Overall, it is very positive and easy to use. In my role as Executive Assistant, it has saved me a lot of time to focus more on other tasks because the repetitive tasks are already taken care of by When I Work. This tool has saved me from miscommunication and scheduling conflicts many times.

Pros

Since employees could clearly see their schedules in real time, the app helped reduce scheduling conflicts and miscommunication. It also saves a lot of back and forth with the employees compared to manual scheduling. It is also user-friendly.

Cons

The overall look could use a little updating to achieve a modern look, similar to the apps and tools we use today.

I love When I Work. I use it professionally as a scheduler of a Nursing team, as well as on the other side of the spectrum as a contractor with a marketing agency. I get to see the best of both worlds!

Pros

Value for Money: Unbeatable. It packs the features of five apps into one price point. Ease of Use: Very user-friendly! even my newest hires can coordinate it right off the bat! Time Tracking: Excellent native tracking with billable hours—no extra plugins needed. Team Collaboration: Top-tier. The Bottom Line: Best for teams that want to centralize everything and don't mind a few minutes of "learning the ropes."

Cons

I would like there to be a way to "not approve" requested hours in the "open shift requests". Currently, there is no way to remove them from there unless they are approved.

Overall my experience with the application was fair, but I would not recommend the application to other customers

Pros

When I works mobile app graphical user interface is user friendly, with easy log-in access and to view how much I was getting paid each period.

Cons

There were some frustrating technical issues when the application tried to capture my location using celular data, neglecting the main purpose of the application to manage my job.

We have been using it for a couple months now. It seems to work well and satisfies our needs. I definitely save time doing payroll sheets at the end of the pay period. The employees like the ease of clocking on from their phone, i like the ability to set the parameters that require them to be on site or remote by employee

Pros

The reporting is quick and Easy, Notifications and reminders are customizable by user, It is very easy to use once you learn, Great value for the price, I appreciated the Time and PTO tracking.

Cons

Not super intuitive. Have to look for where things are located. I wish I could have found a tutorial to help navigate. But reaching someone for support was easy

I am a "night nanny" that helps new families with their newborn. I take the night shift so they can sleep. I appreciate being able to track my hours and make sure I don't have any conflicts in my schedule. It also makes it easy to get paid by the Nanny Organization I work for.

Pros

As a user, I like how easy it is to see my schedule, track my hours and make sure I am getting paid correctly for each shift.

Cons

Occasionally, the app freezes and I have to restart. Sometimes, it isn't the best about sending notifications for changes in a shift or a switch in times needed.

I really liked When I work. You could sort by alpha and by shifts. Not to complicated to navigate.

Pros

It was easy to use and sorting shifts was easy to do. staff could be sorted by shift or alphabetical by last name.

Cons

often the drop shift/shift swap was confusing as to where they were located in the app. Especially if you didn't do it all the time.

Awesome! This is a fantastic and affordable scheduling and time-tracking tool for single and multiple location workplaces.

Pros

When I Work is a great tool for schedule creation and hour tracking. It also has a feature that allows staff who are working at off-site locations to clock in and out based on where they are physically located -- so a team member has to be at a certain location to report that they are starting work. It's also great for team members to be able to see their schedule in advance, and keeps a record of when they worked at their fingertips. Also, the pricing is AMAZING. You pay by the month based on the number of staff. It's super flexible up and down.

Cons

I do wish there were a way to tag some classes of employees as "must clock in/out" and others can be excused.

### "Student staff time challenge"

We do really like this system and it is steps above what we were using in the past. I feel that this has been a time saver that allows our management staff to be on the floor instead of tied to the office.

Pros

This has been a game changer when we schedule our 145 students staff. It is easy to change and drop shifts as well as follow absences.

Cons

It has some features we don't use that cause some confusion. We deal with a lot of international student staff that take a little more time learning to navigate the system.

### "Great idea but needs work "

It’s a great concept, the app did freeze and sometimes not update information entered for the day. This made it unpredictable to use for scheduling shifts and communication between staff.

Pros

The best part of the app is that employees can switch schedules without having to go through the manager, wait for responses, etc. we used it in a chain salon I work in and it was easier than paper schedules and a photo. The when I work app allows you to modify or make requests for schedule change and everyone can see it and respond. Great for small teams.

Cons

The app glitches and became unusable at some point. Unfortunately, it would not always show the most recently updated responses or schedule and as a result it became unreliable. In addition, it was very different on android phones vs iPhones and not everyone had the same view of the schedules.

