Cons What I liked least about When I Work is that it can feel limited when you need more advanced features or deeper customization. Pros Ease of getting a weekly schedule out to 20-50 part time employees on a regular basis. I like that it has a time clock option which I didn't use at the last business I was at that used this system. It was a savior when my business changed point of sale platforms that no longer had a timesheet option. Cons Some setting restricting when staff can change their availability, and RO. How notifications or "confirm shift" can be overlooked by staff. Cons There were some frustrating technical issues when the application tried to capture my location using celular data, neglecting the main purpose of the application to manage my job. This made it unpredictable to use for scheduling shifts and communication between staff. Pros The best part of the app is that employees can switch schedules without having to go through the manager, wait for responses, etc. we used it in a chain salon I work in and it was easier than paper schedules and a photo. The when I work app allows you to modify or make requests for schedule change and everyone can see it and respond. Great for small teams. Cons The app glitches and became unusable at some point. Unfortunately, it would not always show the most recently updated responses or schedule and as a result it became unreliable. Pros We used this tool to organize all the assignments we had to complete at work. It helped us identify which tasks needed to be done or prioritized, and we could easily see any changes or updates to our schedules just by refreshing the page. It was also really useful for checking coworkers’ availability and seeing if they were off or on holiday. Cons There’s nothing I dislike since I was an user for the application. It worked perfectly and never had any issue. We used it for several years and found it dependable and easy to navigate. I have also used When I Work at another job from the employee side, where it was used for clocking in and tracking time. At my most recent workplace, it was used mainly for schedules. The flexibility, affordability, and ease of use made it a good fit for our needs. Pros When I Work was very user friendly and reliable. We mainly used it for scheduling and the chat feature. The chat option was convenient because staff could message with questions about their schedules or notify management if they needed to call off. The pricing was reasonable, which is why we continued using it for about four years. It consistently did what it was supposed to do without any issues. Cons We did not fully utilize all of the features available. At this job, we primarily used it for scheduling and communication, so other tools were not used. Pros Value for Money: Unbeatable. It packs the features of five apps into one price point. Ease of Use: Very user-friendly! even my newest hires can coordinate it right off the bat! Time Tracking: Excellent native tracking with billable hours—no extra plugins needed. Team Collaboration: Top-tier. The Bottom Line: Best for teams that want to centralize everything and don't mind a few minutes of "learning the ropes." Cons I would like there to be a way to "not approve" requested hours in the "open shift requests". Currently, there is no way to remove them from there unless they are approved. This is a fantastic and affordable scheduling and time-tracking tool for single and multiple location workplaces. Pros When I Work is a great tool for schedule creation and hour tracking. It also has a feature that allows staff who are working at off-site locations to clock in and out based on where they are physically located -- so a team member has to be at a certain location to report that they are starting work. It's also great for team members to be able to see their schedule in advance, and keeps a record of when they worked at their fingertips. Also, the pricing is AMAZING. You pay by the month based on the number of staff. It's super flexible up and down. Cons I do wish there were a way to tag some classes of employees as "must clock in/out" and others can be excused. Can't complain too muhc Pros Ease of use, team communication and time tracking (with the exception of lunch breaks not added in). I also like being able to color code it. Lastly, my employees requesting time off for entire or part time throughout the day is easy. Cons It doesn't factor in a lunch break. Most states require 30 minutes for more than 6 hours so just automatically factoring that in regardless if that actually clock out. 8 hours maybe 1 hour. Since that's normal. I don't schedule over 6 hours at this time so I haven't played with the lunch breaks. I'm sure it's simple to add just haven't looked into it. Pros Biggest pro is that the app is usable via mobile devices so that employees can swap shifts at any time of day. They don’t need to be at work to see the available shifts. Cons Different users have reported running into different bugs. For instance, an overall weekly schedule displayed fine for one user, with the exception of one day (one where they were scheduled to work), where their app displayed "no shifts today". With the plan that we have there are some limitations but it gets the job done. Pros I like how quickly you can edit information in the platform and quickly pull timesheet data. I also like the ability to quickly approve or deny time off. Cons I wish the reports were able to go farther back in time to review historical data. If I don't save the data somewhere I can't go back and review at a later time. And we’re able to make sure that we’re fully staffed at all times Pros I’m able to schedule a year in advance. I also like that. If someone requests time off, it’s automatically sent to the people available to pick up the shift. Cons The app is not as easy to customize the schedules as much as it is online. Which is not really that big of a deal, but when I was initially getting it set up. I introduced it as my current job, so I'm very familiar with being a user as well as being the admin. Pros How easy it is to schedule my staff and complete weekly payroll. It's also helpful that When I Work integrates with ADP, which cuts running payroll down by more than half the time, making it well worth the price! Cons I would like the opportunity to duplicate a shift or create a shift template based on a shift already posted.
