When I Work is very feature-heavy, but not always user-friendly. It has a prolific verification and notification layer, and I was constantly receiving updates and notifications about the slightest changes in my shifts and schedule.

Pros

When I Work has very accurate geofencing that allowed our team to track employee arrivals, departures, and location.

Cons

There are many opportunities to get stalled in a simple workflow. For example, clicking "Confirm Shift", and then indicating you've arrived for work and then confirming that requires a lot of clicks through various screens to actually show that you're clocked in. When you're in a rush or have a slower connection, clicking one button would be much more helpful, rather than multiple layers of confirmation.

What I liked most about When I Work is how much time it saves on scheduling and coordination. In practice, instead of managing shifts through Excel or emails, everything is centralized: schedules, availability, and communication. For example, the ability for employees to swap shifts directly in the app and for managers to validate quickly significantly reduces operational friction and improves efficiency.

Cons

What I liked least about When I Work is that it can feel limited when you need more advanced features or deeper customization. For example, reporting and integrations are not as developed as in more complex systems, which can be a constraint in structured environments. Also, notifications can sometimes become overwhelming or missed depending on usage.

### "A User-Friendly Scheduling Tool"

That said, this is a small inconvenience compared to how much value the system provides overall. It’s reliable, user-friendly, and well supported. I truly love it.

Pros

The platform is incredibly easy to use, both for managers and team members, and their customer service is outstanding. Anytime I’ve had a question or needed help figuring something out, their team has been responsive, patient, and genuinely helpful. They even helped troubleshoot an issue that turned out to be related to our firewall, which was well above what I expected.

Cons

The only challenge I run into is how time off is itemized in the summary. Around holidays, it can be tricky to distinguish how much time is actual PTO versus Holiday Pay. I have to manually break that down for our payroll company to make sure PTO banks aren’t affected incorrectly.

It helps to track attendance and can be linked/synced to the business payroll (I used When I work and send the attendance ( work hours info) straight to QuickBooks for payroll—readily available customer support.

Pros

When I work is great for time tracking, team communication, and saving time on scheduling. Plus, you can make your business schedule ahead of time, and with its calendar and appointment options, employees can swap their schedule as well.

Cons

N/A, no issues. It was easy to use, and definitely a value for money. The app is simple with immediate text/email notification.

My experience has been great with dealing with support. They're quick to respond and want to help. The software is very easy and straight forward to use.

Pros

Templates are amazing. Shift templates, job templates, etc. I also like the drag and drop and copy for shifts. I like the reports that we can download for time tracking.

Cons

You can't schedule into the next day. When scheduling, you can only schedule until midnight. It would be nice to be able to schedule from like 10:00pm to 6:00am or similar.

Overall When I Work has been a very helpful tool for our company for all of our scheduling needs. We love the different features and ease of use!

Pros

I really appreciate the flexibility in how you can view the schedule, especially after it’s been published. The ability to set recurring availability is a huge plus. It’s also very user-friendly when it comes to moving and editing shifts. The planning and organizational features make it easy to build and compare different schedule layouts. I like that employees can drop or split shifts, and the chat feature is very helpful for communication. Being able to add comments, lunches, and other notes directly onto shifts is another great feature too. Overall, it’s a very functional and intuitive system.

Cons

I don't like that when providers have time off requests, they cannot view shifts. This is a limitation as some may want to pick up shifts when they can still.

Overall, my experience with When I Work was positive. We used it for several years and found it dependable and easy to navigate. I have also used When I Work at another job from the employee side, where it was used for clocking in and tracking time. At my most recent workplace, it was used mainly for schedules. The flexibility, affordability, and ease of use made it a good fit for our needs.

Pros

When I Work was very user friendly and reliable. We mainly used it for scheduling and the chat feature. The chat option was convenient because staff could message with questions about their schedules or notify management if they needed to call off. The pricing was reasonable, which is why we continued using it for about four years. It consistently did what it was supposed to do without any issues.

Cons

We did not fully utilize all of the features available. At this job, we primarily used it for scheduling and communication, so other tools were not used. This was more about our usage than a limitation of the platform itself.

We have been using it for a couple months now. It seems to work well and satisfies our needs. I definitely save time doing payroll sheets at the end of the pay period. The employees like the ease of clocking on from their phone, i like the ability to set the parameters that require them to be on site or remote by employee

The reporting is quick and Easy, Notifications and reminders are customizable by user, It is very easy to use once you learn, Great value for the price, I appreciated the Time and PTO tracking.

Cons

Not super intuitive. Have to look for where things are located. I wish I could have found a tutorial to help navigate. But reaching someone for support was easy

What I like most about When I Work is the accuracy and clarity of its time tracking. Being able to easily review my clock-in and clock-out times helps me stay organized and aware of my hours throughout the pay period.

What I like least about When I Work is that it does not display my total weekly hours in real time during an active shift. I can only see my accumulated hours after I’ve fully clocked out, which makes it difficult to monitor my time throughout the week and avoid going into overtime.

I use it to schedule two businesses, mostly part time staff on a weekly basis and I also use it for our timesheet for payroll.

Pros

Ease of getting a weekly schedule out to 20-50 part time employees on a regular basis. I like that it has a time clock option which I didn't use at the last business I was at that used this system. It was a savior when my business changed point of sale platforms that no longer had a timesheet option.

