Having Xero create invoices for us and directly email to customers with a link to pay is so much easier. What's more, customers which pay via stripe on our website, we can record on Xero and if a payment fails we can easily email them a Xero invoice and records remain combined and up to date. Cons Unable to establish how to send an email automatically if a customer buys via WooCommerce and the payment is still shown as Awaiting Payment on Xero. Ideally we'd like the email to be automatically sent if created via WooCommerce and added to Xero.Can't think of any other cons associated with xero. Review Source VR Verified Reviewer Used the software for: 2+ years ### "Xero truly puts powerful data in the hands of small business owners" August 15, 2018 5.0 Pros I have been using Xero for a good number of years now and can only recommend it! The usability is fantastic, the ability to see really clearly how the accounts work is groundbreaking in its field. I love the bank reconciliation and the bank feeds. The automation of data is actually fun and linking it into the add-ons can make life a lot easier and save time and money. It is a great way to keep things simple and clear. I love the advisor features, that you can't break it (although you can make a real mess if not careful). For me the biggest benefit is the clarity of the data and the ability to drill down into virtually anything. Don't use Xero in super complex scenarios and I would recommend that you employ a proper XERO accountant - who actually knows how to use Xero and uses the data when using it though or you will end up paying twice - once for entering the data to xero - and again when the accountant pulls it out into their own software. Overall I would absolutely recommend Xero for people who are more serious than working in spreadsheets but who are turning over £50k-£3m+ with a fairly simple process. Cons We have found that Xero does not work well in all scenarios but there are work arounds - the bigger the business and the more complex the processes the less it suits but then if you are bigger/more complex you should arguably be using something else! Support is not awesome! It can take time and you are often met with unhelpful suggestions. There has been an increased number of 'blips' in the software in more recent months and the support has been almost useless in those cases and I have had to find workarounds. Conversation/instant message support should surely be on the cards? Another thing that I don't like is the highly evangelical nature of the conferences! It borders on the cultish and if you are not 'in' then you are definitely 'out'! I have not found there to be any benefit to being on the 'directory' for that same reason. Review Source AL Anna L. Administrator/accounting assistant Accounting Used the software for: 2+ years ### "Xero makes reconciling fun" March 4, 2019 5.0 I use Xero in two roles in my life, one as an employee and the other for the accounting software for my husband's business. In my work New Zealand schools use this software as it is relatively easy to learn, quite intuitive and uses cloud accounting, enables document uploads for accountants to view etc. Once well set up it is also fast to use on a day to day basis. At home I assist my husband to reconcile our business transactions for our accountant. We don't have to go in to the accountant's office or email invoices etc as we can upload them to Xero for him to see. You can set up the dashboard to get an overall view of your business and how much money is owed to you, and bills you owe, how you are tracking month to month, and the balances of your accounts you have linked to Xero. Pros I like the ease of reconciling because once you get set up and code a few items it remembers them for next time for a faster job (you still have to check them to see if they are correct first). I find it fun and satisfying to reconcile in Xero as it is quite visual, you see several lines waiting to be reconciled and then as you work through the transactions, coding them and clicking on the middle button, they disappear. Setting up bank rules is also a huge benefit, as they get coded automatically, ready for you to just hit the green 'ok' button. You can use this for your usual bills for example, electricity bill, local cafe, cell phone bill, internet charges. Although it does take time to set bank rules up to make sure all details are accurate, it saves time in the long run. I like the fact that customers can upload documents into the files section of Xero and their accountant can see these documents immediately to work on them or code them. I also like the search function as you can search for a particular number, or the first few letters of a name or business to find relevant transactions. Being able to generate invoices and email them direct from Xero is great as it saves time. Cons It is not the software's fault exactly, but because reconciling is so easy there is a temptation to accept what Xero suggests for a transaction and reconcile to this account, instead of pausing and really checking if the code is the best one. Xero is first and foremost a business accounting software, so the reports it can generate may not be exactly what other users of the software need, like schools for example, who may need a Xero add-on to get what they most need in regards to reports. Pros Having had the opportunity of