Our little team of 2 people process and traffic anywhere from 100 to 240 active projects within our RoboHead account at any given time. There is no way that our little team of 2 could keep all of that straight and get half the amount of work done that we do if we didn't have a software that could help us track and automate to help keep those projects moving. Pros I like that there are automation features within the software itself. It's very helpful to be able to set something up on the front end and rarely have to adjust once it gets going. Cons I with there was more automation. In a perfect world, I would love for a request to get submitted, you look it over, approve it, assign the team, choose all of the templates needed and the system does the rest for you and builds out Campaigns and individual projects. In addition, it adjusts the timelines based on the start date & due date that you indicate and auto adjusts the task durations based on this information and while using the data from the Resource Utilization Chart too. January 12, 2022 5.0 Everyone in the chain of our team is involved and uses RoboHead. I can see who is working on what and when. It helps me manage my team's timeline efficiency, which is something I could not do without. Pros Easy to use. Simply the only way I can manage my workflow of multiple projects going at the same time. Manage everything from timelines to budget to archiving numerous reviews and revisions. Pros RoboHead is a fantastic tool and I love how much of the power is in my own hands to customize it to fit the needs of our Creative department and our larger business needs. Of particular mention is the phenomenal support, from regular training webinars and online documentation to the live support team who is knowledgable, fast, and friendly. Cons There are features I would love to add, but I also know that the RoboHead team listens to their users and incorporates those learnings into future updates. I never feel stuck with the application always being the way it is currently. Their scheduled updates always introduce new, welcome changes. Prompt announcements of enhancements and issues being experienced (transparency). Easy-to-use functionality, messaging, record keeping. Pros Ease of setting up templates, training staff, running reports, sharing files. Cons This is more suited to an agency with hour an resource tracking. We don't use a lot of the features because we are an in-house marketing department and don't do billable hours. We have asked for there to be functionality to have folders within tabs (for example files) so when you are uploading supporting documents they live in a folder not as individual items within the tab. Pros In my end is easy to communicate with agents with their projects. Cons RoboHead has glitches that have not been fixed yet, since some of the latest versions. Glitches like missing links Sample: Like when I come from an email link then I click on "REVIEW" I have to click again on "REVIEW" to go to the actual review, also sometimes lags too much that I thought I went to another project and even though I click on the new project, it takes me back to the previews project I was working on. Also, Agents complain about not being able to log in. I don't know exactly why it's happening, maybe because they have poor reception or bad internet location. I've seen a lot of changes over those years in the software and I think right now in 2022 it's the best it's ever been. And only getting better! I have found Robohead very beneficial in my day to day, and it has helped streamline our creative review process. Pros I love the ease of use of Robohead. As an admin I have to add new people to our user list, but don't have time to train each and every one of them. Thankfully Robohead is very intuitive and easy to learn on your own. And if you do run into issues the online support is second to none! The reviewing aspect of Robohead is fantastic. The mark up tools provided make it easy for anyone reviewing creative to leave precise edits very quickly and easily. Cons The only thing I like least about the software, is that not enough people on our team use it to it's fullest potential. Including myself! Review Source Scott B. I would heartily recommend it. Pros Robohead has greatly increased efficiency in planning, managing, and routing projects. It is easy for our clients to interact with and allows us to keep track of comments and revisions. It is also very helpful with task management, allowing custom reports and triggered notifications to keep on top of the work. Cons The software is a little quirky when it comes to automation- for instance rejected proofs- they should notify you when one has been rejected, also when in the My work tab, clicking on a project takes you to modify the project- when really I just want to work on the project so that's kind of frustrating- Also the dashboard has very little value to me as someone who uses the software- I want to see my task not a list of metrics showing me how many are blocked- Again there may be a way to set this up- but By default Robohead comes in a mode that most people don't need. It feels sometimes like the software is bootleg and things are just fixed quickly with patches and hot swaps- It has so much potential- especially with the acquisition of DaVinci Workgroups- both aren't perfect by any means but if you sit down and think about the real touch points and pain points your customers have with your product- you are bound to make something brilliant! hope this helps Review Source CB Chris B. Pros I like that as a beginner in project management, it is easy to navigate and use. Robohead is very receptive to feedback to help tailor the experience to each company and support is incredibly fast and helpful when you reach out. Cons I would like to be able to see if some else on my team is approving a request or is in the project. I would also like to be able to copy and paste users in review section of the project form. When other departments see me using RoboHead, they are impressed with the concept. Pros This is a great way for a larger company, with many offices and department, to track their projects. It is really helpful for teams to be properly trained on robohead to understand why it's important to track all changes in one location. Cons There are ongoing updates which is great but sometimes there are just not relevant for my role. Prior to implementation, our team relied on spreadsheets and email. This made it difficult to track down changes, capture approvals and know which projects were in progress and on time. With Robohead, we have one source that captures all project notes, corresponding documents and approvals. As a project manager, I can easily log in and see what step each project is on. Cons In the review boards, it would be nice if we could hide previous versions within one board without having to create a second one. Reason for choosing Aquent RoboHead We chose Robohead because it allows us to build project templates to ensure every project follows the same key steps. It also has the ability to add custom fields specific to our needs and process.
