Overall, it is very positive and easy to use. In my role as Executive Assistant, it has saved me a lot of time to focus more on other tasks because the repetitive tasks are already taken care of by When I Work. This tool has saved me from miscommunication and scheduling conflicts many times.

Pros

Since employees could clearly see their schedules in real time, the app helped reduce scheduling conflicts and miscommunication. It also saves a lot of back and forth with the employees compared to manual scheduling. It is also user-friendly.

Cons

The overall look could use a little updating to achieve a modern look, similar to the apps and tools we use today.

I love When I Work. I use it professionally as a scheduler of a Nursing team, as well as on the other side of the spectrum as a contractor with a marketing agency. I get to see the best of both worlds!

Pros

Value for Money: Unbeatable. It packs the features of five apps into one price point. Ease of Use: Very user-friendly! even my newest hires can coordinate it right off the bat! Time Tracking: Excellent native tracking with billable hours—no extra plugins needed. Team Collaboration: Top-tier. The Bottom Line: Best for teams that want to centralize everything and don't mind a few minutes of "learning the ropes."

Cons

I would like there to be a way to "not approve" requested hours in the "open shift requests". Currently, there is no way to remove them from there unless they are approved.

Pros

The one thing that I did like about it was how easy it was to actually access the software. Once you are in your in that software.

Cons

The one things I liked the least was how jumbled the actual schedule looked once I put all people and shifts in there.

Works great I have no issues with this app my crew see the schedule as soon as I post it and the work chat gives us time to message for open shifts

Pros

The when I work app works great I like it because I can do my crew schedule anytime from home that way I don't have to go al the way to my store

Cons

Only this is like to leave nots in individual crew members schedule in stead of at the bottom this would b a great help

I'm 30 days in using it and it only took about 3 days to get really used to it. Can't complain too muhc

Pros

Ease of use, team communication and time tracking (with the exception of lunch breaks not added in). I also like being able to color code it. Lastly, my employees requesting time off for entire or part time throughout the day is easy.

Cons

It doesn't factor in a lunch break. Most states require 30 minutes for more than 6 hours so just automatically factoring that in regardless if that actually clock out. 8 hours maybe 1 hour. Since that's normal. I don't schedule over 6 hours at this time so I haven't played with the lunch breaks. I'm sure it's simple to add just haven't looked into it.

I really liked When I work. You could sort by alpha and by shifts. Not to complicated to navigate.

Pros

It was easy to use and sorting shifts was easy to do. staff could be sorted by shift or alphabetical by last name.

Cons

often the drop shift/shift swap was confusing as to where they were located in the app. Especially if you didn't do it all the time.

Pros

I have not found a single thing that I like the least. Overall, it has kept up with the correct adjustments since the start of our use

Awesome! This is a fantastic and affordable scheduling and time-tracking tool for single and multiple location workplaces.

Pros

When I Work is a great tool for schedule creation and hour tracking. It also has a feature that allows staff who are working at off-site locations to clock in and out based on where they are physically located -- so a team member has to be at a certain location to report that they are starting work. It's also great for team members to be able to see their schedule in advance, and keeps a record of when they worked at their fingertips. Also, the pricing is AMAZING. You pay by the month based on the number of staff. It's super flexible up and down.

Cons

I do wish there were a way to tag some classes of employees as "must clock in/out" and others can be excused.

### "Student staff time challenge"

We do really like this system and it is steps above what we were using in the past. I feel that this has been a time saver that allows our management staff to be on the floor instead of tied to the office.

Pros

This has been a game changer when we schedule our 145 students staff. It is easy to change and drop shifts as well as follow absences.

Cons

It has some features we don't use that cause some confusion. We deal with a lot of international student staff that take a little more time learning to navigate the system.

When I Work helps me especially with schedule management in the team. At first I thought it was an extra tool, but in the end it simplifies a lot of things.

Pros

Very practical to organize schedules, see who is working and avoid confusion. I also like notifications that allow you to stay informed quickly of changes. For a small team, it really brings clarity.

Cons

Some more advanced options may be missing as needed. And sometimes schedule adjustments can take a little time if everyone doesn't update properly.

Overall experience with the When I Work App/platform would be a solid 5 stars based on the customer experience and ease of use of the end user, as well as the admin.

Pros

Ease of use and setup of the program and app for employees is minimal. We have had great customer support from the start of the RFP process.

Cons

The tool/app is easy to use and offers many features for a mid-size company looking to create a space for the next gen. The con would be the chat feature that everyone in the group can read, vs individual text messaging.

Very easy to navigate. It makes building the weeks schedule much easier!