seeing this product badly used we took time to set ours up early in the process. We really have a slick, easy to use system that provides as much detail as you could ever need - or in our case, a great and very simply dashboard! It's been a terrible experience for me my company. Pros I like this software WHEN it works. However, that's generally never the case. My bank feeds haven't been accurate since May of this year. That's five months without accurate transactions and reconciliation. Cons This software would be good if it worked. I've gone five months without accurate reports and transactions. Xero blames it on "Yodlee" but never actually tells me that they've pressed Yodlee on this issue. I've had internal Xero employees tell me their \[SENSITIVE CONTENT\] doesn't care about small businesses and in my experience this is true. I would never recommend this software or company to anyone. The customer service is non existent. I think they have people there to help but when those people tell you the company doesn't care...there's not much you can do. They say they're good for small business but it seems like the \[SENSITIVE CONTENT\] feels exactly the opposite. The most benefit we are reaping from it is ensuring that we keep all projects financial records and also ensuring we do not overspend what is not within the budget. Pros Xero gives us a all-in-one product for taking care of our finances management needs. We love using it since it eliminates the need to have multiple products for managing our finances since we can do it all from one product. It helps us to budget for our projects and track the expenses of the projects to ensure we do not go over the set budget. Creating and sharing payment invoices for our clients is easy and fast. Online Vat returns make the process very easy and after getting use to all of the functions its an exceptionally clever program. You'll constantly find yourself discovering new features. Pros Its very easy to keep track of everything. Daily reconciliation keeps your books up to date all the time. Invoice creation and delivery is simple and effective. Also having an accountant who is a Xero Ambassador is very helpful! Cons Using custom documents and integration into a transport company can be difficult. I tried many times to get a delivery note that worked for me to no avail. It's been almost a decade and the original reason was because we needed something online only and with a strong API. Not sure if I would pick xero today. Pros I like that they are online only, that was the biggest factor when deciding on the tool. I also liked that their API has almost total coverage, that was another big reason for us. Cons 1\. Their API is a little dated and seems to have silly ways to get things working 2. The system gets sluggish when there are years of data and millions of records (may just be our instance) 3. Not crazy about their reporting tools. We still keep Xero though for 1 international subsidiary that we found to be advantageous not to migrate. The mature business with complex operations may not find all needs are met with Xero, especially if the desire is to integrate many other tools/software with the ERP in a bi-directional data flow. Pros Xero serves well as an "out of the box" accounting system, not unlike Quickbooks. It also has more functionality and use internationally, making it a superior choice to QB if your business operates on a global, multicurrency basis. There are some solid automations which can be implemented with Xero as well, and the canned reporting generally suffices for the majority of basic financial needs. Cons Xero lacks the open customization options that software like Netsuite or Dynamics offers. For a small business this will often be fine, but a scaling operation looking to automate many functions based on unique business needs may someday find they have outgrown Xero and need to undergo an (often painful) ERP migration. There have been a few hiccups along the way but for the most part things have been ok. Recently however, we've had a problem with our bank feed uploading into Xero in order to reconcile transactions. We first encountered this issue on 2/10/18. We informed Xero and they said they would look into the issue. A couple of weeks went by without hearing anything about the feed working as it should. We contacted them again and they said they were still working on the issue but that we could manually download the transactions ourselves in the meantime. Today is 4/10/18 (2 months later) and they still have not fixed the issue. We are still having to manually download these transactions ourselves in order to reconcile our bank accounts within the Xero software. I spoke with Xero this morning and they still do not have a timeline for when this will be fixed. They said they use an outside company to perform the importing of bank feeds functions and that they are not responsible for it not working. They said when we signed up for the Xero service we were informed about the possibility of the feed possibly cutting out at some point in the fine print (terms & conditions). They refuse to issue any sort of refund for their monthly service during this time of inconvenience because they say the bank feed import function is a free service offered by a third party. The problem we have is that Xero is marketing this service as part of their overall monthly service