As a business owner, I often want a high-level, low fidelity overview of all the projects my team is working on. Other times, I need a detailed, granular view of a specific project so I can see exactly what tasks are upcoming to keep clients up to date. Teamwork can do both. It gives you the tools to visualise the overall health of your projects, while also allowing you to get into the nitty-gritty of what's being worked on at any given time. It's allowed us to merge our project management processes into a single tool, while gaining even more functionality. Cons Because it can do so much, it can be tough to get started and get things set up exactly the way you like. It seems like there are endless options for organising tasks, and to a degree you have to pick a method and run with it. Anything you can't figure out how to do typically be found in a how to article or video and if you can't find help that way, then customer support is always very quick to respond to questions or even suggestions for improvement. This software is able to help us fully manage our projects, from employees tracking their time and assigning tasks to individuals, to creating invoices for projects and managing project templates, it streamlines it all. Cons There are some features that I wish the basic package offered, as it doesn't make much sense to spend extra for just one or two additional helpful features, when we wouldn't need the rest of the features offered in a more costly package. Pros Teamwork is a simple-to-use program that is packed with functionality for collaborating on and managing projects. Notifications are handy. The flexibility to add individuals from multiple parties to work on a project is incredible, and it definitely gives me an edge advantage over other similar PM tools. Teamwork's extension products provided even more benefits and values, thanks to the seamless integration process. Cons When it comes to project management software, if you are looking for extensive project profitability tracking and reporting, Teamwork may not be the best option for you. Recent resource management feature updates give some capacity insights, but they lack the thorough analysis and reports other systems provide. In some ways its better because there's more depth and integration of functions like time tracking. But the UI is overwhelming and they could do a better job of highlighting key buttons I think. My client who uses it has several onboarding videos about Teamwork for new hires. Basically, it's good for tasks that require a lot of documentation, subtasks and detail. But for other uses it's probably overkill. Pros The level of detail is great for precise work, which for me is SEO editing. I can look through past versions, read client notes and dig through to find guidelines for any project. It's also nice to have time tracking, sub tasks and assignments all in one place. Cons There are so many options that it's easy to get lost, especially at first. It took me awhile figure out where to find certain things or perform a function, and even now I don't know most of it. The fact that they have a button that says "Everything" tells me people often get overwhelmed with the UI. It could be streamlined and perhaps certain functions highlighted more. They are constantly adding features and options that make it more user friendly, and address a lot of small business needs where many other project management software apps just focus on the project aspect, and neglect the money and expenses. Our only gripe is that they don't have a better invoicing system so we could run even more of our business with one application. Pros I was surprised at how much you get for the price with Teamwork out of the box. It has built in time tracking, an extensive notifications system that let's you choose how often you want to receive updates and what you want to receive them about, and a great thing is bulk edit of tasks. Cons The invoicing system is too basic. You can create an invoice and add expenses, however, there are not a lot of options here. Also, the API doesn't allow for you to go in and do too much which is something that would really appeal to our team of developers. One thing about our company is we work in segments, so we have about 20 "categories" of Projects, yet we can't do anything around those categories. I would like to view things with the Project Category as the filter. Milestones for a specific category of projects, tasks for a specific category of projects, add new or existing users to a specific category of projects. This would make our interaction with Teamwork incredibly more useful. I appreciate all the work that has come out over the summer to update the code base making it easier to add new features. And I have been excited about a lot of the features coming out. I would love to see a more robust JIRA integration (rather than just Zapier) since our company uses JIRA on the product/dev side and Teamwork on the operational/project management side. Pros How customizable it is by project and within a project. The ability to set permissions and privacy on almost anything in a project. Cons Adding users to specific projects at a mass project level is not easy. I would like to be able to both add users and filter items (milestones, task lists, activity, Everything items) by Category of the Project. I would like to report on Category of project. I would also like more ways of exporting the milestones in an easier to read report. We want to use milestones as a way to get our entire company in-the-know of upcoming items. But we have so many overlapping milestones the calendar view doesn't work, and the exported excel list isn't appealing for a quick read. Knowing that everything is being safely tracked in Teamwork means that I no longer lose