Overall it worked well for our first digital time clock. However as the price increased and the features become less focused on what we needed, we moved on to other programs. For retail or part-time employees this could be very useful.

Pros

It is easy to sign up for and simple to manage. The cost is very low and usually has a free trial before you buy.

Cons

The updates kept causing issues. Employees interface on a computer had to consistently be signed in again. The Kiosk feature needs improvement.

### "Intuitive Scheduling Software with Mobile App Flaw"

Overall, the experience of investigating the software capabilities with the sales representative to fully operationalizing with our team went smoothly.

Pros

Initial set up of user profiles and templates for shifts is intuitive and quickly completed. The strategy behind setting up multiple schedules and how to incorporate tags vs user roles needed extra training by our sales representative. Once we understood the output of these variables, the set up continued to be admin friendly.

Cons

There is continued frustration with basic users receiving notifications to their mobile devices. Despite multiple attempts with the online customer service to resolve, some users still do not receive the notifications. This was a high-value variable anticipated by our team that continues to give frustration to some users.

### "Scheduling Made Easy"

Pros

For employers, it's incredibly easy to manage your employees hours all in one place, and for employees it helps manage your own hours and keep track of your hours that will be on your paychecks, add a great user interface and very user friendly options and that gives you a great application.

Cons

A lack of mobile notifications from the app, buggy clock-ins and outs and a lack of a texting feature both on 1on1 sense and a group sense, the app leaves much to be desired.

Not good, had me late on my first and second day.

Pros

After searching for a job two years ago, I found one from Craigslist. I was told to download this app and my schedule would be sent to it. Well the next day I woke up and decided to check my phone while doing so, I got a text or notification from the app. I opened it and sure enough I had to go to work in less than 10 minutes. I hurriedly put on my clothes and ran out the door. I was late on my first day. I told them the app lagged and I received my schedule minutes before coming to work. This app never got straight, I had to write my schedule down while at work.

Cons

My schedule never showed up in a timely manner. I was eventually fired then the schedule started showing up telling me I had work. How ironic is that, I didn't need notifications then, yet I was still getting them. I uninstalled the app and went back to my Event Specialist job.

It was good for what we needed at the time because we really needed the hospital schedules to be able to be viewed and it was easy to overlook the whole month how many shifts were being worked/ scheduled. but with so many facilities and with having to enter everything in after texting or talking to the candidate we found out it was easier to do on excel or just keep track ourselves - most of our employees at the time weren't downloading the app or even logging on.

Pros

It was very easy to put in schedules and candidates were able to check and view their schedules and if we needed to make changes it was very easy - a click of a button.

Cons

For a Staffing Company - You were able to put in multiple locations but when we used it - I would have to get the schedules from the candidates and then enter it into the app so they could see it, They wouldn't able to change their schedules unless they texted me then i would have to change it in the app which took time - wasn't as simple as their just cancelling or removing shift themselves.

### "A good option for timecards and schedule. "

Initially it was a good solution for employee scheduling. We added the time clock after about 8 months and it has served its purpose. It allowed us to not use a google doc to schedule employees. It is a a good scheduler but not as great of a time clock.

Pros

My employees can use the app to get alerts and check their schedules. Employees can swap shifts with my approval. The time card is integrated into the schedule app. It is somewhat easy to use. We have used this software for about 2 years. When we first started with them there were not a lot of options out there. And it served its purpose. Our employees seem to like using it.

Cons

There are several cons. I think the price is too high for what you get. Trying to process the time cards is very cumbersome and not very easy to understand. We run 24 hours a day and this software is not well suited to a 24 hour clock. Overall I spend too much time trying to understand how to use the time clock - punch in/out- and it is really frustrating. Also- their customer support is really pretty horrible. There is not a way to call someone and you have to submit an email to support and it can take them a bit to get back to you. Issues with time cards are things you want an answer for right away and they do not offer a quick response. Also- you really have to use a desk top to process the time cards and it does not function so well with google chrome- I think safari works better- but I prefer to use chrome. There are glitches with it that are just frustrating.

Pros

I really love the instant messaging and easy-to-understand schedule setup.

Cons

If I had to pick, it would be that it can sometimes be difficult to set up new hires, but that's the same for any software.

### "A literal time saver for any business"

Overall, When I Work can do just about anything for our company. It can track time and attendance, schedule shifts and overtime, and mark employees as "out of office" when they take paid time off. It is also fairly easy to onboard and train new team members and managers on how to use it just as well. If you work with a lot of people across departments in a physical, remote, or hybrid work environment then this platform is for you!

Pros

When I Work allows me to schedule shifts faster, track my own time easier, and communicate when I'm on the clock to my supervisor and other colleagues. I particularly like that this app saves us time on scheduling and improves productivity & accountability amongst our coworkers.

Cons

I disliked that the desktop and mobile versions of the software do not sync up properly. While the platform can accurately communicate changes to everyone, it takes a while for those changes to show up in the system. This feature can most definitely be improved upon in the future.

