email automatically if a customer buys via WooCommerce and the payment is still shown as Awaiting Payment on Xero. Ideally we'd like the email to be automatically sent if created via WooCommerce and added to Xero.Can't think of any other cons associated with xero. The usability is fantastic, the ability to see really clearly how the accounts work is groundbreaking in its field. I love the bank reconciliation and the bank feeds. The automation of data is actually fun and linking it into the add-ons can make life a lot easier and save time and money. It is a great way to keep things simple and clear. I love the advisor features, that you can't break it (although you can make a real mess if not careful). For me the biggest benefit is the clarity of the data and the ability to drill down into virtually anything. Don't use Xero in super complex scenarios and I would recommend that you employ a proper XERO accountant - who actually knows how to use Xero and uses the data when using it though or you will end up paying twice - once for entering the data to xero - and again when the accountant pulls it out into their own software. Overall I would absolutely recommend Xero for people who are more serious than working in spreadsheets but who are turning over £50k-£3m+ with a fairly simple process. Cons We have found that Xero does not work well in all scenarios but there are work arounds - the bigger the business and the more complex the processes the less it suits but then if you are bigger/more complex you should arguably be using something else! Support is not awesome! It can take time and you are often met with unhelpful suggestions. There has been an increased number of 'blips' in the software in more recent months and the support has been almost useless in those cases and I have had to find workarounds. Conversation/instant message support should surely be on the cards? Another thing that I don't like is the highly evangelical nature of the conferences! It borders on the cultish and if you are not 'in' then you are definitely 'out'! I have not found there to be any benefit to being on the 'directory' for that same reason. Review Source AL Anna L. Administrator/accounting assistant Accounting Used the software for: 2+ years ### "Xero makes reconciling fun" March 4, 2019 5.0 I use Xero in two roles in my life, one as an employee and the other for the accounting software for my husband's business. In my work New Zealand schools use this software as it is relatively easy to learn, quite intuitive and uses cloud accounting, enables document uploads for accountants to view etc. Once well set up it is also fast to use on a day to day basis. At home I assist my husband to reconcile our business transactions for our accountant. We don't have to go in to the accountant's office or email invoices etc as we can upload them to Xero for him to see. You can set up the dashboard to get an overall view of your business and how much money is owed to you, and bills you owe, how you are tracking month to month, and the balances of your accounts you have linked to Xero. Pros I like the ease of reconciling because once you get set up and code a few items it remembers them for next time for a faster job (you still have to check them to see if they are correct first). I find it fun and satisfying to reconcile in Xero as it is quite visual, you see several lines waiting to be reconciled and then as you work through the transactions, coding them and clicking on the middle button, they disappear. Setting up bank rules is also a huge benefit, as they get coded automatically, ready for you to just hit the green 'ok' button. You can use this for your usual bills for example, electricity bill, local cafe, cell phone bill, internet charges. Although it does take time to set bank rules up to make sure all details are accurate, it saves time in the long run. I like the fact that customers can upload documents into the files section of Xero and their accountant can see these documents immediately to work on them or code them. I also like the search function as you can search for a particular number, or the first few letters of a name or business to find relevant transactions. Being able to generate invoices and email them direct from Xero is great as it saves time. Cons It is not the software's fault exactly, but because reconciling is so easy there is a temptation to accept what Xero suggests for a transaction and reconcile to this account, instead of pausing and really checking if the code is the best one. Xero is first and foremost a business accounting software, so the reports it can generate may not be exactly what other users of the software need, like schools for example, who may need a Xero add-on to get what they most need in regards to reports. It's been a terrible experience for me my company. Pros I like this software WHEN it works. However, that's generally never the case. My bank feeds haven't been accurate since May of this year. That's five months without accurate transactions and reconciliation. Cons This software would be good if it worked. I've gone five months without accurate reports and transactions. Xero blames it on "Yodlee" but never actually tells me that they've pressed Yodlee on this issue. I've had internal Xero employees tell me their \[SENSITIVE CONTENT\] doesn't care about small businesses and in my experience this is true. I would never recommend this software or company to anyone. The customer service is non existent. I think they have people there to help but when those people tell you the company doesn't care...there's not much you can do. They say they're good for small business but it seems like the \[SENSITIVE CONTENT\] feels exactly the opposite. I didn't need everything Quickbooks offered. That was a huge mistake as Xero can't even do the basic things I need (accurate bank transactions).