my flow every time a client or teammate has a question or a comment. I can carry on with my day because I trust that when I don't respond to a notification, it will be filed away somewhere sensible, and I can respond to it when I'm ready. Pros It integrates tasks and milestones with comments and files, time logging and tracking for multiple employees with notation, and communication that can sync directly to the client or be marked for team-only privacy. So every project is broken into action items that are assigned to team members AND to clients (e.g. feedback), clients can see where we are with each task and subtask, I can log time/set work timers directly on each item, and I can send drafts to clients by attaching them to subtasks and get their feedback via comments that are filed right there where I need them. Controller Used the software for: 6-12 months ### "Easy to collaborate on large projects with multiple members. " July 19, 2018 4.0 Pros Able to add members who need to be kept in the loop. Not everyone on the project has to be selected to receive the correspondence. That way, you can direct messaging to the appropriate team members. We can all stay on the same page with relevant information. You don't have to log in to team work to see the posts you have been copied on. The messages come straight to your email. Cons It's sometimes difficult to follow a string of messaging. The newest information seems to float to the bottom of the string instead of the top but that doesn't always appear to be consistent, so we have team members that miss communication because they didn't scroll all the way down the page for new information. Also, sometimes the "folders" have information buried in them that not all team members remember to access. If the team members don't reply to messaging in the same string (under the common topic) it can be difficult to look up prior messages. Especially if you're looking for something specific. We are not a group of "techies" so the complexity of TWProjects isn't the best fit for our team overall. Pros Teamwork Projects is a multi-faceted project tracking/management app. We are able to communicate and track project progress staff-wide fairly well. Enjoy the in-app chat. Cons It seems overly complicated as there are too many ways to do the same things (is it a task? a project? a notebook? a milestone?), which means people on staff manage projects and view them differently, too many view options, too many custom/sort options. Menus change with each function you are working in, but it is not intuitive ("where the heck do I find the option to modify a template?". Searching for help provides results that do not match what we see on our end (there is no TEMPLATES tab within PROJECTS). I am an Admin and I still have trouble navigating. April 22, 2018 5.0 Boost to team productivity, away from email and spreadsheet tracking. Pros As we expanded from tiny to small sized marketing team, we were experiencing an email deluge and suffering lost productivity as a result. This put us back on path to success. Hubspot integration a big bonus for us aswell - shopping around I could not find anything similar unless you're prepared to use Zapier as middleware, which I was not. Also important to note this integration is supported by teamwork itself no a community organization/company. Cons As with any software there is a learning curve. Even after doing tutorials you will have a learning curve. I guess for user experience to be a real home run, more pop ups and intuitive suggestions for what I may want to do on a page would be nice. It would be great if I knew how important it would be to set my orgs own best practices on comments for tasks, tags for tasks, linking, using office document software in tandem etc. Where is the sharepoint integration. If you team up Teamwork Projects, Desk and Timer all together you get a powerful set of well integrated tools. We ended up moving away from Teamwork though as we moved on to larger projects and a more agile workflow. Pros Teamwork Projects has some great features to help keep your business ecosystem all in one place. Being able to track time in multiple ways (browser or desktop timer) and manage comment threads, files attachments and notebooks on individual projects is very useful. The UI is also quite neat to use compared to other tools. Cons Despite the useful timer integrations and options available to keep all project info in one place, reporting and visibility still becomes a bit unmanageable with the in-built options. Our team resorted to syncing data to external data management tools to assist with planning and resourcing, rather than using the in-built tools. Kanban view in Teamwork also needs a bit of work to make it more useful within the current system. No project management system is perfect but this one is one of the best I've used. Pros I like the ease of use, ability to plan projects months ahead of time, calculate workload and track milestones easily. Cons It can be a bit overwhelming when you have tons of tasks assigned to you from multiple projects. It can get a bit clunky and I've had issues where it didn't work for me and my task tracking wasn't input correctly. This is great for a complete remote team working on many different projects at once. Pros One of my favorite features is the ability to assign staff members to specific tasks within a larger project. The reminders and the way your to do items show up on your personal lists is excellent! We also use teamwork for approval processes in the form of kanban boards. This is very helpful. Finally, we use this for new team member onboarding and it's a great way to have our onboarding program documented and interactive. Cons I just wish there was a mobile app. I'm often working on so many projects