Overall a great and functional software, yet could certainly be cheaper to be more competitive.

Pros

Easily the most attractive thing about this software is the approachability and ease at which one can create a dynamic employee schedule as well as an open line of communication between employees. Everything about When I Work is very intuitive and malleable, and thus is a good solution for those operating a business.

Cons

The least attractive thing about this software is the cost of it compared to other similar products, and the lack of flexibility inherent in the availability of employee function.

### "The "heads-up" scheduling all HRIS systems lack"

In many companies, scheduling is critical to operations. Whether it's the tech sector or quick service food, ensuring you have the right people scheduled at the right time is critical to maintaining the optimal customer experience. Unfortunately, the all-in-one systems that exist in the HRIS arena today ALL lack highly intuitive and full-featured scheduling systems. Sure, there are plenty that have all necessary features but come at the expense of ease of use which, in the end, leads to less than optimal use. Enter When I Work, a scheduling first platform that is borderline enjoyable to use and makes the scheduling task for individual team leaders a breeze in our customer service and fulfillment operations. It's simple to identify needs by skill set or expertise when building a schedule or finding replacements for staff that will be out of the office. Integration with third party platforms such as payroll and accounting systems leaves much to be desired but functionality and ease of use comes first and that's where When I Work excels. User engagement is high with intuitive and easy to use mobile apps and location based clock-in is much preferred to IP restrictions.

Pros

Intuitive web based user interface Mobile apps that staff actually use Heads-up alerts for possible attendance issues Single system for scheduling and time clocks Excels in all the scheduling & T&A features where HRIS systems fail

Cons

Third party integration leaves much to be desired (payroll sync with the majors, accounting uploads) Service interruptions seem to happen more often than would be desirable (but are always very short)

### "Easy to use for the average worker"

Overall, I would feel confident in utilizing When I Work as a means for scheduling employee shifts. The app itself was very straightforward and provided appropriate information in an easy to read fashion.

Pros

When I Work clearly displayed each week the shifts that I'd be scheduled, which was especially important as I worked for a job that had dozens of different sites with their own hours. The app provided exact information on where I needed to go, who I needed to contact, etc.

Cons

I'm not sure if this was more so a reflection of the company I worked for, but often there were issues with the app in that it did not work properly, or missed clock ins that then had to be done manually. Again, could be an issue with the company themselves, not the app.

Pros

Gives me a heads up on my scheduling and integrates easily with my payroll software and other apps. Because of the iPhone integration, I'm able to keep an eye on when employees are working and where as well as when they forget to clock in or out. I can instantly find out who scheduled to work each day and send them reminders as well as open shifts that need to be filled.

Cons

There's nothing I don't like about it, but I do wish there was a task management feature. I would love to be able to assign a complete a task list that would prevent them from clocking out until it was done.

### "This is the best app for scheduling"

Pros

I love that it automatically syncs with my phone calendar. I don't have to worry about forgetting shifts because it reminds me with plenty of time. It's easy to trade shifts and talk to coworkers without exchanging phone numbers. I like how simple it is to say which days/times you're available and if you have preference on some shifts. Overall this is a great, great value.

Cons

The group chats can be a total pain, but thankfully you can adjust notification settings. It can sometimes be difficult to manage the schedule based on how the admins have pay periods set up, but once you get used to it, it isn't anything more than inconvenient.

Our experience is very good with this tool. Adding and removing employees is really easy and keeping track of hours and making sure all of our multiple events going on,sometimes several in the same day, are staffed with the right employees (event manages,chefs, bartenders, servers etc.)

Pros

This tool is incredibly easy to use for our medium size catering company. The staff can just check their phones for their schedules and we can easily track time to ensure we aren’t putting employees into overtime

Cons

We really don’t have any cons about this software! It is easy to use and the pricing is great. For a small business (10-40 people depending on if we are in season) it is a great tool for us.

### "Sneaky Billing Changes- changed cost structure without reducing existing customers' fees"

We have been a customer for three years (and I used you with a business previously for multiple years), and weren't automatically switched to the lower cost plan when your cost structure changed APPARENTLY TWO YEARS AGO (April 2017!), despite only having a small number of employees. When I asked about it we were given a credit for ONE of those months. Four dollar credit when it should have been $116. I don't feel like that was appropriate and will be using another program from here out. Sneaky way to charge existing customers more money.

Pros

Having employees verify their schedule and giving a 2 hour warning to shift start so there's no excuses/ not knowing they worked. Allowing shift swapping, requests off, etc within the app.

Cons

Takes a while to set up. Employees cannot switch shifts once one of them starts.

Pros

I love that I can create multiple schedule templates and positions. Also, LOVE the "drop shift" feature for our employees. This feature has made managing this for my managers much easier.

Cons

I wish there were more specific reports I could pull for payroll.

My overall experience has been great with this clock app. It has many great features, Employees can easily view their work schedules and clock in & out from mobile device. HR department can easily find attendance sheet & create payroll by this software.

Pros

When i work is very Important tools for a business or an organisations to record their employees work schedules, employees availability. It has great features like you can track your employees location who work outside, this app remind employees to clock out when their shift is over, you can also communicate with others employees via message. This is very useful app that you can easily operate by your mobile device.

