It definitely took about a year to really hone it in on our needs and get the system tricked out, but then for a couple years it was GREAT! The benefits it gave us were not imagined. We would not go back to a day without Fleetio. This last upgrade has messed us up pretty good, but we'll figure it out. Pros General overall organization of Fleet information. We have one place where multiple teams/people can look at a wide variety of things. Our maintenance guys can look at maintenance reports and planning, shop info, invoices, and cost reports. Drivers can do monthly inspections, report issues, review maintenance issues, and send requests. The Admin team can maintain DMV records, smog certs, insurance, etc., and use data to determine End of Life issues and new truck purchases. We can manage our overall operational budgets, fuel and service costs, and manage high use vehicles. Overall a game changer to our Fleet Management system. Cons Often times update / upgrades do not make things better. They just make developers and sales folks feel happy that they got to change the UI. The new UI with everything sandwiched together is annoying. Every time there is an update it costs us with the down time to relearn and doesn't really add any benefits to us. Our drivers get frustrated and our mechanic team loses momentum. With guys like this, these kinds of changes really break our system. The frustration causes them not to use the software, and for us to have to do training and get buy-in over again. You need to keep things stable. Add but don't change. April 7, 2026 5.0 Our onboarding was good, our experience has been really good. The platform was huge benefit compared to the previous way we tracked our assets (excel files). Pros The ability to have all of our assets in one area has been a game changer for us. Having monthly inspections also keeps us on a good path for understanding life expectancies of our units. Also being able to connect our vehicles to our vehicle gateways has been a huge hit as well. Cons Not having the ability to connect our asset trackers to our assets in the system. I find it refreshing that the developers didn't just make a program and then let it stagnate. It evolves over time, just like we do. Pros What I like most about Fleetio is how involved and proactive the Fleetio team is. There are constant performance updates, integrations, bug fixes, seminars, and more. I find that the system can do pretty much everything I expect with new features rolling out consistently. Cons I do wonder if I'm making the most out of the platform. Because of the wide range of abilities of the program, and how deep it can go, I find myself sticking to what I know. I strongly agree that even with limitations, the platform is amazing. We as maintenance department, use the platform every day and we have not only managed the fleet, but saved a lot of money sincce. Pros Fleet management with detailed issues, work orders and inspections. In our fleetm we need to have proof of assets received in our yards and even the ones that are delivered to new customers. Also, we have an inside shop which is managed throught the stock and equipment management in Fleetio. Our Technicians are all online and fill the fields everyday. Cons I cannot customize the dashboards, this is not really good. I would like to create custom dashboards in order to see exact data related to our business, truck leasing. Fleetio is always coming up with new features to keep the platform interesting. I never log in and know it all. Pros I like that Fleetio captures the needs of fleet management all in one system. Everything from acquisition to disposal can be tracked inside the system, giving my team and me valuable information and insight into making better informed decisions. Cons My only complaint is that I wish the work center sections would talk to each other better. For example, the workorders should have a "working" parts section where you can order parts and get parts updated straight from the work order. I don't feel those sections should work solely independently. Workorders drive parts, not the other way around. I wish we could get better adoption by our staff especially with the ease of navigating and using the system. Pros From my experience over the last almost 3 years of working with Fleetio I find the simplicity and flexibility to be exceptional. It has probably been the easiest software to learn that I have ever used. Cons The things I like least about Fleetio are the moving around of features. There may be features I use and am used to them and then when an update gets pushed out a certain feature may get moved to a different location. October 30, 2019 5.0 Everything has been awesome since the get-go when we came on board back in 2013. Fleetio's platform has evolved quite a bit over time, and I don't reap all of the benefits entirely, but my experience with the platform and their team has exceeded my expectations time and time again. Pros Realistically I love everything that Fleetio has to offer. What I love most about it is the inspection form workflow. This option has streamlined our pre/post trip inspections within our Company, and has created a "workflow" process from when the problem was initially found, to when it was repaired; you can even reject the repair if it wasn't done properly, and/or if the problem comes back! Also, the Fleetio Parts app has allowed us to streamline our online inventory, and tie parts into work orders so we can track what trucks use which parts. Cons The fuel card integration has never worked for me. Honestly it is probably an operator error on my end, but i would say that was my only bad experience trying to get that to link up to Fleetcor. We are still proofing financial data but are excited at what we will have at our fingertips moving forward. It is hard to put an ROI for implementing something like Fleetio. However, my back office is spending far less time pushing fleet-related paperwork. we have cradle to grave service records, we are getting vehicles back on the road after accidents fast because all of the documents are housed in one location. And our ability to track and forecasts expenses is like nothing we have had before. Pros The Fleetio Platform has dozens of prepopulating data fields for items we never thought to track yet also allows us to set custom data points in just a few clicks. Most platforms require outside support to make changes. Cons Nothing comes to mind. Any delays in implementation could be attributed to self-imposed scope shifts. We continue to refine the workflows as we encounter new challenges. These databases were a snapshot in time and were incapable of each other. other supporting documents were housed in shared folders. Our back-office was overwhelmed with PO numbers and invoices, and the vehicle inspections were captured on a PDF inspection sheet then emailed in for review. It has good reports and easy entry capabilities. Pros I like that everything is