So much promise, and a very attractive user interface. This might be fine for very small businesses, but has major limitations for tracking actual labour costs vs projected labour costs which is a key aspect of time management. Actual labour costs show up in the dashboard as a pretty line, but if you want to actually know the actual labour cost by day or % for actual sales, forget it. You'll have to export into excel and go back to that old game. If you run a restaurant or bar this feature alone should be a deal killer. Also if you run a company with multiple departments and want deptartment managers to be responsible for their own labour budgets but not view wages company wide...forget it. Supervisors can view wages for their department but not labour budgets! Managers can view wages and labour budgets, but company wide! So this system can work for a small business where one manager is in charge of all schedules but not for larger companies with department managers that shouldn't have access to company wide info. When will they come out with these and other features and fixes? Who knows...all they can say is...maybe, perhaps at some point, we're trying. How about a development timeline that customers can see so that they can tell whether a needed feature is going to be 2 weeks or 2 years, or never? How about a response from the development team about when a new feature might come out? No, just keep hoping. Well sorry, companies can ride on hope. Shiftplanning seems to be in the same price point, with larger feature set.

Pros

Attractive user interface. Easy to set up and add new shifts and move shifts around. Responsive support.

Cons

No ability to track actual sales vs budgeted without exporting to a spreadsheet. LImited access for supervisors to labour budget.

### "Love When I Work. Easy to use, and the customer service is outstanding! "

Being able to go paperless was the biggest benefit. Also, the ease of the software makes it easy for Supervisors to make schedules and track hours.

Pros

Love the ease of the software, super user-friendly. Also, like that it is easy for all generations to use. Love that all requests can be made online, helping to eliminate paper.

Cons

Would like to see more options for tracking employee hours as far as the reporting goes. Also, other features like tracking employees who work different positions, and being able to report on those hours. Also would like for it to track employee hours who no longer work with us anymore. Don't like that once the employee is removed from When I Work, all of their history is removed as well.

### "Great for Small Businesses"

It gets the job done, but could be better.

Pros

I like that it integrates with my payroll software.

Cons

Notifications can only be sent to the email address of the account holder, which means that I can't do something as simple as delegate time off requests to someone else. Also, can't get telephone support - chat only.

### "We started using When I Work to do scheduling and time clock for our 130 desk-less employees"

It saves us a lot of time. We have 130 college students that work for us and they are always swapping shifts or need a shift off for an exam or something like that. They can do all of that through When I Work and I don't have to be the middle man in any of that anymore. It also helps hold them accountable. It makes them acknowledge their shifts and tells them that they are still responsible for the shift until someone accepts it (and notifies if/when it is accepted). It is nice that they get that reminder every time they need to drop a shift and I don't have to find them and remind them all of the time.

Pros

We love the fact that our employees can access it on their phones. Our employees are college students, so being able to use it on a mobile device is crucial. Our old program didn't have that functionality. I also like that I can go in and move someone's shift to "open" for any other employee to accept. Since our employees are college students and anything required for a course is excused from work, so it is really nice to be able to go in and move a shift for an employee that has an exam or something like that. I also like that employees have to acknowledge their shifts.

Cons

Two things - I can't go in and schedule just one person. We are on a college campus that operate on quarters. I would like to be able to look at an individual schedule for a certain time period and edit it as necessary, but that functionality doesn't exist. My employees are frustrated with the notifications. It is great that someone can do a "drop shift request" that goes out to all of the other employees, but it is frustrating to get 10 emails about that. We (mainly our hourly employees) wish there was an option to get the notifications in a digest once a day instead an email for every single notification.

It is such an extensive system. It not only schedules and makes it easy to reschedule, but alerts employees to their shifts. We love everything about WIW.

Pros

I love When I Work! I did the scheduling for the past 4 years and recently passed it over to someone else. They had no problem picking it up easily. It does so much if you spend a little bit of time with it.

Cons

Nothing, it literally does everything that we need it to do and more. I nor my employees have never had any issues.

### "Do you have around 30 employees? THIS IS WHAT YOU NEED!"

We love the ease of communication with this software. Work Chat is a HUGE benefit for us. Many of our employees check this feature better than checking their emails! We also love the "copy and paste" feature. We are able to copy the current week's schedule and then paste it to the next week. Then we make minor adjustments to the schedule, save and publish to all employees with a click of a button. Then scheduling is DONE!

Pros

We love this program for the ease of communication with all of our employees. Communication is always something we strive for and with ever-changing schedule needs, this program eliminated our extra steps to be sure everyone was communicated with. With the quick change of a schedule, those affected would receive a notification immediately and know what their new upcoming schedule would be.

Cons

So far anything that we have had concerns with, we were able to contact WIW employees and it was addressed and fixed or we were educated in how to make that process work best for our center!

We're at present working a group of low maintenance representatives that work on differing plans. We have regularly expected to trade moves or post open movements for workers to get. I don't really know how to suggest features. I also don't like that I have to pay to use the test messaging feature.