package which you assume is really included in your monthly service fee you pay to them. When it doesn't work they take no accountability for it not working. We think it's very deceptive for them to market a service (bank import functionality) to prospective buyers, which you assume is included with your monthly service fee, but then take no responsibility for it not working when things breakdown. We believe they do this to gain a competitive advantage over other companies like Quickbooks. Instead of just charging for the bank import service which would increase their monthly service fee and make them less competitive on a price basis with their competition they artfully setup their service to be able to offer a more competitive price but not assume any of the responsibility when the service doesn't work as expected. The general consumer doesn't think to put this deceptive tactic together when they sign up for the service and Xero assumes once they have you onboard you'll deal with the issue until they can get it fixed because switching accounting software companies at a later date is extremely inconvenient. Pros The service accomplishes most of what it was intended to do albiet at a bit of a learning curve for the new user. Cons There is no customer service support number to call. February 11, 2023 4.0 Xero allows our accountant to do NZ GST easily.I tried quoting and invoicing from within Xero and it was not good enough for my requirements.So I now quote and invoice separately and duplicate that into Xero. Pros Xero if easy and intuitive to use.You start using it and work out what your need to do and if required fix previous mistakes easily. Cons I think it is a traditional accounting tool, accountants love it.If that is the objective, then more effort should go into making the data entry / user requirements aligned for business users not accountants.A business decides what to sell, quotes it, produces or orders in the goods and the invoices it.To decide what I want to sell, I always start with an Excel spreadsheet to work out a pricing model. This helps me find any gotchas with pricing - did I include all the costs, does this item need other items to make it work, is freight going to be significant and lastly is the buy pricing readily available. It provides a fast and easy wat for tracking and paying bills as well as getting a very clear overview of accounts payable. It allows you to connect your account with your bank so as to make transactions faster. It has very effective security functions which keeps all data very safe from any security breaches. This was down to the great GUI provided by Xero. Pros The appearance of XERO makes the whole experience faultless. New users are able to quickly adapt to it and know what to do. It's incredibly intuitive. It is a fresh layout and, dare I say, fun to use. Cons The support, when required, isn't as great as we used to receive from Sage. I have no major grumbles about them, but they don't come across with the same level of customer service. Pros We love Xero's ease of use and the straightforward way of defining accounts, setting tax settings on these accounts and then reconciling transactions. Cons While Xero has many integrations to other external solutions/applications, it has none which are valuable to us, being our local South African payment gateways and Buy Now Pay Later providers for the purposes of importing transactions from them into Xero for transaction reconciliation - examples of integrations which would be fantastic are to PayFast, PayJustNow, Ozow, Payflex, HappyPay, Float, etc. Alternatives considered [Sage Accounting](https://www.capterra.com/p/168740/Sage-One-UK/) Reason for choosing Xero It was cheaper, supported direct integration with our business bank (Nedbank) and had fantastic reviews. Unfortunately working without being able to reconcile monthly made life too difficult. And not many accountants work with it, so that made it difficult to have professional eyes on my accounting. Pros I loved how easy it was to integrate XERO with my bank accounts and Paypal. XERO seamlessly connected and kept my balances up to date. I also liked how easy it was to invoice clients and connect invoices to Paypal or Stripe. Cons Unfortunately, the reconciliation process in XERO is a no-go for me. Rather than the Quickbooks and standard approach, where you do a monthly reconciliation against a bank statement, XERO had no such function. Once an item was matched up to a bank transaction, it was considered "reconciled." No option to close out a month and double-check transactions. I went back to QBO to get that feature. July 4, 2022 5.0 I am so pleased with how Xero has enabled me to get my books in order. I no longer have to record my income and expenses on a spreadsheet. I now have the ability to run a report whenever I want to check up on my profit. Pros Xero is very user friendly by including tips and hints throughout the set up process. Their support is extremely helpful and the knowledge base always has an answer to my questions. I am always on the go, so their app allows me to record expenses, send invoices and even reconcile bank transaction while I’m out and about! Everything is on the cloud so I can use this software wherever I am in the world. I am slowly working through the Xero Central courses in order to learn as much as I can about this amazing software.