in one system and all together. I also like that the menu is organized by category and easy to follow. I like I can go in and pretty much maneuver in there easy enough without help and figure it out. Cons Mind you I only do the entry of the service orders; I am not a fan of having to enter every detail of the invoice one by one, but I do understand the information needs to be broke down so we can see what work has been done on the units. Pros I like how granular you can get with data, and the exporting works great too! I am able to save views for various things and customize labels and statuses for units as well. Cons Some work order creations would highly benefit from pre-made template that allow various fields to be prefilled. It would also be great to have a select number of business days rather than just a calendar selector. While we use Samsara for most of our needs, Fleetio does assist us with DVIR, an invaluable tool for any fleet. Fleetio also gives more detailed vehicle information than Samsara including fault codes. Pros We utilize the service and inspection reminders, those are very helpful and intuitive. The overall vehicle cost tracking is also useful for our fleets needs. Cons We had difficulty getting the integration with Samsara to work with Fleetio. Otherwise, we don't have any complaints. May 19, 2021 5.0 I have found the product extremely user friendly and have been able to teach even the most unskilled technology users how to navigate and use the program with ease. Overall, integration was fairly seamless. Fleetio comes ready to use and customizable with instant results to see real-time changes, which is helpful during the implementation and learning phase. Since many users tend to be reluctant to change, the ease of use and demonstration of the app makes the transition easier for the new users. The training process with the Fleetio team was also beneficial for our success of the rollout. The customization options and interactions with the Fleetio team have also been big benefits of the product. The team is always helpful and open to feedback, and has even taken some of our suggestions and put them into action. Pros The items adding most value to our team is the import/export templates available for all the data points and reminders, the ease of adding new inventory and users, the customizable inspection options for vehicles and equipment, the integration options for telematics, fuel, and numerous other APIs desired, and the shop directory (which allows us to do more than just search, but we can add new vendors and immediately report issues and get feedback). It's not just a maintenance app. We can add registration details and reminders, permits and DOT inspections. We continue to find uses for the Fleetio app we didn't even realize we had. It has been wonderful! Cons Previously I would say that the automation between AI and Fleetio to clear out service reminders was not as efficient as I would hope, however with the new mapping feature I believe that will eliminate those problems going forward. Just proof that Fleetio is continuously making improvements to yield a better user experience. The thing I currently like the least would be the difference in interface between the app and the web version. I can see far more on the web than those using the app (because of my position I tend to use the web version more than the app) so sometimes it can make teaching a little more challenging if I haven't noticed the feature was missing in app yet, but it isn't a huge issue, just something I have to be aware of. Reason for choosing Fleetio We didn't really find an alternative product that offered the same thing. Some offered maintenance and tracking for stationary items, or had cool customizable features but were missing vendor networks. Nothing really compared to Fleetio besides the maintenance program with a fleet management company, which does not offer the customization we needed for our in-house repair shop processes. The customer service is great and the ease of the platform is fantastic. All the information I need pertaining to the fleet can be uploaded and programed and I haven't come across something I have not been able to record or set up reminders for. Pros I love the ease of entering the vehicle and maintenance information. Additionally, I can store vehicle documents (registration, insurance cards, bill of sale, etc.) which is accessible by anyone in my company that we allow to access which is better than using something like DropBox, Sharepoint, or Google docs. For the fleet management side, it is a great platform to keep track of maintenance intervals and takes the guesswork out of it. Cons I haven't run across any issues with Fleetio so far. The only thing is ensuring you are entering the service schedule properly along with the current miles. I did it in the wrong order so it was showing that the vehicle didn't need maintenance until the next 7500 miles, instead of 7500 miles from the last maintenance. Once everything is entered properly, it works like a dream. Service reminder compliance factor into our bonus program. Pros Maintenance tracking. Vehicle tracking. Issue tracking. Lots of data to be gathered making reporting a breeze. Cons Onboarding drivers has been an issue. Fleetio invites do not prompt our drivers to finish setting up their accounts, which creates extra work on the backend for us. Fleet Coordinator Hospital & Health Care Used the software for: 1-2 years ### "Review of the Fleetio program" March 26, 2019 5.0 My experience with using Fleetio has been very easy. I was using the program right from the first day. It helps me track so many things with regards to our Fleet of vehicles. I no longer have to have spreadsheets galore in order to track when my vehicles are due for a service - the system reminds me when its coming up. Any program is as good as the info you put into it, but the customization of Fleetio is easy to use. I entered all the reminders for each of my vehicles, assigning the number of kilometers between each service and the system reminds me when to get each one done. Both of the shops we use for servicing our units also use this program which allows the service techs to see what is required for each service and if there are any issues in the system that need to be fixed while the unit is in their care. The two shops also submit their invoices to us through Fleetio which saves time and money for all. Also each shop sees what the other is charging for a particular service, elevating the competition that some shops have. Its a win/win for all involved! I couldn't do my job as well as I do without Fleetio! Pros The program is easy to use and easy to customize. It incorporates data all into one spot which makes it easy to track a history of service, repairs, damages and fuel usage. It also tracks how much money is spent on each vehicle in the fleet with regards to repairs, which helps to point out a unit that might have repeating issues.