### "Scheduling Entertainment "

Schedule 30 to 40 shows a month across 12 performers is a lot to keep track of. WIW allows me to quickly assign performers to shows. The Notification to the Performers is great and the Reminder 2 hours or so before the Show is excellent... At one point we were doing shows every weekend and were using the OPEN opportunity. I would publish the date and time the opens would be published. Performers would be able to pick the show they wanted based on thier schedule. Being able too publish OPEN shifts in 1 push was very easy to do. I would fill an entire month of shows in about 15 minutes ... VERY efficient.

Pros

The monthly view give me the opportunity to see all scheduled shows and the assigned performer for each. So when customer calls with a specific data and time, I can easily confirm the opening and assign a performer to the show.

Cons

The ability to schedule repeating monthly/weekly events. While "every week" is ok, it does not allow for more complex calendaring such: as every 3rd Wednesday in every month, or every other Monday through out the year. This was a feature in the ORIGINAL WIW from 18+ months ago. There was a small ICON (an elliptical arrow icon) in the "TIME" dialogue box. When clicked it would allow for such complex scheduling ... PLEASE BRING IT BACK!!

Overall, I am satisfied with the software. I especially love that they incorporated a lunch break feature and even rolled out the live time clock to help you track your lunch!

Pros

I've been using WhenIWork for about 3 1/2 years now and the best feature that I enjoy about this software is that I can utilize my phone to track my clock-ins and outs. I travel a bit for my job and being able to clock in at any time without having to jump on a computer is great!

Cons

I love that it gives me a notification when I have an upcoming shift or when I haven't clocked into a shift yet (something you simply forget) but WhenIWork always sends me a notification that I haven't clocked out even when I have clocked out from a shift. I am not sure why it recognizes that I have clocked out but still sends me a notification that I haven't done so. It might just be a personal problem though.

### "Makes scheduling for business effortless"

Pros

Even with small businesses with just a dozen employees, it can be a pain to coordinate and schedule shifts for each person. When I Work makes all of that easy. There's both computer and mobile support, and employees can mark when they're available, which is all displayed in one place so making sure shifts are covered is easy--what's even better is that when someone calls in sick you can see who's "on call" or available and get another person to cover ASAP. Saves so much time and energy that would otherwise go into scheduling.

Cons

This service is not free, however I would say it is 100% worth paying for.

### "When I Work does a great job @ scheduling basic & repetitive schedules & an ok job when it's complex"

Scheduling of our complexity is more or less possible with this software. It would be a huge headache otherwise.

Pros

It simplifies communication with staff and freelancers, pushing updates to them en masse. It is an attractive UI and the app functions pretty well. Support is responsive and communicative.

Cons

The permission levels need a lot of work. They are limited and global so you really don't have much control over who sees what. You can't copy a shift from one week to the next, this seems kind of basic, especially if an event spans multiple weeks it's inconvenient to have to build the shift twice. It would also be nice to have the ability for someone to view a schedule at a location other than the one they are scheduled at...for example, someone in one office wants to see if someone in another office is scheduled to be available or not without showing up in that locations schedule. Currently this is not possible.

Pros

When I Work makes scheduling easier than I ever thought it could be! The attendance tracking gives me the opportunity to have documentation if I need to hold employees accountable. The Communication allows me to both increase productivity and maintain the privacy of the employees phone numbers!

Cons

The thing I like lease about When I work is that it does have a learning curve with employees and getting everyone to be as excited about it as I am takes a few sessions for them to see the potential.

The ability to schedule in advance and have employees accept shifts is critical in todays world. We also enjoy the ability for employees to swap shifts (puts the responsibility on them). A true time saver.

Cons

Like all things, price but it works very well.

Reason for choosing When I Work

Tried free trial first, later switched to paid version enabling us to schedule further in advance.

### "Convenient Shift Management System"

Pros

When I Work is a well laid-out, robust, and easy to use system for scheduling shifts and team messaging. There are few gaps in the functionality of When I Work Adding and modifying shifts is very simple, and notifies users once they are released. When loading into the app, end users easily see buttons to find their weekly schedules, time off and shift requests, and open shifts. They can also easily see open shifts, all shifts, or their own shifts. The system for dropped or swapped shifts is also easy, allowing employees to handle taking up dropped shifts on their own after an approval. Additionally, it's easy to send messages to employees and employers right through the app. The availability of communication on the application cuts down on alternative means of communication needed, and helps aid in cutting down on the number of platforms needed for workers.

Cons

the Web UI is somewhat clunkier than the phone app, with the notifications feed and the calendar feeling cluttered. There is no mobile web page for When I Work, meaning that, in order to easily use When I Work on a mobile device, you'd need to install the application.