Pros

WIW is very user friendly! I love that when I am building a schedule for my store, it shows my staff and their availability. It only lets me schedule who is available and when. I also love the notifications of when there is a shift change, so i can make the changes in the staffs schedule. It’s a great app!

Cons

I don’t care for having to switch back and forth between the 2 Boulder stores. i wish it came up on its own.

### "Love WIW and It's Ease of Use"

Overall When I Work has been a very helpful tool for our company for all of our scheduling needs. We love the different features and ease of use!

Pros

I really appreciate the flexibility in how you can view the schedule, especially after it’s been published. The ability to set recurring availability is a huge plus. It’s also very user-friendly when it comes to moving and editing shifts. The planning and organizational features make it easy to build and compare different schedule layouts. I like that employees can drop or split shifts, and the chat feature is very helpful for communication. Being able to add comments, lunches, and other notes directly onto shifts is another great feature too. Overall, it’s a very functional and intuitive system.

Cons

I don't like that when providers have time off requests, they cannot view shifts. This is a limitation as some may want to pick up shifts when they can still.

### "The best scheduling program on the market."

I was introduced to When I Work five years ago and it has been a wonderful tool for all of my managers.

Pros

We are currently using the one I work program for all four of the hotels that I oversee. It is very easy to use and is the most effective way for us to communicate with our staff. We love that you can see if your employees have seen their schedule as well as verification of communication between team members in group chats. Staff members are able to ask for time off as well as switch shifts for clear documented communication to their managers. As a regional manager, I am able to oversee and coordinate schedules easily and remotely from anywhere in the world. This program saves us so much time and eliminates all confusion and questions that a staff member may have about their schedule.

Cons

We do not have any complaints or suggestions. The only issues we have ever found with. It is overall user error when staff members changed their email address or turn off their notifications and pretend to not know their schedule.

Definitely an app worth exploring for temporary work. It is easy to setup an account for newer onboarded employees.

Pros

The integration between employer and employee is very straight forward. We even got new employees that have had experienced between scheduled with When I work, so streamlining them into our process was extremely easy.

Cons

It was difficult to add depth to the tasks and scheduling. The time tracking and scheduling worked great, but detailing exactly what needed to be done was difficult to add within the app

My overall experience with when i work was positive. It allowed me to see my work schedule with ease.

Pros

When i work was easy to use. It allowed me to even track my time so i was early for work. It allowed me to see how much time down to the minute i had left before my work shift.

Cons

There was nothing which i did not like about the app. It was easy to use. It gave a lot of information, including whom i was working with on any particular day.

Overall we enjoyed using When I work to do scheduling and track employees hours. Geolocation was also helpful since we had multiple locations

Pros

When I work was easy do the admins to use along with employees. We enjoyed the clock in and out feature

Cons

Integration to Gusto was not always easy. And the errors gave no info on what needed actually to be fixed

### "My positive experience with When I Work"

I would recommend "When I Work" to retail store managers as I enjoyed using it in the same industry.

Pros

The best thing about "When I Work" is the simplicity of the layout. It is very easy to navigate and provides a great visual with the calendar view to help stay organized. I did run into a scheduling issue where my shifts were not appearing but their customer support fixed the problem within minutes.

Cons

Although their customer support was great in assisting this issue, there were multiple times where my work days were not scheduled and I had to go to my managers for my shifts. Other than that issue, it is a great application.

It’s been nice seeing our team collaborate and swap shifts without needing us in the middle and it’s assisted with ensuring proper hours for payroll

Pros

It’s easy to see and identify who is scheduled and when as well as tracking hours and managing employees.

Cons

The limited version only has a limited number of active users allowed. Also, it’s hard to see changes to schedules even when an accident is made.

Positive. I feel like this program works. We have very few issues with it. Evern when they make changes thins seems to work most of the time. Not having to deal with IT on problems is a huge plus.

Pros

That is functions well. Not many issues with it. Able to schedule staff effectively and notify them in a timely manner.

Cons

Notification, on when people pick up shifts. I am lead often and get all these notifications. I don't need to see who is picking up what on my day off.

### "When It Works, It Works"

It's been useful for us for years. It works well overall but has some issues, like schedules not showing up in the app at times, and doesn't have some features that we would like, like the ability to log staff in automatically when they're on the premises.

Pros

It's simple and easy to use. Allows us to manage schedules for our range of staff

Cons

It does not work for all of our staff. No automatic location login when on site. Schedules don't always appear in the app.

### "Shift planning made less annoying"

Pros

Helps send schedules quick, people see shifts right away. Time tracking is basic but works. Good for small teams.

Cons

Bit messy to use at first, layout not that clear. Sends too many alerts. Free version cuts too much.