Cons

Sometimes it drain your mobile battery when you on this app for long time so it should be fixed immediately.

What we like best about the software is the ease of use. Employees can see and take shifts and we can manage hours for payroll through it. It has saved us countless hours of stress and has made our entire system flow more efficiently.

Cons

We need a search feature for job sites within the schedule. We work on different sites and sometimes we need to track or find a shift by job site.

WhenIWork is beyond easy to use. The setup is simple, employee on-boarding is easy, scheduling is a breeze and timecards are quickly completed.

Pros

WIW is incredibly easy to use. The app is fantastic and the desktop version allows a bird's eye view of an entire week, which is phenomenal! So much easier to read compared to Google Calendar or the many schedulers based upon it.

Cons

The GPS feature can be a little wonky, depending upon location. Also, I really really really wish there was a client-facing side for folks who use WIW to schedule client requests.

This tool is great and helps you see how much you are spending on payroll and can let you customize roles. Very helpful for a business that has employees in various places and with mobile options.

Cons

The ecosystem isn't always as smooth or as intuitive as it could be. For some scheduling tasks it seems like you have to make a lot of extra clicks to get a job done.

### "Good visual presentation of team schedules"

The greatest benefit of When I Work is the visual presentation of the schedule. I can see at a glance who the scheduled manager on duty is thanks to the color-coding. I can also see when my teammates are scheduled so I know who might be available in the event I need to swap a shift with someone.

Pros

I like that I am able to see my schedule and the team schedule as they are posted. It's very handy to have a color-coded visual schedule as well, so I can see at a glance which team members are on which roles. I also like that I have the ability to enter time off and shift change requests. My team does not utilize the feature that allows open shifts to be posted so employees can pick up extra shifts as they become available, however I like that the option to do so is there.

Cons

I wish that I had the option to sort the team schedule by shift time so I could see who I will be working with by day at a glance, as opposed to scrolling through the list of scheduled team members sorted by name.

Managing employee time sheets and also being able to copy previous weeks when there are no team member requests, and even when there are, it is still completely easy and user-friendly to manage.

Pros

I love that it just keeps getting better and better with time. The added features and benefits are awesome and extremely useful.

Cons

The only thing I wish is that employee time off that has been used, would be tracked and easily accessible.

Pros

The ease of navigating the app. Being able to put the scheduling software directly on the phone of the employees is outstanding. We also really enjoy utilizing the messenger tool. Its a great way to speak to everyone in an efficient manner.

Cons

We dont like the add drop portion of shift scheduling and changes. As a management staff we would like to use this but it has been difficult to create a process do to implement this do to it not requiring a manager approval.

In the meantime, we do have a way to turn on 'Manager Approval' for Swap and Drop requests. This means that when the Swap and Drop request is made, the request will first be sent to a Manager to approve before the request is sent to other users to pick up. The Account Holder or a Manager can turn on the Manager Approval setting for Swaps and Drops from their 'App Settings' section via the web. They will then need to navigate to the 'Scheduling' section of the App Settings to enable Manager Approval. ### "Best option for our unique scheduling"

We were using an Excel spreadsheet for scheduling for years; it was becoming unwieldy. We also had employees frequently misreading their schedules and arriving at the wrong time or to the wrong place. WiW is much easier to manage than the Excel schedule, and by using text alerts our employees make far fewer errors in viewing their schedules.

Flexible to adapt to our scheduling needs, easy to learn, easy to train staff, responsive to questions or when needing assistance

Cons

Sometimes new features aren't explained before they're rolled out

Reason for choosing When I Work

It was the only one that fit our primary need of scheduling employees at various locations throughout the week without having to run multiple schedules. The generous trial period let us really poke holes in it to make sure it would work for us and that we would be able to get our employees onboard without too much difficulty. We got to test the heck out of it.

It is easy to build a schedule with this software. For our company, schedules vary day to day, and it is vital that we are able to communicate specific details to the crew members about what each day will entail. This software allows us a way to do that. Our guys like it to - it's easy for them to check their schedules.

Cons

There isn't much that we don't like about this software. It works great for us and our needs.

Pros

This software gives the users ability to switch shifts and also has control to get approval from scheduler

Cons

All good, complaints about this app. In the 2 + years of use, it logged me out couple times, it could have been a network issue.

For a startup company, it is useful to have a nice and easy way to keep track of everyone's schedule, working time, salary rates, etc. This is a good solution, instead of having all the information in separate emails or google calendars that do not meet the needs entirely. It has its issues, but I overall would recommend to check it out, especially if you have a limited budget but you already have multiple people working with or for you.

Pros

\- Simple and clean UX/UI - Easy to keep track of everyone's tasks - Nice and multiple features like adding notes, editing time entries, etc. - Flexible to work with multiple users - Works nicely when you have multiple employes and need to keep track of multiple schedules, locations, etc. - Nice support team - It has medium cost, so small to medium companies can afford it - You can also organize bonuses and salary rates. - Very colorful - Flexible to customize according to your needs - Employees can indicate when they are available, instead of using emails to notify their working hours

\- Mobile app crashes constantly and it is not well designed. - Too much email spam - Still has a couple of annoying glitches happening from time to time - Dashboards and reports could be improved so you can make them more detailed.