Cons

Some setting restricting when staff can change their availability, and RO. How notifications or "confirm shift" can be overlooked by staff.

Overall positive experience with When I Work, some new features over time but mostly for premium subscriptions or third party sales. It would be nice if small bug would be fixed like the precision of the drag and drop which is sometimes impossible to align with a specific time like 1PM if the move is less than 30 mintues.

Pros

The drag and drop, while not perfect works most of the time. The interface is modern and easy to work with.

Cons

The steep price increase if you need 2 locations. Doubling the price per account double the burden on a small company.

Great. Our office manager/practice manager did a great job with training and getting the main templates ready before going LIVE.

Pros

Being able to work on separate areas of the medical note from the DVM. I love being able to add multiple medications on one template vs having to do each one separate

Cons

That there is an extra charge to place a card on the account for extra security. Being able to check the time of appt. I want to be able to hover offer over the block and have it say the time so I don't have to click it.

Definitely an app worth exploring for temporary work. It is easy to setup an account for newer onboarded employees.

Pros

The integration between employer and employee is very straight forward. We even got new employees that have had experienced between scheduled with When I work, so streamlining them into our process was extremely easy.

Cons

It was difficult to add depth to the tasks and scheduling. The time tracking and scheduling worked great, but detailing exactly what needed to be done was difficult to add within the app

All around good for the money, if you're not looking for something that has too many bells and whistles, you wouldn't use

Pros

Great for a small team that you're looking to schedule. Maid fairly simple and easy to ues for anyone.

Cons

The Mobile version can be difficult to use as an admin. Certain things are hard to find unless you are on the desktop version.

While there have been occasional glitches or delays, especially after updates, those moments are pretty rare. In general, the app is reliable, user-friendly, and a helpful tool for staying organized and on top of my work.

Pros

I really like using the When I Work app because it makes scheduling so much easier and more organized. I can see my shifts, request time off, and trade shifts with coworkers all in one place. The notifications keep me updated if anything changes, and I like that I can clock in and out from my phone. It’s also great for communicating with the team without needing to send a bunch of texts. Everything is clear and convenient, which saves a lot of time and stress. It just makes managing my work schedule feel simple and under control.

It is a fantastic, easy-to-use format that we have in our hospital - the staff loves it. My doctors love it. We would suggest it to any small business looking to simplify the scheduling process.

Value for the money, the customer support, the ease of use, the user interface, the features to track absences and days off requested, reporting, employee management and just a nice format for setting up schedules

My overall experience with when i work was positive. It allowed me to see my work schedule with ease.

Pros

When i work was easy to use. It allowed me to even track my time so i was early for work. It allowed me to see how much time down to the minute i had left before my work shift.

Cons

There was nothing which i did not like about the app. It was easy to use. It gave a lot of information, including whom i was working with on any particular day.

### "Great for a quick and easy timesheet tracking"

Overall I've been happy with When I Work and the functionality of it. With the plan that we have there are some limitations but it gets the job done.

Pros

I like how quickly you can edit information in the platform and quickly pull timesheet data. I also like the ability to quickly approve or deny time off.

Cons

I wish the reports were able to go farther back in time to review historical data. If I don't save the data somewhere I can't go back and review at a later time.

It was a very good experience, it is very easy to use and never experienced any inconvenience with this tool.

Pros

We used this tool to organize all the assignments we had to complete at work. It helped us identify which tasks needed to be done or prioritized, and we could easily see any changes or updates to our schedules just by refreshing the page. It was also really useful for checking coworkers’ availability and seeing if they were off or on holiday.

Cons

There’s nothing I dislike since I was an user for the application. It worked perfectly and never had any issue.

Pros

Easy scheduling options and time off requests and ability to make a work day as a specific task. I like how I could copy and paste shifts to make it quicker and it let me know when people weren’t available when I was scheduling

How many times it would ask if I liked it. Also not being able to set a permanent schedule for everyone / duplicating the same work week over and over

Overall we enjoyed using When I work to do scheduling and track employees hours. Geolocation was also helpful since we had multiple locations

Pros

When I work was easy do the admins to use along with employees. We enjoyed the clock in and out feature

Cons

Integration to Gusto was not always easy. And the errors gave no info on what needed actually to be fixed

### "Wasnt fit for the job I needed"

Overall my experience with the application was fair, but I would not recommend the application to other customers

Pros

When I works mobile app graphical user interface is user friendly, with easy log-in access and to view how much I was getting paid each period.

Cons

There were some frustrating technical issues when the application tried to capture my location using celular data, neglecting the main purpose of the application to manage my job.

### "Great Value and Simple Setup (for simple schedule flows)"

Overall, I would highly recommend if you have a simple scheduling workflow - once you get more complex or need a Scheduling + something else, then its not going to be a complete solution.

Pros

Great value for the cost - as a basic solution to the scheduling headaches, the automated communications and Rules Based scheduler are a great value! Time Tracking and appointments works very well too. Very easy to use and setup. Customer support is very quick to respond.

Cons

Its very WYSIWYG. No Auditing capability to see if unauthorized changes were made, and does not work for complex workflows.