### "User Friendly, Easy to Use and Understand."

Pros

DASHBOARD : Upon logging in, the dashboard shows the exact total amount of time and money put it by all employees. That way, I can see if there is something out of the ordinary as long as I know the average expense we put on the payroll. AS AN ADMIN/PAYROLL/SUPERVISOR: I can customize who can view and edit the time of the members in the team. Typically, I give part of admin rights to the team leaders or supervisors. This way, it saves my time in editing login errors and focus more on the whole organization. If I want to do a roll call, I can do it at my desk in one glance. It helps me organize the schedule of the whole organization for next week's work operation and post it when it is finalized. No more excuses such as "I didn't know". At the end of payroll period, reporting is a breeze! AS A USER WITH LIMITED ACCESS : As a user, I have limited view of the data. I can only view my own hours. Which it is what I'm supposed to only see. I can watch my hours and limit myself to working more than 40 hours per week. I can send my Personal Time off and wait for the admin's approval. As a contractor employed by the organization, I can post my time availability. I don't have to go back and forth talking and negotiating to the supervisor. I can do this remotely with an app.

Cons

So far, I have nothing least to say about this software.

### "Honest Review"

Pros

This software allows us, administrators, to monitor the times of clocking in from each staff member. We have access on our phones, and you can set up any alerts you get, such as late clocking in, no-shows, whenever a staff works multiple departments and is approaching overtime, etc. It is user-friendly, and we do not regret getting it.

Cons

When there are updates made, sometimes, it doesn't give us the correct times collected in the time sheet.

Pros

The When I Work software is great at keeping track of my work schedule. On the Dashboard, it notifies me of my next upcoming shift, the date, and the time. It tells at which location I am working and what my position will be. It also tells what coworkers that I am working with during that shift. I can go into the schedule tab of the software and see what days during the week I am working. The software will also tally up my total hours that I will work per week. This is helpful because it allows me to see who is working and who is not so I can get a shift covered. The software also allows me to put in requests in advance of dates that I want to request off.

Cons

The availability scheduling feature takes some time to learn how to navigate. It is somewhat difficult to fully schedule availability. If you make a mistake and accidentally alter the availability for one day you have to go back to that day and fix it before adjusting your availability.

### "Okay for micro-busineses but does not scale well, integrates poorly, and suffers from bad support"

The company only offers support by Chat or Email - there is no way to get someone on the phone. I did not realize this when signing up, and find it a maddening waste of time when you have a real problem to solve (and you will have problems!)

Pros

The Scheduling module works well for our 25-person veterinary practice where staff work rotating schedules. We can set up templates for each group and quickly deploy and tweak the schedule.

Cons

We tried to integrate with Gusto Payroll to streamline time-sheet reporting. It's a mess, and does not often work. It's really hard to troubleshoot because WhenIWork hides all the integration details. For instance you can not see the mapping of employees and their roles/jobs between the two companies. After a while I realize that it's faster to manually type in all the data since troubleshooting this is so time consuming. Plus you can not get support on the phone!

The most impactful feature of When I Work is the employee scheduling. It allows for easy maintenance of employee scheduling!

I would of course like more options on training to use the software but it wasn't extremely difficult to manuve.

I enjoy that the employees can verify their hours themselves and also put in their time requests. It's also convenient for the employees to be able to add notes regarding why they need an adjustment on their time sheet. I find that When I Work is very user friendly and that really helps my employees and I.

Pros

I enjoy the ease of being able to track employee time sheets. When I Work is very user friendly for both the administrator and users. I also am very impressed with the customer service department when I reached out to them regarding upgrading ny services and they were very helpful with recommending what would best suit the needs of both the employer and staff.

Cons

It was a little difficult for the employees to get used to the change of software that was being used for payroll, however, that is no fault of When I Work. Change can be difficult and hard to remember at times.

Reason for choosing When I Work

When I Work was the most user friendly software that we found for the best price. I highly recommend it for any company looking for this type of software. The customer service department is also extremely helpful when setting up your account .

### "Revolutionized our Scheduling Process"

We used to manually schedule all staff at our child care programs. When a regular staff called in sick or requested vacation we used to have to call, text and email each individual on call or float staff to see who was available and if they could work at the location we needed. When I Work allows us to be a lot more efficient in this process. It also allows for better communication with all staff through features such as work chat, and announcements. The customer service provided from the initial demo to setting up our team was exceptional. Our rep was always available to answer our questions or educate us about new features that might be useful to us. Our rep worked with us to use the features that worked best for us. When I Work also provides ready to go resources that you can send out to teams that include everything from how to set up your account, see open shifts, swap/drop shifts etc.

Pros

The ability to post open shifts as revolutionized our ability to communicate with and mobilize our on call staff. By posting an open shift On Call and float staff see the shift right away and are able to pick up shifts that fit with their schedules. The ease of posting open shifts has drastically decreased the time spent trying to find staff to fill gaps in schedules. With over 150 employees and 44 locations we are able to post the addresses of each location that allow staff to pull up a map to the site.

Cons

At this time the product is serving us very well. When I Work continues to add new features and provides detailed descriptions and instructions to these features.

### "Good for specific types of companies; we needed additional functions"

This software seems to be developed and used for companies whose locations do not change. I can see why restaurants and small stores would be very happy with this app. However, there is a large market "out here" for companies who send employees to many locations to have an app they can use also (housekeepers, landscapers, moving/packing companies, etc.).

