In practice, instead of managing shifts through Excel or emails, everything is centralized: schedules, availability, and communication. For example, the ability for employees to swap shifts directly in the app and for managers to validate quickly significantly reduces operational friction and improves efficiency. Cons What I liked least about When I Work is that it can feel limited when you need more advanced features or deeper customization. For example, reporting and integrations are not as developed as in more complex systems, which can be a constraint in structured environments. Also, notifications can sometimes become overwhelming or missed depending on usage. Cons There were some frustrating technical issues when the application tried to capture my location using celular data, neglecting the main purpose of the application to manage my job. Pros We used this tool to organize all the assignments we had to complete at work. It helped us identify which tasks needed to be done or prioritized, and we could easily see any changes or updates to our schedules just by refreshing the page. It was also really useful for checking coworkers’ availability and seeing if they were off or on holiday. Cons There’s nothing I dislike since I was an user for the application. It worked perfectly and never had any issue. I feel I’ve said a bit already but great a smoother process, faster, easier to look at. Staff really enjoys using it, and they find it pretty easy to do so! Pros The simplicity of the lay out, I come from google sheets and they are good but this just made things so much simpler, and I feel I have so much less junk from all these files and such on google. Really good layout, look and process. Cons The way it prints out, the form is just too small when you have more names added, there should be options for different layouts when it comes to printing. We used it for several years and found it dependable and easy to navigate. I have also used When I Work at another job from the employee side, where it was used for clocking in and tracking time. At my most recent workplace, it was used mainly for schedules. The flexibility, affordability, and ease of use made it a good fit for our needs. Pros When I Work was very user friendly and reliable. We mainly used it for scheduling and the chat feature. The chat option was convenient because staff could message with questions about their schedules or notify management if they needed to call off. The pricing was reasonable, which is why we continued using it for about four years. It consistently did what it was supposed to do without any issues. Cons We did not fully utilize all of the features available. At this job, we primarily used it for scheduling and communication, so other tools were not used. Cons For some reason finding where to start logging hours ie start your shift, was a bit hard to find, and not super intuitive. That could be smoothed over I think. Can't complain too muhc Pros Ease of use, team communication and time tracking (with the exception of lunch breaks not added in). I also like being able to color code it. Lastly, my employees requesting time off for entire or part time throughout the day is easy. Cons It doesn't factor in a lunch break. Most states require 30 minutes for more than 6 hours so just automatically factoring that in regardless if that actually clock out. 8 hours maybe 1 hour. Since that's normal. I don't schedule over 6 hours at this time so I haven't played with the lunch breaks. I'm sure it's simple to add just haven't looked into it. Pros Employee scheduling and communication were clear and easy to use at times. Had a good experience with onboarding employees. Cons I disliked that the GPS feature was not realtime data and found that the GPS features in general were not always accurate. August 26, 2025 4.0 When I Work has made it easier for management to schedule employees, and for those employees to communicate their schedule needs, upcoming conflicts, etc. Pros When I Work is intuitive enough that everyone on our team, regardless of tech savvy or how they access it, can easily understand what there is to do. Cons Different users have reported running into different bugs. For instance, an overall weekly schedule displayed fine for one user, with the exception of one day (one where they were scheduled to work), where their app displayed "no shifts today". With the plan that we have there are some limitations but it gets the job done. Pros I like how quickly you can edit information in the platform and quickly pull timesheet data. I also like the ability to quickly approve or deny time off. Cons I wish the reports were able to go farther back in time to review historical data. If I don't save the data somewhere I can't go back and review at a later time. Pros The best thing about "When I Work" is the simplicity of the layout. It is very easy to navigate and provides a great visual with the calendar view to help stay organized. I did run into a scheduling issue where my shifts were not appearing but their customer support fixed the problem within minutes. Cons Although their customer support was great in assisting this issue, there were multiple times where my work days were not scheduled and I had to go to my managers for my shifts. Staff that helped us launch were very helpful. Most beneficial thing for me was getting my hands on it and trying it out for myself and then communicating with staff on how to use it. Easy to pick up once you spend some time in it. Pros Puts all staff in one place, ease of scheduling, very powerful tool. Love that I can interact with staff and provide information both through desktop and app Cons It's a little bit of a steep learning curve but I would expect that with any software. One thing I'd like to see was the ability to view two specific schedules together instead of just one at a time or one with all other shifts as well. Being able to color coordinate so many different events has made it easier to find cases. Cons Being able to pull reports in the way that we need them and adding enough information into the scheduling request / dashboard. My staff easily understands what they gave to do, and the locations for clocking in and out is very accurate Pros The customer service was amazing when i requested tutorials to provide my staff. They gave me video tutorials and links, their chat system isnt a Bot its a real person. They get back to you very fast. Very helpful. I also like the timesheet reports, i do my billing off it and my clients love the lack of micro management it offers Cons When i enter schedules 3 months out, i have to manually confirm each one to properly post them.