### "When I Work Scheduling Software -- Very Slick and Efficient"

Several months ago I set out to find a scheduling software that wouldn't bust my small business' budget and yet was intuitive and user friendly enough for an owner/operator like myself to use without pulling my hair out. I searched and searched all over the Web. Some programs had some of the features I liked but were cumbersome to use in other areas. For my home healthcare business, I needed something that would allow me to quickly and easily keep track of the schedules of our independent contractors who we connect with our clients. When I Work was the solution I was looking for. It's easy drag and drop graphic interface was simple and made sense to me, a novice, who had never used this type of software before. When I began to have problems with it (being a newbie, and also discovering a couple of bugs) the tech support team was extremely responsive and got right on my issues immediately. They always resolved them to my satisfaction and gave me straight forward, honest answers. If the program couldn't do something, they told me. They didn't try to sugar coat it with sales talk and hype. It is an honest to goodness, down to earth scheduling program that you will like using for any type of business that works with scheduling of staff. I am not the type who writes a lot of reviews on things, but when I find something I like to work with and that saves me time and money, I like to share that with my friends and associates. This is just such a product. I think once you try it you'll take the bait and buy it :-)

Cons

Refers to workers as "employees" and my people are "independent contractors" (can't change this) When I copy one week's schedule to the next, the program often copies other schedules I didn't ask it to copy, so I use Templates to do future schedules

### "Easy to use and makes my work life easier!"

Time it takes to schedule has cut down from several hours a week to barely an hour a week. Less last second call outs because of work chat. And my staff loves having their schedules on their phones!

Pros

Very intuitive. If you can use a computer, you can use this software. I love the fact that my staff can use the work chat to get their shifts covered. No call no shows and last minute call outs have cut down dramatically since we implemented this.

Cons

I honestly don't have anything bad to report. I wish I could organize how my staff shows up in the scheduler so I could group like positions together in how they see the schedule, but that's minor.

### "Good system but not the most user friendly"

Being able to create our employee schedule and have a time tracking system all in one.

Pros

Being able to have our employee schedule and time tracking software all in one vs. using separate programs. Have had issues with job site and customer support has been amazing with their response time and helpfulness - they have a chat feature for instant support!

Cons

Trying to read the time tracking reports is difficult. It does not tally up the total hours worked in a pay period for each employee, it simply shows you each day they clocked in/out, the times, and the total for that day. Would be great and save me a few minutes if it automatically calculated their time worked for the pay period vs me having to add a row manually and add a calculation.

If you'd like to view an employees' hours for an entire time period instead of just a single day, we'd recommend going to the Attendance page instead of the Time Tracker. The Attendance page will show you each of your employee's time sheets for any pay period. There is also an option to export this information into an Excel file with multiple filter options. ### "Accessibility and Intuitive Scheduling"

My overall experience with When I Work has been positive! Out of all the scheduling apps or processes I've been a part of, this has definitely been the smoothest. I would recommend this app to any employer looking for good software.

Pros

What I like most about this software is the ability to track my hours in multiple manners. Not only does the app show me how many hours I am scheduled to work a week, it shows me the scheduled hours of everyone on staff in a larger format, and can even show my timesheets, giving me the breakdown of negative or positive hours correlating to clocking in early or clocking out late. This last feature is extremely helpful as it quantifies the fruits (whether ripe or rotten) of your labor, letting you know exactly what you need to keep doing or improve on.

Cons

Yes, when I am accessing availability and have repeating schedule preferences, if there absolutely any overlap, it simply does not allow you to make changes and it is then your job to find the overlaps and shift them to allow for your original change. Often, this process is tedious, but it doesn't come up often as the initial mistake is human error. If there was a way for it to offer options on how you'd like to fix the overlap, that would be perfect.

Overall When I work is a great software for time off requests and scheduleing!

Pros

Mobile usability was an essential part of this software for me! Most employees access it through their phones, so it was amazing to use.

Cons

There were some glitches occasionally when those who needed time off used the feature, and those requests would get lost.

### "What a great bit of software"

We use WiW for the weekly and daily scheduling of our distributed 24/7 support team. It allows us the ability to create repetitive schedules while leaving the flexibility for employees to input time off requests and set days they cannot work.

Pros

 Ease of use  UI  Support  Employee communication and self-service Overall our team has loved using When I Work and recently transferred over from another offering. It's easy to use, Love the use of roles and repeat schedules and time frames for roles. Good stuff

Cons

They push hard for upgrades and won't let you opt-out of such messaging. They also have do not have as robust of a schedule export/print and email feature as it lacks customization. They could also provide alternative sort options within the scheduler. A basic feature they still lack.

### "Makes scheduling super easy!"

Pros

This product is super straight forward and very user-friendly. It is very easy to use the scheduler as well as keep up with employee hours on the Time Tracker. You can easily edit attendance if your employee forgets to clock out and sending messages to the whole group is super easy with the group message feature. The online based platform is great and the app is the perfect way to post the schedule without having to send out emails of spreadsheets etc. Notifications come straight to your phone regarding scheduling changes, shift swap requests, time off requests, and even when your employees forgot to clock in. Notification alerts are easy to change in settings. There's even a setting to get a reminder 2 hours prior to your shift so in case your schedule is constantly changing, its so easy to keep up with it!

Cons

The satellite/gps location isn't as good as it can be with regards to clocking in. Sometimes it will not let you clock in due to being "too far away" when you are standing right at your work. The app sometimes freezes up when clocking in/out or takes a while to process a clock in. So then when you press "clock in" again, it'll actually clock you out.