Pros

It has many of the features we needed for scheduling employees. We liked that more than one location can be scheduled for different employees, even sometimes on the same day. When we finally figured out how to use it, the map function was convenient because we go different places nearly every day. We liked that employees could see who was working with them each day.

Cons

There is no ability for employees to decline a shift. For several years, we requested the company add this feature. This turned out to be a deal breaker for us, and we finally went to another software. I also thought it was odd that when a loyal customer of many years left, no one from the company contacted us to find out why. Interestingly, the software we changed to also costs less per month, in spite of the fees they charge us for employees to accept/decline shifts by text message.

### "Going down the drain fast"

Terrible. When I first started with When I Work it was a blessing and helped our business work well. I don't know if they changed management or what but the customer service has gone down hill in the last year or so. We are a staffing agency. We depend on our scheduling service for our money our very heart of our bisiness. They made some changes that have totally made this service obsolete for our company and now - in the middle of the work week in the middle of the work day when all of a sudden the changes became in effect with no warning- we have to stop what we are doing and find another scheduling service. This is after they had a large glitch that made it very difficult for our business and fixed it after 4 weeks. Can't call anyone - not an option.

Pros

I felt it had good features in the beginning

Cons

When there is a glitch they don't fix it for like a month. They change features that are detremental and don't give an option to opt out. You can't speak to a person you have to email them with problems. When you do get a hold of someone they do not help you but just say the same thing over and over like: We are working on this at this time. No solutions.

### "Deceptive billing practices"

The software is okay. The program usually does what it should when it is not glitching. After 3+ years of using this product, it came to my attention that we were being overcharged every month. When I contacted customer service, they were unwilling to offer any solution, rather than explaining their confusing billing style. Not even a credit of any sort. The software sells you "user spots" in increments of ten. For a smaller business, there is a big difference between 10 and 20. So, if you have 11 employees, you need to pay for 20. How does that make sense? Even when we had less than 10 employees, we were being charged for 20. Please explain to me how that is not stealing? Their whole system is very confusing. I will be moving on to a new system because I am not satisfied with the customer service I received.

Pros

It does what it is supposed to - enables us to schedule employees, notify them of their shifts, sends us a text when someone did not clock in or out.

Cons

Their billing practices are very deceptive and not user friendly. They sell you "user spots" in increments of 10. It is very confusing how to downgrade but very easy to upgrade. I urge every customer who uses this program to check their billing to see what they are being charged for. Customer service is not helpful and seems like they are not interested in providing good customer service.

I'm sorry for any confusion around our billing processes. Billing is based on spots purchased, not necessarily spots in use. I can see how that may have been confusing, I'm sorry about that. User spots are offered in increments of 10. Allowing the option to select a quantity of 10 is a way to fit many different businesses needs. We've found that offering increments of 10 spots ensures plenty of room for growth before needing to make any billing changes again. ### "Does what it is supposed to"

I loved this product until a setting (that I didn't touch) mysteriously changed itself, causing my subscription to increase significantly. I didn't notice it for 14 months. When I addressed this with When I Work, I was told that their policy is to not provide credits or refunds - in this case even when it seems it was them that had overcharged. I have gone from a very satisfied long-term customer, to one who feels like When I Work is not there for its clients at all. And I am suspicious that others would have their background settings changed as well (I didn't even know what or where it was).

Pros

It's visual and simple. It schedules down to 15 minute increments. It makes a very dynamic schedule like ours, easy to manage and understand.

Cons

It would be good if a shift automatically started from the time you first click on the schedule. It would be good if they understood how tricking and overcharging their customers leads to a complete lack of loyalty. Buyer beware! Just keep on checking your subscription amounts each month. As if you don't have other things to be occupied with.

When I Work does not change billing settings without the explicit written consent by the Account Holder. We also email out an invoice to Account Holders for every transaction made to ensure clear transparency. When I Work's flexible and transparent billing allows businesses to only purchase what they need. For some of our customizations, such as international text support, there is a recurring monthly add-on fee. All pricing customizations are clearly listed on the Account & Billing Page and prior to consenting to the recurring payment- we require the Account Holder's consent to our Terms of Service, Refund Policy, and Privacy Policy.

### "My favorite scheduling app that I've used so far!"

I have used When I Work at two different places of employment and prefer it over other scheduling applications, such as ADP.

Pros

When I Work is very simple to use and easy to navigate. My current or upcoming schedule always shows up as soon as I log into the app, and I can easily view my upcoming shifts and approve them. Putting in requests and setting my availability is also very straightforward. Finally, I enjoy the messaging feature, which is helpful for communicating with a whole team or with individuals whom I haven't shared contact information with yet.

Cons

Sometimes When I Work logs me out of the app and I am forced to log in again, which can be inconvenient if I don't have my password saved or written down. When I cancel a shift, it still shows up in my Concluded Requests, as well as my employer's requests for me, which I feel is a bit unnecessary. I would prefer if it just showed up in mine but not in my employer's requests. I also wish my shifts from previous weeks were still available to view.