### "Next Gen Work App - When I Work"

Overall experience with the When I Work App/platform would be a solid 5 stars based on the customer experience and ease of use of the end user, as well as the admin.

Pros

Ease of use and setup of the program and app for employees is minimal. We have had great customer support from the start of the RFP process.

Cons

The tool/app is easy to use and offers many features for a mid-size company looking to create a space for the next gen. The con would be the chat feature that everyone in the group can read, vs individual text messaging.

Pros

How organized and easy the interface of the app is to use! There’s many functions that allow me to stay organized for work, especially my shifts!

Cons

Personalization of color choices for the aesthetic of the app itself would be a nice touch! Other than that I really don’t have anything negative to say about When I Work.

Overall When I Work has been a very helpful tool for our company for all of our scheduling needs. We love the different features and ease of use!

Pros

I really appreciate the flexibility in how you can view the schedule, especially after it’s been published. The ability to set recurring availability is a huge plus. It’s also very user-friendly when it comes to moving and editing shifts. The planning and organizational features make it easy to build and compare different schedule layouts. I like that employees can drop or split shifts, and the chat feature is very helpful for communication. Being able to add comments, lunches, and other notes directly onto shifts is another great feature too. Overall, it’s a very functional and intuitive system.

Cons

I don't like that when providers have time off requests, they cannot view shifts. This is a limitation as some may want to pick up shifts when they can still.

Pros

What I like most about When I Work is the accuracy and clarity of its time tracking. Being able to easily review my clock-in and clock-out times helps me stay organized and aware of my hours throughout the pay period.

Cons

What I like least about When I Work is that it does not display my total weekly hours in real time during an active shift. I can only see my accumulated hours after I’ve fully clocked out, which makes it difficult to monitor my time throughout the week and avoid going into overtime.

All around good for the money, if you're not looking for something that has too many bells and whistles, you wouldn't use

Pros

Great for a small team that you're looking to schedule. Maid fairly simple and easy to ues for anyone.

Cons

The Mobile version can be difficult to use as an admin. Certain things are hard to find unless you are on the desktop version.

It is a fantastic, easy-to-use format that we have in our hospital - the staff loves it. My doctors love it. We would suggest it to any small business looking to simplify the scheduling process.

Value for the money, the customer support, the ease of use, the user interface, the features to track absences and days off requested, reporting, employee management and just a nice format for setting up schedules

Cons

I do not have any cons for When I Work. We have used it for the past 4 years, and we are very happy.

Overall we enjoyed using When I work to do scheduling and track employees hours. Geolocation was also helpful since we had multiple locations

Pros

When I work was easy do the admins to use along with employees. We enjoyed the clock in and out feature

Cons

Integration to Gusto was not always easy. And the errors gave no info on what needed actually to be fixed

I would recommend "When I Work" to retail store managers as I enjoyed using it in the same industry.

Pros

The best thing about "When I Work" is the simplicity of the layout. It is very easy to navigate and provides a great visual with the calendar view to help stay organized. I did run into a scheduling issue where my shifts were not appearing but their customer support fixed the problem within minutes.

Cons

Although their customer support was great in assisting this issue, there were multiple times where my work days were not scheduled and I had to go to my managers for my shifts. Other than that issue, it is a great application.

I have been using When I Work for over 8 years. I introduced it as my current job, so I'm very familiar with being a user as well as being the admin.

Pros

How easy it is to schedule my staff and complete weekly payroll. It's also helpful that When I Work integrates with ADP, which cuts running payroll down by more than half the time, making it well worth the price!

Cons

I would like the opportunity to duplicate a shift or create a shift template based on a shift already posted.

i think it's very well streamlined, but still working through all of it's capabilities and how we can best utilize this

Pros

I like the visibility of it all. Being able to color coordinate so many different events has made it easier to find cases.

Cons

Being able to pull reports in the way that we need them and adding enough information into the scheduling request / dashboard.

Good! Customizable in all the right ways. Some frustrations with the interfaces between mobile and web versions.

Pros

I appreciate the customizations! It is visually pleasing and fun to change the colors and helps us indicate things like "opener/closer" etc.

Cons

The differences between the mobile and web versions. I especially dislike in the mobile version when you go to "scheduler" it doesn't take you to the day it is. I also dislike when I change something on my own schedule it asks me to confirm the shift even though I was just the one to change it.

Pros

Helps send schedules quick, people see shifts right away. Time tracking is basic but works. Good for small teams.

Cons

Bit messy to use at first, layout not that clear. Sends too many alerts. Free version cuts too much.