at once, that I randomly think of another thing I want to do at very random times of the day. My computer is often too far away for me to get it down in Teamwork but if this were an app on my phone, I could make much better use of it. Only that there are sometimes some technical problems but that doesn't bother me at all. Once all the creases are ironed out, it is probably the best on the market for the price. Pros There are a couple of great things about this software. The first are the free collaborator & client accounts. Having these allows us to work with companies with many employees, without having to change them more for more users. This feature allows us to collaborate a lot quicker than on email with our clients and achieve greater results. The other is the time tracking. With the ability to estimate and track time, we can easily plan our weeks ahead & see what projects we can fit in and when. Cons There are still a few features that aren't working as well as they should do. The workload piece is quite buggy, and has caused us several issues overloading work in a particular week when there isn't enough time. Having mentioned this, we were told not enough people have brought this to their attention so they won't be fixing this...it also takes a long time sometimes to hear back. I went through my career using MS Project and Sharepoint to collaborate. Having a one stop place to track a project, set milestones, communicate with staff that are involved in the tool I find really convenient. You can generate Gantt charts, and really move your projects along. Take the time to get team members used to how Teamwork Project is setup. There are so many differences and nuances between i.e., Trello, Asana that you want to make it easy to get buy in by showing how feature rich Teamworks Project is. I haven't had to use support so I can't speak to that, but that's probably a good sign too. Pros You get a lot of pack for free when you try out Teamwork. I use Teamwork with various clients and have found it very easy to manage the different tiers of work I need to do. It has a dashboard that gives you an overview of tasks. You can see who is invited to work on a project, allocate tasks and milestones, set due dates all the things you would expect. One of my favorite things is being able to go easily back and see what documents were uploaded, including files attached in messaging. Cons I find following the email threads a bit taxing. What I like about the setup is that you can update a task in Teamwork Project and send a communication out that will land in your Inbox. You reply and that will update in the actual thread within Teamwork. But once a thread starts to get long, I've found it a bit of a pain to go back and find a specific response and I've gotten better at tracking these threads in my email Inbox and flagging them. Technical Writer Writing and Editing Used the software for: 1-2 years ### "Teamwork Projects - Keep up with projects" February 26, 2019 5.0 It keeps us on the same page and is a central place to gather copy for projects. It is the only system that has worked for us so far. Pros I am a technical writer working with a web development company. Before we started using Teamwork Projects (Projects) we were struggling to keep up and keep everyone on the same page. Projects has become a central place we can all use to keep things going. One feature I use are the Notebooks. You can create them, assign different users, privacy levels, and categories. I actually write the copy for our projects directly into the Notebooks. If your internet connection is cutting out, it warns you to stop before continuing to work. When you save a Notebook, you can choose to send various people email messages, mark it as a new version, etc. There are lots of features, and that is just for the Notebooks! You can also create task lists, estimate the amount of time members of your team will spend on things, track time on projects, and send email messages through Outlook. We have even gotten clients to use the system by sending them invitations so they can send and receive messages as projects progress. When clients can use it and participate, it says a lot. No more having to search our inboxes for email messages and cutting and pasting information. Before this, version control on copy was a nightmare. Cons The interface cannot be customized in such a way that it looks neat. There are filters that can be applied so that things will be listed in a certain way, but I haven't figured out how to have all my current projects listed right up front when I log in. New features come out regularly and the majority are very useful. Pros Project tracking, collaborating, time tracking, task boards, etc all great. All the project management stuff Teamwork is fantastic for. Integrates with quite a lot of popular systems too. From a PM point of view we could not live without Teamwork. Cons What Teamwork is lacking is the full end to end journey. You can't create quotes in it, then turn that to a project and then invoice it. Workload scheduling has come on since it launched, but still not as good as Float, but we sync to float to manage that. Projects, Gantt charts, tasks, sub tasks, due date/time span, dependencies, priorities, task timer, templates, and billing and invoicing. Just to name a few. I can send invoices for billable hours in a flash and because I can see the workload I can spread it out evenly and appropriately.We don't have many negative items here and we have a lot of positives. Pros I like its intuitive interface most of all. I like customizing my account and projects visually. Creating teams and assignments is something I like as a manager. Cons Integrations were easier with Zapier. It did work natively, but it just wasn't as productive.
